When I Work is a cloud-based employee scheduling solution that helps organizations track time and attendance, create and edit employee schedules, add new jobs to the calendar, review timesheets and fill shifts.

When I Work lets users manage schedules and track time on mobile devices using native and browser-based apps. Employees get mobile alerts when their schedules change and can request shift changes or time off using the app. Managers are notified when employees make time-off requests, and they can approve them online. Users can import employee data from spreadsheets or CSV files and help avoid schedule conflicts. Communication methods such as group email services and custom texting are also supported.

When I Work integrates with payroll providers such as Gusto, QuickBooks and ADP and is suitable for businesses of multiple sizes. Pricing is per month. Support is offered via online videos, documentation and ticket.

Pretty straight forward piece of software which was super easy to implement in a large operation. Overall, very happy with it and would recommend to anyone!

Pros

We implemented this software for a staff of 52 hourly employees and found it to be incredibly helpful as opposed to scheduling on excel. It was easy to drag and drop boxes between employees and see shift swaps. We also liked the easily accessible app - no more excuses! Overall, it simplified scheduling, making it much more accessible for our very large staff.

Cons

When initially setting up the difference office locations and shifts, it wasn't as easy to edit. However, with some practice, we developed our method and got into the swing. There may be an easier way when initially setting up the schedule, locations, and shifts.

I have found this product to be extremely easy to use with minimal glitches and speed bumps. You can start for free and continue at a great rate so you also get a good value for what you pay.

Cons

Although there is a pretty extensive list of article in the support/FAQ section on the website, getting personalized customer support requires submission of a ticket and I have found the response time to be very slow.

We never used WhenIWork with our employees...nobody received login info or a schedule. We found it didn't work and we contacted WhenIWork pretty much right after signing up and they refused to offer any refund (we paid for the year). This is such bad business.

Pros

Looks fancy - good concept. The marketing of the product is well done and they seem to be able to convince many people to buy.

Cons

Doesn't work well for businesses like ours that require multiple shifts. We run a non-profit school where teachers take several consecutive shifts at times.

This system makes keeping track of hours, clocking in and out, requesting time off, and verifying time sheets a breeze. It is super user friendly and both the app and the website are extremely easy to use.

Cons

The "location" feature to verify that you are clocking in at the correct location is sometimes a bit off and you are prompted to explain why you are not at the correct location even when you are but I believe this can be easily overridden by management.

Cons

I didn't see a ton of cons, minimal inconveniences, for example, sometimes it was buggy. We stopped using it because after a while, we just did not need it anymore.

This app makes it super easy to clock in and out of work. You can also go in and edit any times that you forgot to clock in or clocked in/out late for some reason. That layout makes it easy to see your schedule and you can also see who else is scheduled and in what position. You can also request PTO and time off and indicate whether it's paid or unpaid and add notes to your request. It's just an overall really great resource to have for any type of business.

Cons

The only con would be that if you have your location services on, it will create a flag if you're not a specific location of your workplace when you clock in or out. That can easily be avoided by turning off the location service on that app though.

For our Camp sometimes a person could be doing multiple jobs throughout the day, so I like that I can color code each job. This makes it so much easier for our staff to know where they are going.

Cons

I would like to see the clock in and out system with out having to pay for it. We already have a system and its free, I would like to see if this is comparable or better than what I have now.

Great for construction when we have guys on the road all over the state each day

Cons

Not much to not like about this program. It's perfect for how we use it. However, we have no used the GPS or time clock management portion so we cannot speak to how well that functions

When I Work is truly a great tool for scheduling. Use it for forecasting as well to determine where you can make the best use of your resources across one or more projects. This tool also helps you understand what your organization is capable of handling. It will definitely save you from scheduling headaches and the potential issues around delivering work when you are better able to have full visibility across all your teams and the projects they are working on. A great stand alone tool, as well as a great integrated tool.

Pros

When I Work is a simple and truly effective time scheduler for resourcing projects in your organization. You can track across one or more projects, as needed, and identify time availability for the work that needs to get done. This is often one of the most challenging aspects of keeping projects on track and very few project management tools can help you like When I Work can.

Unlike the "capacity" view of other applications, When I Work gets down to the most granular details. It allows you to identify when and where a team member will be used, including time-off, breaks, lunches, meetings, etc. You can use these categories to identify how best to allocate their time.

The scheduler allows you to see teams based on shift or positions (roles). You can track un-paid breaks and time off, as well as customize schedules and create templates for reuse. You can even create specific shifts for one time or recurring use and maintain notes on each entry. It also provides high level visibility of total individual team member capacity as well as what is scheduled and what has already been used.

View your teams across one or more projects or job sites and distribute resources across them all as needed. It offers program-like management of projects and does not restrict you to individual projects, which can become cumbersome when re-allocating time of one team member across two or more projects.

When I Work is a great tool for planning, or simply use it in addition to your project management application. Its scheduling features make it a powerful tool that lets you forecast as well, by easily making changes in schedules as needed. You will spend less time manually calculating your resources and where to place them, saving you time and money. Changes to any schedules are easy to see and the responses are easy to manage.

When I Work also offers features like task management, which allows you to manage projects of less complexity in the same application. And if you are looking for integration, yes, you can use their library of APIs for that. But, you need to click on the developer link at the footer for more details. Their integration features are not prominently displayed on their website.

Cons

No cons I could personally find for the application and its use. Integration via APIs are present, but this is more for organizations who have techs who can implement them. I have seen organizations with limited development capabilities due to their areas of expertise, where integrations might pose a small challenge... but this should not necessarily pose as a true con for you.

