## Reviews summary

- Overall rating: 4.3/5
- Total reviews: 363

### Secondary ratings

- Ease of use: 4.0/5
- Customer support: 4.1/5
- Value for money: 4.3/5
- Functionality: 4.3/5

### Rating distribution

- 5 stars: 189 reviews (52%)
- 4 stars: 121 reviews (33%)
- 3 stars: 34 reviews (9%)
- 2 stars: 11 reviews (3%)
- 1 star: 8 reviews (2%)

### Most mentioned pros

- The ability to build custom apps, automate processes, manage permissions, and integrate with third-party tools makes it a very powerful platform for CRM and operations management.
- completely customizable, has back-end open API to zap data from other outside software systems (Sharefile, Quickbooks, RightSignature, Slack).
- The simply, accountable and clear way of sharing info between teams and manage projects, customers and suppliers.

### Most mentioned cons

- Notifications can become overwhelming, and occasional glitches or delays in updates sometimes disrupt workflow continuity overall.
- It’s hard to incorporate automated follow ups as well as certain apps don’t integrate within the CRM.
- You have to build bridges and zap to get everything to talk to each other, which seems kind of insane that a software company would own all these assets that are synergistic but not really integrate them.

I've been a Podio user for 13 years. Despite its lack of internal integrations, it has always been one of the most flexible and powerful productivity tools I use. From stand alone apps to fully integrated and automated workspaces and workflows, Podio lets me build and edit custom solutions as and when I need them. I highly recommend Podio and encourage you to give it a try.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

Unconstrained ability to build custom workspaces and apps on the fly. Utilizing the Advanced Workflow Automation capabilities (included with Premium plan) exponentially enhances the capabilities of Podio. With its drag-n-drop interface, Podio is one of the most flexible and powerful tools available. Podio has been a no-code powerhouse before most people even knew no-code was a thing.

#### Cons

Has been extremely slow to evolve with new features. Also lacks internal integrations with 3rd-party apps, replying instead on API integrators such as Zapier. Because there are no boundaries or restrictions on what you can create, the initial learning curve is a bit of a challenge. Once you begin to think like a relational database, the magic happens.

#### Reasons for choosing Podio

No boundaries or limits on what I could create. Podio give me the ability to create a true no-code platform for backend administration and service support.

Our firm has been using Podio for 10 years. It has proven to be just as flexible as we need, allowing us to easily expand its functions as our needs change.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Functionality: 5/5

#### Pros

I love that it allowed our small startup company to build out our data and workflow automation needs for our niche business.

#### Cons

In the morning as things are just getting started for the day, Podio can be a bit slow when opening new tables. After the initial startup however, high levels of productivity ensue.

#### Reasons for choosing Podio

At the time, Podio was free for under 5 users. This was a great boost, allowing us to build Podio into an indispensable tool for our very small and new business.

I went from love to dissappointment. For many years it served us to organize the workflows of the company but gradually it was left behind and today it is an outdated and expensive platform. In addition, the customer service is really disappointing.

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 1/5
- Customer support: 1/5
- Functionality: 3/5

#### Pros

It's good for working with databases and relations among them. We used to have our complete ERP built in Podio.

#### Cons

- Podio used to be a good alternative when workspaces were customizable and external users could interact with the platform easily. However, this changed unilaterally and without notice, rendering most applications useless. - Compared to platforms like Notion, Podio's system and infrastructure are perceived as outdated and difficult to configure. - The customer service is poor, with delayed responses and a lack of empathy towards the customers. - It is more expensive than more powerful and customizable platforms.

#### Reasons for choosing Podio

A few years ago it was a state-of-the-art alternative for project and workflow management.

### FATAL CUSTOMER SERVICE (since Podio is Progress.com)

Customer service has been an absolute disaster since Podio joined “Progress.com”. I just wanted to delete my old email address (and already had a new email correctly set up in the account and activated to the primary email address). I couldn't delete the old address myself because I got the error message: “You are the owner of a contract with this organization and cannot leave it. Please contact our support for assistance.”. After explaining the problem several times, forwarding it to support and re-analyzing the problem (the questions were always the same, which I had already explained in the course), customer service was unable to solve such a simple issue. Extremely unprofessional and incapable of solving something that was actually so simple. The constant re-answering of my questions in the same chat window, the lack of understanding of the problem, a complete mess. Sometimes even my data was gone from my CRM. Therefore, absolutely no recommendation for Podio (at Progress.com). I will now cancel my account after 15 years as a customer.

#### Ratings breakdown

Amazing low-code platform that allows me and my team to rethink and structure our business the way we want. Podio is so much for than a CRM and Project management. Its basically the digital backbone of our company. Its where all small or mid-size business process recide. Its where we structure and automate processes and get help from multiple AI powered workflows.

