The Best Decision for our Grant Management

With Wizehive, the grant management process at our foundation has changed for the better drastically. To have 100's of grant applications in one place and be able to manage archived and current applications with ease has cut my work by more than half.

PROS

The customer service is unmatched. From billing to IT, messages are returned on the same day. For me, that is better than the program itself. I never speak to a BOT or an AI rep. I can actually still speak/email with a human and that makes me stay with Wizehive.

CONS

I haven't run into any issues using Wizehive.

My Zengine Experience with WizeHive

It has been wonderful. I've launched my share of platforms in my career and this was as well-planned, structured, and executed as any of the best I've experienced.

PROS

I like everything about WizeHive, but hands down the cherry on top was our implementation lead, [sensitive content hidden]. Maybe all the leads are exactly the same -- I hope so, for the sake of everyone else -- but the success of our platform and launch is credited to the team leader. I cannot say enough good things about his intelligence to build, troubleshoot, test, reconfigure, and train me all while thinking of our needs, what we would need next, and what I didn't yet know. His technical talent is matched by his patience and priority of wanting our foundation and me to be set up for success from start to finish. I got that impression also in my calls with [sensitive content hidden]; instead of giving me bullet points of all things WizeHive, he asked questions about what we had, what we needed, what we wanted, and what we saw as our future needs. [sensitive content hidden] seems to be on that same wagon and I am thrilled to have the support system for this product.

CONS

I can't really think of anything I would consider a con. I would have liked to know more going in, but our foundation's timeline did not allow -- we were coming up on our next scholarship cycle and there was no time to waste -- but having training modules is very helpful. I refer back to them and hope they keep coming.

Reason for choosing WizeHive

The best fit -- I looked at who had education foundations as clients, worked with scholarships and grants similar to ours, I was impressed with the amount of control and advanced reporting we would be able to do, and I thought it would work well being updated each year as we restructure our scholarship process.

Reasons for switching to WizeHive

The last one we used was EForms and, as wonderful as the developer was, it did not work. At all -- no filtering candidates or matching, so we had to do hundreds manually, we were limited on assigning reviewers, no guarantee every application was seen by at least one reviewer, etc. The year prior to 2023 was wrought with issues and I think they ran out of time to rebuild for 2023 -- we were not involved on the back end and could not do anything in the system. 180° from what we can do in Zengine.

NOT Worth IT!

The service has been above average but the platform is designed so poorly it takes away from any saving grace. This has been a horrifying experience for me!

Powerful Database with Unlimited Functionality and Incredible Support

The WizeHive Team is thoughtful, intentional, and focused on excellence in their product and their customer relationships. I know several team members by name and consistently receive personalized, immediate, and knowledgeable support. From the beginning, WizeHive provides a customized experience for every client, and the support and personal touch do not end after the contract is signed. Our team is excited about all of the time and systems we have saved by switching to WizeHive.

PROS

WizeHive replaced our applicant tracking system, time tracking software, onboarding app, CRM, survey administration app, contact management app, mail merge app, and countless spreadsheets, docs, and graphs stored in Drive and Dropbox. The software has incredible functionality, and the WizeHive Team functions as an extension of our team - responding promptly and supportively to every request, helping us learn how to use the system more effectively, and requesting feedback for how to improve their support!

CONS

WizeHive has a potential learning curve if you want to take full advantage of all of its potential. However, the Implementation Team works closely with every client to plan the implementation that aligns with your goals for not only usage but also management. My only complaint, which the Support Team has graciously heard and recorded, is that whitelisted/vanity email addresses and system addresses are not available. We solved this challenge by using Zapier to connect our email accounts and Rebrandly to create a web address that is branded, but if I could change one thing, this would be it.

WizeHive allowed us to address multiple workstreams in one coherent system. It also allows us to bulk process applicants and set up systems that are unique to our team. The WizeHive Sales Team really listened to our pain points, process, and vision before designing a workflow that was customized for us. Instead of opening 10 Chrome tabs a day to track different processes, we all open WizeHive and are ready to go!

