### Most mentioned pros

- Notion offers an exceptionally flexible all-in-one workspace that combines note-taking, project management, databases, and collaboration tools in a single platform.
- In addition, the app has advanced artificial intelligence that assists with summarising, rephrasing and generating drafts, along with a superb translation feature that supports working in multiple languages.
- The interface starts with a blank page, and thanks to the block system, I can design the exact workspace I need: tracking tables, interconnected databases, task lists, or meeting minutes.

### Most mentioned cons

- I'm in marketing, so my days are a mix of planning content, tracking deadlines, writing up meeting notes, and managing whatever the clients need that week. Before I switched over, I had stuff spread across Google Docs, random spreadsheets, and a few too many sticky notes, things definitely fell through the cracks more than once.
- Additionally, I find that pure task management features remain a bit lightweight: reminders and notifications are not as sharp or intuitive as those found in dedicated applications.
- When there are sections on my homepage I wanted to remove, it would send the entire page to trash instead of just removing from that section.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

### A Flexible Workspace for Documentation and Collaboration

Overall, Notion has been an excellent tool for centralizing information and improving collaboration across our team. We primarily use it to document processes, organize projects, maintain internal resources, and keep important information accessible. Once a good workspace structure is established, it becomes a very effective source of truth for the organization.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 5/5

#### Pros

The flexibility is what we like most about Notion. We can use it for documentation, internal knowledge, project planning, meeting notes, processes, and team collaboration without having to switch between several different tools.

#### Cons

The flexibility can also make the initial setup more complicated. Without a clear structure, workspaces can become cluttered fairly quickly, especially as more team members start creating their own pages and databases.

### The most powerful website

We use Notion primarily for task management across our team. It is deeply customization and we need just that in order to have it do exactly what we desire. We initially used Trello, but it was too simple and did not allow us to set up the kind of automations and pages needed to be as productive as possible. Notion has become a staple in our company and I am very satisfied with the product. We would gladly pay more money for this service as we have become dependant on it for our collaborations. One time, I even used it to create a private website I shared with a client and it looked amazing!

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

The deep customization and how you can essentially create anything you need while having your team work alongside with you based on what you created. It's not the easiest to learn how to use, but once you learn how to use it, the power really shines. The value for the money is great especially when you consider just how many pages you can create. I also love how everything I do gets synchronized with my team so seamlessly after setting up powerful automations. Another pro is the fact that it comes with so many different templates you can start from depending on what you want to create. The possiblities really are endless with Notion.

#### Cons

The barrier to entry is a little steep. Meaning to create exactly what you want, it will take some learning. Not an insane amount, but you do need to watch a couple youtube videos or read up on how exactly to use Notion to the best of it's ability.

#### Reasons for switching to Notion

Trello was not even close to the amount of customzing and automations that we can get with Notion

"Notion has completely transformed how I organize my work and personal projects. It is an incredibly versatile all-in-one workspace where I can take notes, manage tasks, and build databases effortlessly. I love how customizable it is; I can design my pages exactly how I want them. The template library is also a huge plus, saving me time when setting up new projects. Since I started using Notion, I've seen a noticeable improvement in my productivity and clarity. It's an essential tool for anyone looking to stay organized and keep all their information in one place."

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

"Notion is an exceptionally versatile workspace that has streamlined my project management and personal organization significantly. I love the drag-and-drop interface, which makes building custom databases and pages incredibly intuitive. The ability to switch between table, board, and calendar views for the same project is a game-changer. It also serves as a centralized hub for all my notes, documentation, and task tracking, which has effectively eliminated the need to jump between multiple apps throughout the day. The template library is fantastic for getting started quickly."

#### Cons

"The only minor drawback is that the initial learning curve can be a bit steep for users who aren't familiar with block-based editors, as there are so many features to explore. However, once you get the hang of it, the flexibility it offers far outweighs this challenge. I would also love to see slightly faster offline performance in the desktop app."

### The workspace is pretty flexible, though it tends to get a bit messy once you start using templates.

It works pretty well for our team size, though the setup phase is a bit of a slog. We moved our sprint planning and documentation into one place, which really helped cut down on all that tool-switching. It’s not perfect by any means, but it beats having to keep up with separate platforms for notes and project tracking. The free tier did the job for a while, but we ended up upgrading once we needed version history for our code snippets.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

I use it for documenting our component libraries and tracking frontend tasks sprint by sprint. Being able to drop Figma files right into the pages is honestly a huge help for keeping the design specs and my notes in one place. Plus, the database views make it easy to filter tickets by priority, so I’m not constantly jumping between different tools. And since it supports Markdown, writing up technical docs is way faster than it was with our old wiki.

