Excellent Project Management Tool

Excellent project management software that really keeps you on top of your tasks and timeline.

PROS

I love being able to set up a template for our tasks with dependencies that I can reuse on each project. The tags function helps me to easily assign tasks to the right person by simply filtering on those tags.

CONS

Software occasionally becomes buggy and you need to log out and restart.

In addition to the product, the onboarding and support teams at GuideCX have been great

GuideCX has been a great asset to our customer onboarding, allowing us to streamline our processes and creating more capacity for our team as we scale. We find the tool to be user-friendly both internally and with our clients, and we also really value the flexibility of our customers interacting solely via email while keeping central information housed within the platform. As an admin, the reporting and insights the tool provides are valuable to ensure we understand what is delayed or at risk and highlight opportunities to optimize our processes.As we have continued to evolve our processes for different onboarding experiences (product types, client types, launch tasks), being able to recreate and adapt templates easily within the tool has made this process seamless and keeps our team organized and on track with very little overhead needed. The GuideCX team is also awesome; their attentiveness, responsiveness, and enthusiasm made ramping up into the tool and beyond a great experience.

CONS

The one area we'd love to see improvement in is a better system for managing tasks beyond a launch/go-live. The tool is built to manage the onboarding process, but we have some post-onboarding follow ups that would be great to be able to manage within the tool as well - but the GuideCX product team is exploring solutions here.

Check the Details Before Falling for the Sales Pitch

There’s a bit of irony when you fail to onboard with onboarding software. After more than 4 months, we decided to cancel their service and have moved to another onboarding platform. It’s possible that my personal expectations were simply too high, so I will share specific details with you so that you can judge for yourselves. The latency we experienced was very noticeable. Clicking between cards was not seamless, and we found that it took almost 7 seconds to load content onto the primary page. Checklists on tasks look great until you want to rearrange sections. You can’t. Task groups were promised to us as a feature that would replace the need for subtasks. They couldn’t be rearranged. They couldn’t move up, down, left, or right as you might expect if you have used any other Kanban style tool. If your team tends to share their own screens with onboarding customers over Zoom, be prepared to show your customers your merge field logic. Personally, I wasn’t going to show my customers “Hi {First Name}.” The list continues.

Their sales team was incredible. They know what they're doing, and they're excellent at bringing in senior executives to help close the deal.

CONS

The software was very buggy and did not have basic functionality that we have grown accustomed to in many other systems.

I recommend GuideCx to everyone! My husband's company uses it too!

We use GuideCX for our client onboarding processes. It helps us stay on track and sends reminders to our clients and internal users for tasks that need to be completed. It has options to include checklists, links and attachments to keep everything in one place.

PROS

The software is easy to use, super customizable, and works exactly as needed! Their customer service is also a huge plus, they are always available and helpful. I love working with everyone at the GuideCX team. Their software is also always improving and they are always adding new and exciting features. I honestly am so glad I found them! I use GuideCX daily and can't say enough great things about them!

CONS

some of the integrations don't do as much as I would like, I wish there was more integrations available with Hubspot.

Great project management and reporting tool. Allows us to see the bottle necks and work to resolve.

PROS

I am a huge fan of this product and it keeps getting better on a regular basis. Many of our projects have the same core premise and may need some tweaks so we use multiple templates to build out a project plan. We have a Project Prep and a Project Wrap that are the same steps for every project and the middle "templates" are deliverable based and allow us to then add/remove task specific to the client. Client also have access to the project plan and project status through the portal and are required to use tasks and notes to provide updates on their tasks and ask questions. All communications are in the same place.We also like that we can have contributors within our company to have access to projects they are working on and can update their tasks at no cost for thier seat.

CONS

The over all product has a strong set of features and are improving every day. I just wish the mobile version could be more administrator friendly.

Easy Easy Easy

We've been able to solve our customers feeling like their onboarding is a black box. They're have access to see the project and share it with their leadership at any time. That goes both ways too, we're able to point to the client when they aren't fulfilling their end of the work.

PROS

Ever since we investigated, purchased and initiated GCX at our company we found the process to be quite easy! The interface is quite intuitive, the software is solid and rarely has bugs. The training and resources are plentiful.

CONS

There are some small features that don't make sense, like downloading multiple files from a task, you don't have the option to download in bulk or as a zip file. But I'm sure that is coming - they've thought of almost everything.

Reason for choosing GUIDEcx

Dynamic date ranges were huge. For instance, when one task gets push back or is late by a day, all the contingent tasks are also pushed back - that way it is easier for those doing a task to catch up.

