TheraNest software


TheraNest is an HIPAA compliant web-based mental health solution used by solo practitioners, large mental health practices, and nonprofit organizations. The solution is suited for therapists, psychologists, psychiatrists, and social workers.

TheraNest offers electronic medical records (EMR) software with a mobile app for Android and iOS. The solution also includes a client portal, patient scheduling, DSM/ICD codes, progress notes, treatment plans, and discharge notes. Users can review and cosign notes and build custom forms.

TheraNest’s billing features include insurance claims, credit card services, and batch invoices. Users can generate reports, including payroll, staff billing, and invoice reports. Unlimited document storage and unlimited support are included.

TheraNest’s client portal - TheraBook, allows clients to schedule appointments, complete demographic information, enter insurance information and submit intake forms from within their own secure accounts. Everything entered in the client portal will sync to clients’ accounts in TheraNest. The system also includes voice, text and email reminders for patients.

    Pros

    There are such a variety of features on Theranest that it can be adapted for all type of practice or clinician. Customer support is wonderfully helpful.

    Cons

    There are still some functionality pieces that are getting worked out and updated. Some features are quick "click heavy" but once you get the hang of it, it's not too bad.

    I love how easy this system is to work in. However, it is impossible to do a complete and thorough job of payment posting because the software is so simplistic and limited.

    Pros

    This software is very user friendly and easy to understand. It is colorful and you can delete anything you did wrong and redo it.

    Cons

    The adjustments do not work, you have to call your adjustment a write off. There is no way to add adjustment reason codes. There is no way to batch add a check and post the money to all the clients listed on the RA. You have to repost the check for each and every client that received a payment from that RA. There is no way to post a zero payment from insurance to indicate they received the claim but did not pay anything. There is no place to add claim # to charge line.

    Organization, time management, no missed notes.

    Pros

    Lots of great features, new ones all the time without big bumps in cost. But the best part of TheraNest is the customer service. Not only are they fast but they answer all of my dumb questions as if they aren't, they walk me through the things I screw up with patience. They also offer lots of tutorials if one would only use them. And when I say 'one' I mean me!

    Cons

    At one time there was no way to see that an email reminder had been sent to clients. Sometimes clients say they didn't get one and I can't confirm it. Now that I have text reminders going though I can see that.

    Love the training and customer service responsiveness, but some key features aren't well thought out

    Customer service and responsiveness is very impressive. Now that I understand how it all works together, appointment scheduling and notes are very easy to use. I used to love that they have integrated credit card processing, but for the way we run our business it has a serious flaw. They are very open to feedback, and try to be responsive to features being asked for. Since we've signed up with them in January they have added quite a few new features, some of which are really helpful, others that don't apply to the way we happen to run our business.

    Cons

    Some features only seem half thought out. For example: you can write one group note and have it appli to all members of the group, but in order to sign the note you have to go into each members account. This completely negates the time saved by applying the note to all group members with one key stroke. We are a small clinic and use this as our accounts receivable software also, yet there is no accounts receivable report you can generate. They have something called an "Invoice Aging" report that lists each clients outstanding invoices, but you have to go through and manually add up all the lines to get the total. To me, having an accounts receivable report should be standard. Just give me their name and the total of what they owe us. And now for the biggest con for us: The integrated credit card processing. The structure of our clinic is that each of us earns exactly what our clients pay us (in crude terms, we "eat what we kill"). For this reason when we get a deposit in our bank account we need to be able to easily identify what transactions make up that so we can give the correct therapist credit for it. There is currently no way to get this info. Theranest suggested we look at a list of payments recently made and figure out a combo that add up. This is way too time intensive (we have a bookkeeper we have to pay to do this) and it's prone to error. We're hoping they fix this soon

    Great customer service, appointment scheduling, claims help, payroll, automated remittance on claims.

    Pros

    You can reach them by phone, email, or PM. They are quick to respond and help in every way they can including claims help.

    Cons

    They do not yet have an auto write off feature. They also don't have a way to put in hourly wage for payroll yet, but they add features regularly.

    The templates are great, produces good looking pdf reports and notes to send to coordinating providers, super easy to write notes, do billing, and generate reports.

    Cons

    I haven't used the customization feature but we don't customize forms in our practice because the process apparently seems tedious. Practice specific forms are still done on paper and scanned into the client's chart. No EBP assessements (i.e., PHQ) built in.

    I think it is difficult to learn and sort of complicated to me. You have to make sure you press "save" whenever you enter anything or all will be lost!

    It is almost a one stop shop for all of my counseling needs. It streamlines billing with clients and insurance. I don't need a separate way to charge credit cards. I don't need to keep a ton of paper files on hand and I can do my notes or bookkeeping anywhere I have a computer.

    They don't have a video system yet. They have some trainings but I haven't been able to find them unless I act like I am researching the software.

    Theranest gets me more time with my CTs and then time with my family at the end of the day. Both are priceless. It is also great not to be bound to paper files. YES!

