Major Upgrade for our practice

It took some initial spreadsheet development and some time devoted to "discovery" of our practice's needs and workflows, but once the team at InSync was assembled for us and we had our kickoff call, we've spent well over a hundred hours with [SENSITIVE CONTENT] and the rest of the group in video calls to set up, customize and learn the software, and then train our staff. Our trainer [SENSITIVE CONTENT] was excellent and so patient. Our project managers were extremely responsive and were able to connect us with the top technicians of the software when necessary.

PROS

InSync is not an "out of the box" pre-formed software which forces your practice to mold itself to the way the software works. For a practice of our size, having developed our practices over many years, and yet still with room to refine our processes, InSync was perfect in that it let us truly shape how we wanted the software to work for us. However, it added absolutely critical functionality in key areas (crisp and clean patient portal, automation of many routine tasks- card charging, payment posting, even claim generating...), which was a major upgrade from our previous EHR. The charting functionality is endlessly customizable down to the font size and background color of the words "Date Signed" on the bottom of your custom patient form. Optional pre-built treatment planning as well as assessment questionnaires add to the utility of the program.

CONS

Because the software is customized to your practice needs and workflow, it takes a long time to set up. Also, while there are hundreds of settings and options available for all aspects of the software, it can be a little overwhelming to learn. But once you get it, you notice the repeating patterns of how modules are set up, how searches and lists work, and the shortcuts you can generate really pay off.

We felt InSync was the most developed, deep, thought-out program. We loved the customizability and the "fearlessness" of the developers to create new features and enhancements and roll them out as quickly as possible-- we sensed the programmers "got it" and wanted their practices to succeed in what they're trying to do, even if the product feels sometimes redundant or has an odd-looking icon somewhere, as opposed to EHR's that wont develop functionailities because they can't foresee how it would change use of their system 5 years down the line or if the coding doesn't seem elegant enough. InSync is built for the Provider and the Biller, not for car shows.

Review of our implementation.

The reports seem to be a great benefit for us and I look forward to using these. Our overall experience was great!

PROS

[SENSITIVE CONTENT] made the development of this program very easy to develop. He really understood our practice and had great suggestions. [SENSITIVE CONTENT] was quick to respond to our changes that we needed and developing our different templates. He was very patient with us. [SENSITIVE CONTENT] did a great job with our training and made sure we understood the different programs. He made the trainings fun and interesting. [SENSITIVE CONTENT] also helped and did a great job as well. They were very friendly and educated on the system, which made it great for us!

CONS

I believe we had some issues with understanding the different provider tiers and how to set them up. This has slowed down the onboarding of providers. The additions that we wanted after our contract was signed seems to be pretty costly. We would have liked to implement the fax system in insync, but it was more than expected so we declined. 3rd party communication and response could have been a little better, but we did get through it all and things seem to be working as they should.

Pros and Cons

Overall, I would say the experience is net positive. I would note that the eligibility/benefits checks are only accurate about 50% of the time which is a hassle, but I don't know how it compares to other softwares that offer this feature. Partly chose it because we wanted to make a custom history section that could be sent to the patient before the intake and have them fill it out and autopopulate the note in an editable way; this has been effective. I do think the reviews on Capterra are a little too positive for what the software is actually like. I have to wonder if some are fake but I could be wrong. It's just a little less reliable because it's a smaller company than say OfficeAlly. In retrospect I would have looked more seriously into Athena. I notice a lot of the bigger psych practices use this. I didn't because I thought they didn't really specialize in psych. But the grass is always greener on the other side so it's hard to say. It will be really hard for us to ever switch (or expensive) because the license needs to be paid for all up front. The other really important negative is that deployment is NOT smooth. We were fortunate in that we were chugging along with other software and in no rush to deploy InSync. I worked on setting it up and tested it on just myself/my patients until we were sure that it was all working smoothly, then we added the other providers. This took months. Deploying too early could be disastrous.

