It has delivered on that. Permissioning by group is straightforward, the interface requires almost no training for external users, and the usage analytics help us continuously improve the experience for counterparties. We run diligence with tenants, lenders, and project finance parties simultaneously, and IDEALS let us segment access cleanly by group without maintaining separate rooms. Building and updating group permissions is fast and intuitive — we can adjust what a counterparty sees in minutes rather than rebuilding folder structures. The platform also presents extremely well to external users. For counterparties, the data room is often their first real look at how we operate, and IDEALS gave us a premium, organized first impression that reflected well on our company. Reporting has been more valuable than we expected. Seeing which files each group is actually opening tells us where the questions are before they get asked, so we can tailor materials and get ahead of diligence requests instead of reacting to them. Finally, the Claude integration has been a genuine step change. Our contact was helpful when/if we reached out. #### Cons When downloading files the downloaded file included the location number in the beginning of the document title, this was burdensome when needing to duplicate a room. I would have to download the entire room, rename each document and then go through the process of creating a whole new data room. It would have been much easier to be able to simply copy a data room as it was set. Some of the documents had too long file paths when downloading which would create 0MB files, not helpful. #### Reasons for choosing Ideals Virtual Data Room We actually moved away from iDeals to use FirmEx in June 2025. It is easy to use and offers many options to make the experience as tailored to your due diligence processes as you want. I have had the need to use the customer service many times and they are always helpful and responsive. I also appreciate the improved layout since the front end update. We have had several account managers and all of them have been very helpful in finding the subscription that fits us most, without selling us things we do not need. Downloadable project archives, next to physical USB drives, are a great addition. #### Cons In a few processes we needed more granular data access options withing user groups. Also suggest having a tutorial for using the desktop version. Our team did not fully appreciate the functionality of the desktop version. It comes with all features that are needed and a supreme customer service. #### Cons I had some problems with numbering of the folders I tried to do the bulk upload of the VDR folder structure. I managed to resolve issues and was even offered help from provider to do it instead of me. There is a notification available that informs your about reaching the certain Gb amount in your VDR. For your next project just reach out and we will help you to set it up. With regards to Recycle bin, if you would like to keep these documents as a part of VDR (and you would like to have a possibility to restore) they will be counted in. However, if you decide that you won't need them more, you can just empty the bin and they will be removed also from your overall Gb limit. And really the reporting abilities that you can export to know who is actually logging in and using the site is a great resource. #### Ratings breakdown - Ease of use: 4/5 - Value for money: 4/5 - Customer support: 5/5 - Functionality: 4/5 #### Pros Once I realized the depth of reports I could run on usage/uploads/downloads etc. I found that quite compelling and am glad we are using this product rather than an internal drive with a secure link. #### Cons It can be a bit "clunky" at times - particularly if you are replacing items in a folder and you use a very specific naming prefix. Might be great to allow the Admin to select whether or not to use the default numbering system as part of the file name (we had already done so internally and therefore had to remove upon uploading). #### Vendor response Dear Angela, Thanks a lot for your feedback! You can switch off the automatic indexing in VDR settings (General Settings -> INDEX -> Automatic document indexing: -> Off) and use your own numbering, which in such case should be a part of a folde/file name.
