Flow is a cloud-based task management solution by MetaLab Design that delegates and manages tasks by prioritizing multiple to-do lists. It helps users communicate with their teams and minimizes time spent discussing tasks. It enables users to visualize projects through Kanban boards and includes features such as social collaboration and dynamic issue tracking. Kanban boards allow users to plan, set priorities and track projects. The resource management module allows users to assign tasks to team members and balance workloads using drag and drop.

Flow provides task management functionality with due dates, subscriptions, notes, comments and advanced subtasks. Users can link projects to slack channels to receive automatic updates on project activity and create tasks using flow commands. They can also use project colors to categorize projects and communicate project status to team members.

Flow provides project filters that allow users to filter projects by team, workgroup, assignee, tag, project and keyword. The solution is suitable for businesses of all sizes.

Ebbs and Flows of Flow...

As a writer, I think Flow works better for editors/project managers than for any other involved parties. It gives a kind of overall accountability, but doesn't add anything to my own project experience.

Pros

Flow makes it easy to assign tasks, add dates, and communicate on specific tasks between colleagues.

Cons

Aesthetics. This app is not as savvy as others regarding how to visualize tasks, progress, and what else is coming in the week/month ahead. In particular, it shows only the task dates and not any kind of progress tracking.

Better than Trello or Asana

Overall, our company is happy with flow!

Pros

I love being able to set subtasks within my tasks, along with dates and descriptions for it. The way my tasks and projects are organized is better than any other task management software I've used.

Cons

The timeline feature can be improved a lot. From how it's filtered and to how it's viewed when you are viewing multiple people.

The Project Management Software I've Been Looking For

Makes coordinating a team much easier. I can look at the different timelines of projects and make sure everyone is one track.

Pros

The ability to shift between different views. I love the catch-up feature.

Cons

It's a little complex one first use but the more time you spend with it the more intuitive it becomes.

Easy to use project management software.

Pros

Flow is great for organizing teams effectively, on a smaller scale. The cost is great for what you get. It is easy to use and well organized!

Cons

The interface got a bit less user friendly with the latest update. It took me a while to get oriented again. I would recommend a single home page that displays all notifications, chats and everything in one easy to read place - like a newsfeed.

Very simple featured communication and task management tool for startup

Pros

- The UI is very minimalistic and can be used to maintain the standard for the application
- The same subscription contains both the task and team chat.

Cons

- The pricing is not startup friendly. They dont have a free version in the application.
- The app onboarding process can be omproved.

A bit clunky, but does the job as a task management tool for teams

Pros

It's a capable task management system that checks all the boxes. You can tag other users to loop them in and assign tasks, you can set up subtasks underneath projects, leave comments, etc. It's also cheap for small teams.

Cons

It's particularly lacking in ease-of-use. I feel like things always take me a little longer than they should in Flow because I'm not sure where to go in the app. If I were more seasoned using it, that would be less of an issue, but it speaks to a need to improve the UX if it's not clear how to do things naturally.

I don't think it's better than Asana at anything, and Asana is free for up to 15 people.

Helping to think bigger

It has helped cut down on the number of meetings.

Pros

The option to use kanban boards and lists when setting up projects caters for most project requirements. The ability to set deadlines for tasks, delegate and subscribe makes project management so much more straightforward.

Cons

I have found that the application on MacOS a little glitchy at times. They are always bringing updates, but sometimes that quick note you wanted to add takes longer than expected.

Visually pleasant, but lack of some functions

Pros

Easy and fun to use. It uses the kan ban method, perfect for small design or marketing teams who like to use more visual softwares.

Cons

At the beginning it takes a while to get used to all the functions. It's also a bit confusing when you want to search for past tasks. It still needs to improve a lot of functions.

I have been using Flow for a month now, and it's great to track projects and hold teams accountable.

More seamless project management, and a better way to organize projects. Less in-person follow up, but strong accountability.

Pros

One of the things I love most is how Flow lets me break down a project to the tiniest detail, assigning due dates and other people to work on it. I think it is user friendly, aesthetically pleasing, and just a great project management tool.