#### Cons

Syncing lag when multiple devs edit the same page is a real headache during standups. The learning curve for setting up relational databases just isn't worth it for smaller teams, it’s too much overhead to manage. The mobile app feels clunky whenever I need to check something quickly during testing. Plus, offline mode is pretty unreliable, which causes real issues when the office wifi gets spotty.

Notion handles about 80% of what we need as a small HR shop. It's replaced our old mix of Google Docs and Trello without breaking the bank. That said, I'm starting to hit its limits with client portals and automation. Good enough for where we are today, but I'm keeping eyes open.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

We run our whole operation in Notion, everything from employee records and onboarding checklists to client documentation and meeting notes. For a team of six, it’s definitely better than paying for three different tools. Using templates keeps me from having to reinvent the wheel every time we hire someone new, and honestly, it’s a relief. Now everyone can just find what they need on their own instead of asking me all the time.

#### Cons

The permissions setup gets messy when you're sharing specific pages with clients but not everything. Database views break sometimes and I can't figure out why. Mobile app is pretty rough, I avoid editing anything complex on my phone. Pricing jump to add guests feels steep.

My overall experience with Notion has been fantastic so far. It has become my go-to hub for organizing my personal knowledge base, housing my 1:1 meeting notes and repositories, and maintaining a centralized library for all our ongoing projects. It streamlines both individual focus and cross-team collaboration effortlessly.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

Notion is exceptionally easy to use and remarkably versatile. I love how simple it is to build structured tables, draft content copy, and organize complex project documentation all in one place. The interactive collaboration features are top-notch—the inline comments work seamlessly for team feedback, and task assignment makes project tracking effortless. It keeps our marketing team's documentation and workflows highly organized and well-maintained.

#### Cons

Honestly, Notion is an incredible tool overall, but it would be great if there were more high-quality, free-to-use native templates available right out of the box. While you can build almost anything from scratch, having a broader selection of free, pre-built frameworks would save even more setup time. Other than that minor point, it’s a wonderful platform.

#### Pros

Seeing as it is free it has great value for the money. I have never needed the customer support. It is easy to use. Easy to collaborate on projects. And great Data synchrynazation. I Recomen organizes every thing Into pages and using pages like folders for other pages.

#### Cons

One downside to notion is that the taks managment aspect of it is difficult. However I have found a system that works for me. Notion does not have folders so you kind of have to organize you pages as folders, and link pages in the page.

#### Reasons for switching to Notion

I liked how I could prioitize taks, organize pages, and have a very customised experince. Monday.com was not customizable enough. Click Up was confusing. Nothing agianst slack was in a totally diffent catagory for what I needed. I used Microsoft loop and liked it but it wasn't good at task managment.

#### Cons

As an IT developer who works with a team of other programmers Notion has been a really good tool for the team communication, task management or collaborative projects. You can adapt your dashboard the way you want and lso connect it with other tools like google drive , Notion calendar

#### Ratings breakdown

#### Pros

I love the versatility Notion has. Because I can use the tool the way I want and personalize it the way I like (even with the free version). Some people use it as a digital notebook or website, I use it for everything like a task management dashboard for my IT team or as a personal diary when I travel around the world.

#### Cons

Mmm the only con I can think about it’s their poor UX on their mobile app. I don’t like it because you cannot use some functionalities they have on their desktop version.

#### Reasons for choosing Notion

Because I purchased a Notion paid plan and I had all the info in Notion. Coda is pretty similar but Notion formulas are more advanced.

Overall, my experience with Notion has been very positive. It’s one of those tools that naturally becomes part of the daily workflow because it’s simple, reliable, and genuinely useful. From a sales and SDR perspective, it works really well for collaboration, knowledge sharing, onboarding, and keeping internal information organised without overcomplicating things. The ease of use is probably the standout feature, and access across devices has always been smooth and reliable. I also like that it fits naturally into a broader SaaS stack without feeling disconnected from other workflows or systems. I can’t comment too deeply on value for money since I’m not involved in the commercial side, and I haven’t needed customer support because the platform has been stable from my experience. Overall, it’s a very practical and well-designed workspace tool that adds genuine value for teams, particularly in fast-moving SaaS environments where collaboration and access to information are important.