#### Cons

Its actually difficult to understand the full potential of Podio from the beginning. Also it has a fairly steep learning-curve, but once you get the core concepts in place, then its all up to my teams imagination to problem solve and create value!

#### Reasons for choosing Podio

It just appealed so much more to me and the ease of building my own low-code solutions powered with automation and AI just stood out. It was an easy choice for me.

Overall, my experience with Podio has been positive. It’s a powerful and flexible platform that adapts well to different workflows and team structures. Once set up, it becomes a central hub for tasks, communication, and file sharing. Overall, Podio has been a strong and reliable platform for building customized business systems. When properly set up, it can handle complex workflows, role-based access, and automation very effectively. It works best when implemented by someone who understands both the business process and the technical side, making it a great long-term solution for growing teams.

#### Ratings breakdown

- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

Podio is extremely flexible and customizable. It allows us to design workflows, apps, and processes exactly according to our business needs rather than forcing us into a rigid structure. The ability to build custom apps, automate processes, manage permissions, and integrate with third-party tools makes it a very powerful platform for CRM and operations management.

#### Cons

Podio has a learning curve, especially for new users without technical experience. Advanced automation and integrations often require external tools or technical expertise. The native reporting and UI could also be improved, and performance can feel slow at times when working with very large datasets.

### Podio - Flexible collaboration tool for teams

It's difficult to describe Podio in a few sentences as it's flexibility and extensibility through the addition of apps from the library or creating your own means that it can be used for many different things. We've used it for project management and as a simple space to hold and share information when several external parties are involved. It means everyone can see what needs to be shared and current status with compromising internal systems and worrying about correct security settings for various parties. Podio isn't always first choice for team collaboration as there may already be solutions in place that clients prefer (for example, Microsoft Teams), but it is a quick way to pull disparate people and data together and get working quickly. As with all collaboration tools, it needs a bit of planning to configure it best for the type of project you want to use it for, but once you have used it a couple of times setup should be quick. For 'standard' users who have a degree of competence with collaboration software, the interface is intuitive and they should get up to speed pretty quickly. If you work in an Agile environment, all the tools are there to configure an Agile project and get started quickly. Some people love Podio immediately, others don't get it. Try out with a couple of small projects to get familiar with it; keep it as simple as possible - Podio's greatest strength is that you don't need to add more features/apps than are suited to the job.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Functionality: 4/5

#### Pros

Fast to configure for team collaboration on a variety of tasks - from the simple to fully featured Agile project management. Adding only the apps you need means you can have a flexible and bespoke approach to each project depending on the requirements. Easy to share with external users.

#### Cons

The flexibility that can be a strength can also be a weakness. There needs to be strong leadership over configuration and apps included. The number of apps that can be added and the configurable options can lead to unnecessary complexity in the hands of inexperienced users. If you have complex security requirements, configuration can be a pain.

Podio is designed for project managers, but we used it as our CRM - which shows how flexible it is. It worked well, the UI is nice, the workflows save you a lot of time and you can link up items well for automation (e.g. if you close a deal, mark the associated company item as 'customer'). The reporting worked quite well too. You can pull data into reports and create nice dashboards. And you can export to Excel.

#### Cons

Citrix aren't investing in Podio - it looks the same as when we started using it years ago. It's also increasingly unreliable - there have been numerous all-day outages in 2018. This is frustrating when you depend on Podio to run your business. We have since moved onto a different CRM software because of these issues.

I use Podio as the main frame for our internal communications software. We are branching out to 'share' items to both suppliers and clients that we mark apps and workspaces specifically without proprietary information. This way we can all communicate in a network without causing too much of an overlap in other softwares.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

Javascript based easy calculations fields. Relationship fields allow easy access to 'like' items that don't follow the same workflow. Globiflow integrations opens up 'get' 'post' and'if this then that' features that cut down on tedious work. Podio Super menu chrome extension is extremely helpful for entities with a lot of workspaces/apps.

#### Cons

Without extension you cannot mark several items in table format. You have to go into each individual item separately (or export to excel update and them import) which is a massive pain.

We loved working with it. It was such a great tool to use. However, we did in the end switch away to a more traditional PM system, just because the setup and structuring was a little bit of overkill for what we needed as we grew.

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

Podio is this fantastic gem that you don't see in other project management, task management or workflow management systems. It's quite literally limitless. You can create unique systems and flows for your own needs without a ton of tech-knowledge (but you certainly need some). It's a really neat way to create the EXACT workflow and data management pieces that you're looking for.

#### Cons

Podio is not simple to set up or implement. It takes time, planning and a decent amount of tech understanding. You don't need to know how to program, but it's certainly not for the faint of heart with the setup. However once you get it - it's very cool. I honestly don't have too much more that's negative to say about it.
