Pretty good.
Overall experience was positive. It's a solution that I recommend to people.
PROSWhat initially attracted us to this CRM was its cost effectiveness. I was impressed by how easy it was to deploy and run. The mobile app was pretty solid, easy to use and probably better or on par with some of the other (more expensive) CRM apps I've used. ~Capsule also had a decent project management function.
CONSI think we had some trouble when trying to connect to Mail Chimp. From memory it took a long time to get it right.

Simple and Functional
My needs for tracking client opportunities are simple and this CRM does everything I need of it. I mainly use it for recording my meetings and coaching sessions with my clients. This functionality is easy to use and it is easy to search clients later to see what was last talked about.
PROSIt is incredibly easy to set up, very simple to use and I like it's integration with Xero.
CONSSending email from the system get stored in dropbox, not ideal if you don't use dropbox

In terms of the Drop Box I have good news as the Capsule Drop Box is not the same as the file storage service Dropbox.com. The Capsule Drop Box is effectively an email address that you use to BCC or forward your emails to which in turn stores them against the relevant contact in your Capsule account. This is what non-google users use for storing emails. Not Ideal for a Charity CRM
I think it is a fine program that didn't suit the needs of a national charity.
PROSI think you you were using this software for school or a business that required registration of sorts it might be ideal but the marketing features were not strong enough for us. We used the program for 1 year and then switch over that had a better UX, marketing integration and that automatically process tax receipts.
CONSThe UX wasn't great. It wasn't intuitive for our team.
Reason for choosing Capsule
We had an employee that had some experience with it and could navigate the program. We stuck with it for 1 year and switched over to Keela.

Great Easy To Use Affordable CRM
I have been using Capsue since 2017 and to date I have had no issues with the software even it was updated.
PROSEasy to use. Price. Date Stamp. Search by name, keyword or phone number. You can up load documents to a specific contact. You can separate contacts using tags. Notes easy to edit. Beginner friendly. Generous Free account. It has an app that syncs perfectly with the online account.
CONSSo far the online has everything I need. I have no complaints. The app could add search by phone number. It would help when a client calls I could search the phone number and address them by name if they are found in my CRM the same way I do when working from my lap top from home

Capsule had all of the features I was looking for without the price tag. I switched when I found myself favoring capsule over Quotit

Easy to use, keeps my lead tracking process organised
It's positive - solves a problem, makes my life easier so it's a thumbs up from me.
PROSI love that it's easy to use, keeps my lead tracking process organised. No complicated features. I set reminders and track everyone I have contacted. I can access all features really easily and it just makes my sales and marketing manageable - without additional functions I won't use or need.
CONSWhen I import a CSV file - I need to format it slightly for it to identify all the columns - just an extra step which is a bit of a pain but not a biggy.

Does exactly what I want without the other stuff that make CSMs so more complicated and heavy

Capsule is great!
It's been a joy. Deployed super quick and was working pretty much out the box. It's not bloated like other CRM's with loads of unnecessary fields and functionality that most people dont use anyway.
PROSIt's intuitiveness is certainly my biggest positive. To be able to get the system up and running quickly and efficiently is a massive plus point. It keeps me focussed on what I need to do daily and it has yielded results.
CONSIf I'm being picky I would like the ability to turn some features off. For example I don't use cases so I'd prefer if it just wans't there but it's a minor point.

I wanted a bit more historical data and the ability to set reminders and plan a sort of workflow. That wasn't available in Pipedrive.

Its great if you currently have no visibility of your pipeline, stages, value, probability or timeframes. Simple, easy to use CRM software
Capsule is a really simple, straightforward CRM for small businesses. It's reasonably good value for money, easy to use, and very useful for tracking your sales, customers and prospects.

Best in Class CRM
I originally acquired Capsule to keep track of customers, potential customers, task management, and event management for a coaching and education business. I continue to track coaching clients in the software, but now I primarily use it for event and task management for a grassroots nonprofit.
PROSCapsule is a CRM system that delivers excellent support for a small cost. It is more customizable and has more features and greater ease of use than others in its price range. It was fairly easy to set up, customize, and learn using the provided guides and the responsive customer service team. It easily supports tracking of all actions related to an entity in one place. It has a number of built-in APIs for integration with email marketing tools and other applications. I really appreciate the task tracking, the ability to track potential customers through a customizable sales funnel, and the capacity for creating cases for tracking interactions with related to a particular person, organization, or project. I also like the ease with which I can create my own "tracks" for processes that I often repeat.
CONSThe things I would want in a CRM application that are not present in Capsule are all things for which I would expect to spend more money. For example, if I were to spend more money on a CRM, I would look for one that includes volunteer sign up forms and the ability for donors to manage their own profiles and track their own donations. It is a pretty simple tool, but again, very robust for the price.

Easy to use and great for quote tracking

PROSI find Capsule really easy to use and manage all my quotes, leads and follow-ups on it. I like that you can have custom fields too, helps for tracking. I have used the system for the last 5 years.

Not a bad system for the price we are paying.

CONSThe integration with Quickbooks is not the best to be honest. We have had to disable the interaction as it was changing the records we had originally set up in Quickbooks. Also was not a simple click of a button to see the previous sales, you have to continuously sign into quickbooks when you want to see records, a bit pointless really.