Love the modern design and structure of this app. Your able to just pull up your phone and see not only your schedule but also your coworkers so it makes meetings and project planning super easy. The in app work chat also keeps everything work related in 1 app for easy access.

Cons

For my job we use our phones to clock in and out but at times its rather frustrating if you happen to start your day for a work related meeting off site and since this app can track where your clocking in and out from (Which you can disable this in your settings) it puts red flags on your timesheet which is a pain at times.

I have no complaints with this software, very convenient and easy to use.

Pros

I like the convenience of being able to request time off and also to speak with other associates regarding shift changes and/or requesting shift coverage. It makes it very easy to communicate with my fellow employees as well as my employer.

Cons

The format can be a little confusing at first. You have to look through all the sections, such as chats, requests off, availability, etc, in order to orient yourself. However, this is not necessarily a complaint as much as just simply learning the app.

Cons

If you need many reports for tracking purposes, When I Work does is lacking in this area. Also, the pricing structure is not as budget-friendly. The least expensive tier only covers one location and five users.

We made a great decision to go with this software, it has made scheduling so much easier and more productive. The employees are able to select the shifts they wish to work more easily. Cut down nearly half of the email traffic.

Pros

The software has the capability to view schedules for employees daily, weekly, and monthly, also allows you to select by job site as well and customize shifts.

Cons

I am unable to enter multiple shifts when using the app whereas I am able to enter and entire month at a time on the desktop site.

Simple, easy, and intuitive way to create work schedules. Keep track of your schedule on the go with the When I Work App. There’s also a way to set up time clocks so staff can punch in and out of their shifts to keep track of hours worked. Staff can also request days off or to switch shifts with a fellow employee.

Cons

With the most recent update, setting daily availability seems to have been removed and only setting availability for the week is possible. Definitely something easy that can be fixed with another update though.

This is a great tool for managing a flexible, hourly workforce and is simple enough to be easily grasped by all. The interface is simple and intuitive and mobile.

Pros

Very simple to learn as a user. The mobile application works well for simple things like accepting shifts, checking the schedule and requesting time off. I like that you can upload a photo to your profile and like the workchat functionality for requesting shift swaps and keeping the team abreast of issues.

Cons

When I request time off, it sends an email to the CEO, COO and management team listing every one of my (historic) time off requests. This causes them stress and seems necessary. I would rather the individual request was sent as one item since the previous requests were already seen earlier by management.

This takes the pressure off the manager for switching shifts, and lets the employees take care of this on their own. They can also request days off through the platform, so all of my scheduling information is in one place. The approval process notifies employees as soon as the schedule is published.

I love it! It's been a game changer for a small company with continued growth. As our number of employees increased so did the challenges of managing a schedule in-house exclusively.

Pros

The customer service and support has been fantastic. Everyone from intial setup and launch to billing. It honestly has been remarkable. I love the flexibility of both desktop and app utilization both for the person creating the schedules and the users.

Cons

Due to how we schedule, it took some creative problem solving to customize it to our needs, but customer support was there to help. I would like to see an easy way to print the schedule for the department. We export it to excel and make some modifications to make it work for us.

Pros

When I work offers a fantastic time clock at such a great price! Even thought I'm a single employee business, I like to track how long it takes me to complete each order, that way I can price my items effectivly. When I work allows me to easily clock in and out from anywhere, which allows me to even track the time it takes me to purchase supplies. Best part is it is free!

This is a great program to use if you have a smaller work force. I do not know how it would review if it were larger. Great functionality to see your own schedule and others you work with.

Cons

You have to pay extra once you have a certain number of employees, meaning you cannot keep seasonal staff on the program if you have more than the allotted number. Would be great if it had a bulletin board or messaging program that could go out to the whole staff at once.

Overall, this site is helping me figure out how I am going to set up each schedule for my business. I love the free option for this and how it works like any other scheduling site. I had an issue with trying to build a schedule and this helped me solve it. I can manage each worker and also tell them what tasks they have to take care of. I can put the information easily in the boxes that are given.

Pros

My favorite thing about this site is that I am able to get my team together that I have for projects and assign each of them for a certain project. I love the scheduling tab and how efficient it is. I want each person that is working on a certain project to do it at a certain time, so this helps organize everything. I also love how there are helpful button options to help when you are working on setting up each schedule. When I have to go into detail about certain things I can just talk with each person through the work chat. I will work on using this option more, because it’s helpful to talk about the details of a project. I like how I can start the schedule off at the time I need to start it off. Easy to use and I can edit if need be.

Cons

I wish there were more colors displayed on this website. I don’t like some of the colors. I also wish that there were more budget tools in the display area. I also don’t like how the notification bar comes from the left side of the screen. I wish it would pop up or I wish I could put that notification bar where I want to put it.

Allows for easy scheduling and time clock management

Pros

I use when I work to schedule my nearly 45 employees and we love it! It not only gives them their schedule but also has a timeclock in it. It even tracks vacation time and sick leave for my employees!

None, my employees and I really enjoy this software

Convenient use for everyone to submit their availability and easy scheduling. We used to do this with excel and it was so hard.

Cons

You just need to build rhythms around it to make sure people are actively using it.

I love how easy it is to look at the schedule and know right away who is working, who is off, and who is available. I think that the color coordinating helps me to understand the schedule faster as well.

Cons

Although there is the possibility to add different locations to the job list, this seems like it is for permanent locations, like a second office. I need the ability to create multiple different locations per week.
