Our Forever System

PROS

We were drawn to Aspire for its robust features and integrations with other systems we were already using, such as Quickbooks, Go iLawn, and others. With Aspire we've been able to streamline some of our processes and eliminate the need to copy information from one system to another. When looking at other systems, we couldn't find anything else that had all the features and capabilities of Aspire - CRM with email integration, estimating, scheduling, invoicing, job costing, timekeeping, payroll, and more. With all these features already built-in, we knew Aspire was going to be our forever software. It had the features we needed now to help us grow, and the built-in processes that will be crucial to maintaining efficiency with higher sales and more crews.

CONS

A major disadvantage to Aspire is their app - it kinda sucks. The features within the app are very limited. However, we understand that Aspire is working on developing a new and improved app that will hopefully be rolling out within the next year. Also, the implementation process is tough, especially for a small company that doesn't have a person, or team of people, who can devote themselves to learning and setting up the program. I feel like the timeline Aspire gives for the implementation process is grossly misleading. Please DO NOT think you will be up and running with this system after the 3 month implementation period! There is a lot of homework that has to be done outside of the virtual implementation sessions. It took us closer to 5 months before we could discontinue our contract with our previous software provider and start estimating and scheduling within Aspire. And even now as we're working within the system full-time, we're still getting templates set up and continuing to familiarize ourselves with the many features and all that this software can do.

Reasons for switching to Aspire

After experiencing two price increases within the first year of use with our other software provider, and already seeing the limitations within that software, we started looking for our 'forever system'. As a smaller company in the growth phase of our business, we felt like we were maybe getting in a little over our heads with Aspire. It's a big investment - more than double what we were paying with our other software - but such a robust system! We felt like it was only going to be more difficult to switch over the longer we waited, so we jumped in and haven't looked back.

Positive and continually improving. We are now 95% paper free and have eliminated a large percentage of manual tasks (recurring scheduling, invoice assistant, employee time tracking, route management, customer relationship management etc etc.)

PROS

We made the transition from LMN to Aspire a year ago. The ticket management system allows us to seamlessly schedule and make quick operational changes from the start of an estimate to the receivable balance. There is less room for error in each department and a system that keeps our billing on track.

CONS

Initial implementation - It took a lot of time to set up and train employees to use (customizing to our operations vs. Aspire implementation/help with setup) The cost was an investment and commitment.

Reason for choosing Aspire

Staying with LMN and waiting to see what new features were released which did not occur as timely as Aspire releases (and announces - LMN had to sign up for release webinars, Aspire I can review at my leisure.)

Reasons for switching to Aspire

LMN was lacking the job costing reporting we were looking for at the time and the seamless work order/ticket creation from winning an estimate. It was difficult to understand navigations and not as user friendly as we wanted long term. Mobile App for time tracking was not as straightforward. Also limited users/billing model per user became too difficult to manage with revolving hiring door in our industry.

Aspire Review by CWR

Overall i think Aspire is a good fit for our application. i think it provides a good system for job estimating and job costing.

PROS

The aspire software offers a lot of solutions we needed for our business. The fact that the billing ties to QB is invaluable in my opinion. The PO system has saved us hundreds of thousands in unauthorized / or incorrect billing. Deployment was a nightmare at first, we definitely didn't make it easy on our consultant, but he also did a pool job of guiding us in the correct direction. We had a change in consultants about half way through and she got us back on track.

CONS

There are small issues that are annoying... when you email a PO to a vendor it doesn't save a record on the opportunity or work ticket it's associated with, also it doesn't recall any email addresses, so you have to type in address every time. super waste of time. in the scheduler i sometimes have issues finding the work tickets i want to schedule (not sure if that's user error) Often times a work ticket will report committed costs against purchase receipts that have been received and approved making EOM procedures difficult, especially if the purchase receipt was approved ina closed month. I don't thnk the payroll function works for us... (not certain bc i don't do payroll)

Salesforce was good for Customer service documentation... not so much for job tracking. we needed a system that would complete both.

We are happy we made the change. The pros have defiantly out wayed the cons. It is just a beast of a program and a lot to learn. We still need a lot of training.

PROS

Job Costing Running Multiple Branches Easier Estimating-easier to train sales Communication between field and operations

CONS

CRM! It is horrible to write general notes! It took us a long time to receive a CSM.....I expected the customer service to above and beyond and it felt like we were rushed to graduate and then we had to bag for a CSM.

