CounSol.com offers a cloud-based practice management solution that includes management tools for electronic medical records (EMR) such as client notes, insurance claims, appointments and billing. It is best suited for solo practitioners and is HIPAA compliant.

Users can configure a client web portal that allows patients to view emails from users' practices, schedule appointments, pay bills and write in a patient journal. Clients can also access online video and chat sessions with their practitioner. Clients can also receive automated appointment reminders via email, text message or phone recording.  

CounSol.com also offers configurable client forms, practice terms and policy agreements, which clients can fill out online. Billing and invoicing tools support integrations with Stripe, Braintree, BluePay, Forte, Payscape and Authorize. Users can also sync iCalendar with the calendar feature to help manage scheduling.

Pricing is per user per month. Support includes an account manager, email and phone support.

I have been using Counsol for over a year now after trying out 2 other EHRs, Therapynotes and Theranest. The features of emailing or texting my clients of their appointments and the insurance billing functions are helpful for running my practice more efficiently. The customer service is top notched and they are quick to respond to any questions that I have.

They seem to be also upgrading the software to add or modify features.

My clients have told me how much they appreciate completing the paperwork before hand also.

Cons

Interface could be better and to use their insurance billing, I had to also pay a monthly fee to OfficeAlly.

Not sure there is a perfect solution for my needs but Counsol comes close

I have done 30 day trials of several others before trying Counsol.com and a few after but I found this one to be the easiest and most complete for my needs. I also really like having the video option in the portal instead of having to have separate programs.

Pros

Options for Video sessions, secure chat and emailing. Client portal is nice and allows me to keep handouts in folders and dictate by labels what clients have access. I do different treatment groups and individuals so it is very nice to be able to have handouts and homework in folders that clients can access on the portal. Templates are very easy to create and customer support is great. They uploaded my privacy polices and consent forms so that clients could electronically sign and there is electronic intake all on portal. I like that all is included in one price.

Cons

I found the some of the functions a bit confusing to get used to and I feel like I am still figuring out the billing but I have never used billing software before so that is probably why. Office Ally is the service they use and I know it is popular and so I am sure it is more about me than the software.
I wish there was an option to do a note for groups that would go to all the group members files automatically but that may be asking too much.

Cons

Before I started using CounSol I was still using paper charts. I have been able to convert all of my files, billing and invoices to electronic records. Using CounSol I can do video sessions and this plus all electronic records makes it possible to operate from anywhere.

One of the repr. is my account manager and he is super great! He never fails to call me or email me back quickly (usually within minutes) and always has the answer!

Pros

This software has simplified my practice management. I can do notes in less than 3 minutes and billing in just a couple of clicks. I get notices through CounSol when insurance has paid that includes the breakdown of what they paid and/or didn't pay and why and can post it right to the client's account. This software eliminated the need for an billing account manger saving me thousands of dollars and headache. The more I can do for myself the more time I have for my clients. You would think that having someone else do billing for you would save time but it has not proved true for me. In the past I still had to explain and teach a lot plus having to deal with a full or even part time employee takes a lot of time and energy not to mention it adds to problems I would have to deal with. This way I can do it myself and feel comfortable that my billing is done right.

I have tried my best to come up with a negative and I can not think of anything.

Overall, a great asset to manage and build my practice, review appointments and communicate with clients. Clients love the program in general. Support from the team member is outstanding and always helpful.

I was assigned a point person from CounSol.com who walked me through EVERYTHING (and still does!). He was patient and helped me get up and running in no time. They are extremely timely and available to meet my needs.

Pros

It covers everything I need it to cover to make sure my practice is up to date, organized, and really user friendly.

Cons

The only worry I have is about being completely electronic and not having a back up hard copy of documentation.

It has been wonderful. Our customer service rep is my coach and friend there, and always answers my questions immediately, sometimes even from home. He set me up on day one, and I have recommended colleagues who sign up with the company to ask for him specifically. It never bothers him that even a year and a half later I am still coming up with questions!

Pros

Once you set everything up, it is easy to schedule, cancel, document and bill for appointments. At the end of the day, it takes me five minutes to bill. I love that there is a seamless connection to my clearinghouse to receive my payment advice. I also really appreciate being able to click a button and view my clients faces when they or I am out of town. I don't need to pay extra rent for office days as my office can be wherever I am.

Cons

I can't think of anything I don't like.

Overall, I have had a great experience with CounSol.com. It's affordable and easy to use.

Pros

I love that I have an account manager. the customer representative is great. He gets back to you in a timely manner and is able to answer all of my questions. If he's unsure, the team gets together and they help problem solve. If the customer representative not available, there is always someone there to take over and answer your questions. It makes your experience more personable as opposed to a lot of places that you have to call and push several prompts until you FINALLY reach some one who doesn't know what you've been working on.
I love that I can add my own forms. The pre-made forms are compliant with insurance company standards.

Making and receiving payments is easy and everything is user-friendly.

Cons

It does take some getting used to. It takes practice to learn the system and to be fluent.