Reasons for switching to WizeHive

Fluid Review was transitioning to Survey Monkey Apply. We had a great experience with Fluid Review, but it and its successor Survey Monkey Apply focus on the application/scholarship management process, and we have robust onboarding needs for our AmeriCorps grant and programming.

Great customer service and fast setup

This product has significantly reduced the administrative time we spend on grantmaking. We have more than earned back the cost of the license in time saved.

PROS

We had a last-minute need for an online granting process and needed an affordable tool where we could get everything running quickly with minimal input from our end. Even though their development times are typically longer, they were willing to adapt to our timeline and still delivered the forms a week earlier! Throughout the entire process, their support team has been amazing--always available, always happy to help and incredibly fast to turn things around. We hardly had to do any of the development ourselves, despite this being a last-minute request. As a small team with limited spare capacity, this was a lifesaver in being able to keep to our grantmaking timeline.

CONS

While the functionalities are enough for most organizations' granting needs, there are a few customization options, such as greater flexibility with repeating questions, which we would have liked. However, the support team helped us find acceptable workarounds.

Reason for choosing WizeHive

Wisehive was one of the less expensive options, and unlike the other options in the price tier, offered hands-on support to get our program up and running. Their sales team was also much more thorough in understanding our needs and were honest about what they could and couldn't deliver. Although we had a cheaper option, we decided to go with Wisehive because of the support we would receive and our positive interaction with the sales team.

Great grant/scholarship management tool

Terrific onboarding & development process. Really appreciated how easy they are to work with us for a customized solution to our needs.

We moved our paper application process for our scholarship and grant programs completely online. WizeHive has proven to be highly efficient in processing applications, communicating with applicants and reviewing submissions. Such a time-saving resource for our team!

Excellent Service from the Very Beginning

The helps and service we have received from the beginning of our implementation has been excellent. We have had all of our questions and concerns answered. Anything we needed to be done has been done.

We want to be able to easily text our Scholars through the platform and are hoping for improvements in that area in the future.

Top tier customer service

This has completely met our financial management needs and tracking all of our grant funding.

WizeHive customer support is the best you could get. They helped us develop a system that is completely geared toward us and isn't your typical grant management system.

Early on the PDF didn't always work correctly but since this has been fixed.

This interface is easy to learn and use, and when questions arise customer service is very helpful!

WizeHive makes it possible to manage our grant program and the increasing number of proposals that we receive.

PROS

Customer service is very helpful and responsive. They're helpful in answering simple fix questions, as well as brainstorming on how their software can accommodate more complex requests. Very easy to build your own application form, as well as follow-up forms. The interface can be customized to fit your organization's branding. Online help articles are very helpful and easy to follow. Easy to create and customize reports. Easy to create a new workspace - its basically a copy, paste function. Overall - if we were to go through this process again, we would make the same decision to use WizeHive.

CONS

Applicants have to create new credentials every year in order to access their application so, they have separate logins for the year they are reporting in and the year they are applying for - that can get confusing. Yearly workspaces cannot communicate with one another so doing YTD comparisons can be challenging. There are some features, such as the calendar and cascading forms, within WizeHive that I wanted to utilize but were not sophisticated enough features to make it worthwhile. Sending an e-mail to users through the WizeHive app comes from the WizeHive domain and frequently goes to the spam folder. While you can direct replies to an internal e-mail, I would like for the e-mail to also appear as though it was sent from our domain.

Regarding the communication between yearly workspaces - this is a key priority for us and is on our near-term roadmap. Cascading forms is a core feature and we'd like to further discuss any issues you are experiencing to see if there is an immediate way to support/address your needs. For clients looking for more advanced calendar functionality, we have other options we can recommend. As for emails, we heard a similar concern from another client, investigated and made some changes to our email plugins that should significantly improve deliverability going forward. Thank you again! WizeHive: Client Review

The objective was to deploy a system to support subgrant management for a growing, flexible, and dispersed organization. This was to be supported by a successful rollout to internal and external users to ensure the system was used.The WizeHive team, especially the team lead in charge of the assignment, was committed and focused on offering a working solution. The customer service team has been supportive during rollout and has ensured to support our team during implementation.Equality Now appreciates the level of professionalism shown in handling the assignment, coupled with great patience and expertise in developing solutions of such a complex nature.

