Dropbox Business for Small Teams

Our team uses Dropbox Business every day and we organize it by our projects which makes finding documents and assets very efficient. We love the ability to instantly add a shared Dropbox folder from a client directly into our Dropbox dashboard in a matter of seconds. It's one of the most useful features. The history and version control is also really useful to ensure we're using the latest files.

PROS

This cloud-based storage tool has been incredibly effective, especially now that our team is working remotely due to COVID-19. We are able to organize our documents very efficiently using the tools instead of having to use an internal server. It's game-changing to be able to access documents, photos, and videos from any computer without having to use a clunky VPN login.

CONS

I wish the thumbnails were larger when previewing photos and sometimes when you hit the back button, it takes you to the home page instead of the last page of you breadcrumb trail but the ease of use makes it worthwhile, once you get used to it.

Reason for choosing Dropbox Business

The price was fair and the ease of use is very good for our small team.

Reasons for switching to Dropbox Business

The free storage is unbeatable compared to other tools.

Great quality for a cloud storage software

In our office, I use Dropbox Business to keep all of our documents in one location for our entire team. It's instrumental because we have records shared around the organization and files that are only used by my team. It's effortless to make a folder, upload it, and share it with others. It's also much more stable than other platforms when it comes to keeping track of sensitive data.

PROS

I like that it is straightforward to build a folder and share it with multiple people at once. It's also convenient to have all this set up from my own Control Panel files on my phone, so I can simply drag and drop files from my stored folders and transfer them into a Dropbox database. My organization is now using Dropbox, and the business account provides us with enough storage to hold all of our documents in one safe location.

CONS

It's not as complicated as Google Drive or any other online storage systems, but Dropbox Business doesn't have any of the same functionality, but it gets the job done. When there are so many people sharing stuff across channels, it becomes cluttered.

Reasons for switching to Dropbox Business

Google Drive seem too complicated for me to sharing the files with my colleague.

Easy to use and implement cloud storage

Very pleased with the use of Dropbox in our company. It has given us the ability to work remotely and keep all our work in one place.

PROS

Dropbox gave us the ability to create a central cloud storage for all files that we use day to day.

CONS

We had little problems with dropbox. The only suggestion we have would be the ability to create custom file templates for easy-to-use file organization.

Still A Clunky Product After 5+ Years of Use

Dropbox Business has, for the most part, been our media company's go-to file storage and sharing application since we began primarily working from home a little over a year ago. But after 5+ years of consistent use, I can't say I've noticed a significant improvement in the software's usability. We still seem to experience the same issues we did when we first began using the software. We've been on the lookout for a software to switch to for some time, and may just officially make the move to Frame.io some time in the near future.

PROS

In terms of basic file sharing (documents, videos, or audio files), Dropbox Business gets the job done. There are some basic features available which allow you to customize the files you've shared (you can set files to be non-downloadable, password protect them, or even set the shared link to expire after a certain date). One of the features we've found the most useful as a media company is the ability to send out a File Request. This is a feature that allows you to create an upload link that can be shared out to as many people as you need. Once members of that group have uploaded files to your Dropbox using the link, the files will appear on your Dropbox, in a folder that you've preconfigured to be associated with that file request. Users cannot see what exists on your Dropbox on their side, but you're able to secure the files you need. While there are some helpful, advanced features, all in all I would say Dropbox Business will probably work just fine for your purposes if you aren't too concerned about having a bunch of fancy features.

CONS

I seem to constantly run into strange issues when using Dropbox. For example, although you are able to see all of the files that you've recently deleted in the Trash, you are not able to search the Trash. You can only perform a search for files that are still technically "live" on your Dropbox account. So if you need a file you think you've deleted, you have to scroll through the Trash and search for it yourself. I would think that regardless of what exactly you or your company is using Dropbox for, a search bar feature for the Trash would be useful, and would save you a ton of time. Additionally, more often than not, the progress bar on the bottom of the browser might say a file has completed uploading, but the file won't display on the screen. A refresh seems to do the trick, but this is a longstanding issue we've run into, and contributes to my overall perception of Dropbox as a "clunky," outdated software.

