Great tools for managing labor. One of the only companies that I know of that is integrated with Aloha.

Cons

I feel that the price is a little bit too much for what we use it for. I find myself overwhelmed at times with the functions.

This was a great system to work with and it is highly recommended for anyone who is just looking for a basic scheduling system. I honestly didn't have any issues with this system. Once it went down and we all needed new passwords.

Pros

This scheduling system is so quick and easy to use. from logging in, to requests and switching shifts. It also has the great email and text features that ensure everyone gets the reminders needed. I loved this system!

Using hotschedules really helps restaurant employees easily access their schedules.

Pros

As a server you can easily pick up an available shift that someone else can't work, and also release/post a shift that you cannot work in order for someone else to grab it.

Cons

Sometimes it is difficult knowing where to go in order to find out certain information, such as if somone sends out a message for all employees to see, but for some reason I won't be able to locate where to see the message.

What I enjoy about hot schedules is two fold. One as a training manager I can easily set this up with the schoox LMS. So any new employee added to hot schedules automatically gets assigned their courses within schoox. This makes it easier for restaurant managers to train their staff without any support from training furthermore, it allows them to personally control their schedules without needing to worry about how training/restaurant will communicate with one another.

Outside of the learning component, hot schedules are easy to use and it offers a color coded scheduler designed to easily help you manager your daily or weekly schedules.

Pros

ease to use
almost functions like an HRMS

Cons

has a steep learning curve

Advice to Others

HotSchedules will change the culture of your restaurant, it really is one of the best software programs I've ever used. Employees can make requests to work or take off, release, swap, or pick up shifts, and send messages. The app is very easy to use and for anyone who doesn't have a smartphone the website is great or a manager can quickly print anyone's schedule. Everything is super customizable for manager's writing the schedule and for employees. Invest in this program, it's great.

Cons

It's slow and lags
Cannot copy a schedule from one week to the next
Cannot attach a file to messages

Hotschedules in Miami Beach!

Value for Money

We implemented hot schedules about 1 year ago into our restaurant group. We have 3 outlets in Miami Beach and really needed a scheduling solution. Hot schedules is great, as it syncs with multiple operating systems and is very user-friendly for both management and staff.

Pros

My favorite feature is the vacation request and availability block option. We have a lot of students who work for us whose schedule we need to work around. This option makes scheduling around these constraints easy. Their platform is basic which leads to functionality and usefulness.

Cons

The only con is that they have not yet built out an HR system. Synching hot schedules with these platforms can be annoying, I hope they develop solutions for this soon!

Advice to Others

I would advise to strongly consider HS. My only advice would be to see if it could sync with your other current platforms so you can get maximum usability!

Cons

-Cost is a little high, but you really do get what you pay for.

Advice to Others

Value for Money

I have used this product as both an employer and employee. I work in the food service industry and I can't tell you how time-consuming scheduling can be. Hotschedules allows my employees to request time off, swap shifts, release shifts, and receive mandatory messages all online or from their phones. This saves everyone time and cuts out the possibility of requests being forgotten.

Pros

As an employee, it's great to have my schedule sent to me weekly on my phone. If I am out of town, I don't need to
Make any extra stops or phone calls to find out when I am working next. I can also request time off online months in advance and my employer can approve it- making reservations and guaranteed time off more convenient.

Cons

to download the app for your phone it costs a small sum of money and some people don't like that. However, this really isn't an issue because you can still access the schedule from anywhere online-so it really isn't a con at all.

HotSchedules Review

Ease-of-use

Customer Support

I think HotSchedules is great. In high school, I worked for an independent, family owned restaurant where scheduling was a complete nightmare. We had one physical copy that was frequently not posted until the DAY before the period started, making frustrating for employees to not only show up for their allotted shifts but anticipate scheduled time off and conflicts. This made the work environment extremely difficult and this was reflected in our service and customer satisfaction. Having HotSchedules at the restaurant in which I work now is a complete game-changer. I can see when I need to work, who I work with, and who needs shifts picked up AT LEAST a week in advance, and I can make the most out of my work experience. It is amazing that I don't have to check a physical schedule once -- I just log in from wherever I am!

