Great payroll and hr employer/employee program
Overall I've had no problems with paycheckflex really other than the direct deposit not transferring over from my job profiles but other than that it's been a really awesome experience it's been easy to use friendly and just great it's very useful and I do appreciate the software and I continue to use it to this day
PROSOn some pros are that it's easy to use the interface is set up really user friendly it's sectioned off and your different jobs you know your pay your schedule your onboarding your your stuff you need to complete for HR or assignments places to message people ask questions you can view when your check gets deposited or written how many hours you worked all sorts of things like that and your vacation time and it's just it's really easy and it makes my job easier and it makes knowing what I'm doing for other people who are using it easy and I get paid on time if not early actually for me not everybody does though and it's all right there like I can print off my w-2s I can print off my tax paperwork message my employers or employees and manage my benefits and everything it's a really great system.
CONSHonestly the only thing I don't like is if you have multiple employers on there and you put in your direct deposit information for one it does not automatically carry over to another job if you have multiple jobs at the same time so there for a minute I was getting a hard check because I thought that that information that I just entered for a previous in my other employer that I'm still working would go through to my next account but it does not you have to manually re-enter that

It is very easy to use and has great support
Since then, many businesses have approached me about switching, but I still haven't found a good enough reason to abandon Paychex Flex. It's simple to use, produces excellent results, and supports my needs promptly. The direct deposit and web portal make payroll simple. It's easy to learn and adapt to the system. Timely reports can be simply integrated with other bookkeeping software.
PROSIn 2017, at the advice of our Accountant, we began using Paychex Flex. I was hesitant because I was the one who always handled payroll through our company's accounting program. But Paychex Flex is so straightforward that I can't imagine ever switching from it to some other payroll system.
CONSThe ability to write notes on an employee's paystub; for instance, a place to mention what the bonus is for when it is given; this would be helpful.
Reasons for switching to Paychex Flex
Payroll and workers' comp are processed through Paychex Flex. The site gives workers improved record-keeping capabilities and streamlined monitoring.

Paychex Flex is great for completing payroll
I appreciate being able to check on the 401(k) and have the money go straight into employee accounts, saving time and effort. Since insurance coverage is now related directly to who has enrolled in which plans, processing payroll has become much more efficient.
PROSFrom either the employer's or employee's perspective, the website couldn't be simpler to use. Filters and stored views make it easy to customize your payroll experience based on your current needs.
CONSOver the years, I've seen a few different specialists. Obviously, not everyone has the same potential. When my allocated person hasn't been able to help me, I've found that the online chat staff is quite responsive and helpful.
Reasons for switching to Paychex Flex
Paychex now handles our payroll, 401(k)s, insurance, and HR Pro needs. Our human resources representative appreciates having a contact to turn to for advice on legal concerns.

Great company!
We have always had very friendly and knowledgeable client service representatives. I appreciate them handling all of the details, so I can focus on my daily tasks. Paychex Flex has simplified my desk!
PROSWe have been with Paychex for over 10 years. We started in 2012. They have been a great company to work with, easy to deal with any questions, stress free at year end!
CONSI was hesitant of the charges, but the service is totally worth what we pay. We have had multiple offers to change companies over the years, but I am not willing to lose what we can count on to try something new, even though they promise they will have the same service. PROSI like how user friendly the Paychex Flex system is to clock in and out. I really like how easy it is to access the benefits page and see what you have elected to have. Everything you need is easily accessible through the Paychex system.

Sold on features that never worked correctly
Previously, our payroll was completed in house. We were sold on Paychex being a one-stop shop that would save us time and have everything flow seamlessly in one system. Unfortunately, that never happened. We had issues with the payroll implementation that were never actually resolved. We switched to Paychex for employee insurance, and spent over six months trying to correct the errors.
PROSI enjoyed the ease of using the software and report options.
CONSOur biggest issue with the software was based on the needs of our company. As a non-profit we have multiple funding streams in which employees may work. After communicating with the payroll implementation team, we set up the system as advised. Several months after we went live, the inaccurate setup caused errors in our general ledger reports, and I personally had to key journal entries of over 1,000 lines bi-weekly just to get the information accurately recorded in our general ledger software. This added one to two days of work onto my already hectic schedule. When we asked to change the setup, we were told that it would take too much time and wouldn't be possible, even though we were paying thousands of dollars a month for this service.
Reason for choosing Paychex Flex
We were sold on a seamless system that never did work accurately.

