Overall, SmartVault is mostly the same for me, with the core tenet of file storage and transfer at the forefront. However, they seemed to have made organizational aspects a bit more muddy recently.

After the initial learning curve, it worked fine. It's a secure and efficient way to exchange and store client documents. The only reason why I didn't renew it is that the plan I was using was discontinued and I was put in a plan that had a minimum of 2 users. I was going to start paying 3 times more than the previous year's fee. They did some improvements but I didn't need those.

It is robust, well structured and secure.

I had a couple of glitches, I couldn't login in my account, and it was scary. I resolved it after a few days, trying many other things, including contacting customer support. I cleared the cache in my browser and I had access again. It was a steep learning curve for me. I was used to another client portal that had a modern look and this one looked a little outdated.

Citrix was not tailored to my practice and SmartVault had a "Tax Professional" portal. I couldn't figure out how to tailor Citrix for my needs.

I attended a seminar with well-know tax attorney. I've attended many of his CPE seminars and I decided to give it a try because that's what I have been looking for. I'm a one-man CPA practice, specializing in tax matters. I figure that this system could save me time and facilitate several functions with my clients, just as they advertised using the testimony of the attorney. The problem is the implementation of the software. The onboarding training for me was horrible. The coach assigned to me for 6 or 7 1-hour sessions of training was clueless. At times, he would spend the entire hour figuring out how to do things in the software and calling other people. They don't give you some kind of a user manual for quick reference. Instead, they have a knowledge-based library on their website to answer questions, but it's not organized in an intuitive manner. After I went through the entire 7 sessions, I was lost. I'm a CPA, but I've always loved computers. I built my own computers. I sought more assistance, but it was like a piecemeal approach and I had a list of significant issues that had not been resolved. That's when I had to reevaluate the value of having such software. I asked myself these couple of questions: Is the software really going to save me time in my practice? Are my clients going to be able to learn how to access their vault and be able to learn DocuSign and other features of the software? The answer to both was "NO." In order to make this software operational, each firm would have to have a person dedicated to handling the software and interacting with clients on a full-time basis. The cost is also a bit ridiculous because I only needed one license, but they make you buy two licenses. They lure new clients with their presentation, which is impressive, and use well-known tax professionals to advertise the software, but it is a big disappointment when you dive into it. I was able to achieve the same results by using the software I had been using for years to manage documents (Filecenter) and Google Workspace, at a fraction of the cost of SmartVault. Another problem they have is the amazing turnover of employees. I had to go through 2 or 3 people who were going to be my onboarding coach before finally ending up with the one that was clueless and a waste of time and money. I should have read some reviews about the software before getting into it. Also, when I called them to let them know I was not going to renew this software, they practically didn't care that much or even ask me what had happened.

The platform looks promising and the concept is great. The fact that you can have everything secured in the cloud and accessible from everywhere is attractive.

The onboarding training is extremely deficient. They don't provide a user guide that you could use for a quick reference. The onboarding person (coach) gives you about 6 or 7 1-hour sessions. The software can be a little bit difficult to navigate. You will have 3 icons on your desktop. At times, it's rather confusing which one to use. The settings could be quite hidden. Functionality is not as they advertise.

Even though I have had issues with the software and it does not meet all of my needs I likely would have renewed had they honored the agreement made when I signed up. You are required to have a minimum of 2 licenses and the agent I worked with was able to waive that requirement and I agreed to use the software as opposed to going with a different provider. They have now decided to unilaterally enforce the 2 licenses even though I was told my pricing would be locked in as long as I remained a customer. So due to the price, because it does not contain premium features, and the lack of integrity I would not recommend this software to anyone.

I like that the software does what it is supposed to (securely stores documents) but there aren't too many bells and whistles and a lot of it is very manual to do. I also like the DocuSign integration.

#### Cons

There are a lot of features missing and since they are now doubling the cost it is definitely not worth it. There is no way to securely request files from clients who do not have an account. They just barely added a document request feature which I will not be trying since I am not renewing. It is not intuitive to use for my clients and it does not integrate with my tax software. There is a feature to send tax organizers to all of your clients which would be useful if I could upload a template but that is not an option.

Overall, I have been very impressed by SmartVault. I was using Office 365 Business and was fed up that Sharepoint kept falling over for clients - I had set it up as groups to move documents around as I provide payroll services, but often I would get an email from the client saying not received or can't access. SmartVault integration has been very easy and clients have embraced - I think that for many it looks like IE tree set up for navigating makes it easier and that a desktop version is available for their use - a feature taken away by Microsoft - they feel they have greater control too. The current global pandemic has meant that the software has been a god send in maintaining client relations and service provision. I am pleased to have moved over and would recommend.

