Great for seeing how long jobs are actually taking. The estimating portion is awesome once you have your pricing entered. Specifically bid vs actuals and how time is tracked onto projects. The granular nature of the bidding and tracking process has given me a much clearer picture of my producticity and profitability. Additionally, as I'm starting to branch into prevailing wage projects, the natural flow pushes toward AIA bidding which is a requirement on many of those projects. #### Cons Hard to give much criticism so far. The software is pretty robust and comes with a learning curve. That said, the support's been great and to emphasize a previous point, it really forces you to see your business as a whole. #### Reasons for choosing Knowify Price value and customer service. No incentive was offered Our company moved from a total accounting program that encompassed project management geared toward construction, to Knowify Project Management app with QuickBooks Online. Once we paid for our subscription, the subscription names changed and although we are grandfathered in to what we purchased, any enhancement comes with a cost; the first request (tracking of overtime) was DOUBLE the subscription price. As a company that utilizes American Institute of Architects (AIA) project management and billing, we rely on project reports that tell us how much is booked vs spent on each phase, how much we have paid our subcontractors (minus retention) and how much our direct labor and burden costs are to-date. There is not a single report in this app that can tell me these important facts. There IS NOT a report that tells me the value of each phase, how much I have paid the subcontractor(s), and what our direct labor and burden costs are, to date for a specific project; vital information for any general contractor.And, even though Knowify can populate to QuickBooks, it does do so in the reverse. All invoices and expenses (including credit cards) entered into QuickBooks on a project DO NOT populate to Knowify automatically. One has to copy the url link for said invoice or expense, and paste it to a populate screen where it puts the expense into the project, but does not put it into the correct phase. Knowify allows you to see the GP of your projects quickly and has a simple ways of accessing many tools. #### Cons The scheduling portion needs an overhaul, employees not assigned to a job don't have visibility of where other employees are assigned. It's easy to learn and very user friendly. It's available online & through their app making it easier to manage projects in the field and office. It syncs with QuickBooks allowing you to facilitate and coordinate both your project management and financials in a single entry. Additionally, we really appreciate the featuring vendor management and compliance. The Development team has been very accommodating on our companies needs. We enjoy working with Terrin and Christina. #### Cons The Gannt chart capabilities are clunky and a little complicated when it comes to dependencies. It may be more of a learning curve than anything. The resource board is a little complicated since our project have mutliple phases that the subcontractors are responsible for and when scheduled on one item they do not go over into other phases. [ie. if we have Electrical Rough in and Schedule Electrician A and we also have phase Electrical Top out it will not automatically pull the electrician into that phase meaning there is a lot of time input to make sure the schedules are correct. ] The bill approval integration with QB is annoying. When the bill is input into knowify it only allows the option to sync with QB or not PRIOR to the approval or rejection. This is annoying because bills that are not approved appear on the QB feed as though they were approved. #### Reasons for choosing Knowify Procore and Netsuite are highly touted but the cost to capabilities where much beyond what our company needed. There are a few things still not working as we need them to. But hopefully they will be rectified soon. #### Cons That I have made suggestions that seem to fall on deaf ears through the feedback portal. They may be merely suggestions to Knowify, but they are must haves for our office staff. We need to be able to search for customers by phone number or address or even their email address. We also need a print function, without having to download and print from there. Once they can get the sync figured out it will be a one-stop-shop for estimating, time-tracking, invoicing, scheduling. We do not use the Plan and Track feature, but I can see how that could be VERY helpful. Emailing customers is very easy. Purchase orders are EASY to send. Getting customer signatures is EASY. #### Cons 1) The billing module is very detailed, so it takes a long time to enter bills. There should be a shortcut around entering an "Item" that allows choosing an expense account. And maybe allocate to the job not based on an item in contract. Also Autofill feature? Or a Copy previous bill? 2) Default accounts are confusing. For a long time they did not save after I entered them. In theory - but not actuality - it should link with Quickbooks, which, if working, would be awesome. #### Cons Customer service doesn't take the time to determine what is wrong. There are several tiers of people who are trying to help, but they continue to give a quick reaction to solve the problem and don't really help. The program itself only links with Quickbooks occasionally. If you don't input information perfectly, it scrambles your numbers and can throw all of your books off. Getting access to human help is hard. The input work is way more work than the results. #### Vendor response Hello Joel, We are sorry to hear of your bad experience with our customer support. We at Knowify put an extremely high priority on all tickets and the majority of our customers will agree that this is one of the strongest parts of Knowify (as shown in many reviews on this page). Your specific case threw us a curveball, as you had deleted your access to Knowify on a Friday night. Our customer support team is made up of specially trained technicians based out of the US, so dealing with a non-standard issue in the after hours might take a bit longer, especially if we have to involve our tech team. Even still, we did have your account back up by 7am the following morning. We are easily able to track and manage each step of the process, produce AIA style invoices efficiently and track all payments in one application. And a huge shout-out to customer support - anytime I have an issue, they respond and are able to help us out within an hour or two (even outside of business hours). #### Cons Every once in a while there will be a glitch, sending payments over to quickbooks an extra time (but this also could be our synching with banking...). Keeping close tabs on project P&L's is great with Knowify. Project Managers/Admin can pull data at any time to keep up-to-date on project costs. We like being able to use AIA billing through Knowify. I can easily keep track of my jobs, the progress of each one, and cost them to stay on budget. Knowify gives our business the power to stay paperless with e-sign contracts and proposals. Our customers absolutely love the ease of clicking a few buttons to accept a proposal and make payments. Before Knowify, my desk was a paper covered nightmare - now I am able to just keep it all right there in one place. #### Cons Some features are lacking. Sometimes we need to be able to provide a range price on an estimate, and Knowify does not have this feature. It can also be a little challenging/labor intensive to add hours if my employees don't want to use the app on their phone for automatic tracking. --- ### Setup and ease of use is great. Customer support is top notch. Very quick response during business hours. The way a contract is decided, Your Phases, might not be how I want to track costs and time. I don't trust the numbers. I want all hours and materials accounted for to the job as a whole.
