Paychex Flex is a modular, web-based human capital management solution designed to meet the needs of employers of any size and industry. With a single login, users can access recruiting and applicant tracking (ATS), onboarding, HRIS, benefits administration, time and attendance, payroll, retirement, and more.

Built on a central platform, using a single data profile for each employee, Paychex Flex tracks information in real-time and across the customizable applications.

Some of the major software functions include applicant screening, electronic onboarding, job and labor costing, garnishment payments, drag-and-drop visual scheduling and automatic compliance testing.

Paychex offers multi-tiered options for customer service, which allows companies to choose from a variety of options to best fit their size and complexity.

The accompanying Paychex mobile app is free and allows employers and employees alike to access information such as check stubs, tax documents and employee profiles on the go.

Simple payroll software

Customer service is not at its best either. You'll be transferred from one to another......BUT, if you are able to reach out, they are nice and professional.

Pros

It has great reports and preview of your payroll. You don't have to deal with codes in special characters for earning and deduction codes.

Cons

If you are a public company that needs to handle stock transactions, this software is not for you. It is unable to calculate payroll for employees who are in 2 or more tax jurisdictions. Also, you will always need the assistance of your rep to change features, like turning on/off taxes and moving/charging wages to special states......
I would recommend this to a start-up company though instead of using a PEO. It has more control of your earnings and deductions and reports.

Overall, Paychex is a good system to use. The reports are awesome, time and attendance is easy to use, and I like the overall intuitive feel of it.

Pros

I like all the reporting options. I can generate any type of report that I need. Also, payroll is super easy to use. The payroll matrix is simple and convenient.

Cons

I wish Paychex had "effective dating." When making pay changes to employee's, I have to have make the change after I process payroll in order for changes to reflect in the correct pay period.

There are features which I don't use but it would be nice to know and be more informed of the use of these features.

Pros

It is very secure with not only a password but also a number to log in and if I use a different device or computer, it will ask for further security, with additional information requested and either e-mailed or a phone call verification number.

Cons

When entering payroll there are so many columns I have no idea what they are for and it seems confusing when I want to give an employee a bonus as a number of hours or an actual dollar amount. And it's not clear when posting vacation, sick, or PTO hours.

This system may be ok for smaller companies, but not for larger companies with employees in many states.

Pros

Fairly easy to use on the Payroll side
Employees seem to like the ease of finding w2 and pay stubs.

Cons

The customer service is very slow and not very knowledgeable.
The reporting is severely minimal and clunky.
The ability of the payroll admin to make changes and update is limited, causing you to have to contact the aforementioned inadequate customer service.

Staff members at Paychex switch all the time, and you never know who you will get on the 1-800 number. My advice is when you find someone good, ask for their direct email or phone so you can have a back door to get problems resolved.

Pros

time tracking is seamless for payroll purposes
strong control over IP addresses for mobile app is awesome
remote offices link and easy to control the whole team
zero % errors with timesheets since we switched from a manual system

Cons

can't get good reports that are standardly used in business apps- like Paid Time Off balances based on anniversary
PTO balances are not live, they only update after a payroll run, so its confusing for staff
notes section in the People tab for Time Off adjustments; no way to get a report on those changes, even though there is a huge Notes: section to use.
401K portal for enrolees is fine, for admin it is lame, no automated notices go to eligible staff.

The software provides for very minimal downtime. Reports are easy to set-up and run automatically without errors.

When inputting payroll data the layout goes to web basic and you lose your setup. Shouldn't it stay at the layout that you want. Also, if you had to do a manual check, it would be nice if the program automatically added another new line for the person.

Pros

We switched from ADP to Paychex recently and the move has cut our payroll processing time in half. It also saved us money. Their interface is intuitive and easy to use, the customer service is great. It's been a life saver.

Cons

You can't make changes or save anything if someone else is in the Paychex Flex program. That can be frustrating if multiple people access it at one time.

Pros

Extremely easy to use. Offers a variety of reports. Our company was able to go paperless with Paychex by allowing our employees to view their paystubs and tax forms on the phone app. If you call the customer service main line, you can usually get through to someone quickly. If your Account Rep is not available, you can get general assistance from another Customer Service Rep.

Cons

I can't think of anything I would change about the software itself, but we are not happy with our assigned Account Rep with Paychex. There have been multiple errors to that could have been avoided if she had more attention to detail.

Payroll reports for my clients are at my fingertips!

Pros

Paychex FLEX is easy to navigate, fast at loading reports and pages, and gives you access to what you need. As an accountant it is vital for me to be able to have access to the reports and items I need to get accounting and taxes done without having to jump through hoops to get that information. Many payroll firms make this task frustrating and time consuming. With Paychex FLEX I have one log in for all of my clients and can easily navigate to the company and reports that I need every month or at year-end within a few minutes (including the login process).

Cons

One thing I don't like is that the default view for reports is set to the last 90 days. Many times, especially dealing with tax forms, I need reports that were created more than 90 days ago. Also, since the newest reports go to the top of the list you already have the most recent reports at the top. Why not default to the past year and then just let me filter down to a smaller group of reports if that's what I want?

Other than that small gripe, they have done a lot to improve their FLEX format. When it was first released everyone hated it but it has finally been improved to the point that it is extremely usable. The problem is that it seems like every time they get things just right they move to a new platform and "upgrade" their systems. I understand that this might be a necessary evil but it sure does cause a lot of growing pains for the end-user.

Easy, consistent payroll service. Inter-department communication could use some work.

Pros

Payroll specialists are very good and on top of their game. Easy to use from anywhere, never down, easy to get reports any time, easy to add in deductions or bonuses, customizable in general.

Cons

If I make a mistake, then go back to fix it, for some reason twice now it would not take my edits and I had to call to fix it, really annoying, I hadn't submitted yet.
Tax questions/DOL questions - you have to wait until they get back to you, no way to know when they will, who is working on it, etc.
Every change needs to have an accompanying form sent in. Very annoying, So if I change it, I have to fill out a form, print it, sign it, scan it back and send it, for every little change. Change an address, form, change a rate of pay, form, change a bank account, form, someone leaves for 6 weeks medical, form out and form back - you get the drift.

Ease in computing hours and time off for employees and good at keeping records of sicktime vacation etx.

Pros

Straightforward product. Easy to log in and off. Easy ability to see information quickly and to make changes as needed.

Cons

Too clunky moving between screens and tasks. I find myself having to go back and forth between tasks and the software is not as intuitive as I would like. Furthermore, it should be easier to make changes to staffing hours and time off.

Great payroll software where all regulatory filings are made on your behalf.

Pros

Customer service is exceptional. Dedicated individuals who are extremely knowledgeable and never make you feel that you are bothering them when you have a question or need help.

Cons

It took some time to understand all the ins and outs of using the various modules, but, very doable especially with the great customer service.