Pros

I love the ability for Shift Releases and Pick Ups to happen with no hassle; the manager sees when two employees have agreed to switch and then can approve it. Both servers are then notified via text if they so choose and on the software website itself.

Advice to Others

USE IT!

I have been using Hotschedules at my place of work for almost 2 years now. It has helped organize myself and the staff very nicely. Everyone enjoys it especially the staff since that is their major form of communication and with a staff of over 50, it certainly helps!

Pros

easy template, posting is super easy now with the new system.

Cons

Placing shifts as 'house shifts' at the bottom is a little confusing. It goes to the left so you're never sure which day it is meant for. They should just line up under the days of the week.

Value for Money

We have been slowly implementing Hotschedules to our staff over the past two weeks. In learning the back end ( as managers), posting our first schedule(S), and overall use , we have not had many problems. We are really excited about the management logbook and have not even had the chance to delve into the features yet but in quick snippet videos, it seems to have everything we need to stay in close communication with each other and "organized" which is essential. We are also very excited to dive into the analytics that are offered in costs, forecasts, etc.

Pros

Easy to use APP on iPhone and Android!
Multiple back end features
Managers Logbook!
Great REPORTING capabilities!

Cons

Setting up the templates per schedule took a little more time that I would have liked, however the ease of use after the templates were made to copy and paste schedules is pretty great.
A bit pricier than we would have liked to have spent, however I do believe in the long run we will be saving money overall.

My company (national restaurant chain) switched from an old homemade Excel schedule system to HotSchedules. What a difference it made! We were able to adjust schedules on the fly - which is a huge time saver in the restaurant industry. No more signing off on approvals since a manager could instantly approve changes after reviewing overtime hours. It also has built in analytics to calculate labor costs and efficiently determine where to spend labor dollars.

Pros

Ease of use, web and mobile app interfaces, updated frequently

Cons

Not enough customization on layouts

Advice to Others

I would highly recommend this product for restaurant and hospitality companies.

Pros

Ability to not only schedule/message in-house full time staff, but keep a running log of single event staffing as well. As a catering company you have many bodies you must manage, especially when an individual only works one event for you and that's it. With HotSchedules we're able to tabulate this into our weekly labor costs and it gives the functionality to forecast.

Cons

It's sometimes very complicated to use. You don't always know where to go for what you need and the customer service can be a little tricky to navigate- you don't always hear back from them or they're tough to reach. That being said when you do get a human- they're very knowledgeable and can help you out 100%.

Pros

A couple things that I really enjoy about HotSchedules is the reporting and future forecasting functions. You can also teach HotSchedules how to auto-schedule based off of those patterns from previously scheduled weeks. It is pretty user-friendly and when you launch for the first time - you have plenty of help. They give you a contact to assist you and provide plenty of step-by-step tutorials for all of the included functions of the software. They also give you styling options for how you would like to view and edit the schedules. The reporting data is quickly accessible and can be pulled from a large range of dates (this helps with payroll verification).

Cons

HotSchedules, at times, can be a little buggy. There have been instances where I have completed a full schedule and upon saving my data, it would revert to the previous schedule before the changes had been added. This can be a tad frustrating when trying to crank out schedules quickly.

Lack of some features that would take it to the next level for me. An example would be the lack of integration on the Event module. I can't add events to a roster report for the day. This would seem to be an easy fix and something that would help a great deal.

Pros

The accessibility was it is biggest pro. Being able to login to this application from anywhere and pickup or release shifts was great. I also loved that once a schedule was released, I would get a text notification of my upcoming shifts and the app also showed when my alcohol certification would expire.

Cons

There were no cons to this app. I really think this app is very beneficial to have. The only thing that I would change is for the app to document the clock in and out times.

Easy to use scheduling

Pros

Easy to schedule based on availability and staffing needs. It's nice to have a consolidated roster report for every position. I also like that you can sync it with the POS system to control labor.

Cons

New scheduling module makes it difficult to see how many people are on a certain schedule for each specific day. Also, having two request off options is confusing and sometimes makes it difficult for the MOD to control when people can and cannot request off
