Cons

Support has been willing to work with us on the needed we require.

Pros

It does a good job with hours tracking. I am able to see how much budget is left on a project. They also made major improvements on the ability to approve hours. Previously it was only approved by project which would be hard if you had multiple projects, but instead you can now approve by person when all their projects report to you.

Cons

It is a little hard to manage timeline with resources, but not because it doesnt offer it, but because projects always change and its hard to find the time to modify the changes needed that constantly happen. We find it easier to just manually adjust as things change.

Overall, extremely effective in keeping our projects moving and keeping team members in the loop - may take a bit to get adjusted to the interface when coming from other PM software but that's expected when switching from any right?

Pros

- This is a great collaborative / project management tool that has kept all members of all teams aligned on project status
- Love the hierarchy system, and the ability to be notified when my task is ready to be handled that is contingent on the completion of a task by another team member

Cons

- Takes a bit of time to get used to the interface, but once you understand the process it becomes extremely efficient
- There are many places to put information, just have to be on the same page with team members where this information will go (description vs. activity)

• Post (and pin) overviews, descriptions, files, and comments to the Activity Feed to keep all team members informed

Cons

• Beginners may be overwhelmed with so many options and use-cases. However, the organization of tools and the vast availability of features and documentation help the user establish their own workflow that fits their unique individual needs.

This is far more than a project management app. This is a complete enterprise management platform.

Pros

Mavenlink provides an off the shelf cloud based business operations system that complements our business model well. We took advantage of the MavenOPs onboarding support feature as well and have been very well supported as we transition our current systems and projects into Mavenlink. Its ease of use, comprehensive support and economic price point delivers a comprehensive enterprise planning and reporting suite at a fraction of the costs of larger (more cumbersome) systems.

The level of support from the Mavenlink team is really impressive.

Cons

I would like to be able to white label email notifications and organic Xero integration but when weighed up with the pros these fade into irrelevance. And that is saying something for us as we rely so much on integration.

It goes deeper than some of the competitors but is not very user-friendly when creating projects. Not very intuitive at all. Inability to create "placeholder" tasks within a project and run scenarios. Time tracking is extensive but very confusing. Onboarding fee very high compared to competitors and is very cookie cutter.

Pros

Very deep and detailed project planning. Excellent analytics capabilities. Multiple view options. Solid Mobile implementation.

Cons

Display and printing options very limited. No dedicated Mobile App. Setup and support are pricey for the level and detail of training they deliver. Very difficult to create planning scenario projects. If you want to "spec" out a project plan and not include actual team members receiving e-mails, etc. you can't do that in any meaningful way. Certain actions are "forced" so you can't override certain functions in order to create "what if" scenarios. Additional licenses are required even for creating users who will barely interact with the system. It gets expensive quickly.

The only things I would need Mavenlink to add is as follows:
-Have some sort of instant messaging service between members on a project.
-Allow us to private more than one person when sending messages using m.mavenlink.com.
-Have a real app that we can download from PlayStore/ Windows App Store or any other app store so we can use the full functionality of Mavenlink through the app
-Also in the future, we could have some sort of video conferencing ability for persons on a project to have virtual meetings. That would be a dream!

Pros

It allows my colleagues in different countries to be kept up to date on different aspects of the various projects.

Cons

No instant messaging. App needs to available on Windows store/Playstore/other popular app stores so we can use Mavenlink on our smartphones.

I have been using Mavenlink as the primary account administrator for two different companies over the course of four years. The suite has proven to be an integral tool in my everyday professional life within the Marketing industry. It allows my teams to see only what they need to primarily be involved with for any particular day and clears away other clutter they may not be associated with. However, most importantly, it allows many different views when it comes to upcoming work capacity and profitability. This is the feature we were primarily after when signing up for Mavenlink. The instant-update gantt charts allow us to see both all of our current projects and each individual project. This, in addition to the robust resource management tools that are constantly being improved, as enabled our Production team to kick project input and scheduling into overdrive! Our Copy and Design teams love the real-time proofing module as well. The comparison tools are really slick.

