Paychex Flex software


Paychex Flex is a modular, web-based human capital management solution designed to meet the needs of employers of any size and industry. With a single login, users can access recruiting and applicant tracking (ATS), onboarding, HRIS, benefits administration, time and attendance, payroll, retirement, and more.

Built on a central platform, using a single data profile for each employee, Paychex Flex tracks information in real-time and across the customizable applications.

Some of the major software functions include applicant screening, electronic onboarding, job and labor costing, garnishment payments, drag-and-drop visual scheduling and automatic compliance testing.

Paychex offers multi-tiered options for customer service, which allows companies to choose from a variety of options to best fit their size and complexity.

The accompanying Paychex mobile app is free and allows employers and employees alike to access information such as check stubs, tax documents and employee profiles on the go.

    I like that the software is all online and anyone can access the program from anywhere. Access makes the program flexible.

    Cons

    I don't like that the program isn't always easy to use and talking to customer service can be a little tricky sometimes. Everything always eventually gets adjusted how you would like though.

    It was big mistake switching to Paychex

    No benefits, just troubles, especially because of Paychex customer service with either lack of the software knowledge or being very poorly managed. Or probably both.

    Pros

    Sales people have been very efficient and set high expectations, so being not really happy with ADP I decided to switch, what a mistake! There is no 1 point of contact there, my first dedicated payroll specialist would not even reply to my email, the second replies promptly but only with answers like "for this question call this number, and for that question call different number", so payroll specialist acts like an operator. Sales people did not finish setting up my account and did not sign me up for paying any state taxes. I learned it only when start getting state notices and penalties. After that (July!!!) the account finally was set up. I was assured Paychex would pay all the penalties and will write all responses to IRS. Shortly after that I receive a letter from another Paychex person stating: '''''......Based on our findings, our records indicate that your company did not request set up for MA State Withholding on the Paychex Taxpay Service until 4/10/2018. As a result, the return and tax payment were not filed by Paychex for the missing tax period. Based on our current resources, this does not appear to be the result of a Paychex error. "

    General ledger uploaded to Quickbooks does not match bank transactions. For QB users big problem. Paychex Customer Service unable to fix.

    Super powerful software, Paychex can handle just about any payroll situation out there. The learning curve is quick, and it's super reliable. Their bolt on services such as taxpay and direct deposit are essential.

    Cons

    The interface is less than ideal, it's rather slow and clunky. Also, Paychex doesn't integrate or play nicely at all with other modern HR software. For what it is, it's very expensive.

    Good for smaller sized companies

    Good processor for companies with under 1000 employees with simple payroll rules. Customer service was one of their strong points.

    Pros

    The features are easy enough to use with an intuitive design. The payroll processing was super fast with them with delivery typically the next day.

    Cons

    Their system is not one database. Things need to update from new hire to payroll to benefits. If you use them as your benefits broker, the information was never correct in what was given to the vendors.

    Paychex flex is very user friendly and offers flexibility base on each company. I really like how there are a variety of reports that we can refer to whenever we need to find information.

    Cons

    They don't have a simple way to do wages which is required by the federal government on HUD projects.

    A central, web-based location for employees to see payroll history and access W-2's. Easy to setup an account and being using right away.

    Cons

    Many Paychex sign-in options can make the login confusing. More features would be nice...like access to W-4 information or a complete list of deductions/withholdings.

    It's fairly easy to use; making changes occurs online, but there is still a bit of back of house that has to happen for HR. It is easy to change the distribution percentage and the allocation.

    Cons

    I wish there were more sophisticated analytics for the funds available. You can see some of the basic prospectus information, but more fine grain fund performance over time or research would really be good.

    We process payroll with this software but I don't recommend it.

    Pros

    It's relatively easy to figure out yourself, which you have to do because when you call with questions, they often point you to the self service training videos.