PROS

+ Financial reports extensive (I can't emphasize enough how helpful this is) + Easy to communicate between clinicians + HIPAA Zoom integration + Practice Management generally seems to work well/fewer glitches on that side compared to the EMR, just a few flaws like how the balance shows up in the patient portal can be confusing for patients + Works well for group practice workflow + Has all the necessary add ons in one system (and more!) - this is great! + Customer service very responsive about 2/3rds of the time, available by phone and email + After the first 6 months or so, almost all the glitches are ironed out + It is very customizable in every way (forms, note templates, appt reminders, calendar format, html name, really everything about it) + PDMP integration is awesome

CONS

- No Google Cal integration (DrChrono offered this) - Patient Portal can be glitchy - Deployment does not go smoothly at all - Appointment reminders are per-text/per-email and thus very expensive compared to other programs - All the add-ons end up cost a lot per month (claim submission, HIPAA Zoom, etc, even though we own the license we still pay quite a bit per month per provider/higher than what they estimate) - Would not be financially practical for a psychotherapist account but would need to purchase one if we hired one/there is not a cheaper option for therapists vs. psychiatry - Overall had to deal with a ton of glitches for the first 6 months or so before the system ironed out - For transgender clients who use a non-legal name, there is not a good way to use their preferred name as the primary name in the patient portal - Some aspects of reporting are time consuming (e.g. if you make a specific patient category you need to add each patient individually, can't add based on "all patients in XYZ state or all patients with XYZ insurance") - No way of verifying identity with the identity question quiz thing/need to have clients upload a photo of their ID which seems low tech in today's day and age - Generally the interface looks kind of old - Server is noticeably slower than other websites - Although the purchasing license up front seems like a good thing, in retrospect I don't think it is because you end up paying a lot per month for all the add-on features

Good EHR, Terrible Launch

I am hopeful once we are using it regularly and our remaining issues are ironed out this will be a long term EHR

PROS

It is a very easy to use software that is well designed for mental health

CONS

After purchasing, it took forever for someone to reach us about implementation. After that stage, the person working with us did not understand our practice needs and gave us poor advice. The sales team made us buy hours of training we did not need or find helpful. The person that took over for the first implementation specialist did a great job but had months of difficult work to undo. Even after we are officially launched, we are missing a lot of information and the third party vendors ignored or forgot about us. While the software is good, there is much to be desired in implementation.

INSYNC Implementation for Behavioral Health Practice.

The people at INSYNC make a huge difference. The support has been great, they are based in the USA and always responsive. Our Implementation specialist [SENSITIVE CONTENT] has been amazing and has continued to provide top notch support when needed. He did a great job getting the foundations of our system set so transitioning was smooth. [SENSITIVE CONTENT] were helpful getting the billing side of things set up. [SENSITIVE CONTENT] did a great job during launch week. We are now implementing their RCM services to further enhance our financials.

PROS

We outgrew our prior EHR that was missing Prescriber Tools, more powerful scheduling tools and lacked powerful reporting. INSYNC has all of these items and it was exactly what we were looking for to keep our growing practice running smoothly.

CONS

The software can be very complex when setting up configurations or having to make changes. One change can impact several others. However, this is necessary to have the level of customization and tools it offers. The other aspect that was not as good as our last EHR was the aesthetics of the software. It looks dated compared to newer systems but that is not too important.

Insync Review from AATPC

We are hoping with this system processing our claims and overall billing will go much more smoothly. We also like that multiple users can have access to the patient portal account (i.e. caseworkers)

PROS

I really liked that we have the opportunity to make the system what we want for what is best for our organization. There are a lot of steps on the admin side for creating things within the system (i.e. encounters) which makes it hard to remember and do quickly, but with time I'm sure this will get easier. Overall the transition to this new system has been good, but there is still a lot of learning to do.

CONS

Our practice did not like that the clients preferred name couldn't show up as so. I understand for billing purposes we need clients legal name, but it would be nice for their preferred name to come up first when they go into the patient portal or when writing notes.

Easy to use

[sensitive content hidden] was a great trainer and knew all the answers and was willing to help make changes right then in real time to help our agency use the sytem. [sensitive content hidden] answered us in a timely manner and was very helpful with all of our needs and wants. I enjoyed working with them both.

CONS

a lot of glitches at the beginning starting phase. But our support helpers were great in sorting it out.

Extreme drop in service after switch to Qualifacts

What used to be a relatively supportive relationship has turned into what feels like a one-up versus one-down relationship. I would not recommend their current mode of operation to anyone.