Pros

Depth of data analysis and business intelligence, gantt charts, deep task detail options, resource scheduling tools, built-in expense and budget tracking

Cons

There is an intermediate learning curve and may come across as immediately complex to the uninitiated creative. However, 10-15 minutes of poking around and taking advantage of the learning tools and startup tutorials offered by Mavenlink's stellar customer service program will address this minor concern. Mavenlink is a fantastically powerful information source, and with that power comes some proper approach and learning. It's all intuitive, though!

It is effective and has a great user interface. The ability to customize the interface with company specifics is very good. Invoices look very professional as well, and are easy to send, save as a .pdf, and attach. I had a billing problem due to a rather complicated ramp up of my licenses, and they were very good to fix it and refund the overage, without any problems.

Cons

The permission levels seem a bit off, and adding people to projects does not always work like it should. There is a work around. I also have not yet been able to integrate it with quickbooks, however I have not yet spent the time with tech help to get that going.

Great product, easy workflow, and integrations with other apps that I use. Their time tracking integration is invaluable to me as I can track the amount of time spent on my tasks and projects and then budget my clients accordingly.

Pros

Their support team is also super helpful. I find this useful as I don't need to train my team members how to use the tool - new hires just got to reach out to their support team.

Cons

Need more integrations with other apps. Probably a Zapier integration would help.

Mavenlink is on its way. Using it feels like they began with good questions about how a robust project management tool SHOULD look and work, and began developing from there. The interface is clean and open and the tools you have access to are head and shoulders above "free" offerings like Asana and Trello.

Pros

Nested task view is awesome, dependencies and Gantt charts are great and the multitude of ways you can parse the data is peerless.

Cons

Their "app" is a web app, with no offline mode. Really disappointed about this one, since we're moving from Asana, who's app is WONDERFUL.

Advice to Others

If you need task dependencies, project start dates, or any sort of budgeting incorporated into your task management, look no further. Otherwise, you may want to dig into the details to see if Mavenlink is right for you.

I use this tool as an Engineer, to manage small-large scale technical projects. I find the tasking very helpful, but the navigation and interface is not extremely straightforward. I think there is a lot of functionality that I'm not aware of.

Pros

Ability to categorize and organize tasks; assign estimated hours and budget to each tasks, and view the project status and burn rate throughout the cycle of the project.

Cons

The interface is a bit difficult to navigate- lots of clicks to get to the right place. Unable to log time to a deliverable, and lack of options regarding different task statuses. This might be customizable and I just don't have access to do so. The organization of the different permissions is confusing as well.

Advice to Others

A great deal of assistance was required to build Mavenlink to meet our requirements, and we were very limited on the ability to integrate with our Salesforce system.

Mavanlink is good for managing projects WHEN it works. Initially when I purchased the software I was expecting a smooth sync between Quickbooks and Mavenlink- not the case. I ended up having to convert from Enterprise on my desktop to QB online in order for the sync to happen. That was not an additional task that I signed up for when I purchased the software. Even with the QB online, many times I am unable to create a project from a QB estimate which was the entire reason I purchased the software

The ability to see my project list at a glance, although this product is plagued with poor support and ultra slow development.

Pros

The UI is simple to use most of the time. It's easy to see your projects listed out, even though the organization tools are pretty weak.

Cons

The software is slow. Updates happen at a snails pace. Our team worked directly with the development team at Mavenlink and their process is just plain slow. The program is bogged down and sluggish. It lacks sub-tasks beyond 5 layers, the estimating feature is a joke and they only just recently implemented a basic WYSIWYG in the activity section. You also can't undo activity unless you go back to the feed. Talk to PMs who actually use this product!

Benefits include matching estimates and budgets to tasks and breaking apart milestones with tasks and sub-tasks. Activity communication is pretty good.

Pros

I can add a project, estimates and budget and track overall progress. It has given us a more robust look at what is happening across all projects.

Cons

Too many features feel incomplete. The invoicing, estimates and user permissions are convoluted and lacking enough that our company cannot use them. Resource Management requires duplicate entry of information between planned and scheduled time. It should be easier to link the two together and plan around exceptions.