    I love that they are always striving to make the software the best it can be. Innovative and user friendly, Theranest is a fantastic tool for my practice. I love the customer support and the assistance they have provided me when necessary. I have felt as if their goals have been to make my life easier.

    Cons

    Nothing is perfect, what I would like to see would be more individual customization. I have made a few suggestions from time to time and I know that cant do it all, I do understand that they hear me out and respond accordingly.

    Professional benefits for practice management.

    Pros

    Flexibility to manage the calendar without losing information. I like the options. Being able to add service codes for a busy practice. The in-practice chat is invaluable for the clients using it. Search and expanded view are very helpful. Powerful and speedy when uploading files. Real support. I've made requests for changes (along with others) and received attention. I've found some 'hacks' that made my task go smoother and enjoyed sharing them with support. Colorful. May seem a little thing, but we can have distinctive identity on the calendar for each or for all. Not necessary to open a completely different screen. Every effort to be secure. Never a problem with security or an uneasy hint that things aren't working right. Almost zero down time. We're working with 'machines', there is bound to be some down time, but the occurrences have been rare and quickly solved. Professional action. This reflects on patient desire for security. The appearance and behaviors for entering information are professional. Ample patient reminders. Patients can respond to reminders to connect with me if we miss one another on the phone. Email is especially good for this. I reviewed this software about a year ago and have come to like it even more.

    I use it in my private practice.

    Pros

    I like that the software is robust and built for the counseling profession directly. It is meant for counselors and professionals. The ability to store clinical records and other documents on clients with ease is excellent. The cost is extremely fair, and the support for the platform is unbelievably excellent. The folks at TheraNest recognize that the customers are their users, so creating a great product involves high quality service. I don't see myself going anywhere for quite some time. I could do worse with another company, so this was a great choice!

    Cons

    Some of the layout can be a little confusing, but that just takes some time to learn. It is logically organized, but it isn't immediately apparent until you tour through the software and explore it.

    I love 90% of the software: intakes, batch superbills, and many of the other features. Moreover, I think the world of every person I was in contact with this company - so kind and responsive. Grade A++

    Cons

    Here is why I will not buy this product... 1. Mandatory confirmation of self scheduled clients. I read a neg review about this and when I took the webinar I realized that this is a terrible feature that causes the therapist massive chronic inconvenience. My current online scheduler allows patients to schedule and then I see their name pop up on my calendar - super easy. With your system I need to confirm up to 40 appts every week for the rest of my career. Grade F -- 2. No Group Therapy system. The calendar will not allow multiple clients to sign up for one group. Deal Breaker. Grade F -- 3. No specific start times on calendar. If I have 2 hours free ( say 1 - 3pm) then I want to fit in 2 clients. Your system would allow one client to schedule at 1:30 - 2:30, thus allowing only one client during that 2 hour block. Deal Breaker. Grade F-- When you address these three issues please let me know and I'll consider signing up.

    Set up to document all phases of counseling; ability to upload documents into client records; MSE with each progress note; can email clients through client portal for HIPPA compliance; clients can securely complete, sign, and submit intake paperwork through client portal; ability to accept credit and debit cards easily for services rendered; GREAT invoicing and billing features; automated appointment reminders; integrated calendar; multi clinician capability; Wiley planner and progress note features; the reports feature is fantastic for tracking payments, invoices, and notes status. Subscribers can also develop custom forms for clients or for clinician documentation needs. The help and tutorial features are easy to follow, and customer service has been responsive. TheraNest continually seeks feedback about subscriber needs and uses that feedback to improve their product. There is also an internal office chat box feature.

    Cons

    Like any product, it is not perfect. The calendar feature is good but has room for improvement with respect to appointments spilling into nonwork hours or the occasional time I choose to see clients outside my regular hours to compensate for conferences or other needs taking time from my regular client schedule. I understand this issue is being addressed. Progress notes can be lengthy due to incorporation of the client's entire treatment plan into the note. I have yet to find a way to mark treatment goals and objectives as completed in the treatment plan even when using the review feature. This would be a helpful feature to track a client's progress quickly and for planning future session interventions to address unmet goals.

    I love how I can use one system to schedule clients, complete documentation (intake, diagnostic impressions, treatment plan, case notes), billing (private pay or insurances via clearinghouse, and credit card processing). It helps me to stay organized and sets reminders for tasks.

    Pros

    Theranest has provided me with ease of billing, documentation, and scheduling clients. Their fees are very reasonable and you get a lot for the price you pay. The staff are consistently looking for ways to improve their produce and regularly incorporate suggestions from their customers. Their customer support team is efficient, kind, and professional. I had a situation wherein I needed to get reimbursed for an added feature due to me not being able to use it. Due to personal circumstance, I was unable to request the reimbursement immediately and they were very empathetic and helped me. Their team offered condolences, virtual hugs, and were readily available to provide additional support as needed. It was a testimony that this is an organization who really cares about its customers.

    Cons

    Most of their customer service is provided via online. I prefer talking to a live person over the phone; however, when you electronically submit a question, they are very quick to provide a resolution.
