Paychex Flex is a modular, web-based human capital management solution designed to meet the needs of employers of any size and industry. With a single login, users can access recruiting and applicant tracking (ATS), onboarding, HRIS, benefits administration, time and attendance, payroll, retirement, and more.

Built on a central platform, using a single data profile for each employee, Paychex Flex tracks information in real-time and across the customizable applications.

Some of the major software functions include applicant screening, electronic onboarding, job and labor costing, garnishment payments, drag-and-drop visual scheduling and automatic compliance testing.

Paychex offers multi-tiered options for customer service, which allows companies to choose from a variety of options to best fit their size and complexity.

The accompanying Paychex mobile app is free and allows employers and employees alike to access information such as check stubs, tax documents and employee profiles on the go.

While we haven't yet begun with the Flex version of the software, we have been very disappointed with the overall customer service provided.

Pros

The software provides for very minimal downtime. Reports are easy to set-up and run automatically without errors.

Cons

By far the best pay system I have used in 15 years of using payroll software. I have even called from my personal phone from home to handle an issue and they took care of it by asking alternate info to ensure they logged into my payroll account.

Pros

This product has the best customer service as well as ease of use. Everything is right on our dashboard to the total of payroll and withdrawal including tax. For a small business this easy access is super important. Any questions? Their support team is very efficient and on top of things to ensure all questions or issues are handled immediately and effectively.

I do like how the website is laid out and how easy it is to run reports, set up new employees, and enter in payroll. In general the reps are helpful and you dont always have to talk to just your assigned rep to get answers.

Cons

When there is a tax problem, the only person you can talk to is your rep, who general doesn't know anything about taxes and can only pass the question onto the tax department. Once you ask the question, it can a few weeks before you even hear back from someone about the status of your questions. It gets put into a queue and you are not told if or when it will get answered. This is very frustrating when it comes to time sensitive tax issues.

Once I was assigned a new support person to work with, things flowed more smoothly. Paychex meets our needs with 100-120 employees.

Pros

Ease of use and my assigned support team. The system is setup to allow me to make changes in Payroll, with changes automatically updating on the HR side.

Cons

The original support person I was working with!! Also, the ACA setup/maintenance costs are unfortunate. Tracking ACA on my own - cannot justify spending the money.

Overall, I have been very pleased with Paychex as a company and their online platform, Paychex Flex.  I have the peace of mind that our payroll is in capable hands. 

Pros

It is easy to use and it gives me a peace of mind that our company's payroll is in capable hands. Their customer service is great. Each customer has a dedicated payroll specialist, so every time I have a question I am talking to the same person. Our payroll specialist has always been very helpful any time I have had weird situations or questions.

Paychex withholds all the appropriate taxes for both the employee and employer and then files them when the appropriate government entities. Our business is located Ohio, which has a complex tax structure including both state and local taxes. Paychex has saved me so much time and stress.

Cons

I wish that Paychex Flex tracked pay increases. That is the only thing that I liked better about our previous payroll provider. Our previous payroll provider had a tab that showed an employee's salary history and the date of each raise. Paychex Flex does not have this, so I have to track it separately.

I wish they had a more intuitive reporting function. The standard payroll reports are laid out very well and are very easy to run, but if I need to run a report that it out of the ordinary, I usually end up calling my payroll specialist because I can't find the report. To be fair, the couple of times this has happened I have been looking for a report having to do with workers comp and since workers comp is run by a government entity in Ohio it has some added complexities.

Most of the steps are located on the dashboard - overview of the information is easy. Data Entry is easier than Paychex review.

Cons

You have to finish one task before moving forward with the next. Checking information between two portals has to be completed before any updates can be made. I understand the feature, but if it would be possible to log in to two at the same time having on separate screens would improve the data updates a lot. Understand the safety of being able to log in to the same profile twice can be challenging.

I totally love having Paychex on my team.

Pros

I love that my payroll is done every pay period by someone other than me. I don't have to take time away from my business to attend to it. The way we are set up, everything is automatic and I don't have to remember to do anything. Just as important is that Paychex maintains our payroll records and files all the government forms and returns. They handle paying the taxes. My experience has been 100% positive. I know Paychex takes care of things on time and correctly.