This has streamlined project management within our agency, and made us more efficient with our time dedicated to project planning.

Pros

I like that I can create templates for projects and groupings of tasks. I also like that I can export just about any information I need to an Excel spreadsheet/CSV file.

Cons

I don't like the automatic update to move a date out in Gantt view when I'm trying to create a dependency for a task following a task before it that occurs on the same day. It's pretty annoying.

I like the way you can create sub-data within a project/task

Cons

There are serious gaps in the product. #1: MavenLink does not allow for ulti-tiered timesheet approval process. This capability is a "must have" for any enterprise-level account and is provided in all of the solutions I have used in the past (OpenAir, Changepoint, Sophity, to name a few.)

Only the simplest of organizations can get value from this solution.

Impressive visibility into the state and health of my projects and organization, greatly increased resource management capabilities.

Pros

Master resource planning module, combined with built in BI Tool (Insights) offers users impressive data analytics functionality.

Cons

The only con that I can identify with the software is that it is not extremely customizable, but that is by design. It is straight forward software that doesnt encounter issues associated with other highly customized systems (breaks, lack of user adoption, over complexity)

Since I was hired a little more than a year ago, Mavenlink has been an integral part of how my team and I work on projects. Mavenlink's built-in modules have made it easy for team members to leave feedback on project deliverables. The platform also provides an archive of project deliverables, making it easy for team members to upload and download any given aspect of a job, from images to text documents. Mavenlink's task tracker also helps team members prioritize and stay on schedule. I would highly recommend Mavenlink for any digital marketing group.

Cons

Trying to find something I dislike about Mavenlink is actually sort of a challenge. Email notifications can get to be a little much, but those can be adjusted in users' profile settings.

Our team loves the amount of perspectives Mavenlink affords us when we need to gauge our incoming work and available resource capacities. The easy to operate Task Lists give our Creatives clear information when it comes time every morning to quickly get to work and know what is important and what can wait. The drag-and-drop gantt charts make scheduling and adjusting projects quick work for our Production team.

Cons

Given how powerful the suite is, it might come across at first to the unseasoned Creative as slightly overwhelming. Though, this feeling is quickly surpassed by empowerment once they understand how intuitive the UI/UX is.

Easy utilization and billing management. A nice user interface. GREAT custom reporting with the insights module!

Cons

I wish there was a way to align all scheduled resources when a handful of dates change. Doing this manually is time consuming. There are a few additional requests I have. I wish it was less expensive, but it is worth the price.

We implemented Mavenlink specifically to disabuse our organization of several disparate systems we were using for tracking time, task-level project management, and reporting on specific measurements/metrics like utilization, margin and capacity saturation so that we could improve operational efficiencies. We've found that the tool is very flexible, has some great native reporting capabilities that become exceptional when coupled with the Business Insights add-on, it integrates well to SalesForce, it has given us a much better ability to manage projects for clients as well as internal product development projects, and it provides us with much better capabilities toward planning organizational growth and managing to margin at the business unit level down to the project level. While there are still some glitches/issues with the Gantt views, and there are still things we wish it did better, Mavenlink has proven itself to be an exceptionally valuable (and very cost-effective) management tool; the company is consistently providing updates that are meaningful and adding value with subsequent releases that clearly indicate a willingness to listen to the voice of the customer in new feature requests. Overall, I'm personally very impressed with the software, given my team's requirements and unique operational environment.

Pros

Flexible, provides the ability to set up multiple templates for different types of projects, supports T&M and Fixed Fee contract types, integrates to SalesForce, provides multiple views toward project status, continually adding new features and capabilities

Cons

Gantt charts are still in need of a lot of work and help. Still buggy, no user-defined view preferences can be saved.

Advice to Others

If you're not a particularly mature organization in terms of Project Management and governance, I highly recommend sitting down with Mavenlink's consultants and getting help with establishment of best practices and setting up your instance on the basis of those best practices and resulting workflow. Don't thwart your own efforts by simply applying the same flawed processes into a new tool.