Easy to use, great customer service
Due to issues when our account was created we had a huge mess to clean up at the end of the year. It was due to errors within our organization but Paychex went out of their way to ensure that everything was in order in a reasonable amount of time. I would never choose to repeat that scenario, but it did prove that they have exceptional customer service.
PROSEase of use. I started using the system without any prior knowledge and had no trouble finding my way around. Running payroll is simple and can easily be customized to how you prefer to enter.
CONSIf Paychex is also logged in, changes you make will not be saved. This does not happen often, but when it does it is useless.

Many features, great value, options to expand capabilities
Paychex Flex seems to do it all: You can access all your HR forms, sick and vacation time, timesheets, if you're a manager you have access to your team, complete HR actions, and much more. The mobile app runs basically the same, although it isn't the most touch-friendly app, it gets the job done. All the features work well, and while the app isn't the most user friendly, it is more than serviceable. There are also features that would be great for our team if we used them, like integration with other HR apps, but that's more an organizational issue. We switched from a different HR app which was completely unusable, and we've been happy ever since.
PROSIt does everything we need for the organization: payroll, time clocks, tracking, coding time, HR benefits, vacation and sick time, organizational forms, etc. There are also a lot of features that we just don't use as an organization. For instance we use a scheduling app (Homebase) for some of our employees and you can integrate Paychex into Homebase to handle the payroll. We came from another system that was very clunk and difficult to use, so the simplicity of Paychex was a breath of fresh air.
CONSThe biggest issue I have, and just a disclaimer I might not be the best trained, is that employee management is time consuming. It's not super difficult, but I often have trouble finding employees on my team, checking and modifying their time, etc. Also signing forms is a bit cumbersome because you have to click around the document yourself, something more like Verisign would be very helpful when dealing with forms.
Reasons for switching to Paychex Flex
The old platform was so bad, most of our organization couldn't use it, timesheets would disappear after you saved and submitted prompting employees to redo their timesheets multiple times. We picked it because it was the cheapest and definitely got what we paid for. Once we switch to Paychex, we've stuck with it and is now our longest running HR app.

PREVIEW was a great payroll work horse. But beware, FLEX Payroll is no PREVIEW.
We've been on Paychex PREVIEW payroll software for 16 years. It was a solid no non-sense payroll processing work horse which came with everything you'd ever need to process payroll for 100+ employees in a very quick and efficient manner. PREVIEW software was extremely well designed and well thought out. The developers took the perspective of payroll processing users and provided all the navigation speed, functionalities and reports that we'd ever find useful or need to do our jobs quickly and efficiently. There were hardly any unnecessary clicks, keystrokes or scrolling to speak of. It exceeded my expectation all these years. Paychex's golden era and reputation as payroll processing leader was probably due to these sensible legacy products. Like all good things which must come to an end, we were switched to FLEX Q2 of 2016 because PREVIEW was so old that Paychex decided to sun set it this year - which was totally understandable. But any reasonable PREVIEW clients would also expect and assume that whatever good features, good functionalities and useful reports that were available and had been working well in PREVIEW would be brought over and be available in the new payroll product as well. Not so. Enters FLEX which Paychex touted as being technologically advanced, etc. It probably is. But as far as FLEX payroll processing features and functionalities are concerned, I am actually set back 16 years to a payroll processing product that seemed Beta, very slow, cumbersome, awkward - compared to PREVIEW. Paychex simply threw PREVIEW out the window and started fresh from scratch with FLEX. I spent my first several months on FLEX Payroll sending them suggestions to make FLEX "better". I don't know if anyone cared. FLEX Payroll screen designs and navigation are very slow, very cumbersome, and very awkward. What I considered "speed features" in PREVIEW were non-existent in FLEX. Fields are spread out as far apart as they can find room to spread them out to (instead of keeping the screen layouts compact) seemingly so as to "maximize" unnecessary clicks, scrolls and keystrokes as much as possible. It's also more cumbersome and time consuming just to get information and reports from FLEX Payroll which could be run quickly and easily before in PREVIEW. I felt like I'm using payroll software designed by inexperienced college graduates who had never processed payroll before in their lives. They're out to get as much of my time make me do as much work as possible for the same amount of work that I have to do as before - to see where my breaking point is. So overall, I'm not impressed. To me, if the basic payroll processing functionalities are less than before, FLEX Payroll will still be inadequate despite all other "great features and modules" they added to FLEX which I don't need.
PROSFlex integration with Benefits Administration (Benetrac) module can make life a lot easier for some - but Beware - only if your group is 100+ enrolled. Our Paychex sales rep did make the claim that with Benetrac service, our medical insurance transactions "will all be automatic with carriers and we wouldn't have to do a thing" - which was totally not true. As it turned out, more carriers than not do not do EDI for groups (company) with < 100 enrolled. So the main FLEX selling point totally didn't even pan out for us. Please learn from our lesson. Do verify specifically that your medical and dental carriers will do EDI for your group before signing up for Benetrac.
CONSAlthough FLEX does its job as payroll software, having been on a faster and more efficient product before, we know how much more time we are spending on this "more inefficient" product compared to before. Oh and please save yourself the headaches and trouble by passing on other Paychex's services. We tried Paychex Health Insurance and ACA filing. They both failed miserably. Same story in both cases. Can't get hold of the account rep and customer service rep. No one would answer or return our calls. Last year's ACA were 60% wrong after I've redone and resubmitted data 3 different times after 3 different CSR told me 3 different things. They were just making it up as they went. Very frustrating.