Best project management tool I've used in a long time.

The staff at GuideCX has been quite honestly the best thing about working with the product. Such a difference in how they handle their clients, most of the time on the fly within 1 minute of a question I have. Extremely responsive, so I can get the assistance I need, to keep moving in my day for the client I am also servicing. That's how it's done.

PROS

For ease of use, I can setup a new client with access in minutes, and they can jump right in and begin knocking out assigned tasks. Ongoing oversight of their progress is a breeze!

CONS

Honestly, we just haven't found that many things it can't do, or we can't live without. All the bells and whistles are right here.

Reasons for switching to GUIDEcx

We needed a customer facing tool, that could be white labeled with our name on it. Everything we do must be white label, or we keep looking elsewhere.

Great product for our global onboarding team.

The service levels are amazing, a great support, impl, and CS team. The product works great and we enjoy the structure and visibility it provides.

PROS

Ability to set templates and roll them out across geos and customer segments. We can have a programmatic approach to our customer journey because GUIDEcx. It also provides visibility into how we are doing. It allows our consultants to better manager their projects and stay organized.

CONS

The customer interaction is less than we'd like. We wish customers would engage more with it, at times we have to stay on them to keep their tasks updated and review the emails that come from the tool.

GuideCX review :)

GuideCX is awesome and benefitted our department in many ways. The highlight is that they have the best support team. Their responsiveness is timely and they always follow up once an issue arises and is solved.

PROS

Guide CX allows for transparency and realistic expectations for Project completion. Users who fully adapt this system in the way Orion has utilized it find great success in their Onboarding to Orion's Platform. The reason behind this is that it allows them to complete the items with little wait time or assistance after they learn the function behind the software.

CONS

There are some quirks to Guidecx, and some items that have not been developed yet. The software can lag sometimes, especially if there is a new release. The other item that they are working on developing is a customer view, this would allow me to have the ability to demo, via a client view, to the client.

Insight into onboarding

GuideCX has been an invaluable asset to our company in streamlining onboarding. When paired with Salesforce, the visibility into our onboarding process is unmatched.

PROS

Guide has allowed us to have a clear path for onboarding all of our customers and provides visibility and accountability for all parties involved, including the customer. We have been able to significantly reduce time to value while improving customer experience through implementing Guide.

CONS

We have had some difficulties in early iterations of integrations with Salesforce & various automations, but since releasing the Recipe Builder integrations through Workato, we have been able to accomplish our needs.

Reason for choosing GUIDEcx

We had complex integrations we were looking to implement and a sizeable onboarding volume, and Rocketlane was a little too young of a company for us to be confident in their ability to support our volume.

GuideCX Changed Our Company for the Better!

GCX is a fantastic company. From the product to the people - I gladly sing their praises daily. Our company has been able to create more efficient implementations, with the ability to communicate both internally and externally in ways we were unable to accomplish before.

PROS

While it does take time to set up the product for use within one's organization, the time and effort the GCX staff lent to our onboarding process was invaluable. We had a partner dedicated to our success and adoption of their product. Ongoing support, collaboration, and innovated product releases keep us happy!Before adopting this software we did not have a system in place that was going to help us scale. With GCX we have the ability to see exactly where we are on a project, as well as communicate with our customers about missing items essential to their onboarding with our own product. Features such as Project Notes keep us all updated daily.

CONS

I would love to see an exportable Gantt chart, additional work on the emails to make them more understandable and useful, and either a more intuitive (read: easier!) way to set up recipes in the Recipe Builder. Our team has been unable to use the Recipe Builder in all the ways we originally had hoped as we just can't figure out how it works.

GUIDEcx is a critical part of my job and I use it literally every hour of every day. There's no way I'd be able to manage all of our implementations/onboarding without this tool. Great Customer Service, too.

PROS

I like how GUIDEcx doesn't need much time to implement and learn. I like how it aligns with our product to provide a seamless experience for our Customers. I like how they are constantly innovating and providing new features.

CONS

Email WYSIWYG seems behind the times--so I do have to format my emails creatively. There are some hiccups with moving cards between milestones (which can usually be resolved with a refresh of the page).

GuideCX doubled our onboarding team's manageable load

The organization, tracking, and management that GuideCX has provided for our onboarding process has enable each of our onboarding specialists to manage 50% more account with more ease than prior to implementing the software.