    Cons

    There are functions of this software that are buggy and unreliable. On top of that, the customer service is very hit or miss. Sometimes you get somebody great, who cares and takes care of the issue. Most of the time you get somebody who doesn't know the answer, doesn't care to find the answer, and will just shuffle you to a different department who also doesn't know the answer. Very frustrating.

    The dashboard is user friendly and easy to use. They offer quite a few services and a one in all package at a steep price.

    Cons

    Poor customer service-we went through 9 payrolls reps in half a year. No continuity and it really messed up our payroll by the year end over simple errors that should of never happened. On one of year end bonus checks, they messed up the date and it took three times to run the payroll and it took calling to higher ups to get the issue resolved. They are overpriced!

    Paychex Flex is useful for any size organization. If your company utilizes a 401k, the process is of setting this up is seamless. Flex plans, etc. are also very easy using Paychex Flex.

    Pros

    Customer service is very good during implementation. The Paychex representatives assist new users along the way, and provide many ways to train. The have live training, and other training modules Payroll Administrators have access to.

    Cons

    Once your company has launched with their system, customer service is a bit challenging. This can become a bit stressful If you have payroll emergencies.

    In my long search to find a good time management software, this one is pretty high on the list. It looks good and saves me a lot of time.

    The price could always be lower, but I find it to be affordable for now. That's really the only downside because it functions really well.

    This product works fine for day-to-day activities but has failed to meet some basic requirements when anything out of the ordinary is required.

    Cons

    Customer service through Paychex has been very challenging for our business, which ultimately led us towards switching payroll service providers. Countless errors were made when switching contractors to employees, when terminating employees, and Paychex failed on many occasions to provide financial information and tax documents to various states we were reporting in. They were also unhelpful in providing documentation to various states and city governments while our company was dealing with past-due notices that Paychex should have been responsible for. Our account manager changed hands a number of times with no notice, often no notification, and without a clear line of communication. Overall, their lines of communication seem outdated for companies operating online and whatever 'personal touches' they may have been known for have been lost to the wayside of a digital communication age where information has the capability to be freely transmitted from one employee to another. I found myself frequently re-sending the same required documentation to multiple parties and asking the same questions time and time again which were either ignored or partially answered. Overall an incredibly disappointing experience for the years we were with them.

    Everything you need is in the system and best of all accurate.

    Pros

    This software is so easy to use. It gives you tutorials if you get stumped on how to do something. It also has the capability to put all your reports in one place so when you need to run a report, it is all there waiting to be downloaded.

    Cons

    The only thing I really do not like with the system is that you have to go thru so many prompts to log in and then you have to have a specific code sent to your phone in order to get into the system. Needs to be a simpler way that allows the protection.

    Saves lots of time when completing payroll.

    Pros

    If you have multiple locations, this is the best way to track attendance etc. Tracks time off request for all staff levels. Ability to store HR documents for staff members online.

    Cons

    Downtime or system issue that cause clock in/out staff problems. Entering payroll is a bit of a challenge.

    Accounting software can be convoluted and confusing at times. Paychex Flex is none of those things. It's a user friendly program that just makes my job easier.

    Pros

    I love the simplicity of the product and the flexibility that it offers. It's easy to use, simply constructed and doesn't require an abundance of tweaking. It's just a simple, easy to use program that shortens your work and makes life easier.

    Cons

    I wish it had more reporting features and was able to integrate with my accounting software better. Other than that, I love it.

    I can view and approve my time sheets and view payroll information

    Pros

    Not much. You can find your data on the site but the navigation system that the site uses requires too many clicks

    Cons

    Logging into the site can be buggy at times. Sometimes you have to enter a total of 4 pieces of information in all to log in. You have to enter the username, click next, enter the password and click next, enter a verification code from your phone (sometimes) and then a 4 digit pin code. At least make all of these fields available on a single page instead of entering each piece of info on a separate page.

    We feel like Paychex allows us to function with the resources a larger business would have, even though we are small! It is helpful to have professionals with answer to turn to in almost any situation.
