TheraNest Software


 

TheraNest is an HIPAA compliant web-based mental health solution used by solo practitioners, large mental health practices, and nonprofit organizations. The solution is suited for therapists, psychologists, psychiatrists, and social workers.

TheraNest offers electronic medical records (EMR) software with a mobile app for Android and iOS. The solution also includes a client portal, patient scheduling, DSM/ICD codes, progress notes, treatment plans, and discharge notes. Users can review and cosign notes and build custom forms.

TheraNest’s billing features include insurance claims, credit card services, and batch invoices. Users can generate reports, including payroll, staff billing, and invoice reports. Unlimited document storage and unlimited support are included.

TheraNest’s client portal - TheraBook, allows clients to schedule appointments, complete demographic information, enter insurance information and submit intake forms from within their own secure accounts. Everything entered in the client portal will sync to clients’ accounts in TheraNest. The system also includes voice, text and email reminders for patients.

I think it is difficult to learn and sort of complicated to me. You have to make sure you press "save" whenever you enter anything or all will be lost!

I switched from simple practiced to theranest due to the ease of billing (I know which session was paid for v total paid which helped me organize and communicate about billing to clients and group notes and therapy...). Now I feel like simple practice has made such advancements. I am considering switching back as I have yet to see improvements I've been wanting. I'm sure there are more comments but these are what I can think of off the top of my head.

Pros

Billing of knowing which sessions were paid for, dashboard service, price, text reminder, mental health status exam ease on progress note.

Cons

Lack of HIPPA security when sending superbills/invoices which makes sending these securely cumbersome and time consuming (there's a button in the ledger titled "email client" and it doesn't email this securely (password protected/encrypted which means more time consuming steps for clinician), limitations of portal which I don't pay for because of it (intake only v ongoing communication tool)...just because Theranest email is secure, doesn't mean the client's is. Group notes are cumbersome as if you don't do things in a certain order, diagnoses do not make the superbill. This requires repeated tasks and eventually a phone consult with theranest and a lot of backpedaling to get necessary documents to the client accurately. Limitations in editing progress notes...creating custom forms isn't easy. Can't send customer forms post-intake to update things like medications and other changes to have completed electronically (back to portal limitations).

Many programs make you pay extra for forms and templates and this one is no different. Nonetheless, it would be nice to be able to have access to a few simple templates for treatment goals and interventions

Pros

Easy to write daily notes from the dashboard.
Tracks group therapy notes.
Can do the billing through Theranest, but the process could be streamlined some

Cons

Unfortnuately, although I can do the billing through this program, it doesn't allow the tracking of any expenses. Next effect it that I end up having to repeat the billing in QuickBooks, so I can get a full picture of my P&L.

Note taking, initial assessment evaluations, treatment plans are a breeze with this software especially with the Wiley treatment plans and Wiley progress notes. The calendar allows you to block out nonclient time and keep your schedule in a HIPAA compliant calendar. Billing, insurance forms, and invoices are time saving as well as uploading custom forms.

Cons

Invoices must be completed before entering notes in order to have place of service included in note. Additionally, in order to have date prerecorded in your note it needs to be done from the dashboard and not from the client's file.

I was literally so sad when I figured out how clunky and impractical this software is. So very sad. I had high hopes. Took a long time to move everything over, paid ahead for a YEAR, advised another therapist to go too, all for naught.

Pros

It is truly beautiful. It is downright gorgeous to look at. It walks down the catwalk with the grace of a gazelle.

Cons

The billing absolutely worse. The ERA's are a joke. Because even though you get ERA's, TheraNest can't do anything with them! YOU, as the provider, have to go in manually, and adjust everything so your numbers can be processed through the system! It is archaic and insane. It adds hours to your workload and I fail to see the point. The one thing this software should do is billing and automatic ERA operations. Even the most basic of billing softwares out there can do this. It was so disappointing. Also the calendar feature is frustrating. Of course we all have basic hours of operation, but what about the occasional exception and crisis client? Yeah, that's seriously a two page set of clicks back and forth. Like I said, the supermodel: it looks beautiful and seems so graceful at first, but ultimately that's all it can do. It is incapable of doing anything else but looking gorgeous.

Theranest was the answer, it gives you the capabilities to scan and store document. I am very happy with TheraNest!

Cons

My only complaint is you are not able to print off the forms unless you create a custom form.It would make it easier to print off the intake paperwork without having to create your own.

Really really like that it offers to have group progress notes.

