Xola Software


 

Xola is a cloud-based booking solution that allows activity and tour companies to manage bookings from a variety of different sources including via the phone, websites or in person. The solution provides a mobile interface and can be accessed on smartphones, tablets, laptops and desktops. Xola offers cloud stoarge of all data which ensures that multiple users can login from anywhere and make edits in real time.

Xola supports phone and in-person bookings by providing integrations such as cash drawers, swipe and pay, receipt printer hardware and point of sale tools. The system offers credit card processing, which allows tour operators to accept online payments from their customers. Users can manage calendars and schedules for every outing. Activity managers can include blackout days in their calendar for holiday closings.

Xola offers other features including resource management, resource sharing, guide management, custom questionnaires, roster management and business intelligence. The solution also captures signatures whenever users modify any document. Xola offers APIs for integration with other third-party applications.

Overall the software's reporting functions were inadequate and the additional work this created offset any of its good features. Customer service was helpful and timely but that cannot overcome the limitations of the program itself and it ended up not being a good fit for our business.

Pros

Fairly easy to use. Clean, professional looking layout. Easy to make changes to orders and update patrons.

Cons

Terrible reporting and lack of customization for reports made bookkeeping a nightmare. Adding buttons and show listings online was not as intuitive as it could be. Simple features like having event rosters be in alphabetical order are absent.

It must work for the guests. We get daily bookings. I never have looked at it from a guest booking view.

Pros

I check daily bookings. I normally don’t look for much else.

Cons

It’s difficult to see and use on my iPhone. Sometimes when pulling down the days overlap. Log in comes up very small on iPhone. Log out isn’t easy to navigate too because it has to be enlarged to close. To many features that are not needed for my purpose.

It's been great - Xola is the clear choice for escape room scheduling and online booking payments.

Pros

Xola's has pretty much thought of everything and makes it very easy to manage checkouts and payments for a modern escape room. Their support is always there and willing to go the extra mile. I've been in online business since before Google was a search engine - and Xola is flat out impressive!

Cons

The only thing I can see that Xola can do better, is to allow the company (business owner) to redirect a customer to a specific page after the purchase has been made. That one feature would allow us to directly track all of of our Google AdWords and Facebook Conversions. ...Yes, I know that Xola has a "conversion tracking" setting... but it is not BULLSEYE accurate like when you are able to track your conversions DIRECTLY inside of your Google and Facebook Campaigns. I need to know "What ad triggered the conversion - what keyword did they click on - and then I know what is working inside of my ad campaigns." Pushing conversion tracking to Google Analytics (as Xola does now) does not allow me to do that. Let us redirect the user/purchaser to a specific page on our site - you'll give your clients insight into their advertising and they'll end up pushing more money back into Xola.

Our monthly costs are lower than with our previous system and the customer support is more robust.

Pros

The initial start up and basic functionality is good. Not overly complicated.

Cons

Too many obvious functions that are not included: no group name in client info, cannot make adjustments like deleting tax after a reservation has been saved, reporting functions are limited... I'm no programmer but feels like there are plenty of options that would be easy to add that just simply are not included.

Overall, Xola is great for everyday transactions. But it's incredibly difficult to get the behind-the-scenes data we need about those transactions and the website can be buggy as hell.

Pros

It's intuitive for basic, everyday needs: making reservations, taking payment online or at the door, making coupons, rescheduling reservations, etc. Most of the functions are self-explanatory. To refund someone, you click the "refund" button. To make an additional charge, you click the "charge" button. Nothing too complicated and nothing too difficult to find.

Cons

Behind-the-scenes stuff can be difficult to access. For example, I can't see all the people who were originally scheduled for a specific date in order to determine how many people reschedule away from that date. I also can't filter my tag searches. I want to be able to search for "all bookings with [X tag] between [Y date] and [Z date]." To do that, I would need to download a full report (which is NOT an intuitive process) and then manually search for these tags.
There is also not an intuitive way to split payments! If the reservation has a coupon or a non-standard ticket price and they want to split payments at the door, we need to have a calculator on hand and god help us if someone on a reservation with a coupon wants to pay for more than one ticket.
When a customer's card doesn't work on a payment, it won't tell me why. Which means we can't tell the customers why and there are five extra steps they need to take which is inconvenient for all.
Also: it's buggy as hell. I can't refresh the page because it will log me out. I can't click the back button because that takes me to the first Dashboard (where only the dates and times show up and not the reservation names) no matter what page I am on. Two computers cannot take payment at the same time. The capacity changes don't always take. Sometimes, the website won't scroll.

I've yet to find the perfect booking system but we did take a pass on Xola after the free trial. When we initially looked at it, the model of charging clients a service fee for the booking was extremely off putting. At this point, they have different models to work with which include a flat monthly fee which is much more palatable. If we ever get upset at our current booking system, we would probably move to Xola next.

Cons

Not really any helpful resources to get your problem solved. You can solve it over chat but that can be annoying at times.

You can't integrate with MailChimp or TripAdvisor Review express.

Requests don't seem to get applied very quickly.

Overall I like xola, but when it doesn't work it really hurts.

Pros

Xola is a versatile system for many different types of recreational businesses-- we use it for many different activities and products. It is helpful to keep our schedule in order!

Cons

Maintenance is done at inappropriate times. There have been at least four occasions (on days that I have worked) that the service was completely unavailable when we are trying to sell tours and check guests in (keep in mind this is our busy season). It is a very important part of our business and it really hurts when the software is unavailable.
