### About Microsoft SharePoint

Microsoft Sharepoint is a knowledge and content management system (CMS). The product also provides collaboration tool capabilities. The solution offers typical CMS features like document and digital asset management, case and contract management and reporting and analytics. All these combined features enable users to create, manage, and review various content types from one central location.

SharePoint enables organizations to manage documents and other file types throughout their publishing lifecycle. Users can also leverage its interactive dashboards and scorecards to create content reports. These reports can help users pinpoint and build solutions for content and publishing needs.

Sharepoint’s CMS system also includes website content management capabilities. It features capabilities for managing both published content on websites, as well as unpublished content. Sharepoint has content support capability for both external sites as well as internal intranet sites.

Sharepoint offers both on-premises and cloud-based options. Pricing structures are different depending on the chosen deployment options.

Select to learn more

Centralized Team File Sharing

SharePoint makes it easy to share documents and files across teams, offering centralized storage, real-time collaboration, and integration with Microsoft tools. You can control access, track versions, and share links both internally and externally, streamlining teamwork and reducing reliance on email attachments.

Customizable Departmental Intranet Spaces

SharePoint helps organizations manage employees and departments by allowing creation of tailored sites for teams, centralizing resources, and streamlining communication. Departments can organize content, share updates, and customize their workspace, improving efficiency and collaboration across the company.

Organized Document Collaboration Hub

SharePoint provides robust document management with version control, customizable organization, and easy access for multiple users. Teams can store, edit, and categorize files in one place, benefiting from real-time updates and integration with Microsoft 365 apps for streamlined workflows.

Limited Customization And Layout Control

Designing pages in SharePoint is restrictive, with limited options for customizing layouts, fonts, and embedded content. Users report cluttered pages, inconsistent formatting, and difficulty managing images or multimedia. The design tools can be technical and unintuitive, making rich content creation challenging.

Complex Permission Management Issues

Managing security and access in SharePoint can be confusing and time-consuming. Users often struggle with setting permissions, dealing with locked files, and configuring roles, especially when sharing with external users or handling large groups. Permission errors and inconsistent access controls are common pain points.

Outdated And Unintuitive Interface

SharePoint's user interface is often described as dated, clunky, and not user-friendly. New users face a steep learning curve, and navigation can be confusing. The interface lacks visual appeal and intuitiveness compared to other collaboration tools, making it harder to locate features and documents.

the experience is good, but my company gm. is actively getting away from this product, at least partially, of couse we still use it, but there are some real plans to reduce its usage.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

for the pros of sharepoint, there are many of course. it actually started the first paths of digitalization inside the companies, and it worked for many years. but know, as the AI es being deployed or force to be used or applicated, sharepoint sites are not good to connect masive data and easily convertible into data silos, which we try to avoid.

#### Cons

Sharepoint has been a clear anchor for the develpment of the processes, and sharing information for all companies I have worked for. But as the requirements of my job evolved and I was asked for more, and better solutions. It was hard to accomplish that just with share point, of couse sharepoint its just one piece of the entire ecosystem of microsoft. but even in combination with powerapps, there are goals are not achivavble or easy to achieve. for instance, if we want to have a common sharepoint with internal and external people, or suppliers that is very hard to be done. that is also in our company I guess, but I the end, there was no way I could deal with that in my own with sharepoint. that is the biggest limitation my company and my team found with it.

### Powerful Document Management and Collaboration Platform That Can Be Complex to Manage

Overall it’s a solid platform once it’s set up properly, works best if you’re already using Microsoft 365. Great for keeping documents organised and improving collaboration, but if it’s not managed well it can get messy and frustrating fairly quickly.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

SharePoint is good value if you’re already on Microsoft 365, gives you a central place to store, organise and share files without needing another system. It handles document management well with version control, permissions, structured libraries so everything stays in one place and easier to find once it’s set up right. It works well with Teams and OneDrive too, makes collaboration and sharing simple across users. Security is solid and having everything in one platform helps keep things controlled. It’s also flexible enough to build basic intranet pages or internal sites for communication.

