I have had a pleasant experience with M-Files. It has largely enhanced the smooth running, organization, and teamwork of our group with documents. The automated workflows and metadata-based system have facilitated tasks to be more efficient and fast whereas the permission controls have been used to secure data. It may also require time before new users become accustomed to its advanced features and the pricing is a factor that is a little more expensive but the benefits in productivity and organization are far much better than these disadvantages. This makes file searching and retrieving very rapid and precise. The spreadsheet functions that are automated like the version control and the workflows have assisted in streamlining processes and saved us time as well as the errors. Moreover, the user-friendly interface and the safe permissions allow easy and carefree collaboration in terms of the platform. With such features, our team has become significantly more productive and managed its data. #### Cons The major limitation that I came across is that the learning curve may be very high to the new users, particularly on how to establish the workflows and also tagging metadata with the metadata tagging tool. Certain higher capabilities need further instructions or practice to use. In addition, its prices are also more expensive than other document management tools, which others may consider an issue when it comes to small groups or businesses with a tight budget. The experience could be even improved by several more tutorials or onboarding materials. #### Reasons for switching to M-Files Our information sharing was enhanced by switching to M-Files using Confluence which grew to be ineffective as we needed to manage our documents better and lower the chances of document mismanagement. I also like using the automated file backup features: documents, images and presentations are saved as they're being edited. The ability to share folders with specific teams/departments is also useful for us. #### Cons Sometimes M-Files can't save a file properly, for example, if the internet connection is temporarily unstable. Fortunately, it then creates a second version of the document instead of automatically overwriting another user's version. #### Reasons for switching to M-Files I didn't not like how confusing some of the folders were for OneDrive. Prior to M-Files, the version control and document retrieval was very inefficient and made collaboration slow. Metadata based search and workflow automation now enable us to find files in a flash, keep them compliant and also to make sure that tasks adhere to the correct approvals and run through with no delays. The site has as well enhanced cross departmental co-operation, where marketing, operations, and finance are operating in the same platform. Task monitoring and workflow scheduling offer a transparency effect, and its integration with current tools means that our processes will not be undisrupted significantly. Though the learning curve was experienced initially, the long-term gains, which include time savings, better compliance and increased productivity, undoubtedly outweigh the short term one. M-Files give us a very secure document storage place that has made it easy for us to consolidate all our documents at one central place. It also has top-tier workflow automations that help to automate the most tedious tasks especially when creating complex documents. M-Files has collaboration tools that allows us to work together and collaborate on our documents. It has a clean user interface that is simple to interact with and navigate making it easy to store, share and work on our documents. M-Files allow us to keep all our documents organized which help prevent the hassle of trying to find the documents we need. #### Cons We have not had any major issues with M-Files.