We switched over from Open Air. The interface is much nicer and the software runs much faster. I highly recommend it for project-based companies who need to keep a clear eye on Utilization and billing

Pros

Beautiful interface. Business Insights is a fabulous tool for slicing and dicing almost real time data.

Cons

I wish that when a resource was not available, the system would not allow you to assign tasks to them.

We've been using MavenLink for over a year now and we are constantly learning new and better ways to utilise all the tools it has to offer. We use it as our core method of communication with our clients, it helps to have all the information in one place. The Time tracking tool is easy to use and we are hoping to take full advantage of the Resource Allocation and Gantt chart in the near future

Pros

- So many options and ways to customise each feature
- Time tracking tool is very easy to use, our team prefers it over what we have had in the past
- Custom reporting, especially weekly project reports, have upped our client communication game. Our Clients appreciate the extra level of transparency and it has helped us prevent a lot of surprises when the invoice is sent out.
- Resource Allocation and Gantt chart really help when it comes to Project Planning.

Cons

- It's really difficult to see WHO is responsible for a task if multiple people are assigned to it. This is a problem when you are looking at a project and want to see who is responsible for what from 30,000 feet. Instead, you need to go to that specific task and read through the comments to see where it stands. There are a few workarounds for it, but then all involved extra work and monitoring to make sure everyone using the system is doing so correctly.
- There doesn't seem to be a way to edit a comment once you post it
- You can't customise the status options for the different tasks, so something is either in progress, not started, needs information, or completed. It doesn't really let you customise it to follow your workflows.

Advice to Others

Take your time when setting up your account and do some planning in terms of how you want to use the platform. There are so many different options and ways to customise it that you might get overwhelmed. Also, do a lot of training with your team as well as offer how-to content to your customers using it. That way everyone is using it the same way and you do not need to go back and double check so that you can run certain reports.

We've been utilizing mavenlink for over 4 years and I have nothing but great things to say it. They've come a long way from 4 years ago and there's been many updates and improvements that pretty much covers everything you would need in order to manage any projects with team members across the globe or locally. It's a very robust solution that makes things easier to communicate with team members, assign tasks, dead lines, create templates for projects and even involve your client to review the progress and comment. It also intergerates with Google Apps which is great and you can easily sync your tasks on to your google calendar and attach email communications.

any firm that focuses on team projects should give mavenlink a try.

Pros

simple to you use, assigning tasks, creating templates, mobile friendly, integration with google apps.

Cons

not much we can think of.

Advice to Others

take some time and learn all the features because it pretty much covers everything you would need to manage large or small projects with two or hundred team members.

Pros
- First and foremost, MavenLink has an amazing support team. They are extremely helpful and responsive.
- MavenLink is clean and modern in terms of the look and feel, plus we are able to customize it for our brand.
- Weekly reporting: Thanks to MavenLink, we were finally able to start sending weekly reports to to our customers so they would know how many hours were allocated to their Project the prior week and what tasks were completed. This is drastically helped our client communication.
- Easy to use: This product is relatively easy to use and get project, clients, employees up and running. Employees love how easy it is to log their time and keep track of various tasks. There is a bit of a learning curve to get people used to responding to and keeping track of tasks since it is set up more like a Social Media Feed than other systems.
- Clients love that they can respond to various tasks directly from their email, it helps keep everything in one place. The ability to start threads regarding specific tasks, upload/share google docs, post messages that also go to email, etc. has been extremely helpful when it comes to managing our projects.
- The team at MavenLink is constantly working on improving the product and educating their customers on best practices and different ways to use the platform.

Cons
- The 'activity feed' can be a bit confusing and cause some issues in terms of using the product. I have found that other options are more intuitive, while MavenLink requires some training and constant review to ensure everyone is using it correctly.
- I really dislike the fact that you cannot determine who is responsible for what task, ie if multiple people are assigned to a task, you cannot see whose hands it is in. There are a few work arounds for this issues (subtasks, only having one person assigned to the Task while the rest are followers) but they require more effort and are often over looked.
