- Value for money: 4.0/5
- Functionality: 4.1/5

### Rating distribution

- 4 stars: 236 reviews (38%)
- 3 stars: 68 reviews (11%)
- 2 stars: 20 reviews (3%)
- 1 star: 14 reviews (2%)

### Most mentioned pros

- What I liked most about Kantata is its ability to centralize projects, people, and financial performance in one platform.
- Overall, I think the idea of having everything available in one program is great for a small account with a few projects, however I feel that a lot of the features go missed with a large account.
- I think Kantana has done a great job in their timeline developments, time tracking, and resource allocation.

### Most mentioned cons

- I believe my largest complaint is how long it takes the scheduler to load due to the fact the data gets updated each time I scroll through the scheduler and honestly causes eye strain. When you have very large projects, the mobile app is essentially worthless, it freezes constantly.
- Expensive! And mobile app sucks which didn't work for me and the site is layed out difficult to navigate on
- I only ask kantata to improve customer service in terms of response time not being so long since sometimes they are responses that take a week to give a solution, it is the only bad thing I see in kantata

Using Kantata to track hours and costs. Great way to track for many projects and different types of employees.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

Great interface for employees to track hours, organize by different projects. Great and accurate tool to track costs.

#### Cons

I actually don’t have much negative to say about it. Setting up reports is often a difficult part in these programs. Anything we can do to make that easier is good.

### Professional Services Automation and Project Collaboration in One Package

The overall experience was positive - the implementation went well and the consultant kept us focused on the core items we wanted to implement first.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

The best feature of Kantata is that is provides a combination of Professional Services Automation (the ability to track time, assignments, tasks, project margins, etc.) along with an end-customer collaboration capability to jointly track project task progress, shared documents, and shared task progress.

#### Cons

The more challenging part of Kantata is the custom reporting aspects. During implementation, we have several custom reports built by the Kantata team. These are working acceptably, but if you want to modify or change those reports it takes a pretty high level of knowledge and experience.

#### Reasons for choosing Kantata

Kantata provided the combination of both PSA software and project execution collaboration with external customers.

### Great for small business, but tedious for big accounts

Overall, I think the idea of having everything available in one program is great for a small account with a few projects, however I feel that a lot of the features go missed with a large account. There are a lot of tasks that require multiple steps and with that needing double checked once complete, which can sometimes feel like you don't have time to manage other responsibilities because there are so many steps with project creation.

#### Ratings breakdown

- Ease of use: 2/5
- Value for money: 3/5
- Customer support: 3/5
- Functionality: 3/5

#### Pros

I think Kantana has done a great job in their timeline developments, time tracking, and resource allocation.

#### Cons

I do sometimes feel as if there are too many moving parts in Kantata which makes it difficult to follow each step involved with project creation, etc. This would be a great resource for a small account, but it tends to get tedious with big accounts with a high volume of projects. Additionally, there are frequently bugs with resourcing allocation where the timeline says one thing, but the hours are behind. So needing to double check every time hours are distributed gets tedious.

### It's a fantastic time and task management system

Mavenlink sits directly on our Salesforce platform, and it has been great for our business to have a more comprehensive perspective from Pre-Sales through project close-out ever since we implemented the product about three years ago with the help of Mavenlink's amazing support. From the perspective of Resource Management, I find everything about Mavenlink to be extremely well executed.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

My preferred time management application is extremely feature-rich, allowing for extensive customization of how time and money are spent. Mavenlink is a great addition to our corporate finance tools since it provides us with a new way to examine data and monitor progress on several fronts simultaneously. For me, it's a plus that Mavenlink is always working to enhance its platform and provide new educational resources for its users.

#### Cons

I haven't utilized many goods or features, but it would be helpful to have a consolidated dashboard where I can observe how everything is interacting with one another.

#### Reasons for switching to Kantata

Costs associated with time stamping are managed on every project via Mavenlink. A trustworthy time tracking tool also helps with future project budgeting and estimating. Our company has made great strides in winning acceptance of proposal estimates since deploying Mavenlink.

### New user, smooth implementation

The technical consultant support during the implementation was fantastic. Our POC was great about helping us stay on track with all that needed to be tackled as well providing us in the moment or chasing down answers we needed to keep things moving. Adoption within the organization has been successful - a mix of the training support we got from ML and our own custom support. But the intuitiveness of the tool helped the adoption be smooth. Now we are just starting to reap the benefits of the visibility, insights and better overall management of our work.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 5/5

#### Pros

We are new to having a PSA and PM tool. So it was great to go from each department having their own spreadsheets to one point of truth and full visibility across the project. But as well - all the in built finance management and integrations we setup has streamlined so many additional administrative elements of managing our work. And the real time visibility to project performance (timelines and finances) is great.