Cons

The biggest problem I have had with Paychex is in trying to learn how to use it and in accessing reports. I am not a technology-oriented person and I struggle to make my way through the training videos.

Payroll reports for my clients are at my fingertips!

Pros

Paychex FLEX is easy to navigate, fast at loading reports and pages, and gives you access to what you need. As an accountant it is vital for me to be able to have access to the reports and items I need to get accounting and taxes done without having to jump through hoops to get that information. Many payroll firms make this task frustrating and time consuming. With Paychex FLEX I have one log in for all of my clients and can easily navigate to the company and reports that I need every month or at year-end within a few minutes (including the login process).

Cons

One thing I don't like is that the default view for reports is set to the last 90 days. Many times, especially dealing with tax forms, I need reports that were created more than 90 days ago. Also, since the newest reports go to the top of the list you already have the most recent reports at the top. Why not default to the past year and then just let me filter down to a smaller group of reports if that's what I want?

Other than that small gripe, they have done a lot to improve their FLEX format. When it was first released everyone hated it but it has finally been improved to the point that it is extremely usable. The problem is that it seems like every time they get things just right they move to a new platform and "upgrade" their systems. I understand that this might be a necessary evil but it sure does cause a lot of growing pains for the end-user.

Easy, consistent payroll service. Inter-department communication could use some work.

Pros

Payroll specialists are very good and on top of their game. Easy to use from anywhere, never down, easy to get reports any time, easy to add in deductions or bonuses, customizable in general.

Cons

If I make a mistake, then go back to fix it, for some reason twice now it would not take my edits and I had to call to fix it, really annoying, I hadn't submitted yet.
Tax questions/DOL questions - you have to wait until they get back to you, no way to know when they will, who is working on it, etc.
Every change needs to have an accompanying form sent in. Very annoying, So if I change it, I have to fill out a form, print it, sign it, scan it back and send it, for every little change. Change an address, form, change a rate of pay, form, change a bank account, form, someone leaves for 6 weeks medical, form out and form back - you get the drift.

Running payroll with Paychex software was fairly straightforward. It was a breath of fresh air after using ADP software.

Cons

When we transitioned, there was not a lot of printed support material or tutorials. We really needed a live person to walk us through everything, and other live people available to answer our questions. This has probably changed by now.

I love the ability to access my paychecks remotely as well as change my deductions at my convenience.

Pros

The ability to use the system from my smart phone is amazing. Just before I left for vacation I changed my deduction, unfortunately due to user error I had them deduct too much money from my pay check leaving me with a lot less than I expected. In a different environment I would have had to wait until I returned home the change the setting and therefore leaving my next paycheck with the same deduction. With the app I was able to adjust the deduction properly and my next check was the amount I was expecting.

Cons

The feature to submit you time off is missing an important function. It does not give the user the ability to see what has been requested until the request has been approved. It's very inconvenient for someone who's manager isn't monitoring the queue on a daily basis to approve their requests.

Requesting PTO logic needs to be revised. You can't see pending time off or anything approved until that time has passed. If you could see a pending list of time off it would be helpful. Not enough information is displayed at once, there are too many sub menus users have to go to to find the correct page. Need the ability to run ad hoc 401k statements and see old ones too.

Pros

The easy-to-use & customer support are fantastic. Just a call & they would get it done very fast. The tool is light & fast to use.

Cons

Still need some improvement with functionality. They should sort out the Flash plug-in issues & alot of mobile platforms wont support it.

No more issues with payroll everything runs smooth now.

Pros

I personally like how quickly you can enter everything in along with checking all employees hours ( especially when you have a lot to go through). They also are good at reminding you to put it through or let you know to get it in earlier if there is a holiday.

Cons

We have a different schedule then most companies and its hard to integrate that in with Paychex so we do it separately. Other then that I have no cons.

The ease of running payroll.

Pros

Payroll is easy to use. There isn't a whole lot to do once it's set up. The reports are easy to run and some you can customize.

Cons

It changes a lot and sometimes information that you entered changes or disappears altogether. Sometimes taxes for employees in another state are removed or added without me even logging into Paychex.

My company uses this for the timesheets. It is very easy to track how many PTO hours I have and what days have been approved.

Cons

I don't like that I cannot copy last week's timesheet over to this week. Would save so much time if I could.
