Overall, Content Snare has been a really positive addition to our systems. Before using it, we were relying on email threads and editable documents, which often led to missed information, delays, and a lack of clarity across the team. It’s helped streamline our internal workflows, reduce stress for the team, and create a much clearer, more guided experience for clients. It’s one of those tools that seems simple on the surface, but actually has a big impact on efficiency, consistency, and client experience over time.

Pros:

What I like most is how simple and structured the whole process is—for both us and our clients. Everything sits in one place, which means anyone on the team can pick up a job and instantly see what’s still outstanding or needs chasing. The templates have been a huge time-saver, allowing us to create consistent, repeatable processes across different client types without starting from scratch each time. The automated reminders also save hours every week and take the pressure off manually chasing clients. From a client perspective, it’s far more intuitive. They’re guided step by step, only see the questions relevant to them, and can complete things in their own time without the confusion that often comes with long email chains

Cons:

Like any system, it takes a bit of initial setup to get templates and processes exactly how you want them, particularly when you’re tailoring workflows for different services. Also, if clients are used to more traditional methods (like email or Word documents), there can be a small adjustment period while they get comfortable with a new way of providing information.

Pros:

One of the pros of Content Snare is that clients don't have to invest their time in creating an account with Content Snare. They just need to receive my email with the link that I sent over to them. This saves a lot of time in client onboarding. Forms can sometimes be lengthy and clients tend to get distracted along the way. I find the reminder very helpful in reminding my clients to continue from where they left off in the form. You can automate the process with Zapier integration.

Cons:

I can't think of any issues for now but it would be nice if they could scrap the free trial and just include a free plan.

Pros:

We started using content snare for our onboarding process and were able to really streamline something that was complex before. One of our clients actually informed us they started using content snare as well. Anytime I had a question or suggestion, the support has been great.

Cons:

I wish there was a history function and that the conditional rules didn’t require a double check. Sometimes I set up a rule only to have it disappear as soon as I move to another field, not exactly sure why, and I have to do it again. This might be a me issue, don’t know. I always get it correct in the end!

Great for automated follow up with clients

Overall this has been a great program. We do have to remember to update the expiration dates when our clients are slow to respond, but we receive Content Snare emails to let us know of the expiration. It's also good that we can copy a link to the Snare and send it in an email to the clients who seem to be ignoring it, in case it's simply going to their Junk folder. The biggest issue we have is clients complaining about the constant reminders . . . but if they answered the questions and provided the data it wouldn't keep reminding them, right? One issue we had was with our offshore staff, who weren't permitted to view clients' data without authorization. Content Snare doesn't offer levels of security for who can see what. Ultimately, we were able to resolve this by getting a second subscription where we set up the Snares that the offshore staff can view.

Ease of use for staff, and the ability to create templates that can be easily used going forward even if they need to be tweaked for personalization.

Cons:

Some of our clients find it difficult to use, especially if they are only working from their phones.

Pros:

How easy it is to get information from clients now. Gone are the emails back and forth to make sure that we have everything and not really knowing whether we do or not. Now all team members can see where each request is at and what has been provided and what we're waiting on. The automated reminders are pretty rad too.

Cons:

It's so addictive! Once you start using it, you'll be looking for ways to use it more and it will CONSUME YOU!

Pros:

Best document collection system out there! We use it for two different programs, one is a continuing education program where we collect documents from planners and speakers. The other is student rotations where we collect information from students for preceptors.

Cons:

Once I complete a request the customer cant refer back to it. Would be nice for them to see their past events.

It is good that I can ask questions and it is secure, however, I wish there is a feature that when the query is approved, it will be removed from recipient's end to make it easier for them to go through the remaining queries.

Streamlines document collection – Everything is requested and stored in one central place, making it easy to track what’s been received and what’s still outstanding. Reusable templates improve consistency – Templates for common workflows (e.g. tax return checklists or onboarding) save time and ensure nothing is missed.

Cons:

Email notifications can feel excessive – The reminder system is effective, but in some cases may generate a high volume of notifications for clients. Limited advanced automation – Beyond reminders and templates, there’s less flexibility for more complex workflow automation compared to broader onboarding tools. And as mentioned, I wish recipient's experience can be improved by decluttering their end once we approve their response and so it would not feel like they had too much to do each time.

Cons:

I can't think of anything we did not like. The questionnaires are quite customisable, so if there is anything you need to just learn how to customise a few questionnaires. But it becomes really easy.

Cons:

Billing AU clients in USD. The large add additional files button (after uploading first document) has disappeared - have to keep clicking the little paperclip button.