#### Cons

Navigating some of the integrations has been a little longer than I would have hoped for the roll-out. The support to get things implemented was not as timely as we would have hoped.

#### Reasons for choosing Kantata

It not only met our needs but excelled compared to others. It has additional functionality we can grow into as we evolve and advance.

### Awesome platform that's only getting better

Overall, using Mavenlink has been great - it has made a very positive impact on day-to-day functions as a business. I would recommend it highly to agencies for its flexibility and extensive functionality to manage resources and projects.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

The reporting functionality Mavenlink offers is extensive and has enabled us to get much better visibility to our project, program, portfolio and resourcing data. Which in turn has allowed us to set/adjust our KPI/KRIs and better inform business decisions with the data we have available. In using Mavenlink how it's meant to be used, not only have we improved our business practices but our PMO has gained valuable insight into important aspects of the business that were previously siloed. The fact that Mavenlink actually continues to improve its platform based on user feedback is a massive plus, as new functionality becomes available to better utilize the platform.

#### Cons

There are some small (very small in most cases) problems we have with some functionality i.e. the naming/categorization of metrics in the reporting suite could be clearer, when approving/rejecting timesheets, adding a comment to a specific entry would be preferable, rather than the comment being published to all entries.

#### Reasons for choosing Kantata

Fitted to our budget and offered functionality we saw as essential to resource management.

#### Reasons for switching to Kantata

Budgetary reasons mainly but we also needed a platform that would allow us to manage resources more efficiently as well.

### Review of Kanata

Kantata feels powerful and enterprise-ready, especially for agencies or services teams that need visibility into resourcing and financials. When it’s well configured, it gives leadership-level clarity, but it does require discipline and admin effort to keep setups consistent and reporting trustworthy.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 3/5

#### Pros

It gives a clear picture of project health in one place—resourcing, budgets, and delivery status are tied together, so you’re not stitching reports from multiple tools. I also like that it makes capacity planning more concrete, especially when multiple projects are competing for the same people.

#### Cons

It often takes extra configuration to build dashboards that answer simple questions (forecast vs actuals, utilization by team, burn vs budget), and small changes to fields can break a report. It can also feel heavy for day-to-day use: logging time and updating project details can involve too many clicks, and if project setup isn’t standardized, data quality drifts quickly (duplicate fields, inconsistent naming, mismatched project types).

Having everything (Budget, Billing) in one location gives credibility to clients as we send them reports. Not having to open 5 Tabs at the same time to see the budget and billing information is a plus. I am simply happy that the proofing for those large files will upload, even if it is slow. In the workload planner view, we can determine who is working the most.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

I am writing this message, while the heating unit located in my office is clicking, clicking, clicking I’m glad your Kanban boards moved when I clicked on them, I was afraid they would be extremely slow and therefore annoying. I received a response immediately from [sensitive content hidden] in Support which I did not expect. The system saves me a lot of time creating the template for each of the recurring items. I like the timer feature to track our developers and their billable hours.

#### Cons

I think the email notifications are way too many unless you turn them off completely. I believe my largest complaint is how long it takes the scheduler to load due to the fact the data gets updated each time I scroll through the scheduler and honestly causes eye strain. When you have very large projects, the mobile app is essentially worthless, it freezes constantly.

In the beginning, Kantata really helped us have a better view of project health, but as we have grown and clearly defined processes, etc. Kantata has not grown with us. It looks and feels dated.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 3/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

The best thing about Kantata is the ability to see project burn rates at a glance. The time-tracking system is a huge part of that being accurate as well. There are multiple options for our team to track their time so that we can see project burn rates.

#### Cons

There are several things that haven't been improved at all in the 6+ years that we've used this software. For example, basic things like not being able to customize your task statuses (or at least new options being added), being able to mark a task as complete even when none of the checklist items have been checked off, and not getting a notification when a due date is coming up to remind a team member of a deadline before it is missed, etc. The mobile version is pretty much useless which is sad now that the working world is mostly remote.

#### Reasons for choosing Kantata

The time-tracking features and ability to see project burn rates.

