I Love the Access I have with Quickbooks Online

As I already said, I love the direct access to my numbers and the added reporting that has allowed me to better run my company by quickly getting insights I need. It's a lot easier for customers to pay online and I'm finding more and more of the moving that direction vs. sending in checks, so it's good that we are set up in this way now.

PROS

I started using desktop Quickbooks back in 2000 right after I first started the company. As a single-person company at first, I got used to being in the books almost every day. As we grew we added an in-house Bookkeeper. A few years ago I relocated the company to a different area and we kept our Bookkeeper who stayed in the original area. I really missed having direct access to the numbers so last year I switch to Quickbooks Online and I love it. In addition to having direct access to the numbers I need, it has a lot of other functionality and reporting that I really like. It's also great for clients to easily pay the invoices online. It's making a night and day difference. Support has been great as well.

CONS

It's definitely very expensive to be paying a pretty high fee every month - especially compared to the desktop version where we bought it and were good for years to come. It's definitely worth it but I'd be more of an evangelist if the pricing was a little easier on the pocket book.

Not worth your time and effort

Horrible. An absolute waste of time. This was my biggest mistake as a business owner.

It appeared to be user friendly and easy to use for a small business owner.

CONS

I don't even know where to start. I have Quickbooks, used it for payroll (until yesterday), and have a quickbooks checking account. First off, there are no checks with the checking account. How does this make sense? They literally hold your money hostage and then charge astronomical fees for transfers. I have tried repeatedly to call when I can not transfer money because the system says I have reached my transfer limit which is $5000 in a day and $10000 in a week. They check my account, acknowledge the account is okay and I have not reached my limit, but can not fix the problem. Secondly, as of yesterday I am no longer using QB for payroll. I thought it was so convenient at first and ran payroll with them for months only to recently be hit with insufficient funds notices. My account was never insufficient. I have had many representatives acknowledge this but still the only solution is to transfer money to another account, the money that was already in QB, then wire it back in along with another $100. Also, a $25 charge from my other account. After this has happened for a second time I will now use my other business account with a real bank for payroll. QB is the biggest rip off. If I could post this review all over the internet I would. My longest call was 3 hours! I was transferred all over. They are absolutely ridiculous and I would advise any new business owner to seek another software. I am literally typing this message after being told "you have not reached your transfer limit so I am not sure why you are getting this message". My other favorite line is "your account is not insufficient, so I am not sure why this has happened". This review asks for the date of experience. Everyday! If they check my call log I call weekly, sometimes daily. I regret investing in QB and the amount of time I waste for issues.

Best quick book

Calculating other online books, finding QuickBooks for business and having the utensils. QuickBooks is the easiest to use and you get more money and get your taxes done when you need to do your own taxes.

Quickbooks Online (QBO)

For very small companies it's a suitable option. But it is significantly slower and limited than their desktop version.

Overall a great choice for nonprofits

Overall I am very pleased by my experience with QBO. While I struggled with initial implementation, it has very much streamlined financial management once I figured out how to more efficiently utilize the software. The flexibility of using QBO through my browser of software download is an immensely important feature that I cannot overstate - since my position is volunteer/unpaid, if I ever leave the organization they cannot be tied to a software downloaded on my personal laptop. Plus its just nice to know that I have access anywhere I need, regardless.

PROS

QBO has made it so much easier to stay on top of finances for the nonprofit I work with. It's so nice to add bills for reimbursement of expenses to stay on top of when the expense occurred as well as when the reimbursement check was written vs deposited. Automatic linking to my bank account and to paypal is a lifesaver. I don't know what I would do without locations or being able to use classes for fund reporting/functional expenses.

CONS

There was definitely a steep learning curve, and I've just had to accept that some of the transactions I was doing when I first started weren't done in the most 'ideal' way. I'm adding historical finances for 8 years and struggling with handling inventory in particular, since I'm both trying to keep up with current purchases/sales and build the historical financial statements. While the QBO online forum is generally helpful for troubleshooting issues, sometimes I run into features that just aren't available on QBO and only on QuickBooks desktop which is incredibly frustrating when I know how useful it would be.

QBO is just more of an industry standard. I felt that there would be more help available/issues would have been better fixed in the past since its usage is so widespread.

We were practically unable to do any reasonable financial analysis. The historical treasurers used the cash method without breaking out actual expenses rather than reimbursement checks, so we lost so much detail that I'm now trying to recreate.

Best for those not trained in accounting

QBO is great because it allows our clients access to their books any time, anywhere. We are finding this is increasingly important to our clients. It also allows clients to do their own invoicing and receive payments themselves in the same system we are using for their bookkeeping. This product really is the future of bookkeeping.

