iO Practiceware: why I love the system overall

PROS

First of all, I must preface my comments by the fact that I am a solo practitioner, Retina practice only, seeing roughly 30 to 40 patient encounters a day. In an attempt to be objective about the various offer, I separate software itself from connectivity issues, as well as the overall frustrations with the need for EMR, PQRS, and MU governmental regulations, which already cast negative cloud over the entire EMR implementation process. What enticed me about this product was the touchscreen interface, in addition to endorsement by a large retina group we know. We also decided to go for a cloud-based EMR rather than in-office servers. Most importantly, we prepared for implementation for three months prior to the same, per the recommendations of iO. I believe that if your implementation is rushed with any EMR system, there will be issues that will be difficult to resolve instantaneously. Having said this, from the time of implementation, it took us only several weeks before I was up to my regular patient load without a scribe! After synchronizing our billing department and its processes with iO, billing has been more efficient than pre-EMR; payments have been faster as well. Of note, we implemented in September 2014 before the last-minute rush; we had started preparing from July 2014 for implementation. Although we started with templates from another practice, which were quite comprehensive, I've been able to tailor the templates myself over the last several months, which makes patient assessment/plan summaries more efficient.

CONS

There are a good number of steps needed from seeing the patients to check out. If I look at this objectively, however, most of these have to do with PQRS/PQR I and MU requirements. I'm able to make this more efficient by rearranging the button/templates, which can be done quite easily. Initially, support had been sparse. Recently, I am able to speak with an individual, as is my office staff, in a reasonably efficient manner. There have been issues with dropped connectivity on occasion. We are troubleshooting the same with iO; however, we are cloud-based, and I am here in the Midwest. This does not appear to be as much of issue with the software, as it is with cloud-based connectivity; nevertheless, I would choose cloud-based over server-based in an office any time, as updates are done overnight. The company is constantly updating their software. The company does respond to requests regarding software updates/modifications, and the speed of this is improving.

The software is good. The customer support and Cloud is absolutely terrible! The company does not care if your Cloud/EMR goes down. In January and February of 2020, my clinic was dramatically crippled with this issue. IMW team would just blew it off and did not want to address the issues. I have been battling them since then, and I refused to pay those two months invoices for break of contract. It cost me thousands of dollars to recover in clinic staff costs and delays. Now they say they will shut off all support to me. You can do better with any other EMR. DON'T GO WITH IMW !!!

We are a multi-specialty group that had been using iO Practiceware for almost three years. I was initially apprehensive, mainly because of stories I had heard of much decreased productivity after adopting EMRs. I have been thrilled to find that the opposite is true. In fact, by the third day after implementation, I was able to see a full load of patients with only a thirty minute lag. However, I do believe this success is entirely system-dependent. I ran into a physician that had used iO Practiceware in our office and then moved out of state to a practice that used another EMR (one which claims to have the highest number of installations in ophthalmology). He was extremely frustrated because after six months, it was still taking him twice as long to enter patient data. The drop down menus he was using in his EMR were very cumbersome. iO Practiceware, on the other hand, uses a touchscreen system which is lightning quick and simple to use. At this point, I feel it would be most instructive to list the attributes of iO Practiceware that make it so efficient to use: 1. The system is well thought-out and organized. There is an alert button which allows important "notes to self" to be placed on a separate screen. For example, I use a treat and extend protocol on exudative macular degeneration patients. I have a note in this section indicating the current treatment interval for a given patient. This alert screen can be accessed with a push of a button from any other screen. This precludes the need to flip back to previous visits to find a note indicating a patient's treatment interval. 2. There is a highlights screen which is very well organized. It lists the previous procedures and surgeries done on a patient. The previous retinal drawing is also shown. From this screen, a chronological list of previous visions and pressures can be accessed by touching the current vision or pressure on that screen. The font size used on this screen is very large so that information can be seen at a glance from even 5 feet away. 3. A separate interpretation and report for testing such as OCT or FA can be accessed at any time. Also op notes for lasers can be accessed at any time. 4. Referral letters are easy to generate and an updated list of physician phone numbers are in the system. The letters are sent by a simple push of a button. 5. The system is easily customizable. A computer savvy person can add treatment templates in a matter of minutes without having to hire an expensive programmer. 6. The monthly maintenance agreement cost was very reasonable when compared to other systems we looked at. 7. Service is very personalized in that we are usually able to work with the same person on an ongoing basis. 8. Information is stored on an on-site server rather than in the cloud. This has many advantages in terms of speed of information access. There is virtually no lag when images are retrieved. 9. Documentation of patient information is extremely thorough. All bases are covered. In fact, a practice consultant that does practice self-audits remarked that this was the best system she had encountered so far in terms of documentation. In summary we have been very happy with iO Practiceware. It has increased my efficiency by 10 to 15 percent over paper charts. Also, documentation is a hundred percent better than patient charts.