#### Reasons for switching to Kantata

We needed our time-tracking software and project management software to speak to one another.

### Powerful software with built in training

My company uses Kantata for time entry, revenue & cost tracking, and invoicing projects. In my role, specifically, I handle onboarding new employees, managing weekly time entry reports, time adjustments, project setup, PO allocations, and invoicing. I previously used Sage 100 to invoice and have found Kantata to be leagues ahead of that software.

#### Ratings breakdown

- Ease of use: 5/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

The features I like most about Kantata are the appearance of the interface, the built in training that's available, & how quickly modified information is updated for reporting and invoicing.

#### Cons

When first introduced to Kantata, I was unfamiliar with the process flow and quickly became confused by the different levels (Opportunity, engagement, scope, element, etc.). There is a bit of a learning curve, but after spending some time using the tool, the process began to make sense to me.

We've been using MavenLink for over a year now and we are constantly learning new and better ways to utilise all the tools it has to offer. We use it as our core method of communication with our clients, it helps to have all the information in one place. The Time tracking tool is easy to use and we are hoping to take full advantage of the Resource Allocation and Gantt chart in the near future

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

- So many options and ways to customise each feature - Time tracking tool is very easy to use, our team prefers it over what we have had in the past - Custom reporting, especially weekly project reports, have upped our client communication game. Our Clients appreciate the extra level of transparency and it has helped us prevent a lot of surprises when the invoice is sent out. - Resource Allocation and Gantt chart really help when it comes to Project Planning.

#### Cons

- It's really difficult to see WHO is responsible for a task if multiple people are assigned to it. This is a problem when you are looking at a project and want to see who is responsible for what from 30,000 feet. Instead, you need to go to that specific task and read through the comments to see where it stands. There are a few workarounds for it, but then all involved extra work and monitoring to make sure everyone using the system is doing so correctly. - There doesn't seem to be a way to edit a comment once you post it - You can't customise the status options for the different tasks, so something is either in progress, not started, needs information, or completed. It doesn't really let you customise it to follow your workflows.

Mavenlink feels a bit clunky to me with lots of room for improvement in overall UI design and user experience.

#### Ratings breakdown

- Ease of use: 3/5
- Functionality: 3/5

#### Pros

Creating task lists is easy in Mavenlink. Once the list is created, you can move the items around to rearrange the order or turn some of them into sub-tasks.

#### Cons

The expense report tool doesn't work for our organization because Mavenlink only calculates expenses in a single currency. Our company has employees all over the world and we travel to clients in many countries. Therefore, having the ability to convert currencies is key for our group. I would also like the ability to copy a timesheet completely from one week to another (both the billing categories and the time spent on projects).

#### Reasons for switching to Kantata

Project managers didn't like NetSuite.

My overall experience with Kantata software has been positive. The extensive feature set and seamless integration with development tools provided a comprehensive solution for software development projects. The software proved to be a valuable asset in managing code, collaborating with team members, and ensuring version control. While there was a learning curve associated with some advanced features, the software's capabilities justified the initial investment of time and effort. Overall, my experience with Kantata software has been productive and beneficial in facilitating efficient software development processes.

#### Ratings breakdown

- Ease of use: 5/5
- Functionality: 5/5

#### Pros

One of the things I liked most about Kantata software was its powerful and comprehensive feature set. It offered a wide range of functionalities that catered to various aspects of software development, including code management, version control, and collaboration. The seamless integration with popular development tools and platforms made it easy to streamline the development process and improve productivity. Additionally, the robust reporting and analytics capabilities provided valuable insights into the project's progress and performance.

#### Cons

While Kantata software had many positive aspects, one thing I liked least was the learning curve associated with its advanced features. Some functionalities required a bit of time and effort to master, especially for users who were new to the software or had limited technical expertise. Additionally, the software's user interface, although functional, could benefit from some improvements in terms of visual design and intuitiveness. However, these minor drawbacks did not significantly affect the overall performance and functionality of the software.

#### Pros

Billable & Non-Billable Hours: The ability to quickly tab through the hours field is great, along with ability to prepare future timesheets without submitting them. Expense Tracking: Submitting expense reports is fairly quick, once expenses themselves are created.

#### Cons

Billable & Non-Billable Hours: Would like to be able to bypass entering Location as needed. It is not always needed for time tracking, but it is globally-required by the system. Expense Tracking: The ability to copy like expenses would be a great added feature. Expense details and amounts are almost always the same for recurring monthly employee reimbursements, and so being able to just copy those and attach the new receipts would be really helpful.