PROS

Far and away the best feature of this software is that it's cloud based. So many clients want to be able to see their books from anywhere, at any time, on any device. If you are using this for a small business and are not trained in bookkeeping/accounting, this is the easiest bookkeeping software on the market.

CONS

If you are a trained bookkeeper/accountant you will likely be disappointed that it's not as flexible as Sage 50. They payroll module is terrible unless you have simple payroll with no deductions or special pay circumstances. While you can do a journal entry with a supplier name, you can't enter a negative invoice. They've updated with a credit card credit that allows you to enter a negative credit card transaction but it's limited to credit card transactions only.

QBO is far more advanced than the Sage cloud product. My preference would be Sage 50 but because this is cloud based, it's the next best thing.

The Best Accounting Software For Small Businesses!

Overall I love Quickbooks Online and recommend it to all small business owners that I know! It's been a huge help for my business in getting our accounting organized, without having to hire a book keeper. Invoicing has never been easier, as it keeping track of income and expenses. It's perfect at tax time and helps keep us on track to get as many deductions as possible. It's simply the best of it's class...

PROS

The interface of Quickbooks Online couldn't be better. It easily links to your bank accounts and starts to understand your accounting categories right away. It's super customizable and the features are in depth and thorough. I love how intuitive (no pun intended) the software is overall. It's also great that it's online so you can login from anywhere, including on an app, to track everything.

CONS

The only real limitation I can think of with the software, is sometimes weird errors can happen with your balance sheet / income statements. Everything really needs to be exactly dialed in , otherwise errors can happen and throw things off. While this is probably due to human error, for someone like me who is not an accounting expert, this can be frustrating to figure out where things went wrong...

20+ year user of Qucikbooks

Overall I'm happy with QB's online, we save a lot of time as I mentioned before on data entry. I just don't pout my really compicated clients in the software, I keep them in desktop.

PROS

I love how quickly the data entry goes in QB's online versus QB's desktop. With rules and auto entries it take the tedious parts of accounting and automates them. I'm able to focus my time on more complicated items that add value to my serives to my clients.

CONS

It still needs a lot of work on the developement of the software. You are unable ot customize PO's, which is insane to me. It's a little hard to get used to when coming from their sister product desktop. Desktop is so rubust and had very little flaws that I somtimes find myself banging my head gainst a wall, like why?!! Also, the subscription based pricing makes it so you always have ot pay for the software. With desktop I bought it once and none of my clients had to pay for it. Way to make money intuit, now but that money back into the developement of the software!

All my staff has used te software before and it's intuitive to them. I have also been using it since 1999, so it's hard to teach an old dog new tricks!

One of the Best Accounting Software for Small to Mid-sized businesses

Quickbooks online is our main tool and resource to have a quick snapshot of our accounting, sales, taxes, and profit/loss reports. Also, Quickbooks is our invoicing software and CRM.

PROS

The onboarding and migration of our company data from an offline software to Quickbooks Online was way faster than we expected. Aside from that, QuickBooks has been our main and preferred accounting and invoicing tool since 2018.

CONS

I believe Quickbooks Online reports are not that customizable like the offline Quickbooks versions. Also, there are differences managing multiple companies. We need to create and buy separate Quickbooks Online accounts for each of our companies and with the offline versions we just had to buy one set of licenses, that allowed us to manage multiple company files.

Best for billing clients based on project time

The overall experience of time tracking really depends on specific need and how well it fits into existing workflow. Quickbooks Online has afforded a great experience and I have had consistent billing for repetitive tasks albeit with slight modifications.

PROS

I use Quickbooks Online for personal work and expense tracking. Most of my projects are billed time on time spent on the project proportionately with the overall project. I struggled in trying to workout this kind of billing with several other accounting softwares and Excel templates became a bit limiting for me. Time tracking in Quickbooks is very helpful especially for tracking time spent on different tasks and projects. With the customizable timer feature, I am able to customize the timer to fit each specific task, include additional notes and descriptions for each entry documenting the nature of the processes involved etc. The time tracking feature is available as well on a mobile app which easily allows to track time on the go. Finally, the customizable reports allows me to see how much time I have spent on different task and how much I have invoiced for that time.

CONS

I think the main challenges I have found with the time tracking has been sometimes getting the billing accuracy. This has been because all the tracking is not that automated meaning any simple error can go unnoticed and affect the overall billing. Additionally, it is not highly customizable to fit almost all projects and sometimes I am forced to use other tools to manage the project.

Great option for any business!

The software itself was easy to use and navigate.

PROS

The expenses and sales receipts entries. Both are imperative to running a successful business, and the ease of imputing the information and generating reports is phenomenal. Other programs have a tendency to be a little more difficult to navigate for some users, however, this specific aspect of Quickbooks is extremely user friendly. The fact that it is also available online is a game changer.