I am a both a retina and uveitis specialist; I work in 3 different practices. After experiencing a significant patient volume drop, an increase in wasted time, and complete inefficiency with the EyeMD EHR software that one of the practices I worked for purchased, I was in complete disappointing about the whole idea of EMR. In the 2011 ASRS meeting, I noticed the IO Practice Ware vendor, after a brief demonstration I was almost in tears of emotion as I saw the beauty, ease and efficiency of this system. I decided to choose IO for my other 2 practices and I will tell you why I love it so much!!! The first thing you notice is that it is touch screen, this makes the brain get accustomed to it fast, besides the design is very logical and follows your thought; like the iPhone of EMRs for ophthalmology. The second best thing is that every piece of exam information is on a single screen; you do not have to browse through 20 tabs to find back what the IOP is. The third thing is that it handles images in the PDF format; this is extremely important. Most imaging devices can print, so IO takes a Print to PDF file and uses it as your image file. This makes the program go ultra-fast. The best part of all, you see the images in a second screen while you read in the exam window (like a radiologist). You can open multiple images at once and browse through the PDF image files with extreme speed and ease. No need to wait until anything downloads through the server. I will also mention that E-prescribing with IO is too easy, takes really just a fraction of what it takes to write a prescription with pen and pad (you can technically write a prescription in 3 seconds or less with IO). After a year of using IO I must say, my patient notes are 300% better documented. My referral letters are all on time and take almost no time to create. I am seeing more patients than before IO (this EHR is extremely fast), and my revenue per patient is up as I can now code with confidence, support the codes with multiple diagnoses (chosen by me), the system reminds you when to use modifiers. Their customer support is lovely, they will customize each screen any way I want it to make me even faster. They will solve most problems almost immediately. In summary, I would recommend this software to any retina surgeon or uveitis specialist who is concerned about losing speed or seeing less patients when transitioning to EHR. I love the fact that I use IO, I am very happy for the choice I made. I feel that I have purchased a superior product.

We are an established general ophthalmology practice located in North San Diego County. In evaluating EMR software vendors, we were drawn to IO Practiceware because of its intuitive nature, the capacity for the doctors to easily draw findings in the patient chart and because it was specific to ophthalmology. We went live November 28, 2012 and could not be happier with our decision. We did not reduce our patient flow during the early days which provided more opportunities for the staff to be trained on the variety of issues that might arise during a patient visit. We all felt comfortable on the software within the first week. The implementation team, which was on-site for two full weeks, was professional and helpful to each staff member and responsive to their questions and needs in customizing the EMR screen to meet their individual needs. We recently had a follow-up visit from an implementation manager who spent the day with us and fine-tuned our training. The work-flow for the doctor, speed with which a patient encounter is completed and the confidence in using the software was greatly improved. The staff is pleaased wtih our choice and said they would never want to go back to paper charts. Everyday we continue to learn how to most effectively utilize the software and are more confident in making changes on our own. We are eager for the release of the glaucoma tracking feature and new release of the administrative module in late spring. Since implementing the new IO customer service program in December, the wait time to speak to a help desk rep, has increased which can be frustrating. We are hopeful that this will improve in the coming weeks. Our IT team does find it difficult to speak to a "techie" as the direct interface is with the implementation manager. We are integrating My Vision Express to handle the dispensary side of the optometry part of our business. It would be nice if the software was bi-directional. Maybe that will come in the future. IO Practiceware is cutting edge and they continue to seek out ways to better use technology in the patient encounter. We look forward to working with IO Practiceware as a team to continue to improve the functionality and features the software offers.

CONS

The company has not invested into the much-needed technological achieve updates to keep it functional with software updates. Every time they perform an update, whether it's designed to address Meaningful Use or fix a known problem, the software's performance suffers in the most negative and impacting ways. The company has not hired enough support personnel nor have they trained their staff to focus on customer service. We've experienced long hold periods and a frequent lack of followup on open tickets. They point fingers at hardware and other support vendor companies.