PROS

I like that WizeHive is a versatile platform. The system captured the blueprint document that was created at the beginning, which reflected Equality Now’s needs. It was possible to adjust the processes and functionalities during the system’s development to develop an efficient workflow process.

CONS

The needs assessment and planning before the system was developed were detailed. It did take quite some back and forth, but as soon as the team in charge figured out the need, they were quick to work on it and progress.I can say that the system is at about 75% use, and this is because we have not closed out any of the projects since we officially rolled it out in April. Sub-grantees have been able to interact with the system during application and reporting. There is no duplication of process, making the system function optimally at all stages.

PROS

WizeHive offers seamless language translation features; you just select the language(s) you need and everything is automatically translated for you! Another feature we love is the document generator. This feature helps us customize our award letters and payment invoices.

CONS

Having WYSIWYG capabilities in the auto-email function would be a terrific upgrade.

FIRST Washington Robotics Grant Management

I think the ability to streamline and automate our grant using WizeHive made the process move faster, allowing us to get funding out to our applicants sooner! Having all the information that we needed for this grant housed in one place made is super easy and efficient for me to keep my 300 plus applications, that were in various stages of the grant process, organized!

PROS

The product was easy to use, and our implementation lead [sensitive content hidden] was amazing! He did a great job of making sure that the product was customized for our needs. He also did a great job of making sure that we were comfortable with using the software for not only managing our grant but creating or editing our custom forms and templates. Having the option to use different folders and the auto emails that were generated when an application moved to a new folder was super helpful in automating our grant process and keeping our applicants informed.

CONS

The biggest thing that we got negative feedback about was the inability to have multiple users access the same application. Having someone that is an admin user and could grant user access to another person would be helpful or if there were a way to allow multiple users to access the same application. We have a situation where there are sometimes multiple people involved in the application process and they were frustrated by the inability to all have access the application.

Implementing zengine from select

There are technical areas of improvement but overall the customer support quality has been excellent. Customer support crew as well as account managers are responsive, helpful, patient and thoughtful. That is one of the best experience of being a wizehive customer so far.

PROS

The two top favorite features of Zengine that did not exist in Select are: 1) Data dashboard and 2) Side by side screen for evaluation form (Review portal). The former prevents us from downloading millions of excel spreadsheet to do data filtering to understand who is coming through our application - and the latter is a much better user experience for evaluator volunteers that we recruit every year. Thank you for these changes.

CONS

I hope there is more HTML/design element we can add on the platform - whether it is form creation, email templates, evaluator form... we use Form Assembly in many parts of our work and it has more design capacity (color, fonts, logo, insert graphics, etc). Also the degree of non-English customization was limited in comparison to our needs and we had to take two of our programs (Spain and Colombia) off Wizehive, which was unfortunate.

The best system for both front end user and back end staff satisfaction. Best decision we made!

We use the WizeHive Zengine platform for our grant system. We have both submission portals and review portals related to the two grant programs we provide in Florida. It's being utilized just by those of us connected specifically to the USTA Florida Section Foundation in an effort to manage the grant application and review process.

PROS

- It has made the application, which is almost identical to the application questions previously displayed by our old service, seem less daunting and more user friendly to grant applicants. - The grant review team has exclaimed that the side-by-side review option is the best feature ever invented and has saved them loads of paper. - Internally, I appreciate the ease of use of the back end system. Being able to easily assign grants to reviews both in and outside the organization, easily create queries for the stats I need, and the ability to move application through the steps of the system seamlessly make this my top choice since I'm the only staff member dedicated to the Foundation which leaves me with lots on my plate to balance.

CONS

I haven't found any yet. At this point, I'm thrilled with each of the features and the ease of use of the system.

Excellent Value for the Money

Data management is actually something I look forward to now that we have Zengine, and even those on our team who use the system less frequently agree. It is a relatively complex application and requires some time to get familiar with the structure, but we've found the time investment to be well worth it. In fact, the effort we've put into setting up the database to fit our needs is saving us time as we increase the number of records and enabling us to improve other workflows outside of the Zengine space. We highly recommend it and in fact have already done so with another grantmaker.