- Very user friendly and easy to navigate - Easy to set up and invite clients and give the appropriate access according to their status i.e. full for the company director down to folder or file specific - Easy to upload documents and great that it has a desktop version in addition to the online version. Clients like the Apple integration and the fact it works happily with MAC's as comfortably as non-MAC Windows PC's - Good support, though confusing when you get a US number for someone who lives in India to assist! - I'm a UK based company - Free set up and training assistance including full run through of the software - Unlimited Companies - Free access for clients - Templates for Accounts/Payroll etc save a lot of time for setting up year on year

SmartVault is well intentioned, but misses the mark. The program has the following issues: - Slow. The connected desktop takes painstakingly long to refresh when looking for client data. And when you sometimes have to cross-reference info, it can be very annoying. - Expensive. When we first purchased smartvault, we went with the basic plan. 2 years later they discontinued the plan, and we were forced to spend 1.5x as much for widgets and features that we still don't use. Since we had JUST moved all our clients to that portal it seemed like it'd be a mistake to have to move them to another program immediately. It almost felt like extortion. - Although we've been using smartvault only for about 5 years, they've already changed the layout and look for the online portal several times. I see something completely different than certain coworkers and clients. It's almost as if they only got halfway with this cosmetic transition, then got distracted by other things like a neurotic puppy. - Their support is hit or miss. However, when it's a miss, its a dangerous miss. We had an issue where we couldn't access a clients file. Tech supports solution? Delete everything in the file. They didn't ask before they did this. This included efile forms and copies of returns, now making us non-compliant with the IRS. For an accounting tool, this is a big deal. - Constant glitches. I keep local copies of excel files because I do not trust SmartVault to keep live files safe. Which completely defeats the purpose of a program like this. There are a myriad of other issues. There are positive things about smartvault, but none of which justify the price. If they made a desktop, non-portal version of the program that simply integrates with Lacerte like DMS use to do it'd be much better. But then they couldn't gouge you for all your worth every year on a subscription model, so they wont do that.

The software is only document storage and not the best one. It is supposed to integrate with Intuit tax software (Prosystems, etc.), but if you use something different (I am on CCH), you are out of luck. Customer service is horrible and not worth the time you spend contacting them. Please read my Cons section for more impressions.

They promise many good features, but only a few of them actually work.

#### Cons

I was originally on the tax-pro subscription for $360/year for several years. They canceled the tax-pro plans and charged my credit card $112 just for the month of November. It is almost four times the price and not something I would pay for this software. The change of plan was not communicated clearly, the specific date of change was not communicated at all, and now customer service tells me that refunds are outside of their policy even though I cancelled SmartVault immediately. There are more cons than pros to this software. My customers were receiving upload notifications after a three-week delay, which created a lot of confusion. The software was not intuitive to the customers. Individual files had to be made accessible to them even when uploaded to an already accessible folder, which was a complete waste of time and another source of frustration. Sometime last year, SmartVault had a hiccup and resorted our filing system, e.g., files from 2017 folders were randomly moved to different folders, etc. DocuSign integration worked in about 30% of the time; in most cases, I would get a file error and go directly to the DocuSign website, which defeats the purpose of this integration. I had contacted customer service for each of these issues and received no help. They now require a minimum two licenses regardless of whether you are a single-member firm.

We are operating a paperless office and everything in the cloud, this is eco friendly as paper waste is minimal. Also all data is securely stored in a cloud so we do not have to worry about backups .

Possibly the most seamless cloud-based solution for accountants. There are a few ways to work with SmartVault depending on your circumstances, these are the portal itself, Connected Desktop and SmartVault Drive. All can be used from your main PC. SmartVault Portal You can use the portal in a web browser, this is fantastic if you are on the move and away from your usual machine when you need to access documents and all you need is an internet connection. Connected Desktop This would be used from your PC, this is where you can do tasks such as sending password protected documents, links to documents, or get documents signed by clients. SmartVault Drive This is simply a mapped drive from the cloud to your PC, it is so simple to use, where you can access files drag and drop documents in seconds. One of the most important pros is the use of 2 Factor Authentication as this does hold client records and data.

#### Cons

Only con I have found, when getting documents signed by DocuSign using SmartVault, if you select one document to sign, then drag and drop other documents, only the original selected documents get updated in SmartVault, and then you have to update the signed documents manually via drag and drop.

#### Reasons for switching to SmartVault

eFileCabinet kept on corrupting files when they were checked out. I use another accountancy practice package called TaxCalc which is compatible with SmartVault and that's the main reason why we moved over.

I haven't used other portals, but researched several and think that Smartvault is likely the best standalone portal for Lacerte/ProSeries users. Overall a great experience and can't imagine life before Smartvault.

We started using Smartvault for our small firm four years ago. It has been great at helping us move to a more paperless environment. The best feature is the tight integration with Lacerte (it also integrates with ProSeries). If you print returns from Lacerte you can choose Smartvault and the returns go straight to the correct folders so you can save a copy and the clients have a copy. There's also good integration with scanners. The connected desktop app is great to use. The client facing portal was previously clunky but much improved this year. The software is quite easy to use and relatively affordable. When we've had issues support is helpful at resolving.