PROS

The EHR was working well and the RCM team was kind and supportive prior to being purchased by Qualifacts. This is no longer the case.

CONS

The RCM team is neither supportive nor helpful.

Columbus Psychiatry Clinic

Training team, especially [sensitive content hidden], has been wonderful. Prior to [sensitive content hidden], the implementation [sensitive content hidden] was not nearly as responsive or helpful in guiding the timeline and prep work that needed to be completed. Up until 2 weeks prior to our go-live date, there was not clear direction and support.

Got a small practice?... Run away, quick!

In one word I would say, scammed, we felt we were scammed by insync and their upper management. When signing up originally we were offered two options; a monthly fee, where we wouldn't own the software, or we could by licenses which we would own, and just pay a small monthly maintenance fee. After shelling out $9,000 dollars over several large payments, we were sent our yearly "small maintenance fee", a nearly $7,300 bill! Thinking it was a mistake we didn't pay, we intended to get it corrected. Before we had the chance our software was turned "off", or ut into "read only" mode as they are so fond of doing (they this once before without warning when one of our payments was late). How can they turn off access to software we own? Good question, after a conference call with the [SENSITIVE CONTENT HIDDEN], and still no answer to that question. We have moved on to another more reputable EHR , we were never offered our data, so now we login when we need to reference information like which pharmacy a patient uses, etc. But even this is being block, someone up high, no one at the help desk claims they can tell who it was, inactivated one of our 4 employee accounts, so now we only have 3 users able to login even though we have paid for a total of 6 licenses.... We have reported Insync and their slimey business practices to the proper regulatory agencies, trust me if you're a small practice, or a practice of any size...run..

PROS

The software itself is good, aside from the speed which slows every now and then, it is updated regularly.

CONS

Every screen that loads basically has to load twice, once for the actually gui to display then it refreshes and places your data within the GUI, definitely slows things down.

I only wish I knew about this software sooner!

We had several people on our implementation team, all of whom were great to work with! Each person was responsible for making a different portion of our implementation run smoothly — they sent someone to our office to observe for a few days and understand our needs and desires for our practice, then spent the next few weeks building it out and meeting with me to make sure we were happy with it. Another person was solely responsible for migrating our data from our old system. Another spent a week at our site teaching our whole staff how to use the new system. We had weekly zoom call scheduled before and after our ‘Go Live’ date to make sure we have all the support we need. Then we have an on call support staff for any ongoing needs or questions following that. They really want to make sure we are taken care of… Everyone we have dealt with at InSync has been super nice. Our implementation specialist, [SENSITIVE CONTENT], and our trainers [SENSITIVE CONTENT], were personable, professional, organized and knowledgeable! Implementing a new system can be stressful, but the three of them made everyone feel relaxed and we had a great time with them!

PROS

The product looks a little overwhelming at first, but the team at InSync held our hands, every step of the way and we are picking it up quickly. Even some of our self-proclaimed ‘tech-dumb’ staff members are loving it. We love that it is all inclusive and we were able to streamline so many of our procedures. We no longer outsource our insurance claims processing, we spend way less time on data entry related tasks, progress notes are much quicker and more accurate, the clients are having a much easier time with the billing statements and their client portals. The ‘To Do’s’ feature allowed us to eliminate the use of an additional (and expensive) help desk software system for managing tickets and tasks. InSync seemed a little pricey up front, but when we looked at how it eliminates the need for other costly services and helps us keep track and not lose money from missed / rejected claims, etc… it is definitely paying off!

CONS

We only ran into a couple of snags along the way, but when we did, there was a team of people to fix them — usually within a couple of hours or a couple days. They’ve also taken down ideas from us for future features to potentially add to the system.

InSync had a lot more options as far as customizing the software to fit our needs and keeping all our practice procedures in one place. We were tired of having a different platform and login for every task that we needed to complete. The sales staff and other team members were also really pleasant to work with!

