Workfront (formerly AtTask) is a cloud-based project management solution that helps teams  to prioritize, route, manage and report on their work. It is suitable for businesses of any size and industry including IT, architecture and accounting.

Users can access a library of standard reports or customize them to meet an organization’s needs. Workfront offers tools to help visualize the work lifecycle so users can maintain project schedules and budgets. Users can drag and drop tasks to assign them to team members, shift assignments and organize workflows through the visual interface.

Communication tools allow employees, account managers and executives to collaborate, assign work, track deadlines, check status updates, deliver work and manage reviews and approvals. Resource management tools allow managers to assign tasks, track performance and allocate resources. Methodologies such as Agile, Waterfall and others can be implemented with Workfront, and the platform is designed to scale along with company growth.

If you have the budget to spend, Workfront offers some pretty cool integration options. We especially fell in love with the ability to route visual approvals through various queues.

Pros

Workfront was my first choice for a recent business process management push after an extensive RFP and discovery process. We eventually went in a different direction (a combo CRM / BPM solution called Pega Systems), but Workfront was truly impressive for a mid-size marketing/communications team management solution.

Cons

All in all, Workfront ended up being a bit too pricey for our particular needs. Our team was very excited about the functionality options, but we weren't sure we could sustain the cost/benefit long term.

Would be nice to have a feature that shows me how I'm doing overall on project completion time across all of my projects. Also a time tracker would be helpful, so I can "log" in and out of each project to track my time.

I love the interface of this platform and the collaboration abilities it provides for me and my coworkers. It streamlines our workflow and processes and helps us stay organized throughout the many types of projects we have going on simultaneously. We couldn't do much without it!

Cons

There is an opportunity to make file sharing a tad easier, but overall this is not an issue. It would be nice to have the option to customize your interface as well!

I think the functionality is excellent but find that when you're having a hard time using something, functionality is rendered a moot point. This could be fixed with future updates, but as it stands I don't think I would comfortably recommend onboarding teams with it.

Pros

When it comes to managing projects, Workfront (formerly ProofHQ) has what you need. Versioning, history, direct comments, and comparison views are really helpful, especially for creative projects.

Cons

Built on Adobe's Flash platform, I find it runs incredibly poorly with modern browsers. Not easy to use at all times and especially not for everyone in a team. Though it might work great for some, chances are everyone's got different machines with different levels of power and functionality.

The support is unparalleled. Our technical, sales, Customer care team was awesome. I would say I had to use them too much, but they were great every time. Can't commend them enough for the efforts to help us. I'd say a large piece of why we stayed with WF was because of their support team.

It's almost like having so many options within the tool became counter-productive. If it maintained a more unique personality, and did more consulting to help clients adjust their processes to the tool, somewhat, I think there would have been more of a win for us. Our processes were fairly simple and we got all caught up in the bells and whistles of the tool. It could very well be that the tool wasn't right for us; I didn't have any say in the decision-making process.

Pros

The Ease of building reports; Getting the data out of the tool is really easy. The ability to format reports the way you want to see the data is very useful too. The UI is very easy to navigate, and easy on the eyes - not so busy and crowded on any one page, which I appreciate.

Cons

Way too complex, too many moving parts, too many hard-coded definitions for tasks, groups, teams, roles, etc. The backend of WF is exhausting. I, more or less, had 2 admins that had to manage the tool for the company. I don't take off TOO much for this, as the company was very lazy in using the tool. However, part of that laziness was because of the complexity of doing simple tasks within the tool.

Unlimited customization and personalization of every feature – including custom fields for reports, and projects. Able to streamline all work and communication between departments onto one platform, as well as eliminates unnecessary emails. You can update colleagues about a task or project on the platform instead of via a face to face meeting, phone call, or email. The Workfront team guides you to build out the program and is available if you need advice about the best way to structure the program for your needs. I also love that the program is cloud based and available on a mobile app - so it's accessible virtually anywhere! You can also use the program to collaborate with people outside of your company - e.g. share documents for 3rd party review or update a client on their project progress.

Cons

You need to purchase a minimum # of licenses in order to use the software so this can be expensive. Since the program is so customizable, expect the build out of the program to take a lot of time as you need to insert all of the information into the program.

I liked the ability to collaborate with different people within the organization. If I were working on a project it becomes very hard to assign different tasks to different people. Workfront allow me to collaborate with different people within my team and assign tasks and responsibilities.

Cons

The dashboard looks daunting. The user interface has a learning curve associated with it and takes time to get used to. Though once understood the UI is fairly easy to navigate.

We used this tool with our clients and it helps managing a project really well. Completely runs on Agile and helps with managing storyboards. This can be used by any team to manage their project or tasks. Always keeps us on the track via Gantt reports. Charts can be customized based on data and reports can be exported out of this tool as well.

The nice thing about Workfront is that it is very much self-contained. All your timelines, tasks, communications, and attachments can be found in one central location.

Cons

I found that Workfront has too many parts. As a project manager, you don't always know if someone has actually seen their task. There are too many places to make comments and attach documents; do you attach a document to the projector in the task. While it is nice that everything is centralized, that central location has too many micro-environments.

