We've used this software for over 4 years now and it has added new beneficial features as we've gone along. It has helped us see a much larger percentage of direct online bookings from customers since we've begun to use it.

#### Pros

It has lots of helpful auto features which allow you to maximise income streams. The multi calendar option also allows our business to offer a variety of different activities at the same time to manage capacity levels. The overall price for this if paid yearly is very reasonable for the functions offered.

#### Cons

The only element we'd like to see is the ability to book multiple people into one activity rather than needing to do a person by person. This would be an option for a dropdown menu of some type. However this is manageable as we've found suitable ways around this that doesn't impact our customers.

#### Pros

I've had vcita for several years now and appreciate the comprehensive services they offer besides just the basic booking platform. I transitioned from a different system because I needed extras like being able to sell packages (vs single services), offer occasional discount codes, communicate with clients privately while keeping all the communication in the same place to refer to for later. I also like being able to send out e-newsletters and have an AI feature to help me polish my messages and give suggestions with integrated call to action buttons. And lastly, it gives multiple integrated ways to collect payments and issue automatic receipts that has my branding on everything.

#### Cons

Currently there's still no automated new client intake forms that is as smooth as a couple of other platforms I had seen. I hope it happens in the future though. I do have a workaround for it, so it's not a dealbreaker but I hope to see an ability to automatically ask all my new clients to complete a few required forms and automatically remind them if they haven't yet completed them before their first appointment (such as Jane app).

VCita is a great scheduling tool, it is not that hard to use or navigate through. Whether doing billing or refunding, or sending invoice etc., it is east to navigate.

It is intuitive, although we had to try and error to make sure the feature we set on works the way it should. We enjoyed how we can set up payments, and give clients option on how they want to pay.

It charges you for features that I think should be includes in the account. We were unable to change wording on an email campaign we wanted to do b/c we had to upgrade it. -While setting up client information, the fact that the more field we added, the more we had to scroll horizontally. That is too much work.

the way the calendar works really makes sense to me. It has a lot of great options for marketing but also for the overall organization of the platform.

#### Cons

There are small glitches here and there. Overall, I really wish we could make outbound calls with our assigned business phone number. That would be a game changer for us. We also have issues with the tipping option for invoices sporadically, and I do wish we could confirm appointments for clients in cases where they tell us directly rather than through the automated system.

It is perfect for a small, growing business of consultants. Lots of features such as marketing and reporting that helps guide our decisions. The customer service has been outstanding and listens to our concerns and makes updates as possible to help support us better. The calendar integration is great so we do not have to keep switching back and forth between personal and Vcita calendars. Love the client portals that give a sense of security for document management and a level of autonomy for clients to see invoices, pay invoices, and schedule services. The program is very straightforward with a small learning curve but is great for mobile or desktop applications. Truly is a good value for the money.

While there is great team collaboration, the dashboard is visible to all levels of the organization. Not all staff need the tools for reporting and seeing sales information for the business if not applicable to their positions.

Overall, I find it to be a useful platform for scheduling courses. The dashboard is easy to navigate and it is easy to share links to allow others to register as well. Vcita is a useful platform for single person registration.

I really appreciate the ability to coordinate the schedule with other schedules. I also appreciate that I can see conflicts from my personal calendar and visa versa. The platform is easy to navigate.

I wish it was easier for people to schedule groups or appointments without me first placing it on the calendar and sharing the link. I also wish people could sign up more than one person with on email address, as that is a challenge when a parent is attempting to sign two children up for a class. I also wish it allowed clients to choose from open times to schedule for a group

The clients used to forget the date/time of their scheduled video shoot but now with the automated messages sent by Vcita, they remember. I was able to create my terms/conditions prior to payment – this was good. With Vcita, I rarely get double booked.

It creates an appointment on my calendar with no need for me to call and ask students for their availability. And to be honest, I think that having all my employees listed on there (as opposed to having one employee listed) has worked out way better than I expected and has not crashed yet.

#### Cons

If two or more customers are registered under the same name, Vcita will merge their information and send the email address of the old customer to the new customer. This is "normal" according to Vcita support which blows my mind. Every time I try to export more than a handful of files Vcita will crash and I’m unable to get my data out, good luck trying to leave Vcita. The pricing is a little too high as well.

Overall I feel that Vcita makes it easier for me, but the key factor is that it makes it better for the students that take lessons from me. Fantastic. We implemented vcita in a very short time and became immediately proficient in using it. It was that easy. The Zoom integration was the clincher for us- it is, by far, the best video platform on the market!

Zoom integration! Appointment management is simple and intuitive. We are able to invoice clients simply without a worrisome billing system. Incredible communication tools built into the system. Notifications/Reminders.

I wish we had a way to allow the client to set the amount he/she would like to or is able to pay. Sometimes it is difficult to do the reckoning between reports in vcita and stripe.

I was using acuity but looked for other software, because of hippa option. I was ecstatic to see the client portal, unfortunately it is not optimal. Most features however aren’t hippa compliant. Really I only use client portal for scheduling and share patient handouts. Patients don’t have to log in like other apps, as it recognizing emails. Overall I do think it offers more than competition , but make sure you try every part to see what works for you and what doesn’t. Also customer service must be more present. Even after you pay they limit features until you use for a while , which is ridiculous. They will be better if they make conscious effort to improve

Able to customize scheduling page to be more professional and to distinguish services offered. Like the idea of client portal. Clients can go to portal to pay , schedule and can share documents. Works for me who share patient education handouts.