Ignite User Conference

Overall, we were very pleased with the conference, great job by everyone who put in the monumental effort to pull it off! We'll be attending the next one.

PROS

Interaction with other Aspire Users and the variety of breakout sessions and workshops. We're a new user and still learning a lot about the product, but very pleased with what we learned about where the product is going and different ways we our company ca benefit from it.

CONS

I would point out three negative comments about the conference, to try and improve it for next time: Power point has it's purpose, but there was not enough hands-on/live demo of the product in the breakout sessions. We would suggest that at the next conference, there are areas set up, similar to the sponsor booths, where we can interact in person at our leisure with Aspire personnel. It's not practical to try and squeeze in line with other attendees for five or ten minutes at the end of a break-out sessions and overload the presenters (who were always available and gracious with their time) discussing our individual company applications or questions. We were most disappointed by the lack of ability to spend some quality live/in person time with Aspire personnel (while looking at a live system if necessary) and get away from email and zoom calls. In addition to meeting other users, this was the main reason we attended the conference, and feel we missed out on that personal interaction entirely. Having vendors/sponsors presenting in the general sessions was a turn off, because their products do not have relevance to all attendees. It would be preferrable to leave them to their booths and individual break out sessions.

Reason for choosing Aspire

16 years ago we ran the company on QuickBooks and Excel. We've cycled through Service Autopilot, LMN, BossLM and final settled on Aspire, which we know is the best product after a lot of trial and error.

Reasons for switching to Aspire

BOSS was not moving forward in a timely fashion to make product improvements and seems to have lost is customer focus. One comment we would make about the Aspire is that being one of the smaller companies using the product, without a lot of internal structure or resources, we won't be able to use all of the capabilities of the product today. That makes it hard for us to justify the high cost and is why it took us so long to make a commitment to use it. If there was a product Aspire 'Light', we would have come on board a long time ago and grown with the product. With an Aspire 'Light', we could have started with what we know is the best product from the beginning, grown with it, and our company probably would have grown faster too.

Aspire Can be Your Best Friend

Overall, I think Aspire is great. It has helped our business grow and gain better insight into the true costs on a job by job basis.

PROS

Aspire can seem very daunting at first glance, but if you take the time to really dig in and learn it, Aspire is fantastic. I like that it updates in real time. That you can track productivity on a ticket by ticket basis. The ability to apply all costs to individual tickets to better understand the job profitability. And you can build pretty much any report you could ever need.

CONS

There are work arounds when it comes to billing set up (like getting the bill to info to match a certain Management Groups needs). I would like to be able to use a customer's email more than once, because of billing work arounds.

Aspire is very hard to set up if your client data hasn't already been combed over for errors. We struggled in the beginning, but Aspire's customer service team gave us smart solutions to any challenges we had.

PROS

The logic behind Aspire has challenged us to think about how we do business. We're now more agile than ever, and have refined our admin and operations processes immensely.

CONS

We use Airtable to track design projects in progress. Aspire has pretty decent project management tools, like tasks and activities, but it isn't a project management software. Its CRM functionality is a little rudimentary for our needs.

Better, Faster, Stronger

Our experience has been a very positive one. Customer support during implementation was very good. Ongoing support for users is excellent with very fast response times and knowledgeable representatives. Aspire is constantly making improvements to the system based on user recommendations and so far, each new version release has improved our user experience.

PROS

Intuitive user interface. Logical data query format makes finding granular data very easy. Reports are easily customized and shared with other users. Customer support during implementation was very good. Ongoing support for users is excellent with very fast response times and knowledgeable representatives.

CONS

Initial concern was pricing. Aspire appears expensive when compared to similar systems but it actually saves our organization money through better management of the sales and production process, resulting in better gross margin and revenue per employee.

Better access to information, better support, better remote access options.

Reasons for switching to Aspire

Asset is a robust system but customer support is essentially non-existent. This ultimately limited our ability to fully utilize the system which made it a frustrating roadblock to any success.

Great at what we need it for

Aspire is innovative and best in class for the critical functions. I am confident they will continue to provide updates to the product.

PROS

Job costing, estimating/pricing, systemizing sales and production. Great data. It is scalable and a true enterprise solution.

CONS

All of the accounting functions are cumbersome, yet powerful. There is a sharp learning curve. Only part of the software is available on mobile. Site audits and client communication are somewhat limited.

Great Software!

Really like it so far!

PROS

Real-time reporting on estimated vs actual hours on maintenance and construction projects.

