Square Payroll Software


 

Square Payroll is a cloud-based payroll solution for small and midsize businesses in a variety of industries. Key features include payment processing, integrated timecards, direct deposits and automated tax filings.

Whether salaried employees or hourly employees, Square Payroll allows them to imports their working hours from the Square POS app. It also automatically calculates paid time off and sick leaves for each employee and pays the remaining balance. It helps businesses file taxes including new hire reports, W-2 forms and all federal and state payroll taxes.

With the Square employee portal, employees can update their details including personal information, tax withholding and bank account details. There is no activation fee or long-term contract; pricing is based on a per employee basis. Currently, it is only available in nineteen states in the U.S.

The customer service is wonderful - everyone I talked to has been professional and helpful. Having taxes withdrawn and submitted for me is very helpful!

Cons

There is not currently a place for reimbursements that aren't taxed. I pay my employees mileage and need a way to do this untaxed. However, customer service was very receptive to adding this in the future.

Square really is the all around tool! You can use this for anything no matter how big your business is. You can use this if it is just you or you can use this as a company and even control your payroll with it. It also allows you to take payments on the fly.

Some of the insight tools weren't completely intuitive but I'm sure I'll get more used to my surroundings pretty quickly.

We use Square for our POS, Marketing, Loyalty, Gift Cards, Capital so adding Payroll was a no brainer if it had the features and functionally we needed. And so far it has.

Pros

We came over for years of using Quicken Online Payroll. Square is a little more expensive, but handles more with is less work for us. Also the integration with Homebase is a plus. Now that we can actually talk to someone in Square Payroll Support is a BIG plus. We had a ongoing issue for a while and Lauren came to the rescue! We started using in Jan '17 to try for a year, and are going to stay. Square has been good about implementing new features.
Speaking of features, it would be nice to run a payroll for the iPhone dashboard app. We where able to do this with Quicken. Not a deal breaker but definitely a plus.

Cons

The only real issue is adding a New employee. One would think you would start by adding the new employee from within payroll (which I did for some time) When I signed up I didn't remember seeing any instructions on such. After much trial and error, and many support calls I think we have the correct steps down.

Easy to learn and use

Pros

Easy to use and customer service is always willing to help but at time since they don't use the products. Some questions are hard for them to answer, giving a text book answer and not fixing the problem. Even though they were ready and willing to help in every way. I have called multiple times and have had great experiences with staff.

Cons

Easier way for a receptionist to ring out different employees to lessen any mistakes, when pulling reports. Or..... giving an option to change service provider when pulling reports, if a mistake is made. Sometimes making the report irrelevant having to manually add all service and retail because something was rung up under an another employee. When paying employees commission a mistake can create tension. Ringing out you can not make any mistakes without voiding the transaction. when the only mistake was it was under a wrong employee name.

Once the figures are in the rest is simple and fast. I like the direct deposit capability. I like that there are safeguards set up incase you make an error.

Cons

There are not enough breakdowns in the reports to add up commissions, retail sales, and services. I would like to track these items without having to print out daily sales and adding and subtracting manually. I would like to be able to customize the column headings to better match my business. Square seems to lean heavily towards hourly employees instead of commissioned employees.

Pros

What I like most is that it does everything for me. I don't have to worry about taking anything out for taxes, and adding more people to payroll was so simple!

Cons

Nothing yet! I am curious as to how everything plays out once tax season hits. This is the first payroll system I've used. So I don't have anything to compare it to.

Agent was very helpful and went above and beyond to ensure that the issues were fixed and clarified the confusion from a previous employee that had me sign up with Homebase. I did as recommended and called square to ensure the first pay period would be arriving soon, as it was past the day that was promised, causing distress with my employees. I compensated them so they would be confident in us as a reliable company. He listened to the issues and went above and beyond most company team members do and talked to a manager to compensate my company. He additionally went followed up with a phone call as scheduled and explained the process in a thorough and professional manner. I ultimately decided to stick with Squareup and Square Payroll due to the positive interaction and his manager who compensated us for the first month of payroll. It showed me that I was valued as a customer and that Square is a company that cares about the small businesses and customers that they serve.