Some additional features are really glitchy and most features of the client portal I can’t use. When customers pay online , they are not taken to confirmation page or automated message . Messaging IS NOT secure , sometimes links In messages, don’t work. Documents are not secure. So since I’m using for health business, I had to get another program for secure messaging . Customer service good when you can each them, there is a 2 hour window only to call in a 24 hour day. Chat is not always available during business hours. It’s even worse if you are on east coast.

Overall, vcita has been a huge help to my business. I can easily add, change and remove appointments. I can be in touch with clients, and they can easily reach me. That is so important to my business.

I love the calander and the fact that reminders go out to patients automatically once tgeir appointment is in the calander. I also like the email feature that allows me to stay in touch with my patients. Lastly, I receive messages fron new and existing patients immediately, which allows me to respond to right away.

#### Cons

Occasionally, a patient will try to cancel an appointment through the app and I overall, vcita will not get the message.

Overall our experience with vCita has been great. They add a lot of features that are in line with the current temperature of the market and they support their releases with webinars and training calls. It is nice to have training available for new release feature especially when those items are not at a cost so it doesn't feel like a sales pitch in disguise.

#### Pros

vCita has a lot to offer small businesses and service providers. Great for booking, communication, and client management. Works exceptionally well in industries where email communication is not the norm. Lawn care, salons, medical offices (has levels with HIPPA compliance), Axe throwing bars (reservations and waiver completion).

#### Cons

This solution would be perfect for solo entrepreneurs if they could lockdown being a legitimate email enabled system. As is it does everything a small business or single consultant needs except its painful to get clients to use the client portal once they have had a single email communication with you.

Salesforce was more robust then we needed at the time and vCita offers more bang for your buck.

INCONSITANCY with the App. not only with loading time but can't log in several times a month for a week or so then "magically" we can log in (what the heck?? !!!)

When it works, it's fine BUT when it doesn't load it's a damn Nigh mare burning Executive TIME and we alll know Time is Money. Not having a Live Body Customer Service Dept. in an insult from any service provider to their customers.

This by far is the best user-friendly platform I have seen and implemented. I have used several types of CRMs over the years, but this works by far the best for me and what I am doing. I refuse to change!

#### Cons

Like everything there is always room to grow or for improvement, but Vcita has so many apps and integrations it made it so simple to create and implement almost immediately, hardly much of learning curve at all! Vcita now has their own CC processing if you don't have one set up already with paypal, stripe or square. the only drawback is they don't batch right away and can take few days to see in account, but if that's no big deal, then Vcita is the way to go!

Having been a customer for several years, vCita offered an all-in-one solution that few others compared to at the time. However, very little has changed in the last 3 years other than some unnecessary aesthetic updates and very minor enhancements. I got on board fully aware that there were several missing features I needed which were on the top of the feature request list and I put in place workarounds to suffice until these features were going to be implemented. I'm talking about pretty fundamental things, like the ability for online payments to be accepted with sales tax automatically calculated, and add-on/bundled products/services. Instead of the development team addressing critical upgrades the community is begging for, we get branding updates, color scheme changes, and random issues where things that have always worked fine no longer work properly. Customer service is all but useless, and I constantly get the feeling their priorities lie in marketing the outdated product they have rather than improving it. If you try the product and feel that it accomplishes 100% of what you need it to do, go for it. But if you find that it looks great but misses the mark on a few key areas, don't jump on board hoping it will be addressed in the next decade. Keep looking. I'm done waiting.

I've been using it for over 2 years and I really like the product.

#### Pros

My clients have a secure place to connect with me and share documents. They can request appointments based on days and times that work for them. I can manage my workflow more effeciently.

#### Cons

I wish the software had the ability to link 2 or more individuals to one business, so that they all receive the emails and requests.

The ease of the software. The way you communicate with clients.

#### Cons

Would be nice to be able to create a web form with hyperlink to use on my website that integrates information to clients on portal. Compares to a Microsoft form. More control of the setup of the dashboard. Text messaging should be included and unlimited. Able to setup reoccurring payments from clients through system.

I provide business management consulting for optometrists. All my work is done through appointments and email. vCita flawlessly syncs my calendar and allows clients to schedule when I'm actually available. Prior to vCita, I spent way too much time suggesting times, getting voicemails, etc. Besides that, they have done a great job of allowing a feature-rich "live-site" that is easy to set up and super customizable. I think for many businesses it would suffice to be the landing page.

Very simple appointment set-ups. Before vCita there was a ton of back and other emails, or worse than that - phone calls.

#### Cons

The invoicing/billing system is not as robust as some other programs out there. Specifically I would like the program to send out regular monthly retainer billing.

Scheduling interviews with businesses in different time zones used to be a nightmare before I found vCita. Now, I am confident I'll never miss a call thanks to vCita sending notifications to both parties in our respective time zones.

#### Pros

The vCita Team is very responsive and open to new feature requests. All it took was a suggestion of making directions to a client's location accessible through the app and they made it a one-click solution! Because the app works across different devices, I can run my business from anywhere.

#### Cons

I'm ready to delve into their email campaign feature and see it integrates with Constant Contact. Having more auto-responder integrations would be great.
