We also enjoy using our SSO integration to keep it as secure as possible for us. Cons: I wish it had ticketing built in, hoping this is a feature that is road mapped. Other than this I haven't had any real big complaints besides a billing problem that was quickly fixed. Reasons for choosing Reftab They were both cheaper but lacked a lot of automation and integrations. Reasons for switching to Reftab Moving from self-hosted, wanted less management overhead. I've also used Device42 then Insight by Riada as competing products because had developed integrations with Jira Cloud and Jira Service Desk Cloud for our task and service ticket management. Reftab continued to develop their product and has now integrated with Jira. Nice! The cost/month is currently less than 50% of the monthly subscription cost for competing products and the functionality and customer service are truly excellent for our asset tracking and management needs. Easy to setup new fields with different configurations. Good filters to find what you are looking for quickly. Mobile app/interface Cons: The initial product did not integrate with Jira Service Desk. Reftab has since added this capability and setup was reasonably simple. Verified reviewer Higher Education 51-200 employees Used daily for less than 2 years Reviewed March 2026 Best rental software ive used but needs improvement 3 Ratings Breakdown 5 Ease of use 3 Value for money 3 Customer support 3 Functionality Pros: The interface is easy to use and the layout and look of it is well designed, it's easy to read and figure out where everything is Cons: It's quite buggy, often doesn't let you check out kit reservations without a detailed explanation to why, just says "asset loaned out already" or "asset unavailable" without specifying which asset or user. You cant check kits out if theres too many accessories as it says "accessory limit reached" which is just silly, why put accessories there if you cant use them. You cant directly print a kit list or export PDF from a booking so we can print a physical kit list to help with our prep, instead we have to export an excel file with all the information and then delete the columns that are irrelevant, incredibly time consuming. When it shows the calendar view of booking availability it shows that its booked but you cant just click on the calendar and see the times and user, it just shows their e-mail in the booking which for us doesnt work as its just a student number. If a limit is enabled, it can prevent additional accessories from being checked out once that threshold is reached. Adjusting or removing that limit can often resolve situations like the one you've described. It has increased inventory accountability greatly and helps for alerting when inventory items need to be ordered. Ratings Breakdown 5 Ease of use 5 Value for money 5 Customer support 5 Functionality Pros: Keeping track of inventory items with options for setting as consumable or assets. Ability to see stock quantities without having to physically count or check to see if a certain items is even part of inventory (IT peripherals). Cons: When using the app, not able to see activity of consumable items. Sometimes, need to see if an items was checked out to someone. Cons: User interface is a bit clunky, we seem to have to navigate across all regions of Reftab to find certain assets. Pressing the back button doesn't take us back by one page, but to the homepage itself. This is time-consuming and frustrating. Reftab claims that the accessories are not bookable even if they have recently been cancelled or have no bookings, it will not be bookable. A Store Desk would be helpful such as what SISO offered with the barcode scanning. Reasons for switching to Reftab They were not creating new features that we needed. This is nice to be able to track licenses from cloud vendors all the way to physical assets like monitors. It easily connects to a myriad of systems to ensure the records stay updated. Cons: The inability to extract the cost per asset per person to excel over a standardized time period. This can be accomplished with someone savvy with Excel but it isn't out of the box. It also would be nice to have some preset images for assets. I am forced to go digging for some which has been interesting as they are not consistent across all assets. Its numerous integrations with MDMs and Entra ID make it a wonderfully accurate asset management and inventory management. The learning curve is easy and the documentation thorough. Cons: Specifically for our college, we'd love to have a financial area where we can easily upload purchase orders and link them to assets. Custom statuses don’t automatically change unless there’s an automated workflow set up to update them based on actions like check-out.
