IconCMO is a cloud-based church management solution that allows administrators to manage membership data, communications with member and volunteers, member contributions, accounting and payroll.

Membership management feature helps users to organize and record member information, schedule pastoral visits and archive records in order to maintain historical data. Users can manage groups by communicating through email and text messages in order to send reminders and last minute updates.

Fund accounting module helps to manage multiple funds and track credit card expenses using checkbook management function. With the help of this module, users can create a budget in order to manage revenues and expenses. It also helps in recording payments, generation of invoices and printing deposit slips.

Payroll feature allows users to customize paid time off adjustments, set multiple pay options on the basis of duration and generate reports for the purpose of filing forms on government websites. Support is available via phone and email.

Affordable, but there's a learning curve

Pros

The price is one of the largest pros. I also love the level of detail you can capture for each member. I also love the archive feature. Archived folks don't count towards your family limit, but you can unarchive them at any time. Customer service is AWESOME!!

Cons

This is not self explanatory at all. I spent several hours and watched many tutorials before I was able to start imputing our congregants information.

I like the layout and the logical display. I like that it can do everything that I want it too. I have adopted it in two churches now, and the ease with which I can train staff on it is a huge plus.

Cons

There is always a specific report I can dream up that is not ready made. Of course, by exporting to a spreadsheet, I can build it myself.

Without a doubt, IconCMO's customer service is the best I've encountered. We’ve always found them willing to take time, very knowledgeable and friendly, easy to contact by phone or email, and incredibly responsive. If they can’t answer our question immediately, they get back quickly, almost always that day. They even willingly consider suggestions and have made multiple enhancements to help solve our needs.

IconCMO is web based so we can use it wherever there’s an internet connection. They allow an unlimited number of users, even at the same time, without any extra charge. Working collaboratively or in parallel from different locations is invaluable.

Another feature we appreciate is emailing contribution statements. It saves the time and expense of snail-mailing and our congregants get their statements instantaneously.

IconCMO is a very robust system that does an excellent job of addressing our accounting needs. Its amazing flexibility allows us to tailor the system to our own congregation's operations. We use a large number of funds, one for each fundraiser, committee, and social justice effort and each has its own budget, income tracking, and record of expenses, so it’s easy to see how each is doing at any point. Once an activity is complete, it’s easy to transfer the proceeds of the activity to the General Fund or disburse it to the appropriate organization. Other congregations may not want as many funds, but IconCMO allows each to design their own.

Cons

Probably due to its great flexibility, IconCMO is not that intuitive. Their Help and Support Forum are useful and their customer service is superb but some people find it a little hard to navigate their way around.

We were able to easily transfer all of our members' information from an old program to this one.

Cons

The menu system is VERY complicated and hard to navigate. It needs to be simplified. I think a lot of the menu items could be eliminated or combined with others to make it easier to find what you are looking for.

I don't believe your church is using the accounting modules, so there are probably a lot of options available on the menu that you don't need.

If that's the case, you can navigate to the Organization: Preferences: Personal window and set the "View Accounting" option to "No" and save.

Great software for our parish needs. Not having to do backups is a big plus as well as using for church membership and our financial needs.

Pros

Takes care of all of our parish needs, both membership and financial information.

We've been very pleased overall. The program works well, is readily learned, and is well supported.

Pros

The software is relatively easy to use and allows quick access to records. Learning is quick and somewhat intuitive. Support has always been excellent.

Cons

Some items seem to be repetitive - needing to enter the same information in multiple places.
When searching for info, the search screen comes up under the sidebar contents and has to be moved - not a big deal, just an extra step to take every time.

I am putting together our church's new directory with ICON; until now it was done outside our office. Great!

Pros

I have been doing some new things with our church's ICON software and have been calling for tech support. I have found that whoever answers on the other end of the line has been professional, polite, patient, and very knowledgeable about the ICON system's features and functions. Because of this great support, I am able to use this software in new ways.

Cons

The only thing that comes to mind is that I am unable to print a directory with member info AND their picture together in the same file.

