Paylocity is a web-based human resources (HR) software solution suited to businesses of any size, across a variety of industries. Key features of this platform include payroll, core HR, benefits administration, time and labor and talent management. Paylocity is fully functional on mobile devices.

Paylocity’s payroll module includes custom reports, tax services and evaluation of compliance with the Affordable Care Act (ACA). With the pre-process register, users can preview, correct and verify employee paychecks before processing payroll. This module also includes payroll templates for new hires and data integration with third-party vendors.

Paylocity offers a self-service portal for employees, where they can access personal and company information. The core HR module includes over 100 reports, and users can write their own reports.

Paylocity is available only in the United States. Mobile apps are available for Android, iOS and Windows phones.

Have used since November and we are incredibly disappointed. We will continue to search for a platform that works and where service is a priority.
We were advised by sales they understood our issues with Paychex because they had many clients come over to them from Paychex. They promised they would be here for us when we needed and would never leave their clients to swim alone.. "If you're having problems, we will be there!" That was the last time we saw them and only spoke twice after that. The last time they had attitude with a "whatever" approach.

Pros

The dashboard and graphs. Otherwise, the system is not what it is cracked up to be. Trying to be fancy but it's a fail.

Having everything HR in one complete system. All the pieces work 100% together without issues. It's intuitive. The implementation teams for each piece were fantastic with all the modules and they have plenty of ondemand and live trainings to help you should you need extra training after implementation.

Cons

There are a couple of small thing that I would change/improve upon with the system as I believe those would make it even better to work with. I have had some past issues with customer support specifically getting different answers for the same question from different specialists which can lead to frustrations, however, those kinks seem to have been worked out and things have been running more smoothly.

Paylocity was a system that I used in the past at another company. It was easy to use and easy to get a hang of, I would recommend for a smaller company who may not need much assistance.

Cons

It was easy to use and easy to get a hang of, but our multiple EIN corporation made it difficult to navigate and search the platform. The customer service was slow and very subpar. Paylocity was too small of a company to handle the volume of companies it served.

Paylocity integrates with many of the software programs available. For nonprofits the time tracking was excellent and geo fencing option for Mobile checkin passed the audit requirements. An excellent solution for nonprofits specifically those carrying government contracts and needing solutions that stand audit requirements.

Pros

Paylocity was a recommendation from our broker and their team and it was the right one. Their streamlined payroll product was easy to use and setup. What stands out most is their customer support. The move from another major player in the space was seamless and made for greater accountability on reporting. Their system integrated easily with our government contracts and easily generated the reporting for our A-133 audit. The online portal was easy to log payroll information. Our employees were very friendly with the switch and our management was as well.

Cons

I can name a host of negative sentiments for many of the payroll services but not Paylocity. Their onboarding was spot on and effective as was the ongoing service.

You can't go wrong with this product. It does so much!

Pros

If you are looking for a robust system that includes an ATS, on-boarding, time entry, payroll, employee scheduling, employee recognition, ACA and compliance module, benefits, electronic open enrollment, employee surveys, total compensation statements, and performance management, this is the best I've seen and used! The ATS and performance management is very easy to configure in a way that meets your business needs and desires. This system can even generates your OSHA logs for you, and you can have employees electronically sign off on policies and procedures. The HR Insights dashboard provides key HR metrics and also has robust reporting features.

Cons

All systems have an occasional glitch here and there, however when this occurs the Paylocity team addresses them in a timely manner.

Very, very slow response times - their client solution is to watch their webinars. I would never recommend this software to anyone

Pros

visually simplistic - it is a very reasonably priced system but it lacks the key features you need in a HRIS

Cons

Extremely minimal customer support - no direct phone number to a client service team - NO direct email account to a customer service - when system is down for maintenance they don't send out emails to clients when the system will be up or not - they self admit when you call in there are not set up to email clients - no way to make notes in the system within an employee record. This is fine for ONLY payroll but it is promoted as a HRIS too and it is not.

The Customer Service was wonderful. There was a team of people, rather than a single individual, that you could talk to about a payroll question or concern.

Pros

Relatively easy to navigate around the program. The ability to get a snapshot of who was off, by having a calendar on the main page was very efficient.

Cons

The Timekeeping and Payroll modules were not in sync, Payroll was always one behind. Meaning PTO balances were not always accurate when employees checked "available" balances.