I have never been happy with Paychex.
They never fully finished helping us get our platform set up. There is suppose to be a general ledger integration that is suppose to give us a report that breaks down our payroll items so we can enter the details into the books. No one has ever helped us set up our platform so this works. The report is always blank. I spent over a year trying to get people to help set this up so it would work and every customer service person would just pass the buck or tell me they would get back to me but never did. Then with the time clock feature it would be great if they would stop trying to change and update it. I spend more time fixing employees time punches because Paychex is down. Furthermore, the new timeclock platform that Paychex is trying to launch seems scares me because they seem to be missing a lot of key features that were on the old one. Finally, I don't know what their employees do all day. I swear our service reps are out of the office more than they are ever in the office.
PROSThe software looks like it should work well and that is has a lot of features that would be helpful. I do like how they take care of a lot of the tax related things so that I don't have to create and file all the different employment tax documents.
CONSTimeclock system is often down.Poor customer service. No follow through to make sure everything was finalized on initial setup. They always try to sell me new products when the ones I have don't work.Talked to a Paychex Technical support employee who admitted that the back end was not that great.

Paychex Flex
Procured the total HRO package (payroll, 401k, FSA, Time & Attendance, HRIS, HR Compliance and HR Generalist). There is no HRIS compatibility with the Payroll system, one has to run separate reports. Anytime Paychex updates their website, links do not work to the other features and or issues occur. Example, PTO accrual stopped working properly so we had to start accruing PTO manually and users not properly redirected to their links in the Learning center. On the payroll side the support is a black hole. Specifically any state registrations that are not properly loaded by Paychex and result in state tax fees which do not get resolved without employer paying penalty. Numerous emails do not get acknowledged. The implementation process is juvenile and lacks complete project management scope. Overall communication and execution by Paychex is so poor, one finally stops being frustrated and simply begins search for better system, which we are doing.
PROSCompliance. Nice to have employee handbook online and learning center for compliance training is also helpful. While Paychex payroll has strong workflow rules and meets general processing requirements, they make everything else so painful, therefore one could never recommend them. It would be like telling someone it's okay to cross a bridge that you know could collapse any moment and that you know is no longer maintained.
CONSAssigned customer reps - unresponsive or not timely in responses until escalations. Paychex's lack of technology understanding - every time they upgrade they do not test what the impact to customer use and all their products. They had a big upgrade in late December 2015, their system was not accessible from early morning until the evening (end of year!). Multiple email and calls yielded no information. Finally at 4pm we get an email that they were experiencing problems and would be back live shortly. Who does that? While learning center is a nice to have, spent an hour giving feedback and nothing changed, e.g., the CA Manager Anti- Sexual harassment training is 2.5 hours all in one shot. Not standard for training needs - asked them to break into 4 modules so it would not be daunting to busy leaders....crickets.