Pros

Simple, straightforward and intuitive. Fits with how I already take notes and schedule. Billing is probably easier than what I do with Quickbooks, but I don't file for insurance.

Cons

That it doesn't off any dropdown lists, even a few basic ones without buying the whole Wiley add-on product, which is more than I need.
The "create new forms" I thought would be helpful to add in a medication list, or basic intervention list, but it is tedious to use.

Pros

It is almost a one stop shop for all of my counseling needs. It streamlines billing with clients and insurance. I don't need a separate way to charge credit cards. I don't need to keep a ton of paper files on hand and I can do my notes or bookkeeping anywhere I have a computer.

They don't have a video system yet. They have some trainings but I haven't been able to find them unless I act like I am researching the software.

Pros

I love that they are always striving to make the software the best it can be. Innovative and user friendly, Theranest is a fantastic tool for my practice. Professional benefits for practice management.

Pros

Flexibility to manage the calendar without losing information. I like the options. Being able to add service codes for a busy practice.
The in-practice chat is invaluable for the clients using it. Search and expanded view are very helpful.
Powerful and speedy when uploading files.
Real support. I've made requests for changes (along with others) and received attention. I've found some 'hacks' that made my task go smoother and enjoyed sharing them with support.
Colorful. May seem a little thing, but we can have distinctive identity on the calendar for each or for all. Not necessary to open a completely different screen.
Every effort to be secure. Never a problem with security or an uneasy hint that things aren't working right.
Almost zero down time. We're working with 'machines', there is bound to be some down time, but the occurrences have been rare and quickly solved.
Professional action. This reflects on patient desire for security. The appearance and behaviors for entering information are professional.
Ample patient reminders. Patients can respond to reminders to connect with me if we miss one another on the phone. Email is especially good for this.
I reviewed this software about a year ago and have come to like it even more.

Cons

A disappearing con: tutorials and knowledge base has expanded during the time I've been using the software.

I use it in my private practice.

Pros

I like that the software is robust and built for the counseling profession directly. It is meant for counselors and professionals. The ability to store clinical records and other documents on clients with ease is excellent. The cost is extremely fair, and the support for the platform is unbelievably excellent. The folks at TheraNest recognize that the customers are their users, so creating a great product involves high quality service. I don't see myself going anywhere for quite some time. I could do worse with another company, so this was a great choice!

Cons

Some of the layout can be a little confusing, but that just takes some time to learn. It is logically organized, but it isn't immediately apparent until you tour through the software and explore it.

Here is why I will not buy this product...

1. Mandatory confirmation of self scheduled clients. I read a neg review about this and when I took the webinar I realized that this is a terrible feature that causes the therapist massive chronic inconvenience. My current online scheduler allows patients to schedule and then I see their name pop up on my calendar - super easy. With your system I need to confirm up to 40 appts every week for the rest of my career. Grade F --

2. No Group Therapy system. The calendar will not allow multiple clients to sign up for one group. Deal Breaker. Grade F --

3. No specific start times on calendar. If I have 2 hours free ( say 1 - 3pm) then I want to fit in 2 clients. Your system would allow one client to schedule at 1:30 - 2:30, thus allowing only one client during that 2 hour block. Deal Breaker. Grade F--

When you address these three issues please let me know and I'll consider signing up.

Set up to document all phases of counseling; ability to upload documents into client records; MSE with each progress note; can email clients through client portal for HIPPA compliance; clients can securely complete, sign, and submit intake paperwork through client portal; ability to accept credit and debit cards easily for services rendered; GREAT invoicing and billing features; automated appointment reminders; integrated calendar; multi clinician capability; Wiley planner and progress note features; the reports feature is fantastic for tracking payments, invoices, and notes status. Subscribers can also develop custom forms for clients or for clinician documentation needs. The help and tutorial features are easy to follow, and customer service has been responsive. TheraNest continually seeks feedback about subscriber needs and uses that feedback to improve their product. There is also an internal office chat box feature.

Cons

Like any product, it is not perfect. The calendar feature is good but has room for improvement with respect to appointments spilling into nonwork hours or the occasional time I choose to see clients outside my regular hours to compensate for conferences or other needs taking time from my regular client schedule. I understand this issue is being addressed. Progress notes can be lengthy due to incorporation of the client's entire treatment plan into the note. I have yet to find a way to mark treatment goals and objectives as completed in the treatment plan even when using the review feature. This would be a helpful feature to track a client's progress quickly and for planning future session interventions to address unmet goals.