I really like the detail I can store in each card. Although the UI leaves a little to be desired, I like the display of communication, important information you can add to the card, and the related issues, hours, etc. I also like how the "assign to" window only takes a small amount of room on the screen, and is collapsible. Most programs devote too much space to this information, and it is important, but doesn't need a lot of real estate.
The flow of progress and burndown charts are useful when looking at it from a sprint view. Although I haven't used it this way, I could see the tool being useful for Program Management.

Cons

The search functionality is really bad. The results are not intuitive, and it can be very difficult to find anything. We have taken to putting in all cards with a naming structure in order to make it better, and it barely makes a difference. In most cases, unless I am lucky, I have to export to Excel or CSV and search from there in order to locate the card I'm looking for and then do a more direct search back in Workfront. This issue alone would keep me from committing to Workfront long term for my project management app.

Our team uses this to track client service and installation projects. It does a very good job at this. Further, our employees track their daily time usage down to specific projects with the time sheet functionality. This keeps our team focused.

Pros

The most useful aspect of Workfront is the ability to create relationships between users and projects. Many levels of authority and usability allows for the software to configure itself to your project needs.

Cons

The most troubling aspect of Workfront is that it has a steep learning curve. For someone that is starting to use the software, there are a lot of terms and functionality that needs to be explored that isn't as intuitive as can be.

Pros

Workfront is an easy project management tool and offers users a fast-paced set-up process. Some other tools take a while to learn but Workfront has built a user-friendly UI to help you get started fast.

Whether your project is small or massive, they offer a bunch of nice features like portfolio management, a custom dashboard and unlimited collaboration options.

Cons

The con which should be thought about is integration. Many project management integrations can require permissions your devops teams need to manage.

At first I was perplexed but after re-reading their introduction guide, I figured it out fast.

I enjoy how easy/intuitive this was for our staff. We're now able to get cross-functional teams on the same page and timeline. Creating, assigning, completing tasks are all easy.

Cons

I wish it integrated with Outlook, but that's s being incredibly nit-picky. There's also no real way to ping people that you've assigned projects to.

It's a comprehensive solution, there's a fairly robust reporting functionality, and I like the gant chart view of your team so everyone can see what they're supposed to be working on.

Cons

It's really hard for most users to understand. It was actually quite difficult to learn how to implement as well, but that's okay. But my most consistent users are constantly complaining about the bugginess and my occasionally users are consistently confused by the user experience.

We also had an insane error that was unresolved for 8 months and more than 15 sessions with customer service led to nothing - the error would not allow us to access the 'proof' functionality, which is the core reason you'd want to use the service. Finally, it was our own IT team who solved it.

It is actually quite a comprehensive tool for project management. It has enough features to support the very varied needs of a 100-strong department and those with whom we directly interact on projects.

Cons

It doesn't take much to break an elaborate project workflow. If a project contains many interdependent tasks, it can fall down due to (lack of) human intervention. It's best to ensure there are clearly understood guidelines for users on how they are expected to use the system, otherwise it can create more confusion than necessary.

As an archive system of record this is a usable solution, but is not ready to compete with more robust Agile management systems like JIRA or Rally

Pros

Very flexible. robust reporting and workflow is on the table. Approvals also were easily supported

Cons

No versioning on attachments
No ability to tag groups on tickets and sub-thread comments. It was an impossibility to grow this to scale if every user has to be tagged everytime
Not feeling the "Agile" button. With heavy customizations this may be possible, but out of the box backlog management to board maintenance is nearly impossible

Keeps our team organized around numerous creative tasks. The notification system works well and ensures the team is notified when changes are made to tasks. Ability to upload documents, proof and make comments are all very helpful.

Cons

The tool can be a bit clunky or overwhelming at times. It is hard to add others as approvers to jobs. Our creative teams feels overloaded with multiple notifications.

It has helped me be more organized and has saved valuable time. I no longer need to create weekly status reports since we have realtime reports built into Workfront.

Pros

The software is easy to understand and use for project management. You can create schedule templates with a basic set of tasks and milestones which is a timesaver.

Cons

Very confusing process for resource capacity planning; mediocre customer service after implementation.

Very easy to track a project with many tasks, where many individuals are involved.

Pros

Ease of use and its visual format are the best. We have tried several other production to accomplish the tasks that Workfront does rather easily. The training and customer service are very good. Even if you are not very experienced at using this kind of software, you will be by the end of the training classes

- The amount of customization you can have over request forms
- The compilation of tasks / documents / notes in one single place
- The proofing and approval mechanism being built right into the software - no more email attachments or claims of missing emails (items are time stamped re: access)
- Good mix of collaboration and project management

Cons

- If you're in a task you need to navigate back to the main project to review custom form details (which are sort of buried)
- Not as seamless email interaction as something like basecamp (where you can respond to a project directly in an email)
- Pretty 'dry' looking interface - not the most user-friendly as I've found myself clicking to learn
- While there is a LOT of customization it's not perfect. We've had to compromise in a few spots.