Review of iDoc software

PROS

As the President of a medical billing company specializing in Ophthalmology, I had the opportunity to demo all of the recommended EMR and practice management systems available in the market today. We ultimately selected iMedicWare based on the ease of transition from our legacy system, competitive pricing, and customer responsiveness/service level. After using the system for over 2 years, iMedicWare has exceeded our expectations. Because of iMedicWare, our productivity has increased significantly with fewer staff members. From a management perspective, the system allows us to clearly track among other things, days in AR and physician productivity, which are key indicators in our business. The support team at iMedicWare has been instrumental in easing our transition to the new system and providing individualized support to address practice or physician specific concerns.

The standard reporting function could be more robust, although customer support is very helpful with custom reporting.

My best friend....iMedicWare

PROS

iMedicWare is user-friendly software. Staff found it easy to learn. The software takes the patient from the phone call to optical and out the door with ease. It was amazing to me how all of the doctors, both with computer experienced and not picked up on the EHR and just loved it. So if I would sum up what I loved the best about the product from an Administrators view, I'd say the ease of use. And the vendor? The vendor was right there by my side thru it all - the support I received was amazing. Through the years I've gotten to know the group very well. They listen to my ideas and ask for opinions to always improve and/or make the system even better in this ever changing healthcare world we live in, and that is invaluable!

CONS

It's not that I don't like the CL inventory/flow portion of the software, but we don't use it. We found that it was more work to keep up with it. We don't use the Optical portion of the software, so I can't comment on that for we use a management company for our optical.

Our practice, the Retina Consultants of Southern Colorado, implemented the EMR in January of 2012. We extensively reviewed all available software and toured different offices to observe first hand how the different systems functioned. Our goal was to find an EMR that was easy for the physician and staff to use, accurate, and efficient. We chose IO Practiceware. Implementation was streamlined and very well organized on the part of iO. We found the software to be intuitive and easy to learn. We reduced our clinic volume to 50% for two weeks, but at the end of two weeks we were back to full capacity. Entering data via the touch screen has several advantages. It enables the physician to record findings during the exam quickly and efficiently without requiring the use of a scribe. This improves accuracy and avoids an increase in overhead by requiring a scribe for all patient visits. The screens are customizable which enable practices of different specialties to tailor the software and meet their individual needs. Referral letters are easy to generate and the billing is automatic. Customer support has been excellent. After using IO Practiceware for 18 months I have found that my clinic volume has increase 20%, unheard of after implementation of an EMR; the accuracy of my medical records are much improved compared to the paper chart; at the end of the day, I am confident that my records are complete, accurate, letters have been generated, and my billing is done; my clinics are much easier to run. I am able to quickly review previous findings and impressions, enter the current information, and complete the EMR all in less time than it took me using paper charts. The implementation of IO Practiceware has made work more enjoyable and less stressful. I would strongly recommend IO Practiceware for any ophthalmology practice considering a new EMR!

Happy iMedicWare user

PROS

The application is very user-friendly. Its has a simplistic interface similar to a paper chart therefore data entry is logical and quick. I am able to see a full load of patients without the need of a scribe. Being web browser based is nice since you can access the program from anywhere outside the office. Test images and reports integrate nicely into the chart note. Ancillary staff training is not difficult. They also are always looking for feedback from their users in order update the software accordingly. This is an ophthalmology only company which is another positive.

CONS

Overall, I'm very happy. Usage can get more complex due to meaningful use and PQRS requirements. I don't believe this to be an issue with this vendor but just the overall industry complying with the measures.

Terrible service, awful experience for several years.

Service was nonexistent. We had tickets pending for billing and software issues for over 1 year. No response for problems with software, billing, or practice management. Reports for following financials were also inaccurate and unuseable.

I walked into a practice that already had iO Practiceware implemented, having come from a practice that was not using EHR. Seeing iO in use while applying for this job was one of the main reasons I joined my current practice. The ease of use and data input make it fast and efficient. While one patient is being worked up, I can preview their file and see who else is waiting to be seen. It really helps me keep track of my day. Their tech support team was very responsive. I recently wanted to implement a button that generated an H&P for all of my upcoming surgeries. One of their technicians has personally kept up with my request and seen it through. Needless to say, I can easily prepare my pre-op notes with a push of a button at this point. Another benefit compared to paper charts is one that we would rarely have had the benefit of at my old practice. If a call comes in at night about a patient, I can pull up any record from home with no trouble and find out all the details I need. Technicians aren't running around the office constantly looking for someone's misplaced chart. If a chart goes to a satellite clinic, I don't have to wait an hour for someone to drive it back to our main clinic. Needless to say, there are a lot of naysayers about EHRs, but with iO, I find that the interface and data availability is extremely user friendly and easy to work with. Admittedly, this review comes from someone that is fresh out of fellowship, but if you are looking to pick a good EHR to work with, I found learning the process extremely easy with iO.