Cons

The initial process was described incorrectly and it was confusing in the beginning, especially when I was asked to add the Homebase app to link up with Square and that caused much confusion and ultimately caused my employees to not be paid more than two weeks late.

The app makes it easy to add an independent contractor, calculates the gross pay automatically and it keeps great records.

Cons

The only negative issue is that it will not allow you to designate a pay day rather it pays after the pay period is over.

It tracks my employees clock in and outs, allows me to easily inactivate an ex employee, and with a click of a button withdraws from my business checking. They take care of federal taxes and state taxes, allows me to download spreadsheets for my accountant, and has all the major info I need. They even allow for auto payroll so that if my employees signed in and out correctly I don't have to worry...it will automatically go out! Perfect for when I am on vacation.

Cons

One thing I dislike is the inability to set up an employee on a multiple tiers for pay. For example, I own a bar. If I want to pay my bartender as a supervisor I have to manually calculate the additional pay I have to send versus just have two log ins or two options when she logs in.

Handling sales, review and report

Pros

Cloud based, access from anywhere, user friendly, lots of options, reports are awesome. The fact you can download and be in business right away.

Cons

Price. I also wish if you could do the monthly filings of sales tax since they are all registered in system.

Pros

I have just set it up and will be receiving the first round of payroll in a couple of days. However the Square representative was very helpful and incredibly patient with me through the entire process.

Cons

Have not had enough experience to rate it one way or the other. I trust if a problem arises Square will resolve quickly. Possibly rather than just providing information needed to open a Square account you could share with folks where (from the state you can obtain the information. That was a bit of a hassle.

Pros

The ease of use is fantastic. The program is extremely simple to use and figure out. They file your payroll taxes for you and let you know exactly what the costs are.

Cons

Squares customer support is not the best. It's pretty hard to get a hold of anyone so you need to look into community support if you have any issues.

A lesson.

Pros

Clean and easy to use interface. Unfortunately that's all the positives I can think of after using it for more than 6 months.

Cons

1. Lots of mistakes - inaccurate state/city withholding at the beginning, even the dashboard numbers did not add up/balance (these were corrected after we raised the issues). A few months later, suddenly they double deducted certain taxes from our bank account for TWO consecutive payrolls (you'd think they would fix it after we raised the issue the first time). This is worrying as it makes us wonder if they actually got all the calculations behind the scene correctly.

2. Lack of reporting - no detail of when or what taxes have been paid. No actual PDF of all your tax forms (like form 940), only PDFs of tax forms in Square's own format are available. When we finally downloaded our state payroll forms directly from the state website, numbers on the forms are missing (Square said it's the state's problem).

3. Customer services is not great. We almost always have to repeat and explain our problems again because they would reply with some generic answers first and never really look into the specific problems when they receive your email. So you have to repeat and explain, and when they finally realize there were mistakes, they would not even contact you to let you know it is corrected (don't expect an apology).

With all the time wasted, the Square payroll is probably one of the worst software we've used. The interface is clean and nice and easy to use, but it stops there. Don't let it fool you. The rest is a nightmare.

As I said in title, you are your own in this payroll service, if you have a question.
Again, if you are lucky, you may get a some kind of email response within 48 hours and pray that they are answering your question correctly!
To me customer support is everything and Square Payroll don't have one it and they know it.

I decided to sign up. The customer support staff answered my initial questions then after a few weeks told me to contact the helpdesk. I understood this and did try to contact the helpdesk. I needed to do a manual paycheck and the system would not do it. I tried to use the helpdesk and it said you needed a code (Reminded me of the bank commercial with the barcode on the person's head). I had no idea what my code was. The website the message said to go to did not help. I left a voice mail for her in the morning which was not returned. I sent her an email which was not returned. I sent an email for help. No response today. I can't tell you how frustrating is is to have no phone number and a broken system and not being able to pay an employee. Get a real payroll company. Stay away for Square. Cheap that does not work is no help. I value my time much more than the few dollars saved.