CONS

I wish there was another way to enter in time for a Client, instead of having to do it all at once. There are other programs that we also utilize that allow our office to enter time day by day, versus Client by Client, which saves time in the long run. I also wish there was a way to utilize the payroll feature when working with a third-party. One of our partners are unable to access this feature during tax time because the payroll provider is a third-party and not by Quickbooks, and therefore we are unable to use the reports generated for that specific item.

Company Changes make past reviews irrelevant. Stay Away!

I have had QuickBooks for about 7 months and have been on calls with customer service for over 100 hours. The product was likely good at one time based on the reviews but they are constantly reprograming it and creating issues. All appear to be around driving people to use their other paid services like QuickBooks time and payment processing etc. Their greed for driving you to pay more has broken the core functions of the platform.

PROS

There is a lot of online discussion about QuickBooks so when you run into questions or issues you can often google and find some answers. This is very necessary because the customer support is terrible. The link to your bank accounts works very well and helps keep your books in order.

CONS

QuickBooks has been upgrading the user experience the entire time i have had the product. What this means is they reprogram how things work every few weeks. On top of having to learn how to navigate the software they do NOT betta test any of the new programming. There are bugs and issues all the time. For example, they have a bug that does not allow you to add billable time to a project since a programming change September 2023. Now January of 2024 and it is still not fixed. There is no way to charge my time (professional services) to my clients rendering QuickBooks useless. Other issues are estimates go out in emails that say invoice. All invoices have a pay here button that goes to a dead link. These issues are constant and there is no support. You put in a ticket and they say you must wait until it is fixed. there is no way to contact anyone, get a status update, or move the process along. You are just supposed to wait for months hoping they fix it.

i chose QuickBooks because of their long history and track record of positive reviews. along with the plethora of online forums and help. Unfortunately i did not know the company was going through a major reprogramming of their software.

I'm happily married to QuickBooks

I think the future is digital and it's time that we all dropped our fear and start keeping our records online. It’s very possible that your hard disk could crash but Quickbooks will still be there storing your records. I recommend Quick books to small and medium-sized companies.

PROS

Before I began using QuickBooks, my biggest fear was that we were going to entrust a cloud with our money. Personally, I was hesitant for a long time and so was my company. But after that, we decided to take a leap of faith and use QuickBooks. We’ve been happily married to this software ever after. So here is why I like QuickBooks It’s invoicing feature is amazing. The feature automatically invoices our customers and brilliantly matches the invoices to the customers. Quickbooks takes payments, bills and compiles reports for everything And while Quickbooks is doing this, everyone on the accounting team accesses it with ease.

CONS

Quickbooks crashes a lot and limits access to a few number of people. That's why I don't recommend it to big firms.

Overall I would say QuickBooks is more of a software made for people who don't know much about accounting. In that sense I would say it is very user friendly for those people. However when you put an accountant in front of this software my first questions were: "Where is accounts payable?" "Where is accounts receivable?" "Where is the general ledger?" These things just aren't marked that way. My first confusion was entering in invoices. Now usually this would be an expense but if you enter it in as an expense in QB it's really accounts receivable and you'll have to enter it in as a bill. Also one of the most confusing parts is keeping up with daily reports. Now I do understand that not every type of business needs to be doing this but in the hospitality business this is a requirement. This software makes it very easy to skip past a day and do other days and it will constantly change the "number" you had named the previous day. I find this slightly annoying and confusing. Sometimes I just don't remember what day I am on or what day I am missing simply because I can skip forward days (which can be nice). My overall opinion is slightly indifferent I would honestly rather only work with M3 only because QB runs slow. I think if it ran more smoothly I think I wouldn't mind working with it but it gives me a headache of how long stuff needs to load and get errors because it can't load all my properties at once.

PROS

What I liked most about this software was that you can connect the bank account to the property. This way it makes managing money and bank recons so much easier and faster. I also enjoy that I can easily delete and edit invoices or journal entries. This is sometimes a con as well. It all depends on if you know you won't accidentally click on something you shouldn't. I also like that I can easily enter in invoices and other things just by clicking on the + button.

CONS

My least favorite thing about this software is that the longer it is up the slower it gets for me. I am not sure if this is just my problem but we do also use M3 (another accounting system) and it never slows down for me no matter how long it is up for or what I'm doing. Of course it will take some time to load your first selection but runs super smoothly after. I am very disappointed at how slow this software runs for me. I am also not a huge fan of the layout of invoices and checks written. Looks slightly disorganized in my view.