Pros

The support and comprehensive functionality of this software both add confidence in its reliability. I recommend it to counselors wanting to streamline their office and administrative responsibilities. The portal gets many compliments from my clients for ease of use.

Cons

The user interface is a bit dated but nonetheless reliable and seldom has issues, bugs or crashes. I have not experienced downtime, but find the UI less attractive than it could be.

I am pleased with my choice of CounSol.com. It's my first EHR and I don't imagine switching to another. It seems to do almost everything I want it to do and, since customer service is so responsive, I'm confident that they will be able to implement many of my suggestions over time.

Pros

Covers all aspects of practice management including scheduling, documentation, and billing. It's a HIPAA-compliant interface that includes secure video sessions (for a small additional monthly charge). A secure client portal is included, allowing clients to manage their own sessions, pay their bills, and send secure messages to you. It's possible to upload and/or create your own forms/assessment measures within the software and specify which clients receive them and when. You can share session notes with clients securely. Clients can journal within the system and choose to share it with you. It also includes your own referral page at counselorlisting.com at no additional charge. Session reminders via text, email, and/or recorded telephone message are included at no charge. Insurance billing is built into the software to make it easier to submit claims and increase your revenue. Session notes include check boxes and drop-down menus, which speed documentation time. You are assigned a customer service representative, who I have found to be *excellent* in helping me learn the software and troubleshoot difficulties. You can potentially reduce your monthly bill to nothing ($0/month!) by using referral code GMCSCU when you enroll and then referring others to their software.

Cons

If you're new to setting up EHR software, the learning curve can be pretty steep. There are so many things to set up and so much that the software can do that it feels pretty overwhelming initially, to be honest. Documentation is generally pretty comprehensive and my customer service representative have been able to help me through this, though. The interface isn't immediately intuitive and can feel somewhat clunky. Despite excellent functionality, the icon choices are (in my opinion) a bit cheesy in appearance. Initial setup of banking, insurance panels, credit card processing takes some time. Setting up forms for clients to complete is a nice option, but is somewhat laborious. Formatting options are limited. Not currently possible to have forms scored automatically. Very few preconfigured assessment tools included.

Advice to Others

Give it a try. If you aren't satisfied, they'll refund your first month's fee. Use referral code GMCSCU when you enroll to get $5 off every month.

Pros

Before I integrated this software into my therapy practice, I was very disorganized. Turns out, I still am but CounSol is in the background making sure I don't drop the most important balls. I keep track of client paperwork, scheduling, notes, insurance and billing all in one streamlined place! I have also found that they are constantly updating with new functionality I didn't even know I wanted.

Cons

They fixed the thing I liked least which is that now when I update an invoice or a calendar item I have the option to make batch updates to all other invoices rather than having to do each one.

My overall experience with Counsol.com is great. In the beginning, I had many questions to get started. Jonathan was informative and patient with me during my learning curve.

I mainly use the system for scheduling and documenting intake and progress notes. I use my own forms and upload them as attachments in my clients' charts.

Pros

I love the calendar that allows me to look at my schedule for a month at a time.

My clients get a text message 24 hours before their appointment.

Cons

Clients who have an android cell phone cannot access the videoconferencing feature on Counsol.

I would like for Counsol to provide a handout that I can give to clients about accessing the videoconferencing feature.

I have been more than happy with my experience with CounSol! I have referred several colleagues. As I've mentioned, the customer service is so wonderful! Most of the time I have responses within 24 hrs. Usually much quicker if I'm emailing during the day.

Pros

The customer service - you are assigned a person when you sign up and they are yours to help you with whatever you need!
Client portal/e-signing of documents (especial release/request of information document!!!)

Cons

Aesthetically it is not super sleak/shiny looking. It felt a bit overwhelming when I first logged in (admittedly I did not take utilize the guided tour option), however it is very easy to navigate and figure out. Also for what you can't figure out you have a rep (whoever you are assigned) to help you out!

To keep accounts fully current I have to go in and fill out insurance payments when they come in and then account for the remainder of the amount owed (as insurance pays less than what I charge).

I love that it keeps track of which progress notes that I haven't completed, it allows me to do various searches within the billing section, and also I love being able to send a link to new clients and have them complete intake paperwork before the assessment.

The integrated client portal, messaging service, and claim submission make this an easy choice. I love the back end changes that I can make to client documentation and portal permissions.

Cons

The only issue I have with CounSol is that they use OfficeAlly which does not have direct connections to all the insurance companies I am paneled with. This is a headache because I have to track payments using other means for several different payers rather than having them all, or most of them, come through one clearinghouse.

Pros

The ease of intake paperwork for my clients and all of my clients love the appointment reminder system which greatly reduces the number of No Shows that I have.

Cons

The billing feature. I am still struggling with it and then go to insurance providers websites to enter billing.

Ease of use. The software is designed specifically for mental health therapists. Clients can complete all their new client forms online before session and from there I can use Counsol.com to keep record of all their notes and communicate with clients.

Cons

I wish there was a little more freedom with the biopsychosocial to customize it. Also, the payment portal is not as convenient as I use another program (IvyPay).