As I mentioned in the pros is that there are several ways to use the system. It would be great if they provided their clients with best practices of how to use the different functionalities to ensure their customers are getting the most value out of the system.

The price point is good compared to many other systems. They just have some things to work on.

Pros

It is an open ended system which is great as it can integrate with several other systems. It has a lot of functionality which you can cater to your individual needs for the most part.

Cons

Customer service is okay. The response time is good the problem is the reps that you talk to seem to only be an expert in one area and their knowledge does not cross functions.

We have had problems from day 1 (which was 5 months ago!) with our Paylocity system. We have shift differentials and unusual holiday pay calcs, but certainly nothing that hasn't been seen before. Our human brains can work through it, but Paylocity has been unable to program it, so we are left with many manual adjustments each pay run. Time off accruals are just NOW operating properly, after I spent weeks fixing their mistakes. We've been through 4 account managers in our short time with them, including one that kept our info on her laptop and took it with her when she quit! I've been appalled by the lack of support we've been promised and not delivered. My best guess is that they've grown too fast to get their new employees as fully trained as they should be, and new clients are suffering for it. I would recommend looking elsewhere for a payroll service.

Pros

Web Time time clock interface, that's about it. We don't use mobile or "fencing" or any of the other features available.

Cons

Incomplete/incompetent implementation, hard to figure report writing function, poor customer service

Definitely a robust platform, we vetted a lot of different options and have had great success using Paylocity. Offers an easy onboarding experience for new employees. I like the mobile ease of use. The set up was cumbersome, we had a team of 4 help the implement the process over several months - but given all the information it houses and all it's capabilities - it's no wonder!

Honestly there isn't anything they can't do or adjust. One big suggestion is send your teams to the training conference for the best way to learn and manage the system. Become the expert in Paylocity and it goes a long way. Best Payroll system I ever worked with.

Quick to adapt and conform to new federal and state policies, such as the ACA and all it's reporting

Training Conference is once a year in Chicago, it would be nice to have Texas training event.......

It provides the benefit that any HRI System would provide. They all have odd quirks and I firmly believe that no one system is perfect for any company. It does its job, but it could be better.

Pros

The layout is aesthetically pleasing. There are some great features integrated into employee profiles, such as the ability to upload tax forms, handbook acknowledgements, etc. We do not currently use the onboarding feature, but that is a great option as well. It's a one stop shop for employee info, benefit balances (PTO, etc.), deduction codes, etc. The program is customizable, but only to a point -- this is where the "weird issues" come into play.

Cons

This program, while often useful and easy, can frustrate me worse than any other software I've ever used. There are small, seemingly insignificant quirks that can create nightmares and headaches from time to time. For instance, only ONE user can be signed up to receive certain system notifications. This means that my boss, our VP of Finance, receives all notifications and then forwards those to me. If he is ever out of the office or misses one... I just won't be in the loop. There is also no way to integrate Web Time and Web Pay smoothly, so if you have employees who require time tracking you will always have to go back and forth between portals to get your daily tasks completed. Web Pay does not show PTO history for hourly employees, and supervisors cannot view ALL of their employees on one screen when viewing a PTO calendar or request list.

The user interface is very easy to understand. They also have these "learning bytes" on every page through out their web pay portal with tiny videos on how to use features on that page which is always helpful to understand the functions better. The auto balance register also helps alot when you are on your final check to ensure your numbers are right. Time off's and policy assigning also gets easy to execute once you get hands on during your initial

Cons

The system is very user friendly with all advanced functions to setup employees in web pay but the tax setup is yet to be rectified to show any local taxes that may apply to the employee's earnings. This is something that we had to manually setup which was expected to be automated. Also the customer service team should provide support later that 5pm. Hope this changes in the future.

Web-based software eliminated the need for updating local installations and made it possible to process payroll and access reports even when away from the office.

Pros

Customizable report writer and ability to export in various formats (PDF, XLSX, CSV) was very helpful. The ability to have agency checks generated with the payroll and have child support deductions transmitted electronically were great time savers.

Cons

As with many feature-rich products there is a significant learning curve and I would sometimes need help finding or implements certain features. But customer support was always helpful.

I liked how easily I could switch between clients on the interface. I also loved the level of detail I was able to get about all employees and how quickly I could look up their pay history, pull stubs/W2s, and submit payroll each week.