Church ministry is all about relationships. We want to keep track of personal information about people so that they know we care, without being intrusive or invasive of privacy. The ICON database allows for easy, up-to-date information shared among our staff while keeping personal details secure and private.

Pros

I use this software extensively for communication. I like being able to print labels for ministry groups, and for birthday and anniversary cards.

Cons

It is difficult to look up information from my phone. This feature is not something I need often, but I am very mobile in my work, and occasionally need to look up a bit of information while I am not at my desk.

As I am not an accountant, I find the customer support team to be superb! As a small church, less than 100 members, we find the cost to be very reasonable.

Pros

As a non-accountant, I like the ability to gather data for my reports. Once setup, with Icon help, I'm able to write checks to my vendors without having to reenter the account and fund information by using the last six transactions drop down. This is very helpful when writing payroll checks, as we only have three employees and we do not use the Icon payroll module.

Cons

When paying the credit card, the check number on the Credit Card Payment screen is the next number in sequence; however when returning to the check writing screen, the check number is not updated to account for the check written in the Credit Card Payment screen.

We have been using IconCMO for many years now and we are very satisfied with it. Not looking to change.

Pros

We love that it is hosted in the cloud for starters. Also, the fund accounting this software provides is perfect for churches who seek to be IRS compliant and who are looking to prepare financial reports based on different funds over extended periods of time. The reports are endless and easily modified. Also, support is easy to reach and are always very helpful.

Cons

The software is a little antiquated in it's design. Could use a facelift just for cosmetic reasons so it has a current feel.

The system is very easy to use. The start up videos are excellent and if you still have a problem their Support Team is just a call away. The added bonus is their is NO extra charge for Customer Support. That is what I call true Customer Support.

Icon has made mass emailing, taxes, and keeping an updated directory simple for our company.

Pros

I enjoy that each member can be made very specific. I also like that when you run any report you can limit the data that is produced.

Cons

I dislike that the program doesn't catch more name duplications. If one data entry person adds even a "Mr" to the original name, it immediately offers to add a new account.

I am a membership professional. I have worked peripherally with four different databases, two of which are famous and expensive. I have been able to do more with Icon than any of the others.

Pros

Customizable for our unique circumstances, coupled with near-immediate customer support that has NEVER been condescending. Intuitive presentation, with useful, searchable user forum(s).

Cons

Active/inactive Household designations that also apply to member status and cannot be removed. All else we have been able to manipulate for our own purposes.

Their support people are very knowledgeable, and consistently prompt with answers to questions. It's an affordable product with lots of functionality.

Pros

There are many things to like about the software, such as the report that you can generate that puts households with adults having different last names together, the ease in switching between household and member records, the ability to email statements to donors easily, and more.

I also want to comment that the customer support I receive is outstanding.

Cons

It is not considered easy to learn by the folks I work with, and if you don't work with it regularly, it can be easy to forget how to find what you need.

We are very pleased and would not change products.

Pros

That it is in the cloud, that we do not have to back up and it is accessible everywhere. The customer support is exceptional and we consider it a "local vendor." It is functional, it does the job, but without the customer support I do not feel we would be able to customize it enough to our needs.

Cons

I do believe it is lacking of some of the services that I would like. I am not crazy about the interface. I do not like the cumbersome "Members Portal," especially in regards to logging in (usernames/passwords).

My overall experience has been a mixture of frustration with resolve. Getting use to a different software that was not as sophisticated as the previous software, was frustrating. Having resolve to learn and persevere has been good. Icon support team has been fabulous and very patient with my questions and confusions. They have been gracious and good listeners too.

Pros

The price was the first draw to this software. Annually it saves the church money, in comparison to the previous church software product (Church Management Systems) we used.

Cons

Adding a new giver when processing contributions can be cumbersome. Having to leave the contribution processing window and then deal with the envelope numbers...and then returning to process the giving. A new giver should be able to be processed more smoothly. There are also frustrating parts of the finance side, especially regarding adding memo information. It would be helpful to go back into a journal or check and edit/add information to the memo for bookkeeping clarity. Also in Payroll there are some challenges too - primarily processing PR taxes. Nothing horrible, just a little frustrating.