I love how I can use one system to schedule clients, complete documentation (intake, diagnostic impressions, treatment plan, case notes), billing (private pay or insurances via clearinghouse, and credit card processing). It helps me to stay organized and sets reminders for tasks.

Pros

Theranest has provided me with ease of billing, documentation, and scheduling clients. Their fees are very reasonable and you get a lot for the price you pay. The staff are consistently looking for ways to improve their produce and regularly incorporate suggestions from their customers. Their customer support team is efficient, kind, and professional. I had a situation wherein I needed to get reimbursed for an added feature due to me not being able to use it. Due to personal circumstance, I was unable to request the reimbursement immediately and they were very empathetic and helped me. Their team offered condolences, virtual hugs, and were readily available to provide additional support as needed. It was a testimony that this is an organization who really cares about its customers.

Cons

Most of their customer service is provided via online. I prefer talking to a live person over the phone; however, when you electronically submit a question, they are very quick to provide a resolution.

way more clicks per action than seem necessary. Very hard to keep track of payments because ERA listings have no information in the list (so you have to open every one to see who it is for and what dates and what insurance etc.) we're resorted to going to office ally, getting the info there, then working to record payments and write-offs in theranest.
no one available to hire to do any of this (I asked theranest)
waiting a day or longer for an email answer to questions, means you don't have the help when you have the time available to do the desk work

The mobile feature; Notes/scheduling/billing all in 1 program and platform; Client portal; Visually easy to understand and use without a lot of needed guidance;

1) The notes are rudimentary and unprofessional 'looking' when you print them. 2) The signature feature does not have enough characters to include full name and credentials & the hand-written option ends up looking like a preschooler signed your name; 3) all the demographic and other info that a ct fills out in ct portal forms DO NOT auto-populate to your intkae note template or anywhere, so you end up having to re-type a tone of information; 3) ct oprtal forms are easy to edit, but the actual intake and progress forms are NOT editable. They advertise "customizable forms" but neglect to tell you that if you use these, you don't get any of the built-in, dynamic software features such as the DSM-5 dx box, all demographic info, date/etc... that's the whole point- you can't run reports on these notes, etc.!!! 4) the text boxes that you type you notes in are not user-friendly...you have to scroll down if you type a longer paragraph in order to read/view and edit it. It's time-consuming and difficult to review your note. 5) not easy to upload photos or handouts that you and a ct create. You have to email it to yourself, download it and then upload it to TheraNest...too many steps! Overall, the note taking features in this EMR are poor.

TheraNest has EVERYTHING in one place. I have search high and low for several years; applied, signed up, and trialed several other soft-wares, and none of them compare to TheraNest. The Client Portal is a surprise when I share the feature with my patients. The Customer Service being accessible to all providers (Inters and Residents alike) is a huge plus so I do not find myself training (and retraining) through the semester to a new class when they can find the answers easily on their own.
TheraNest makes the end of my session a 10 min wrap up with documentation, and the end of my day a 5 min wrap up to submit ALL billing. I save money on not having to hire a full-time employee to manage my billing and claims; merely a contract when there is an issue with the insurance themselves and a phone call is needed beyond my knowledge.

Cons

The only thing I could ever wish for, is prescribing rights and abilities. I plan to expand my company into the Medical Realm eventually, and this is a feature I plan to discuss with the developing team.

Life is busy, and this streamlines my practice so that info, notes, and billing are all just clicks away. It is so easy to bill insurance companies, and the encryption for credit cards is a dream!

Cons

Now that the format has been updated, it's easier to navigate. Glitches that I experience are probably due to me- lol! The app does not have the all of the options available on the site. I'd love to be able to submit billing through the app. As of now, it does not appear that clients have the option of signing in to do paperwork, schedule, etc. That would be a helpful option.

I like the ease of billing, very simple and quick. Theranest offers classes to increase knowledge of billing and how to avoid mistakes.

Cons

I would like to see other options available on the invoices and billing set-up. An example of this is: when billing for out-of-network benefits a person must meet their deductible first. The way the system is set up now, you have to bill the insurance first, then go back and accept a payment. This payment is this categorized as the client overpaying for services. It would be nice for this kind of a scenario to have a simplified way of completing this transaction.

Pros

I like that the tracker area makes it easy to see all of your appointment by provider/patient. It makes it easy to follow up with insurance, track start dates, and even look back to get an idea of personal progress (sometimes its hard to remember how long ago an event was discussed, but theranest makes that easy).

Cons

The latest update has made the web site booker very sensitive on mobile devices (it is hard to progress one week forward, and I will often skip ahead unexpectedly.