Sorry to hear that our QuickBooks integration isn't quite what you expected. When setting up the integration any information in Capsule and QuickBooks should match otherwise Capsule would overwrite any differences. After that, the integration will push any changes in Capsule to QuickBooks as it treats Capsule as the source of truth so it's best to always make changes in Capsule. As long as you are logged into QuickBooks the link to open in QuickBooks will work. This is so that Capsule users who aren't QuickBooks users can't click through and access all the data in your QuickBooks account. EASY AS PIE
has been great to work with and easy to operate

CONSI feel it needs to automatically remind me of thing, I use this to track inquiries and sometimes people fall through the cracks. if for some reason I forget to start an opportunity I won't see the customer on the sales pipeline, maybe its just the way im using this.

Moving on to creating Opportunities - There's no in-built functionality in Capsule that will automatically create opportunities from new contacts I'm afraid. Our advice is generally to only add an opportunity once the lead has been nurtured or qualified as a viable sales opportunity - this is to prevent your Capsule account filling up with opportunities that never get off the ground. What you're looking to do can be achieved, but it requires the use of a 3rd party tool called Zapier. Are you familiar with Zapier at all? To explain Zapier is what we call an integration platform which connects different services that don't normally have their own integrations with each other and they support Capsule. Check them out here: https://zapier.com You can create a zap that each time a new contact is added to Capsule it triggers an action of a new opportunity being created.

One of the best CRMs I've ever used
Capsule has allowed me to keep track of all my leads and prospects. Because I can see how I've interacted with them in the past, I'm able to tailor my follow-up process to ensure a higher conversion rate. Capsule paid for itself in a very short period of time.
PROSI love the fact that Capsule is one of the easiest CRMs to use. One of the reasons salespeople don't use CRMs is because they feel overwhelmed or because there's a huge learning curve. Not with Capsule. It's easy to learn and they also have a really cool app that allows you to track your contacts directly from your phone, which means you can stay on top of your sales process.
CONSI think that the free plan should allow a little bit more than the 250 contacts it currently offers, but other than that there aren't really any cons.

The views of a small business technophob
It is our company database so we use it many times a day. The experience has been good but I'd say that the fact it is reassuring basic will in the long term be an issue.
PROSCapsule is very easy to use and for someone who hates complex tech it is reassuring straightforward
CONSWe haven't integrated the software with our other systems so we are probably missing a trick. What I like least is the fact that I do have to somethings twice. I probably need some coaching!

As for deleting contacts - if you delete the contact then the data recorded on that contact will be lost. Rather than deleting the contact you could add an 'Archived' tag to it. This way you can easily filter out archived contacts from your list. I hope that helps and we're glad you're seeing benefits from using Capsule in your sales process.

Capsule is Easy to use.
We use this data base daily, to track many type of entries. The note and task features are very helpful. It is a very detailed data base but very easy to use.
PROSThat it is easy to use, has many fields and ways to enter data. Being able to enter notes is a great help. Ease of finding people or companies in the data base and link people to companies.
CONSWe aren't able to create emails with graphics to send to mass mailing with ease.

We use Capsule as the main database of the organisation-meeting notes as well as the all contact details
PROSWe should have automatic opening in the morning for the timing of reminders but ill disciplined we plug into emails first thing!
CONSI think you should refresh your landing page more often and perhaps carry a daily piece of advice or a tip or a reminder of a public anniversary -famous peoples birthday -something that you would ordinarily not know but is a piece of interesting info

Thoughts and opinions on Capsule CRM
The Free CRM segment of this market is flooded with products which promise a lot but deliver very little - then attempt to extort money for what was billed as a free service. Capsule's most redeeming feature is that it works and it really is free to use - integrity like this is a BIG plus for a business like ours.
PROSI like the fact that it's very easy to set up. Adding new contacts and their respective organizations is swift and seamless. What I like most about Capsule is that it is a proper CRM system which is made available to small businesses free of charge - when we've grown enough to warrant spending money on CRM - Capsule has already crossed the finishing line.
CONSThere are some GUI flaws which make navigation a little difficult, but these are merely tweaks to what is a robust and simple-to-use system.

I imported my data - tried to use the system - was told I must pay to use what I thought would be a free CRM. This type of sharp practice is unacceptable.

Great value to our business
Easy to use and easy to learn, this has been a game changer for us. We used to keep everything written down or online in customer files but that made it hard to find details when needed. Now we can search on our computers or if out on site easily look it up on the app

Great lightweight CRM
Capsule CRM is a great lightweight CRM which lets you get started straight away. It's simple to set up and a very good CRM when you're first getting started. It's got great integrations between systems, a hook up to XERO which is very handy to see invoices that are attached to the client. The other great part is the custom functionality you can build into the system, it takes a little bit of time but its really worth it. The only thing that stops me from using it now is it's not a marketing automation tool and our business needs a crm+MA in one software.

Great to get back to Capsule
One of relief. It works and it works well and has plenty of flexibility
PROSI used Capsule maybe 5 years ago managing my own small client base. Now I'm working with a small non-profit that has 100s of contacts we need to manage and track. After trying a couple of the biggies I was so glad to get back to Capsule! It's even better than I remember