We were outgrowing therapy partner. The software was glitchy and the customer service had declined. They had told us about several improvements and a ‘system rebuild’ that was in the works but it had been three years with no updates. When we reached out to let them know of our unhappiness, they told us there never were any promises of updates or new features. We couldn’t continue to utilize them without getting those glitches fixed, as our practice was growing! So we started looking elsewhere and found inSync. Ironically, shortly after we had the conversation where they told me there were no plans for new features, they rolled out the very feature we’d been begging for, and had been promised all along. But it was too late because it still left us with a glitchy system and poor customer service, and we were already moving on.

Worst EHR I have ever used

Worst, most time consuming and ineffective EHR I have worked with. And I have worked with many including in hospitals, private organizations and for the government. I would gladly go bad to any previous EHR just to avoid working any longer with InSync. This does NOT function well for the providers at our clinic using it. It has been a frequent and regular source of complaint

PROS

In theory the idea that it is customizable was appealing. I can't call that a pro because it does not function effectively. I can honestly say that after working with it for more than a year there isn't a single thing I like about this EHR. I hate it. I don't have an option to change as I am part of a group practice that purchased it but all providers there reflect regularly on how displeased we are with InSync

CONS

Constant bugs and problems. It does not appear that it is even checked for basic bugs after changes or updates. There are too many problems to list but something as simple as scheduling is so convoluted and problematic. It seems clear that the coders making the changes have no idea what it is like to use an EHR as a mental health professional, what is needed etc. A year later we are still having problems regularly. It is so incredibly time consuming just communicating with support staff about problems with InSynch - I never try to customize or improve anything because I can't rely on it to work and I can't even take time to think about what would be idea because so much time is spent asking about basic functions that aren't working or surprise problems

One stop shop EMR

Our implementation guys, [SENSITIVE CONTENT]and [SENSITIVE CONTENT]were great. [SENSITIVE CONTENT]our trainer was absolutely incredible and support calls have been so good. They are really responsive. The appointment reminders contact was not a good experience, hard to get a meeting to get those fixed. Also the EDI contact was not helpful in resolving our enrollment issues. We made it through mostly on our own, but that was a very frustrating process compared to our old system.

PROS

All features in one system. Faxing, e-prescribing, PMP, billing, scheduling, ect. all in one. The ability to edit and create what we need. I love the ease of sending and receiving forms to patients, I love the fax integrated and able to save and upload so easily. I LOVE the to do option to coordinate between staff for medication issues and testing referrals. The med team is a big fan of the PMP inclusion. The front staff really likes the kiosk for patients who did not do paperwork prior to coming in. The patient portal is also so much better that we had before. We love the facesheet, it has become our new go to. The customizability of the dashboard. Assessment options already included that we can easily send out to patients and when they come back already scored. Ease of creating patient groups.

CONS

Billing not being current without the encounter closed. That is a huge issue with having a current bill at check in as we need to be able to more easily have a current charge at check in that includes that days encounter. Compatibility with IPads are such that makes them not a good match and that has been disappointing. We had some providers who bought one planning to use that and found you cannot hover over icons with an ipad. Not having an easy no show fee option and having to "bill that" instead of just quickly and easily adding a fee from the schedule at check in. Not seeing the phone number for the patient on the appointment scheduler when you hover over the appointment. The Payors/EDI enrollment process was very difficult compared to Therapy Notes. The inflexibility in the scheduler, I understand having those in blocks but it is a hassle to have that so strict. Speed between screens. The time it took for me and a few admin people to implement this system. I did not realize at the beginning what I was in for in regards to time and it was really tough to juggle with the regular needs of operating.

Better for behavioral health. We needed to be able to have groups and the others had behavioral health but lacking some of those features like group and built in assessments.

The practice grew to a size and with different locations we needed a system that was all inclusive so I can manage easier. We were using MD toolbox for prescribing, FormDr. to send out patient forms, Therapy notes for billing and notes and such, and Metrofax to efax. So we needed to put everything under one.

RCM Services

PROS

This software has definitely improved our workflow processes and has exceeded our expectations regarding the easiness and accuracy of implementation from our previous reports. The product itself is user-friendly but what is most valuable to us is the constant overview and assistance provided by our account manager, [SENSITIVE CONTENT HIDDEN]. We are extremely satisfied with her and her team’s support.

CONS

There are constant changes being made to the software program, which can create a learning curve at times, but we understand and are confident these ongoing changes are only implemented to better the products and we all benefit from these changes.