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 5/5

#### Pros

The biggest strengths for me are the ease of use and collaboration side of the platform. Notion is very intuitive, easy to navigate, and doesn’t require heaps of training to get value out of it quickly. That's not to say there isn't a learning curb though, like with most solutions it can take a little time to adjust to how things area created. From an SDR perspective, it’s really useful for keeping meeting notes, onboarding material, SME information, sales processes, and campaign notes all centralised in one place. It saves a lot of time compared to digging through folders or disconnected docs, and you can create intuitive configurable layouts for ease of use. Team collaboration is also a strong point because everyone can work from the same source of truth, and updates happen in real time. Access and connectivity have been seamless as well across desktop, browser, and mobile, which makes it easy to stay organised in a fast-paced SaaS environment. From a value perspective, while I’m not directly across what the business pays for it, it feels like good value purely based on how many different use cases it covers in one platform.

#### Cons

The flexibility can become a downside if there isn’t proper structure or ownership internally. Over time, workspaces can get cluttered with duplicate pages or outdated information if teams aren’t maintaining things consistently. I haven’t really had issues with bugs or stability personally, although larger pages can occasionally feel a bit slow to load. Customer support also isn’t something I can comment on too heavily because I haven’t needed to engage with them due to not having major issues with the platform. Spam filtering isn’t really relevant to Notion specifically, but in terms of information management, things can become noisy if content governance isn’t handled properly internally.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

I love that I can use Notion for an incredibly wide variety of purposes, from basic note-taking to project management and website creation. I started creating multimedia websites for my students, complete with text, videos, and audio files, which makes it super easy for them to practice in between sessions, and I don't have to fight with the limitations of a course-creation platform in order to build the pages the way I want them to look and function. I also love how much you can do with it for free, and if you want increased file sizes (as I do for audio), it's only about $10 a month. Considering how many things I do with Notion, I save so much money compared to having separate subscriptions for all of those functionalities.

#### Cons

I have found the addition of AI to the app to be kind of annoying, especially when a note-taking banner would automatically pop up every time I started a Zoom call or even made a call via Google Voice in my browser. It took a while to find the setting to turn off this functionality. Other than that, I have been incredibly happy with the app for years, including when using it in a corporate setting, as a freelancer, and in my personal life.

Notion has been a great supplement to the way we work with projects and tasks. It has helped the Admin department to communicate better with other departments in the company, such as procurement or HR. It was a lot easier to delegate and track a task once over the learning curve. For that money, it's useful and good, particularly for us as a small organisation.

#### Ratings breakdown

#### Pros

I have used Notion for managing larger projects as well as for day to day tasks and it's been fantastic! An office administrator myself, I use it for task lists for my team and tracking vendor follow-up tasks. The dashboard is particularly useful for prioritizing and visualizing deadlines. It's adaptable as well enough to fit to the way that various departments in our organization such as procedures and logistics are working.

#### Cons

For many team members unfriendly to technology, it took some time until everyone got the gist of it. There are numerous features which is great, but it can be overwhelming at first. Another thing, sometimes I would like to see some more prebuilt templates for sectors such as ours (Oil & Energy).

In my opinion, Notion is a great option if you need to completely customize your project management tool. There is a steep learning curve, but once it’s set up, the tool is intuitive to navigate. Notion is a powerful productivity app if you need a highly configurable platform and have the time to customize it, but for larger teams or those who want to get up and running immediately, other platforms might be more suitable.

#### Pros

You can take notes, manage projects, and maintain your databases in one place. The intuitive design makes it easy for users to navigate and organize their projects. You can tailor your workspace to fit your needs with flexible layouts and templates.

The mobile app is less intuitive than the desktop version. You might experience slow performance if you have large databases or complex setups. It can be challenging for new users to master without spending time on tutorials.

Incredibly flexible. You can build pretty much any workflow you need, from a product roadmap to a CRM to a content calendar Real-time collaboration is smooth and reliable for teams The template library saves a ton of setup time The free plan is useful Notion AI is a nice bonus for rewriting / summarizing docs

#### Cons

The learning curve is real. Large databases slow down noticeably once you hit scale Offline mode is limited It's a generalist tool, so if you need serious depth in project management or CRM, dedicated tools still win