From the CEO, down to the development team, to the technical staff, the iMedicWare team has built a culture of support. They've focused on hiring specialized staff that understand the specific needs of ophthalmology.

CONS

iMedicWare is specific to ophthalmology, and the team works closely with customers on product enhancement. Enhancements often require additional training for staff and physicians. This is a benefit of the product, but requires customer resources to participate in training and support of new features.

Excellent Ophthalmology All-In-One!

PROS

It has an excellent medical workflow for Ophthalmologists and Optometrists. Glaucoma and Retina flow sheets, Image import and interpretation, auto billing from the exam flow, contact lens fitting and trial lens recording, integration with scheduling module. It also has excellent Meaningful Use reporting. It's easy to convert from paper to EMR with iMedicWare. The staff adapts easily.

Lakewood Eye Physicians is comprised of 12 MDs and 4 ODs with three locations, two opitical shops, an ASC and a Laser Vision Correction Center. We looked at over a dozen EMRs with a presence in Ophthalmology. We were driven to find an EMR for efficiency and the MU incentive. We went live with IO Practiceware EMR last Fall. Unlike some of our peers who had to reduce their patient volume for up to six months, we were able to resume to a regular schedule in about two months. In addition, the providers were very pleased to have all their letters completed at the end of the clinic day. The implementation took two weeks. IO sent six trainers to us and each one of them was skilled and facile with the software. We had a one week on-site follow-up visit with an IO manager/trainer at four months which was very valuable. Their customer service is exceptionally responsive and their team follows-up on open items. If you are looking for an Ophthalmic EMR that is intuitive, does not disrupt your clinic schedule and you want to increase efficiency, IO Practiceware is worth an-depth review.

Our office has been using IO since 2005. We first implemented the practice management system and then followed with the EMR in 2006. Our office has been totally paperless since. I wouldn't think of ever going back or using a different system. The system has simplified so many aspects of the way our practice operates. The are no more files to pull or lose. The system automatically bills for services as they are charted, so there are no lost charges. The system automatically completes the chart so that it is audit proof. It automatically generates letters to referring doctors based on the information charted. The system was designed by ophthalmologists so that charting is very easy. In my experience the time to produce a completed note is less than with paper charting. IO is very helpful in setting up the office and training the staff. We have been receiving our EHR incentive bonus, ERx and PQRI bonuses. IO helped simplify the process.

The one thing that I like is that I can access medical records from anywhere. However, that is true for any EHR system, so it is not a plus for iO, specifically.

CONS

Their customer support is terrible. They do not answer their phones; when there is a problem, they create a ticket, it goes unsolved for months, if it ever gets solved. They once opened a ticket when I called to check on the status of an existing ticket. The system is super slow, and the reports are useless if you need any kind of customization (or if you are trying to track referrals). You can't even do something as simple as print a patient address label. This system has been one long headache after another.

Excellent Ophthalmic EMR, Responsive CEO, Medical Director & Staff

It is critical to a medical practice that the vendor's staff are responsive to our needs and that is what iMedicware has. In addition, the CEO/owner has an excellent understanding of ophthalmic pracctices & is responsive to our needs. Additionally, the company's Medical Director educates us on how to comply with Meaningful Use along with PQRS, and eRx. He also can assess and audit our compliance with regs and represent us in an audit, if necessary & that is a tremendous asset. Our ASC also uses iMedicware and it is user-friendly for both staff and surgeons. Having the same vendor for both the practice and ASC is cost-effective and efficient.

CONS

Meaningful Use requirements, but this is obviously not the fault of the vendor! I believe we have made the right choice in choosing iMedicware for both our practice and ASC.

Very Cumbersome and NonIntuitive Ophthalmology Software

PROS

There are many documentation options, but extremely cumbersome. Pretty good scheduling software.

CONS

Very cumbersome interface. It has drawing capabilities, but it is very difficult to use. Trying to describe medical details is difficult to document and then find on subsequent exams. Routine exams aren't too difficult, but anything out of the ordinary and simple is very difficult to document and find again of subsequent exams. As each physician finds different ways to place data within the exam, other examiners will have difficulty finding these details. Doing a follow up exam on a emergent patient can be very hard to determine what their status was yesterday. Patients who were software engineers could not believe how many steps it took to document a medical visit.