Secure Business Storage and Collaboration

It’s great; but it’s not for everyone.

PROS

It’s a great product for certain use cases.

CONS

It won’t run on a terminal server and demands resource from local machines.

Reason for choosing Dropbox Business

More advanced product; and specifically built for purpose.

Really interesting platform for storing documents and share information but need more features

It is a platform that we use just to store documents, not to edit online or to share information because sometimes you get difficulties while downloading documents.

PROS

Dropbox works well when it's about saving documents and sharing information, this is something is very well implemented. They have more features but either I did not find them or it's not well shown in the platform.

CONS

What really annoys me from Dropbox is the quantity of emails I get from them when I am not interested at all (but I can't turn them all off because I want some updates information on my documents) and that you can't edit documents like excel or word online, you need to download them and then upload them again. Or at least, I couldn't do it online and sometimes I had difficulties on download excels because they are too heavy.

Reasons for switching to Dropbox Business

We actually use both, Google Drive and Dropbox for business but I find Google Drive better because it's easier to use and you can edit documents online without problems, the connection between Dropbox and Excel for example is the worst.

Increases the productivity and it's easy to use with family/team

Really good for the price of the plans, most of the people who don't need much storage can fit on the free plan and for those who uses it for work, the plans prices are quite reasonable

PROS

It's so easy to use and understand how it works, they have a limited but good free plan and have a good features that are really good such as sharing a folder with specific people only.

CONS

The free plan has limited storage, and premium plans can be a bit expensive depending in what you are using it for, also sometimes it has some sync problems.

Best Online Storage Provider (Word, Excel, and PowerPoint)

Dropbox's automatic syncing app does a fantastic job of backing up your important documents. You can save time and keep all important documents safe with this feature. I would recommend it to anyone regardless of the cons.

PROS

Dropbox comes installed on most Windows devices, or so I think (I think our workplace installed it for us). I set AutoSave on my Microsoft Office work to save documents as I type, which is a huge time saver. It has a neat user interface, which is perfect for an office setting. Regarding performance and accessibility, it's quick to respond and does not take time to load files. Dropbox is a cloud-based application that allows me to access my documents from anywhere in the world, meaning I do not need to carry around a flash disk. Overall, Dropbox is an excellent program I could recommend to anyone.

CONS

Often, it's impossible to share files with people who don't have Dropbox accounts. The alternative is to ask them to sign up for an account, which is often not feasible. However, Once you get the hang of Dropbox, it's very convenient and easy to use.

Reasons for switching to Dropbox Business

The only reason I use Dropbox for my important documents because it automatically saves my Word, PowerPoint, and Excel files, which is a lifesaver for me. Google Drive did not give me that option, or I just don't know about it.

Dropbox is just an essential business software

Overall super happy. It's easy to setup and use and after installing, it just downloads everything automatically. I love how confident I can be just dropping an item into a folder and knowing it will be backed up, or queued for sync when back online

PROS

The thing I love most is that this is software that lives on your computer, as opposed to only in the cloud. I know that when I drop something into my folder, it will be available to all others on our team.

CONS

The storage space is quite limited. We use Dropbox for active storage, for files that we know are going to frequently change or that we need local access to quickly. However for archiving old material Dropbox can get very expensive

Reason for choosing Dropbox Business

We had used the free tier on both software products - but Dropbox was far superior for what we needed

Reasons for switching to Dropbox Business

Google Drive was too awkward for local use. Every time we installed Drive locally, it seemed to eat up the local router bandwith. It's also very difficult to setup a large account on a new computer - lots of syncing issues and items not syncing. Dropbox is just a much more dependable and stable experience

Best for High-Res Work

CONS

I have not come across any cons to their software as of yet. I have been using it for 2+ years without ever having to contact support or come across any glitches. I would not mind a promo code or discount on a pricing plan though lol.

