So much so, that I have others asking to utilize it for special needs or recommending new sets of documents be managed in Policy Manager. Shortcuts allow individual teams to build out folders with essential documents for their team to review and easily access. I appreciate the ability to document revision history and easily see changes over time. There are many useful reports to help manage the environment and understand staff interaction. The community portal is a great resource with all the information needed to get the most out of Policy Manager. Cons: I appreciate the ability to convert documents to PDF to help maintain the integrity of the document once downloaded but I very much need to deselect this feature on certain documents - mostly MS Word documents with editable fields and dropdown selection boxes, and other more form-based docs. The platform can be very slow at times and, from an administrator perspective, can become very frustrating when needing to spend a lot of time with the tool. Reasons for switching to Policy Manager The primary reasons were to ensure documents were maintained on a regular basis and to document the authoring, review and approval processes. Additionally, understanding document access helps us question whether a document should be removed, moved to a temporary archive folder, or retired altogether; making the remaining documents less overwhelming and growing confidence that documents are, in fact, important and current. I highly recommend HospitalPortal (and have) to my colleagues in health care who are looking for an Intranet portal solution. Ratings Breakdown 4 Ease of use 5 Value for money 5 Customer support 5 Functionality Pros: As a non-technical staff member (I'm the Employee Communication Manager -- reporting into HR -- not an I.T. staff member), this software is fairly easy to learn and utilize. With a few quick clicks I can upload documents, build new pages, and edit existing content. The search function is very robust and helps our providers and clinicians quickly locate needed forms, policies, and other documentation required for patient care. The build in document control feature is a key feature for our clinical policies and documents. Cons: Some of the behind the scenes administrative functions are not intuitive to me, but that is more than likely because I am not used to working in a database environment. We have so many different departments that each have unique needs -- and having each of those departments trained to update their own sections of our intranet is a major component of why we chose HospitalPortal. Everyone has ownership in keeping things current, and no one person has to be the "keeper" of the intranet. The other thing that I really like is how responsive the support folks are! Anytime I have a question or issue -- they have been incredibly helpful and follow up quickly. Cons: There are a few kinks that can be frustrating (editing text colors & sizes seems to hiccup a lot), and there are some functions that I would like to be added. The on-call schedule took a while for folks to catch onto, and it is generally great, but can be confusing to work with on last-minute changes. It was working good. We opened a new facility and shortly after refreshed the product and gave it a new look and feel. Scot and the developers were right on top of what we needed and offered many suggestion to make the look and feel of the site easy to navigate. It was a great experience and a very economical investment. Support is great and there is information and educational articles sent from the company on a regular basis. Figuring out who will do what and who is going to take care of the upkeep. Once all of that was figured out though it was pretty easy to get things created and keep the intranet maintained. It's outstanding that Hospital Portal keeps developing new features to improve the quality of life for their portal and they are usually innovative with their features. Few tweaks here and there but nothing substantial. Overall I'm happy with the product we received and they are very good at communication with their customers.