#### Cons

Value drops a bit if you need extra support or time spent managing it. Support can be slow unless you’ve got the right plan. Employee access and permissions are powerful but easy to overcomplicate, can end up confusing who has access to what. The interface isn’t the most intuitive, takes time to get used to and can feel cluttered, especially for new users.

Our overall experience with Microsoft SharePoint has been very positive. It has become an essential collaboration platform where teams can securely share project files, reports, procedures, and other business documents in one centralized location. Having a single workspace for collaboration has improved communication, reduced duplicate files, and ensured everyone has access to the latest information. From an IT perspective, SharePoint has significantly improved teamwork, document sharing, and overall organizational productivity.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 5/5

#### Pros

Microsoft SharePoint provides a centralized platform for teams to collaborate, share documents, and manage project information. We use it extensively to store reports, maintain shared project files, and collaborate across departments. The integration with Microsoft 365 makes it easy for everyone to access current documents while improving teamwork and productivity.

#### Cons

The platform offers extensive features, which can make site organization and permissions somewhat challenging without proper planning. New users may also need some training to become familiar with navigating document libraries and team sites.

Overall SharePoint has been an excellent way of managing company documents. As the Internal Auditor at my comapny, I appreciate how easy it is to search for a specific policy and view it.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

My company uses SharePoint as the company intranet. It houses departments’ individual pages, including all policies, documents, and links to relevant websites and resources related to each department.

#### Cons

Sometimes it’s difficult to find the resources I’m looking for on the user interface, but that may be a result of how my company has organized the webpages, and not SharePoint itself.

### Good daily tool for team files, forms, and shared work

- Overall rating: 5/5

- Industry: Retail
- Company size: 51-200 employees
- Product usage: Used daily for more than 2 years

Overall, SharePoint has been very useful in both operations and IT-related work. I have used it heavily for shared files, forms, team sites, and business processes. It takes cleanup and structure, but it has been a very helpful tool.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

What I like most about SharePoint is that it gives us a practical place to manage shared work across different teams. We have used it for department sites, intake forms, calendars, image files, and business documents where multiple people need access.

#### Cons

What I like least is that SharePoint can get messy if nobody owns the structure. When there are too many sites, folders, and permission layers, users can get confused about where something should go or which file is the right one.

### Useful, but More Complicated Than It Should Be

- Overall rating: 4/5
- Reviewer: Misty K.
- Verified reviewer: Yes
- Industry: Non-Profit Organization Management
- Company size: 2-10 employees
- Product usage: Used daily for less than 2 years
- Reviewed: August 2026
- Review source details: This reviewer was invited by us to submit an honest review and offered a nominal incentive as a thank you.

My overall experience with Microsoft SharePoint has been okay, but not great. It is useful for storing and sharing documents, especially if your organization already uses Microsoft products. However, it can feel clunky, confusing, and more complicated than it needs to be. It gets the job done, but it is definitely not a platform I enjoy using.

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 4/5
- Customer support: 2/5
- Functionality: 3/5

#### Pros

What I like most about Microsoft SharePoint is having one central place to store and share documents with the team. It works well with other Microsoft apps and makes collaboration easier when everything is organized properly. That said, it is not always the most user-friendly platform, but it does the basic job.

#### Cons

What I like least about SharePoint is that it is not very user-friendly. Finding documents or figuring out where something was saved can feel more complicated than it should be. It works, but the layout and navigation can be confusing, especially when multiple people organize files differently. Sometimes it feels like you need a treasure map just to find one document.

#### Ratings breakdown

#### Pros

We have been able to customize SharePoint in a way that works well for our company. It makes it much easier to find and share information than the way we were managing document storage and sharing before.

#### Cons

Occasionally, someone has had access to something that they should not, which has been a bit problematic.

Positive but not ground breaking. It does what it needs to do but couldn't be used as a standalone capability.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 3/5
- Customer support: 4/5
- Functionality: 3/5

#### Pros

Really easy to configure and set up. The integration with teams channels is superb and makes organising data and files easy.

#### Cons

SharePoint is quite restrictive in functionality especially if you need customisation to extract maximum value.