Excellent Solution

Very happy with the software and would not consider replacing it.

PROS

Love the ease of use and the permission based folder nesting capabilities. We actually use Dropbox as a client visual workflow system as well as the standard file sharing system. Our clients love it. Our team loves it.

CONS

Their additional products are too simple. Paper is close but limited in usefulness and showcase is too simple and lacking in functionality. Both products have glimpses of what they could be but they fall short option, ease of use, and flexibility wise.

Reason for choosing Dropbox Business

It just worked better.

Reasons for switching to Dropbox Business

OneDrive worked fine but it felt dated and it didn’t connect with as many outside systems as Dropbox and it didn’t do so week when it did connect. It also struggled with syncing.

file sharing at its easiest

Dropbox business has impacted the way we run our departments significantly; making our processes more streamline and efficient in a lot of ways. Where previously, reports had to be attached in email and sent from one unit to the other, Dropbox now allows us to share them with multiple users by just dragging and dropping. Apart from solving the file storage loophole of that system, the desktop alerts and notifications also allows all team members stay alert to updates and subsequent steps.

PROS

What I like most about Dropbox is that access can be granted or restricted per user not only to the folder level, but also to the file level. This has made our electronic filing system exceptionally cleaner; where previously we had to separate clients' files into different folders and restrict access to those containing folders simply to limit unauthorized access, we can now have everything in one folder, but restrict access based on user's account types.

CONS

For security purposes, I think a single account should have different levels of control specific to each device they have synced to their account. We have had a few cases where mobile devices with synced dropbox accounts were stolen and lost. Personal computers which are less likely to be lost can be allowed to access the full range of control while mobile devices have limited control.

Reasons for switching to Dropbox Business

Our file sharing never got interrupted even if the internet connectivity breaks, unlike attaching files to share via email. Also, Drobbox not only allowed us to share files with other team members, it was also simultaneously seeing to our file storage and backup needs.

Best thing since sliced cheese

PROS

I have lost so many files before this was available. I used to have backups, back up harddrives, back up raid systems, etc. They all failed at some point loosing thousands of files each time. Now I put all my files in dropbox. It doesn't matter what computer I sit down at, my files are there. I will move computers at work 3-4 times in a day or switch between my laptop and ipad during a meeting. Doesn't matter, the files are there. A coworker(boss) once deleted an entire folder with hundreds of documents! No problem, I logged into the website and brought them back to life and then changed the security to keep him out. Once you install this software, you tell it where your files are and you don't generally have to mess with the website. The files are in a folder on your computer and you just use them as you need. When you go to another computer, they will be there too. Your friends will see them too(if you share).

CONS

Not a whole lot to complain about. Those that have low computer skills get confused by it. If you share a file or folder, they must respond to the email and accept the share. Then it just shows up in their dropbox folders. Those that don't use it regularly in particular because they cant ever find their password. In the end, it is easier than email. Every so often, I get a conflicted copy. I don't know why they happen sometimes and not others. You can actually have two people working on a doc at the same time with no problem. But, occasionally, it will make two versions. It is very difficult to figure out which one is the correct one when this happens.

Reliable and fast-syncing cloud storage app with fair pricing

Storing and syncing files I use frequently between my devices

PROS

To me, the best aspect of Dropbox is that it syncs very quickly and consistently. I never have to wonder if it did or didn't sync my files or folders, which is a problem I've encountered with other apps. That, and it is simple enough to use that even the most computer illiterate people can usually figure it out. Just about everyone knows about it and has seen/used a Dropbox link before, so it makes life easier when trying to share files. The Pro plan (what I use) isn't a bargain, but for the reliability I'd say it's fair enough and worth paying for if you have the budget. It has built in video players, document and image viewers and audio players so that the person you're sharing with doesn't need an external application to view your file.