CONS

Some of our customers interact with technology on an infrequent basis and had some some confusion when they first were introduced to GuideCX, but GuideCX has since made updates to what customers can see and limiting their visibility has helped with the transition.

GuideCx has an Excellent Client Portal and an easy way to Track Time as well as Manage Projects

Our overall experience with GuideCx has been excellent. We needed a project management system. The program has delivered.

PROS

What I like most about GuideCx are the milestones and tasks within each project. We have over a dozen types of implementation plans, so viewing the necessary tasks within each project helps with communication to the client and for ourselves, just getting done what needs to be done.

CONS

I do not have any cons or what I like least about GuideCx. I do however need to take advantage of their e-learning university so as to take advantage of more of their features.

Great Value, Some Things Need Enhanced

CONS

Difficult for customer to initially access (usually customer firewalls don't allow access to the project)You can't copy and paste a checklist from one task to another inside a project. Every project is different. Sometimes when you make a change it doesn't save.

Great Product for Tracking Processes

It has been a great tool for the past year to keep Orion and the Advisors on task for the most part when it comes to their Onboarding needs and desired timelines.

PROS

I like the breakdown of processes needed to accomplish the goals set by advisors especially the timeline we want to follow. I also think the added time tracking feature is great for tracking the amount of time spent with advisors whether they are Essential or Advanced. Hopefully this information is useful when they output data is applied.

CONS

The Filters for my view are hard to manage, when an advisor is not finished onboarding but still working with me I want to keep them open on my view and the filters either seem to show too much or filter out too much.

If you are tired of running blind... Check this platform out.

As I said above it has been a true partnership. When we have questions the GCX team has been responsive and invested in the successful use of their platform.

PROS

It took almost all of our communication issues off the table. Transparency became one of our rallying cries and selling points. No longer do you have to wonder where you are in the process Mr. Customer. You know exactly where your engagement is at any given point in time.

CONS

Still working through how to best work with large, multi-location deployments. We have some work around solutions and another proposal to change the way we work. But the GCX team has been fantastic at listening to our feedback and letting us be part of shaping future releases of the platform (customer advisory board participation). So far a great partnership.

Only one word needed, AMAZING!

The benefits I received from this product include: Structured onboarding process, stress free day, engagement from our clients, and the ability to become more efficient throughout the day!

PROS

Using Beyond for our company has made our day to day operations a million times easier. Our company onboards Dealerships and salespeople. Before using Beyond, we had an excel spreadsheet that we updated daily. This was not an effective method for our company. We wanted to find something new and innovative. A platform that was easy for not only our company to use, but also easy for our clients to use. There are a lot of companies out there that offer great platforms, however Beyond was the right fit for our company. It is new, fresh, and customizable to each user. I have shared a little about how great the system is but that is not the best part about it. The customer service you get from the Beyond team is hands down amazing! Anytime I have a question I just type it in the chat icon, on the bottom left corner, and I get a response very quickly. The attention to detail the Beyond team has is outstanding. There were a few tasks I had in one of my projects that didn't have attachments on them and Customer agent noticed this. Customer agent recognized that the milestones in all our projects were the same with some exceptions, and he brought this to my attention. The attachment that was missing was a crucial attachment our clients need when launching our platform. That is great customer service. I can go on and on about how great this company is. On behalf of our company, Build-A-Brand, I would like to thank Beyond for providing us with the tools we need to have an effective onboarding process.

CONS

There are no cons at all. This is a great product. I encourage everyone to check this out and use Beyond. It will change your life!

Great platform for organizing all aspects of a project.

PROS

For any given project, you can easily see an overview of all aspects of the project, or you can drill down further depending on your needs. I use the task and project listings daily, plus the reporting options to make sure my time spent on each tasks is accounting for my entire workday.

CONS

I would like to see more ways to customize certain lists, like the tasks and projects, based on the user. I use the task list daily, but would like to see a column and filter option to show the last date/time the task was updated instead of just the due date for the whole project.

I like that I can get a birds eye view of where my retailers are in their timeline without having to contact them directly every day. I can see which ones are lagging and need more attention vs. ones that are on time and self sufficient

CONS

The App sucks. It's impossible to utilize to the fullest and when visiting the site on my phone it's nearly impossible to view the notes and respond

Thoughts on Guide CX

PROS

I'm not sure how it was to implement. but it appears to be simple. It was integrated with our Salesforce application I believe. It was easy to use, and we could have customers see it as well, to see where they should be and reminders to stay on task.

CONS

The only think i didn't like was it was another software we had to learn and sometimes show customers and talk to them about.
