Deltek Costpoint Software

Deltek Costpoint is an enterprise resource planning (ERP) and management solution designed to meet the requirements of midsize and large enterprise businesses. The solution primarily assists government contractors, professional service firms, and not-for-profit businesses with project management, accounting, labor and material management and business intelligence functionalities.

Costpoint is available as both web-based and on premise application. The solution helps to streamline processes like project billing, revenue management, expense tracking and compliance management, enabling businesses to monitor all operations through a single screen. Costpoint compares the actual project progress against the planned schedule and highlights the achievements and pain points. The "What-If" analysis helps to analyze multiple outcomes of same situations under different circumstances.

Some of the other features include time & expense management, contract management, payroll management, reporting and compliance management. Costpoint is used in the variety of industry verticals, including aerospace and defense, high-tech, healthcare, nonprofit and education.

I would never recommend this system. Build your own T&E system before investing here.

Pros

It works, most of the time. That is all I have to say, because everything else is negative. See below...

Cons

It is not user friendly, very clunky system, and it is not intuitive in the least. You can barely put in your time without messing things up and trying to adjust time after a period closes is terrible.

This Software is a must have for any Gov't Contractor that wants to do business in this space

Ease-of-use

Functionality

Customer Support

Value for Money

Pros

The application is very powerful and very flexible which allows you to set things up for your business as simply or as complex as you would like. The ability to enter everything only once and capture all the data needed to properly allocate all of your Fringe / Overhead / G&A or Material & Handling Cost Pools is critical to being able to prepare DCAA / DCMA compliant Invoices, DCAA Disclosure Statements and Incurred Cost Submissions. Every module that you add on automatically links with the existing Accounting data so no extra steps are needed to get different modules to talk to one another.

Cons

Not always easy to tell if or when a patch is needed to update a specific module. Don't really know anything is needed until you run into an error message. Sometimes it is hard to update or patch just the application that is giving you problems because fixes can cover more then one application.

Pros

The Costpoint enterprise suite allows a complete set of tools that can influence critical business decisions in a vertical business. What sets this software apart from others, is the tools available to customize the software using Extensibility.

Cons

Limitations on customization unless you have in-house experience or willing to pay for consulting which is a consideration.

Pros

It is DCAA compliant. And, I suppose the accounting features work. But I wouldn't call it ERP and I certainly wouldn't say it does business intelligence.

Cons

User experience is horrid. The interface is old, is not user friendly, and it takes 18 clicks to do anything.

Costpoint is a dynamic system with many features that are automated. We use it for not only our accounting system, but also our budgeting and reporting. It is complex and able to do many things, but the right people must be in place to ensure the system works for you and is used to it's fullest. We are only using some of the capabilities of the system, and have only started to unlock all the possibilities of the system 2 years into implementation.

CostPoint have many great functions, where you can track your expense, revenue at the different project level. In addition, the built-in formula format allows you to follow different rules.

Pros

Software drills into the detail of each project and each labor. It allows you to have more thoroughly analysis of your project.

Cons

Kinda of over complicated to small/medium size company.

Advice to Others

develop a version, simpler and cheaper product for small/medium size company.

Too expensive for a Small Business

Value for Money

I just completed the demo of the Deltek CostPoint SaaS offering. The product looks great and would probably be of great help to my business, but is ridiculously overpriced. CostPoint is priced based on the number of employees. For 60 employees, I was told I would have to pay a high annual fee that does not include add-ons. NOTE: This is sold as a SaaS solution, but Deltek requires the entire annual fee up front. In addition, I was told that the setup, data migration, and training would be handled by a 3rd party via a T&M contract and typically costs 1.5 times the annual fee. This is not a solution for a small business.

Advice to Others

Stick with QuickBooks as long as you can.

Customer Support

Our company implemented a suite of products including Costpoint and Time and Expense approximately 3 years ago. After seeing applied changes and specific product roadmaps at Deltek Insight 2016, I'm excited about the direction of system improvements and enhancements to functionality and features that are either a reality now or coming in the very near future!

Pros

Web-based - accessibility anytime, anywhere. Ease-of-use over Oracle products I've used elsewhere. Customer support engagement through various channels.

Advice to Others

Make sure that you do an internal assessment of how ready your company is for change as this will facilitate knowing when it's a business process decision versus a system design or configuration topic (consulting hours are precious); dedicate resources for change management, marketing/communication and training and ensure that Executive Management is not only tuned in, but engaged throughout the process.

We have had some recent not so positive experience with Support - being told for almost everything to apply the latest patches when they can't show us where in the patches it is going to fix our problem is not encouraging. After working through all the Hot Fix applications - we still have the problem - so, being to to apply them did not help. (Just a bit discouraging.)

Pros

We love the Web version and capabilities - looking forward to Extensibility

Cons

Pros

It does have a lot of features that support Government Accounting. It allows us to enter very detailed levels of project string, ORG codes, and GL Account Codes for every transaction.

Pros

From an HR standpoint, the system is very easy to use and well thought out. The reporting is easy to do for mandatory compliance. It makes our jobs easier. We just starting using the Talent Management last year for applicant tracking and onboarding. Once we go live with the integration from Talent Management to Costpoint, it will create efficiencies for HR and payroll departments.

Cons

Once some is entered and saved in someone's record. It can be hard to remove that person. There also seems to be a lot of hotfixes, but it does make the system better in the long run.

Pros

The flexibility it provides. With both private and public clients, we are required to provide invoices to clients in many different formats, and some project setups can be quite complicated. Costpoint allows us the flexibility we need to manage our projects effectively and also meet our client's needs. We also love the extensibility tool introduced with Costpoint 7 that has allowed us to customize the software in order to enforce many of our internal procedures and business rules.

Cons

Because of it's flexibility, it can be complicated, which leads to errors. We hear from our new users that systems they worked on previously provided more of a standard workflow that guided them through the project setup process. We realize this is very difficult to do with some many different project setup requirements, and we've tried to accomplish some of this through the extensibility tool.

Pros

I love the versatility of this software. It does so much and we can pull a lot of different information. It's very detailed in most areas and we can hold notes as well. Since I work in payroll, I think that the people and payroll modules are most useful for me.

Cons

I really don't like that we can not accrue a non-cash fringe. We have asked and asked for this feature and it has never been considered. All our employees accrue fringe non-cash to use towards benefits.
I also don't like the way the employee garnishments are set up. Every time there is a change to a garnishment (such as the amount in a child support order), I have to stop the garnishment and set up a new one in order to preserve any history. It can be confusing for anyone else looking at someone's file. Also, the note field is to small, doesn't hold enough information for the order (like children or custodial parents) that used to be included in Costpoint 6. I was disappointed when this was removed.

Costpoint is very complex but quite easy to use once you are familiar with it.

Pros

I like that the many different modules are so integrated. The query parameters that you can create for yourself and/or others makes it easy for monthly tasks.

Cons

I would like Costpoint even more integrated Time & Expense...one database. The reporting functionality needs to be made even more user friendly.