PROS

Zengine has completely transformed our workflow and allowed us to organize applications, grant disbursements, and review processes in a way we never could have managed using Google Docs and email. Those of us who use the system regularly can easily find what we are looking for, and we have confidence that data isn't slipping through the cracks. The dashboard views are helpful for our board, and we are already getting a glimpse of how we can use the database to create robust reports.

CONS

The only thing we miss is the ability to be notified (e.g. by email) if something has been submitted through the portal by an external user. But we've found a satisfactory workaround.

Zengine

WizeHive has provided exceptional services throughout the four years I have worked with them. Very happy with the product and customer service!

PROS

Zengine has been a great product for our organization. We were previously using Select, by WizeHive, which is being replaced with Zengine. There is a lot more functionality with Zengine. I am able to put more of our overall process into Zengine, cutting down the "back and forth" with our other platforms.

CONS

There are a few things that we were able to do with Select that we cannot with Zengine, but the Help team has been great relaying our requests to product development. Hopefully we will see these features in the future.

My overall experience was excellent. After consulting with different grant management systems, we are happy that we chose Wizehive and have recommended it to others. The support and value are incredible, and we don't have to pay for functions that we don't use.

PROS

The product is easy to use. We work in a face paced environment where the landscape changes frequently. WizeHive gives us the flexibility to modify our approach as needed. The sales department is efficient and overlaps with the design department and there are less steps to creating our workspaces. The onboarding and support team are excellent and provide training and continued support.

CONS

I don't have any complaints or suggestions.

We LOVE WizeHive

Fantastic!

PROS

The support team did an amazing job creating our platform. They were extremely helpful and always there to guide or answer questions. WizeHive is user friendly from the admin side all the way to the grant application review teams. The portal looks fantastic on a desktop, laptop, and phone. The attachments can be viewed from all the above devices. Super happy with WizeHive!

CONS

We still need to build our reports. Not a con, only thing that isn't perfect yet.

WizeHive - Excellent Grant Management Software

PROS

WizeHive is incredibly useful for program management, thanks to its integrated portal editor/publisher, as well as the highly editable data display. And WizeHive's support staff are unfailingly helpful, no matter how large or small the question!

CONS

Portions of the portal architecture are very intertwined, to the degree that altering/updating one can completely destabilize another (or the entire process you're working in). This is not ideal. However, this can be partially chalked up to an ongoing effort to further improve the back-end interface on Zengine's behalf, so I cannot be too harsh here. (Additionally, their customer support team is unbelievably helpful with any questions administrators have!)

PROS

I like that WizeHive is very user friendly and can be easily taught to those of all skill levels. Also, it is a great way to manage files and applications we receive. Lastly, the ability to create reports is a great tool.

CONS

WizeHive works well for our application process. There isn't anything about it that poses a challenge to our process.

Great Product

PROS

WizeHive provided an incredible implementation lead (Dan) to get our fellowship platform active. He provided novel ideas and features to make sure both the application and review process ran seamless. The product is solid and easy to navigate. Also, the support staff turnaround time on troubleshooting problems is faster than the speed of light.

CONS

I liked everything about the product. I have nothing to add here.

Easy experience with supportive implementation managers; Always friendly and knowledgeable

PROS

What has been most helpful for us is the flexible work flow and the widgets. We are still learning and understanding all the possibilities and making adjustments as we go.

CONS

So far, not being able to open select fields for our end-users to modify/edit is frustrating but manageable. Also, not being able to pre-populate fields in real time is hard to explain to non-tech savvy ppl because they believe that if the information is there, it should be able to pre-populate anywhere. Ideal situation for us would not have to manually export/import data to link fields together.

Well-designed and customizable solution for grant applications and reviews

Zengine is intuitive to use, and is supported by excellent reference materials and resources for administration. This product is excellent!

PROS

The programmable portals for grant submission and reviews are excellent, and will be critical to the success of our new initiative to solicit applications for sub-grants. The implementation support during programming was efficient, responsive, and extremely professional.

CONS

There are not any features that are missing, and the team was willing to add additional features that I needed, such as a time-stamp on the submission confirmation. Their flexibility and support to product users is exceptional.