Reasons for switching to QuickBooks Online

It wasn't my choice to be switching and honestly I wish we didn't. We had issues with transferring data so not all invoices were sent over and it left out useful information.

QuickBooks Great for General Operations

We are able to keep a live time view of the company's financials every day. Even when we cut vendor checks and are waiting for them to be cashed, our QB's bank already shows our actual available bank amount with the amounts already deducted. This way we know what we have to spend elsewhere without worrying if there is enough to cover other reoccurring expenses.

PROS

The ease of adding vendors and customers is great. Once you iron out the how to of the invoice templates they can be very useful to switch what is needed on each invoice per customer. The general ledger allows you to copy previous transactions which is useful for reoccurring transactions such as Payroll or loan payments. All you have to do is edit the date and transaction amounts (if yours change ie. Interest and principal amounts) and save. It keeps you from having to re-select accounts each time which is a huge time saver. Reports are useful such as PNL, Balance Sheet, AP and AR. It allows you to see where you may need to break out different accounts or where some can be combined for a better financial company overview.

CONS

We did expierence an isolated incident where we printed checks but the system did not record the money paid for each vendor. But still marked the invoices selected for each vendor as paid. It took some time to figure out that was the issue, which was a bit frustrating. I had to go back into every vendor and invoice to reapply the amount paid so our AP and business bank account were accurate again. Not sure why this occured but as I said it happened once and we were able to iron it out. I also would say under FILE and Forms it would be nice to have this under reports so there is one place to print out what you want. The forms section is very small and a bit confusing on the descriptions of what your looking to print. For example if I want to print a list of all the checks or invoices that I just paid/printed checks for...I always forget exactly where to go. Same for if I need to print a complete list of invoices paid on a check for a vendor as it was to long to print on the check reference voucher. I always have to play around to remember where I got it the first time.

Really...what choice do you have? Nobody ever got fired for going with IBM...or QuickBooks...

We primarily use QuickBooksOnline to generate and track invoices, as well as "keep the books" (General Ledger). It does these things well, but the learning curve is steep and I often find myself wondering why it does not have an obvious feature (like - why can't I get a subtotal within an invoice? Why can't I sort items within the invoice before making it final?). Beyond that, I have found the service / support to be lacking, and I am not at all keen about the fact that they incrementally increase the price once you are committed to using their product. Can I recommend? I suppose, but it would be a lukewarm recommendation. Really, it comes down to the fact that once your business is too large to use Excel for invoicing and General Ledger, QuickBooks is the defacto standard. I do not love it, but I don't hate it - yet. If they keep raising the subscription fees though, they will push me into doing some research for a replacement.

PROS

It does what it does well, and it is the standard, so you don't have to worry about acceptance or compatibility issues with your clients or with your financial institutions, nor with your accountant and / or bookkeeper.

CONS

Just because it is the standard doesn't make it the "Gold Standard"; it does the basic things you need it to do, but I often find myself wondering why some obvious functionality is missing, despite the fact that the learning curve is steep. And...they have a sneaky way of repeatedly raising the subscription fees once they have you committed to their product.

Reason for choosing QuickBooks Online

It is the standard. When you cross the threshold of needing a bookkeeper and / or accountant, they will know QuickBooks.

Quickbooks Online is Robust Software

Overall, QBO is wonderful software for bookkeepers, accountants, and small business owners. It is arguably the most powerful and robust software on the market, and is priced fairly well. Its integrations with other pieces of software and/or websites that small business owners use is second-to-none, and I am glad Intuit continues to work on that area. I would only say that support's knowledge of their own product is incredibly limited in my experience, and they need to stick by their pricing instead of releasing a few new features every year that have marginal actual use and claiming they need to raise prices because of them.

PROS

I love QBO - their software just works! I own a bookkeeping firm and nearly all of our clients use QBO. Nearly all bookkeeping activities can be completed, including accounts payable/receivable, financial statements, journal entries, bank reconciliations, sales tax, and even payroll. I find our clients want us to use QBO and they are eager to learn it. Along those lines, it is an easy piece of software to teach someone how to use, but still packs many robust features.

CONS

Two items: 1) The Intuit QBO customer service needs work, and lots of it. I have only web-chatted with them on three occasions, and on all three occasions, I solved the problem myself before the support agent could find a solution. A company as big as Intuit should know that their support agents need to be MORE knowledgeable than the end-user. In my experience, this is rarely the case. Possibly more training is necessary? 2) Intuit keeps raising monthly subscription prices on their QBO products. In using them for just about five years now, I have gone through five price increases/changes for their QBO Essentials and QBO Plus products, and an additional two on Intuit/Quickbooks Payroll (their payroll increases actually caused me to switch to another provider). Watch your e-mail for notifications diligently.
