We had a lot of training before we went live and again once we had started using it which helped immensely. The team are always on hand if there is a query and [sensitive content hidden] is brilliant at sending loom videos which visually shows how to do certain tasks. We use the reporting wizard a lot and there is so much information you can get out of the database. The customer support is amazing and they get back to you very quickly if there is a query. The event management side is so much better than our last database with alumni and parents being able to book straight onto an event. #### Cons There is so much information held within the database that it took a while to find out where it was in order to run the correct report. No incentive was offered We have been really impressed with the level of customer service - ToucanTech colleagues are always very prompt replying to queries and resolving any issues. They show a genuine interest in the School, even coming to visit as part of our onboarding process. The system is very easy to use and suits small teams like ours, with colleagues needing to wear multiple hats. This makes it easy for our community to engage with our School, and it is great for us as a small Development team, as it minimises data entry. It is fantastic to have events, email and donation functions built into the product - this means we are just using one system for all our fundraising and alumni needs. I have a very small team and reducing our admin load means we can spend more of our time doing the really important stuff like meeting donors and creating inspiring campaigns - which is also what we enjoy most. #### Cons We probably weren't fully prepared for the workload involved in verifying new members to the online community and this has made us review exactly when we fully launch the portal to our whole alumni community. #### Reasons for choosing ToucanTech Having one integrated system definitely appealed. It felt like we needed a data expert on the team in order to gain proper reporting value from it and this was never going to be an option. I also grew increasingly frustrated with the time it was taking to rollout full functionality to NXT. It enables us to communicate efficiently and effectively with our database, track emails and ensure accuracy of information. We use the platform for all event management, and have found the process of organising various reunions and dinners, and managing payments, seamless and reassuring for the user. One of the missions of our office is to raise money for bursaries - ToucanTech has been central to this and we can proudly say that due to this effective and efficient MIS, more pupils now are attending Hurst on bursaries. Its wide range of tools makes it easy to manage and has significantly improved how we connect with our community. The customer support is consistently impressive, with fast, helpful responses and clear guidance whenever needed. Our account manager, [sensitive content hidden], has been especially approachable and supportive, making the experience even more positive. It’s evident that the ToucanTech team is committed to ongoing development, with regular updates and improvements that enhance both functionality and user experience. Although, sometimes things aren't followed up on in terms of updates. The platform has been instrumental in bringing our alumni community together through engaging features such as photo galleries, news articles, and a dedicated Careers page. Behind the scenes, it has also played a key role in helping us better manage our data—allowing us to segment audiences and streamline our database with greater accuracy and ease. #### Cons I find some of the systems and features aren't particularly intuitive, and take a bit of learning but the team on support@ are amazing and really quickly either teach you or make the changes necessary behind the scenes. I find the customer Services team respond very quickly and we have very much enjoyed our sessions with [SENSITIVE CONTENT] I do find that the Instruction Manuals/help guides on line could be more detailed with some topics missed completely and others only having a brief summary of the process you are trying to complete/attempt for the first time. There are many times, that had the help guides been slightly more detailed then I would have happily used these and worked though the steps and not needed to contact customer services. The fundraising fund pages are extremely helpful in giving up to date stats and I like that you can build your own web pages and manage them instantly. We transferred over 10,000 records, and each time we send an email out, our data gets cleaned up by people directly updating their details. The daily automated emails you can set up are great and the data stored is easy to access and report on. Their support team and the customer manager you are assigned are outstanding. They reply to your emails and are always available for a training session where required. #### Cons I don't really have any cons; the only two things I think that could be improved in time are; when setting up an email ready for sending, you cannot send yourself or others in your team a test email directly from the template and the other would be to be able to add more than one picture in a news article without setting up a gallery. However, these are minor when you look at all the advantages you gain from the overall ToucanTech system. #### Reasons for choosing ToucanTech It seemed more user-friendly, and after speaking with customers already using ToucanTech it became a very easy decision. It enables us to create specific, targeted comms to specific community segments and to monitor the impact. I have been working with ToucanTech for the past two years using their Alumni Software. They are more than a 'service provider'. They listen and adapt and change to feedback from their users, which is not something I have experienced before. Other companies I have worked with say they listen but nothing ever seems to change. ToucanTech have a thirst and desire to be the best and this comes across in everything they do and in my humble opinion they are the best. They go the extra miles every day and make their customers, like me, feel part of their family'listened too, respected and willing to grow together. Their software is intuitive, easy to use and most of all FUN to use. I come into work excited to see what has happened on my 'network' and keen to do more. We really are seeing a change in the way our Alumni 'see' our school...they are seeing the value we can add to them now and how they can use their network to benefit them. It is pretty intuitive, but online / telephone support is good when needed. The team are very friendly and helpful, and will 'take over' the PC to talk you through solutions if necessary. The weekly support emails are helpful and let you keep on top of new developments. Graphics are good, we have had good feedback about the 'look and feel' of communications from our alumnae community. #### Cons Integration was quite a significant task due to volume of data but it was well managed on both sides. The ability to tag records to build up a comprehensive relationship history for each alumni member is great (and saves a great deal of time). We are just starting to the the fundraising module but so far it's been a great experience. #### Cons Importing our database was a huge task but now that is done it's much easier. No incentive was offered Our aim was to purchase a software solution that would manage our 15,000 plus dataset in a bright, intuitive and logical way. In addition, we required a third party (alumni) interface which would engage our alumni from the off, and give them a responsive, interesting and easy to use platform which would allow them to interact easily with the school and their peers. ToucanTech has provided such a solution. They have been a pleasure to work with thus far and the whole team have a pro-active, can do approach to work. We never have to chase ToucanTech, but rather they engage with us at every step. Their online forums bring another layer to the user experience, and any technical difficulties are resolved immediately by their technical team. Its bright, colourful appearance does not betray what lies beneath. The best thing about the software is its intuitive design which make operations simple, straightforward and easy. Almost everything you want to do/find is underpinned by logical thought and programming, so that the user can navigate easily around the software. #### Cons I am honestly not sure there is an answer to this question. My whole experience with ToucanTech to date has been positive, from sales, to customer service to to the user end of the software.
