We used to track and manage PTO with excel and email chains. This works so much better! You setup who each person's Approver/Manager is to receive their PTO requests, and what else needs to happen, as well as all the categories for PTO (PTO, sick time, Flex day, etc - you can make up the names and categories to fit your Org) and it does the rest easily enough for you. I love that it reminds people who else is taking time off during that time, and shows them how much time off they have now, and after they take the PTO they are requesting so they always are current on these things. #### Ratings breakdown - Ease of use: 5/5 - Value for money: 5/5 - Customer support: 5/5 - Functionality: 5/5 #### Pros Vacation Tracker has an easy to understand UI and integrates directly with Teams. They also just put out an App that also looks slick. #### Cons There's not much I could say I dislike. They DO give the appearance of a smaller Organization. There have been occasional outages and there's sometimes bugs in the software that you need to wait for them to fix, but I'd still say it's a great company to work with! #### Reasons for switching to Vacation Tracker Tracking PTO by excel, and yearly doing calculations on who gets more PTO, etc was frustrating and difficult. Vacation Tracker is worth the money for the conveniences it brings. #### Vendor response Thanks for the feedback! From clean visuals for our staff, to dashboards for the entire company, to customization, its made this process much easier than we had before. It was very easy to launch. I would say it's very cost effective as it covers all the bases without being so high priced. #### Cons I do wish it was a bit more clear on how to set accrual/allotment rules, as well as personal employee settings dependent on role & location versus overarching company rules. I do think most of my cons could be me not yet discovering everything the system provides. One thing we would love is a notes feature within time off, if I could add on the admin side any notes about the employees leave, whether it be a care note, out of policy request note, etc. so that when it comes to tracking overall patterns it could help shed light as well as help us better care for them as an oversight team. #### Reasons for choosing Vacation Tracker Ultimately its ease of use for not just us as HR but our staff, also cost #### Reasons for switching to Vacation Tracker Gusto does not have a good time off portal, it's very confusing on the employee view end with how it displays available versus total time, we had spent a lot of time on the phone with them about this and it just wasn't something we could continue to invest time in, especially with a growing staff. #### Vendor response Thank you for your thoughtful review. I like that the calendar is shared, and once the issues are fixed, it's going to solve a lot of our problems. #### Cons Ongoing technical issues: The balances shown are incorrect on the app, but are correct on the desktop site. It can be difficult to get everyone signed in. This is a great, straightforward product that makes it easy for our employees and the corporate office. We also love the support team; they have been incredibly helpful in getting us the answers we need in a timely manner. #### Cons We offer sick time on a yearly basis and vacation time based on the anniversary date. There isn't an option to select multiple leave time periods, so we have had to work around that. #### Reasons for choosing Vacation Tracker The system has too much information and was not easy to implement. We did a free trial with them as well and it was difficult to navigate. We also didn't receive communication from them until a couple of weeks after the free trial. In fact, it may take 1-3 days to resolve. Also, the notification process thru Microsoft Teams is poor. If I don't hear the ding, I miss the time off request. We do not use the scheduling functionality. We are able to use the free version of the app to meet all of our vacation management needs.