Way better services out there for cheaper prices
Do not rely on them to let you know by hiring an employee in another state, you are subject to any additional state/local taxes outside of income tax and unemployment tax. We didn't know we were required to have disability insurance & paid family leave insurance for hiring an employee in NY. I guess I can't blame Paychex because technically it's not a tax but because we began payroll in NY, it required us to carry it. I'm more mad about the fact that it is optional to withhold a small portion of the employees wages for disability insurance or the employer can cover the whole cost. Paychex just started withholding the max portion from the employee without ever saying a word to us. So 1.) they knew we were subject to it and didn't bother to say anything and 2.) they started an optional withholding from employee checks without ever having us sign off on it. They will be easy to reach when they need something, but very very slow if you need something. They switched our assigned payroll specialist so many times that I don't even know who it is now to let them know we are switching at the end of the quarter.
PROSThe only thing I can say I liked is that they pay the tax and file the required quarterly/annual reports.
CONSVery confusing just to have a rate for an employee. There's multiple areas in the employee file where you can add "compensation" & "earnings & deductions". Compensation is where you can add their rate (if you don't, it will notify you that you're not paying minimum wage). You figure you need to add at least one category of earnings like hourly or salary in order to pay an employee. So I added their hourly rates to compensation then added Hourly to their Earnings along with their rate again. The Hourly specifically states RATE X HOURS. Yet, by having both of these, you'll end up paying the employees twice. No problem right. Reports take kind of long to download, and not easily customizable.

Paychex has FINALLY gotten it right
Payroll reports for my clients are at my fingertips!
PROSPaychex FLEX is easy to navigate, fast at loading reports and pages, and gives you access to what you need. As an accountant it is vital for me to be able to have access to the reports and items I need to get accounting and taxes done without having to jump through hoops to get that information. Many payroll firms make this task frustrating and time consuming. With Paychex FLEX I have one log in for all of my clients and can easily navigate to the company and reports that I need every month or at year-end within a few minutes (including the login process).
CONSOne thing I don't like is that the default view for reports is set to the last 90 days. Many times, especially dealing with tax forms, I need reports that were created more than 90 days ago. Also, since the newest reports go to the top of the list you already have the most recent reports at the top. Why not default to the past year and then just let me filter down to a smaller group of reports if that's what I want? Other than that small gripe, they have done a lot to improve their FLEX format. When it was first released everyone hated it but it has finally been improved to the point that it is extremely usable. The problem is that it seems like every time they get things just right they move to a new platform and "upgrade" their systems. I understand that this might be a necessary evil but it sure does cause a lot of growing pains for the end-user.

An HCM system that simplifies difficult tasks
It has been a good experience overall. The payroll account manager I have is efficient. But Paychex does seek to elevate these positions quickly. Every time I get a payroll account manager who is knowledgeable, they always get promoted, it seems. My concerns about the reliability of customer service are raised as a result of this.
PROSThe ability to use the phone application makes it incredibly handy to get information and even manage payroll from any location. You may track the non-exempt employees' hours with the addition Stratus time, which integrates with your payroll software. Without a doubt, it is a big relief to be able to be in compliance with all local, state, and federal laws thanks to access to a comprehensive database from a company that has been doing it for decades.
CONSCertain benefits, which would be useful if you knew what you wanted, cannot be manually set up. We are presently ironing out some problems with a PTO benefit that WE have. Upon entering the dashboard, Paychex Flex requests a fresh verification code. Depending on the administrative access required to do such an activity, users identified in the Paychex Flex may not be erased. Employees might not be able to update time cards electronically because Paychex Flex might only give administrators their usernames and passwords. The administrator is able to make time card adjustments with Paychex Flex. The administrator is able to make payroll modifications using Paychex Flex.

Love the Ease if Online Benefit Administration
Survey software is not something that I usually recommend.
PROSThe best thing about this software is that I can do everything I need to do on my computer or mobile phone at any time of the day or night. The application is very easy to access and I administer payroll, 401k, health, dental and vision benefits, FSA and employee additions/changes over the application. Almost every service I utilize through Paychex is on this application. Invaluable! If I'm out of town I can still submit payroll! WOW! What a game changer Paychex Flex has been! The old way of doing business is out the window with Paychex Flex replacing it in a very positive way!
CONSThere is a couple of items that I would like to see enhanced. In people, I would like the ability to always pull up my preferred view of employees without having to click on the apply button. My preferred view is saved but will not display until I click on apply. Second, on the people drop down menu from the upper right corner, I would like the ability to select that view as well. When that drop down is selected I get all the employees that have ever been entered into the Paychex database - terminated and active. I want to be able to display just the active employees in that drop down. These are just enhancement requests that in no way affect the valuable pros of the application. The items in the cons are just "nice to haves".