Cons

There is definitely a learning curve here, but once you become comfortable it is very user-friendly. The customer service phone agents and extremely friendly but often not very well-trained on every nuance of the service which can be frustrating at times. Also I wish there were more built-in state-specific functionalities as employment laws vary wildly when you have clients across multiple states.

It processes payroll down to the local level accurately and on time. The system can also track employee performance which we use for routine employee reviews. It is nice having an all in one solution for my HR needs.

Pros

The customer service is fantastic and really easy to work with. I like the company. As to the software, it does what I need it to. They process the payroll on time and without errors. Getting it setup can be time consuming but once it is setup, fairly easy to use. I am also an internet based business with employees in several different states. They are able to process payroll for all of the tax jurisdictions down to the local level. The software saves me countless hours every month/year.

Cons

The software doesn't 'just work' for a couple of reasons. The first, you can screw the system up and there are plenty of ways to do so. You have to know how it works, so the system isn't dummy proof. Second, there are a few items where you have to game the system to get it to work. As in, if you don't put a check mark here it won't do what you want but it isn't intuitive enough to know you need that check mark.

It isn't the best for small business. And I do get the feeling the system is built for larger enterprises. There are a few minor features missing that I have used in other systems that help run a small team. Like being able to sync my outlook calendar to PTO requests or birthdays. You can export those dates, but it won't automatically show up in your calendar like other systems do.

While there is a portal for employees, my employees have a hard time understanding how to use it. It isn't super complicated but also not super intuitive. I don't have a problem as the administrator of the system because I am in there all of the time. But for employees that might log in once every couple of months, it can be kinda annoying for them.

WebPay is easy to use both for the admin and for the employees. It's layout is very intuitive and any time something is unclear, there are so many easy options for assistance. Every page has detailed searchable user guides readily available. Customer support is also amazing if you ever need to call in.

Cons

There really aren't any major areas that I would say I don't like much within WebPay. It's a great product overall.

Payroll changes are easy. Integration with our 401k provider and Employee Navigator for benefits enrollments/updates works well. Support usually answers quickly.

Cons

We have exempt employees on semi-monthly pay group and non-exempt employees on bi-weekly pay group. The PTO tracking system does NOT WORK with this configuration. Their only "solution" is to run a report each time you process payroll to see which employees have a PTO anniversary that falls within that period and enter a penny check if they aren't part of that particular pay run so that their PTO will reset. It is absurd to base PTO rollovers on whether or not an employee got paid in the payrun that includes their anniversary. And an employee shouldn't have to wait for payrun to see their new balance - ie if your anniversary is on 6/3 but payroll runs 6/15, you can't see your correct balance until 6/15. Further, it took more than 6 months of complaining that PTO accruals weren't working properly for them to finally admit the issue. Got many many different answers depending on who I talked with. However, they say this is a perfectly logical way of handling and have no plans to revise the process. Software should never require such a manual operation. Funny it will clear the old balance, but it won't update with the new bank of PTO hours. This has been a nightmare, and we are looking for alternative solution. A shame since we like most of the other features. I will say that the reports system is not very good either. You can convert some reports to Excel, but they do not format in a way that makes sense. Looks like a .pdf got dumped into a spreadsheet.

Paylocity has enabled our organization to export very complex and detailed GL import files for the payroll journal entries. No other payroll software we looked at (Paychex, ADP, Quickbooks) offered functionality that even came close. Furthermore, they post the charges and refunds to our bank in bulk charges (by payroll) which makes the reconciles much easier and the tying out of the transactions to the payroll Journal Entry quick and easy. In my experience with ADP for example, there were hundreds of transactions that would hit the bank and I would end up calling customer support almost every payroll to determine what the charges were actually for.

Cons

Creating custom reports can be, at times, more confusing than I would like. That said, I have successfully created many custom reports and a lot of the difficulty is due to the number of earning, tax, and deduction codes that we have (164+ different types of earning, taxes, and other deductions).

Processing and submitting payroll through Paylocity is the quickest and most intuitive I have ever used.

Cons

Unfortunately, for being a software company there is way too many "glitches". One of the biggest issues I have seen is there is some sort of IT glitch in PTO accruals. The time off policy calculates earned PTO some times then other times it's non-existent requiring a call to the call center to be researched. Recruiting and on-boarding doesn't always work and the obstacle seems to always be someone else fault. Reporting library is the worse I have ever used; not user friendly or practical. Paylocity has a problem with following through on sales promises.