#### Ratings breakdown

Used Wrike for ~8 months and moved to Mavenlink over a year ago. In write you can't track time and expenses. The wrike issue tracking isn't great too. Before moving to Mavenlink, I looked at ~12+ project management tools. It's a pain to move platforms. So we didn't want to make the wrong move. There are so many tools out there. For us, a big priority was being able to track time and projects all in one place. Mavenlink does that and more. It's an awesome tool esp. for design teams and if a lot of your team is virtual.

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 4/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

- Time tracking integration. Don't have to use a third party tool. - Smart project task management. - Easy to track if "to do" is a "task" or an "issue" (very helpful for website projects where you have a TON of issues to deal with). - Easy to move tasks around and see the overall items you're working on. - Google docs integration. - You can track conversations all in one feed-- on more email. - You can respond via email.

#### Cons

- So many features. I don't use all of them. - They add on cool features... but want you to pay for them. - Expensive -- but worth it when you're managing a team and don't want to login to a ton of applications. - No dropbox integration. - Takes awhile to get used too. - You can't rename the issue or task items. For example, sometimes I want to change the status title from "needs info" to "client review" -- and I can't edit the status (I could do this in Wrike).

Easy to use, reliable in terms of saving data but this tool feels outdated due to the manual staff allocation process. Also the finance and staffing reporting doesnt work for me. Im not a fan of that.

#### Ratings breakdown

- Ease of use: 4/5
- Functionality: 1/5

#### Pros

I like that my staffing projections are easy to access, view and share across digital teams.

#### Cons

Forecasting hours by the week/month needs to be automated - this is too manual and time consuming at the time. Need to be able to drag and drop hours, or somehow more speedily be able to populate staff allocations. Also finance reporting / utilization reporting is incredibly difficult of not impossible due to my current access level. I have to rely on the finance and resourcing department for all reporting - this is not sustainable for project management.

#### Reasons for switching to Kantata

Company decision / above me.

Overall, the experience is become better and better. I'd say the UI still has some usability issues.

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 5/5
- Functionality: 4/5

#### Pros

Great master planning for resources and allocations.

#### Cons

Two biggest pet peeves are the following: 1. It's irritating that you must delete a recreate a time entry if you enter it on the wrong day of the week on the Timesheets view. Should be able to just change the date of the entry. Other similar software allows this. 2. On Master Planning, I want to see how many hours are represented in the allocation every week not just how many hours by percentage across the span of weeks the allocation runs. This make it hard to determine quickly how many hours the resource has for each allocation for that week.

#### Reasons for switching to Kantata

Better resource planning

Our organisation has been able to streamline a group of integrated teams into a well structured project management tool. It's helped to track our progress in many ongoing projects. It made the team fulfil tasks faster.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

Absolute perfect customer support. We have put resource planning somewhere easily accessible for the whole company. Even before Mavenlink, we had Microsoft Project for this, and it was not as easy-to-use as Mavenlink. The support we've gotten from the Mavenlink team is awesome. Whether it's getting questions answered, prioritising potential feature enhancements, or giving feedback on the product road map . I always know that our voice will be heard and considered.

#### Cons

Everything is fine, it is just we use custom fields on almost all tasks we create, so when created templates with these task lists because we re-use a lot of the same tasks. Unfortunately, templates do not save custom fields so we've had to add these each time we apply a template. It could be improved.

First time using time-tracking software. Time tracking is easy enough. I haven't used much of the management features to give a review of that. It seems fine, but a little rougher in some spots for us.

#### Ratings breakdown

- Ease of use: 4/5
- Functionality: 3/5

#### Pros

I like that it's online and accessible anywhere. Also like that the timer remembers where you are at even when the browser/computer is restarted.

#### Cons

I think it would be better or nice to have a different method of time tracking where the start time is an actual time of the day and then you (and managers) can what you did at what time specifically instead of just knowing "I spent 4 hours doing X sometime today, but don't know when". The timer can be a bit cumbersome. Whenever you're finished, you have to manually search for the project/task to attach to. Would be better if it kept last task selected. Also, submitting time doesn't update the timesheet if you're on it and requires a refresh. I usually keep the timesheet open and just add the time to the existing project on the sheet, then clear the timer as that's the most straightforward and smoothest experience. The API should be easier. Is the only way to get an API key through your manager? Users can't access their own accounts on their own?