Cons

It did take a little while to learn how to navigate all the different options, but once I did, it was pretty seamless to use.

Helpful for productivity, but missing a main element.

Pros

When you work with a team that is not always together, this is a helpful tool to assign and keep up with projects and tasks.

Cons

At the moment, you are only able to assign a task to one person. When collaborating this makes it difficult to make sure more than one person has it on their personal task list. You currently have to subscribe any others working on the task.

New format is difficukt

Pros

The product itself is a great tool. I especially like that you can send messages or add someone to your task so they can follow the progress

Cons

The current new format is very confusing. The old format was more intuitive. I find that I have to dig around to find what I need.

Disappointed about ownership of information

None, as I decided not to chose it as my project management software anyway. I selected ASANA instead, that I liked more and has the same price.

Pros

They got back to me very promptly when asking information on line and over email. And I appreciate their honesty in explaining how it works.

Cons

That they could not delete my personal details and account. They could only deactivate it. I find it absurd that the person cannot request to have their information deleted. This may also be the case with other softwares, in which case, that is also unacceptable to me.

Among the best project management tools I've used

Pros

After using several other project management tools, such as Teamwork and Trello, I can say I'm a fan of Flow. It hardly requires any training (I jumped right in), has a beautiful interface and has plenty of features. My favorite is the "catch-up" feature, which helps me stay on top of my tasks.

Cons

Difficult to find tasks that you hand off to others. Yes, there is a "delegate" feature where you can see tasks you delegated, but not tasks you simply reassigned. Also the notifications for "catch-up" can get overwhelming at times.

Put simply, it works. We are a company of remote staff, meeting only once per week. Flow is crucial.

Allows our remote-working business to collaborate extremely well indeed.

Pros

It is not a chore to add new projects, or update them. Many similar services make admin a pain, whereas Flow keeps it at a minimum.

Cons

We chose Flow for several reasons, with one being the gantt chart that similar software doesn't have. However, Flow would be so much more useful to us if gantt charts could be printed/exported.

Hopefully this gets changed in future releases.

We use it as a communication tool within our organization.

Pros

The ability to communicate with our entire staff on Flow is extremely helpful. To assign tasks to multiple people is very beneficial. Being able to create private tasks is great for being able to stay on track through the day and week.

Cons

It is a little difficult getting set up in the software. It definitely requires some training to be able to fully function in the program.

Flow has been easy to integrate our team into and has equipped us to accomplish our goals.

Pros

Flow is simple while still having a large number of features that help keep our team organized. We love being able to manage different teams and projects, both as a group and individually. It provides accountability and an insightful window into everyone's workload.

Cons

Have had some issues with repeating tasks needing to be "reassigned" each week. It's not a huge issue, as you can easily tasks that are "unassigned" and quickly attribute them to an individual.

Flow is really fantastic piece of project management software, it has changed the way we do things.

Optimising the project management process.

Pros

The interface is very intuitive once you get the hang of it and it really allows you to get a hollistic view of the whole project lifecycle.

Cons

There can be a bit of a learning curve on getting to know the software. Perhaps better learning materials could help mitigate this.

Easy to create and share projects with specific deadlines, can be difficult to find projects quickly

Pros

It's really easy to see the progression of a project - we can see each person's deadlines to know where the project is and if things are on track.

Cons

When we have projects for each of the different teams we collaborate with, it can be difficult to find what we're looking for quickly.

Great roadmapping and product management tool!

Great visibility on my products.

Pros

It has everything I need from the smallest subtasks, to the longer roadmaps - the entire product lifecycle is visible from all perspectives.

Cons

There's a little learning curve - but it's absolutely worth it. A better tutorial/intro would be nice to have.

Flow is an absolute joy to use and organize work

Brings the insanity of organization creative work into clear, succinct focus.

Pros

The Projects view that allows work to be grokked from a birds-eye view without losing the tactical, fine-grained focus.

Cons

I wasn't a fan of their team chat feature but they've pivoted in their latest iteration to focus on Projects.