#### Cons

I wish there was a way to make a request from a client for a specific document like more modern practice software has. Wish accounting folder templates were included in the "tax plan" at the same price...doesn't seem like that feature should cost extra. This year we decided to add workflow management and I looked at competitors like TaxDome/Canopy which offer a lot in one but in the end have added Karbon through IPM. I must say however that TaxDome seems to offer a ton at a much better value than Smartvault. Would love to see Smartvault get to that point and would gladly pay more to include other features. E-signatures are just ok, we got a trial to use some free this year but without KBA. The price for the e-signatures especially with KBA is too high and we're going to use Intuit's e-signature product going forward.

Inability to access any Microsoft Documents - Word or Excel.Since May 2023 (over 2 months), I have been contacting customer service as well as my rep, [sensitive content hidden], begging them to help us with this problem. The software does not allow us to retrieve or save any Excel or Word documents to SV. This is a massive problem for my firm and our record keeping services.

I use this software on a daily basis since all our documents are stored on it. Thus, I am constantly "checking out" and "checking in XL and PDFs. Once I am done working on something I just save it, close it, and ot automatically is updated and checked back in to the software storage.

#### Cons

The one thing that would be nice to have (which I was able to do with our prior software filing system) is to be able to "check out" a document in a "view only" manner. Technically, of someone else has already checked out a document and you subsequently check out the same one, this is what happens to your version, but if you want to do this with an unchecked out file, you cannot. This would be helpful for cases that you know you do not want to have any changes made to a file but still want to view it. It would allow a peace of mind knowing that you are not going to accidently change anything.

Overall, SmartVault serves its purpose with our organization, for sharing bank documents with our accountant and providing employee benefit enrollment documents to the correct managers while protecting sensitive information such as social security numbers and health records. We would use it for all accounting document sending, including scanned invoice transfer, if the site were more up to date and easy to use. As it is, it is far easier to drag and drop scans into our email provider than into SmartVault. It is useful for its intended functions but design and UX prevent it from being a mainstay of our entire accounting process.

Secure file sending, Protecting sensitive bank and employee data, secure storage location with trusted provider, access for all necessary admins, two-factor authentication for sign in.

#### Cons

Drag and drop uploads are not intuitive. Requires several clicks to reach location to upload. Add button at top is not an upload feature but pins folders to taskbar. Design of home portal is outdated/not intuitive to use. Two factor authentication not required on each sign in/uses email only rather than options for text code.

Very convenient and safe for clients

#### Pros

The software is so easy to upload to and from. Clients access their folders with ease and we get email notifications hourly if there are uploads. It puts clients at ease that their documents are in a secure home. We've used SmartVault for a few years, but with the pandemic it was imperative to have since no one was dropping off and mailing in documents with everyone being remote.

#### Cons

It's pretty tedious to go in and set up new folders and restrictions/allowances for clients.

We used them for few years and always had below average customer support. We ended up trying to cancel them today after only a month into our new billing period and they refused to refund our payment for the remaining 11 months. They basically said they do not care how much time we have left, they are not prorating. Really?!!! They are charging us for 11 months of services that they are not going to provide. It's a horrible company that rips their clients off! Stay away from them. There are much better providers out there.

Overall, SmartVault is positive with my business, but I would REALLY like that feature that I mentioned in the box about what I like least about SmartVault

Ease for me and my clients to upload documents and to read uploaded documents. It is fantastic. I also love that there is a limited DocuSign feature to where I don't have to pay the full price for full DocuSign subscription. Plus, I believe that having a secure portal on my website is a positive thing that could help attract new clients

Overall, I do like SmartVault, but I wish there is a setting where I could get notified (perhaps via email) that a client uploaded a document. Otherwise, I just have to check every once in a while. I'm very busy so it is tedious to check to see if something is there, whereas if I got an email notification, I'd know that a document was uploaded

I had previous experience with SmartVault from another accounting colleague. His stated view about SmartVault in the past to me helped determine what secure portal I eventually used on my website

I love being able to download multiple documents at one time.

#### Cons

I haven't been able to find a direct link to resend an activation email. For instance when you set a guest user they receive an email to activate and create a password. A lot of times, guests lose the email and need do not activate it right away. We then have to delete the guest user and recreate, instead of just sending a new link.

I have been very satisfied with smart vault. It allows us to organize, archive, & share documents securely for a large amount of client files. You can access docs easily while out at a client or while working from home.

Integration was a little tough until we got the hang of it.

The best thing I like about this software is the storage capacity and pace available. It is very convenient and easy to use.

#### Cons

Since I do not have the admin access I cannot delete a file I accidentally uploaded to SmartVault and have to request my manager to do the same. Have to sometimes mostly refresh the folder once the document has been uploaded.