CONS

App has some challenges loading in some locations, would be great to have estimates converted to Word as an option.

Overall its very good and would recommend to anyone. Our CSM is great and has been a guiding light for the last year or so. [sensitive content hidden] has been great for us and has really kept us in and not completely losing our faith in aspire. We see light at the end of the tunnel with the transition to earn rev and everything else is good. In the end you get out of the system what you put in, so we have a lot of ownership.

PROS

I like that it has a very robust base to what you can do and how you can do it. I think aspire has done it's best to create a system that can be be used by many companies. WE are all in landscaping but we realy run things differently and want a system that allows us to do it "our way"

CONS

-The issue base system is gutting better, but at one time that was a con for me. -The speed in that knew issues are resoled.- we recently moved from inv to earn rev. That was a big problem for us and i dont believe that aspire had a good way or a thought out process to get us trained and move us to earn rev.-Need a more CRM sales base function to aspire. I know its coming but not fast enough. -

Getting Better All the Time

PROS

It is easy to use and gives tremendous amounts of data for analysis to enable us to make good business decicisions.

CONS

Where do I begin... There is so much information in here that there are several things that we should be able to do within the system as opposed to having to export the information and create our own data tables. For instance, all Contract Direct Costs exist within Opportunities, so why is there not an easy way Aspire has a button to show us what our current Budget is based off of those values? This is something that every company should have and Aspire could help make this an easier process. Also, we need a better way of analyzing our top performing Properties and Companies in addition to our bottom performers. This can be achieved by exporting informaiton, but Aspire should be able to provide us with our Top and Bottom 10-25 with the click of a button.

Don't Get Mad, Get Data

I love Aspire and would highly recommend it to anyone in the landscaping business; however, it's especially a great tool for scalable, profitable growth.

PROS

I love that the Aspire team operates in "Continuous Improvement" mode: they are always working to create a better product for the industry. Additionally, this software provides the platform to capture so much data that can then be used to help our company manage scalable, profitable growth.

CONS

Understanding the software was created for a specific industry, my least favorite aspect of Aspire is that a lot of accounting-type functions are either not great or missing altogether. Inventory specific reports are somewhat lacking; there's not an easy way to put accounts on "credit hold" until clients bring their account current; etc.

Having gone through 2 other software programs before we got Aspire, I can say that Aspire was the easiest and most user friendly one. I really enjoy having the knowledge base and the Aspire support team readily available when you have any questions.

CONS

There are certain things that I feel Aspire could improve on:1) Real time labor increases throughout the system. If we have a labor or price percentage increase, it would be nice if the system was set up to update all areas that the labor or price needs to be adjusted. Currently, we have to go into each and every contract and update all prices and into each and every service on that contract. Very time consuming. 2) Having the ability to put the same service more than once on an opportunity. 3) Having more description on the mobile app than just the service on the schedule would help.

Aspire Review

Overall, I have really enjoyed the support that Aspire gives.

PROS

I like how structured the program is. You can't have anything slip through the cracks if you follow the clean out instructions.

CONS

I feel that they could work on making the app out in the field easier for the crews. I am excited to see what the new will work.

Aspire is great, but the support team needs more support!

Aspire is an awesome product, but you need to figure out why the support team is lacking so much. I suppose most people dont know, since you need admin access to contact them. At least figure out why bulk uploads are slower than manual uploads, and remove the "request zoom call" option if no one will honor it. It just looks bad. Why cant there just be a "Bulk Upload" option usable by admins in the web application instead of going through support?

PROS

It is the future of landscaping!

CONS

The support team is very slow, often replies in incomplete or gramatically incorrect scentences which makes it very hard to receive any instructions. At least get the support team the "Grammarly" app. And not once has the "request zoom call" option ever been honored. It also takes 2 weeks to start a bulk import (they have to escalate it), and then another 2 weeks for them to tell me its been done. The bulk upload is also very limited in what can be updated. In every case, it was actually quicker to do everything by hand instead of waiting for support. It's as if the support team is actually doing those "bulk uploads" by hand....

Aspire

Very happy with the program overall, tech support is lacking due to growing pains and the knowledgeable people being promoted within the company.

PROS

Having everything from bidding to billing on one platform has made a huge difference in our ability to job cost and see where we are making money and where we needed to improve.

CONS

There's a learning curve but the number of options outweighs that.

The versatility and it being able to access it from anywhere.

We needed something more versatile and that would better integrate with our accounting program.
