I highly suggest that you try it out if you are running a scaling team and have to keep your costs and KPIs on the project pretty much under control. It is so that before utilizing Projectworks at all, my team always is touring around to two or more tools to see if our marketing campaigns are under budget or making profit. Everything is now in one handy dashboard. Easy to use time tracking and employees use it every day without prompting me, which I find exceptionally helpful. It provides me with intense clarity about the hour I'm spending and I can make a next set of marketing sprints exactly the way I need it with confidence. #### Cons I have a mild glimmer of concern at the beginnings learning curve. Flew to this, and, at the first logon, the UI is somewhat weighty and perplexing due to the many settings and options. Second, the mobile version isn't as seamless as desktop and, when traveling and simply looking at a project status, that can be a bit cumbersome. It gives our team better visibility into who is working on what and helps us make more informed decisions around capacity and project staffing. User access and permissions are also straightforward to manage, which is important as different people need different levels of visibility. #### Cons One limitation we’ve noticed is that performance can slow down when a single tenant scales beyond roughly 500 users. You can send a PDF invoice direct from Projectworks to a customer and customize the template. There is a lot of additional info that can be added to the PDF that Projectworks creates, as there is data that doesn't exist in Xero. For example you could include the total project budget and the total invoiced to date. You can also export the invoice to Xero to maintain your financial records. However, it is currently not possible to automatically create an invoice line for every time entry associated with an invoice. Totally understand that discovering a new platform in a new role can feel like jumping on a moving train - but we’re here to help make the ride smoother. These issues are not huge, but they are annoying when I am trying to finish work quickly. #### Reasons for switching to Projectworks The Basic decision was made by higher management but we switched from Wrike because it started feeling a bit heavy and more complicated than what we needed day to day. Additionally, linking an expense ID to the breakdown report is not possible, limiting the depth of financial tracking and reporting. I've used Projectworks for project management for about two years after switching from WorkflowMax, driven by its seamless integration, user-friendly interface, and adaptive features. While the transition was smooth, I wish for better invoicing capabilities directly within Projectworks. Despite this, I'd rate it a nine for recommendation, mainly due to its excellent customer service and adaptability. #### Ratings breakdown - Ease of use: 5/5 - Value for money: 5/5 - Customer support: 5/5 - Functionality: 4/5 #### Pros I love Projectworks for its user-friendly nature, making data adaptation and timesheet entry modifications straightforward, and invoicing exceptionally easy. Its functionality is well-suited for forecasting and provides a clear snapshot of our workload and progress with its efficient dashboard and intuitive interface. This allows both administrators and project managers to quickly access necessary information. Additionally, Projectworks' adaptability is impressive as it evolves with technology, notably in AI integration, and continuously develops to cater to customer needs. The custom reporting feature is a major advantage, helping us utilise data efficiently. Transitioning from WorkflowMax to Projectworks was exceptionally smooth, facilitated by a responsive and supportive team who made sure our custom fields were integrated seamlessly, enabling a quick operational start. Their openness to feedback and dedication to enhancing the product stands out, supported by a fantastic support team that offers prompt solutions and follow-ups. Moreover, Projectworks' integration with Xero for financial management is incredibly beneficial, ensuring a streamlined workflow for invoice management. #### Cons The inability to directly invoice from Projectworks and add necessary attachments from our server is one area they could enhance. Currently, I have to export invoices to Xero, as I can't modify the email or include additional attachments directly within Projectworks. I wish Projectworks had the capability for customising emails as you are sending them out and attaching documents from our server, to streamline the invoicing process entirely within the platform. #### Reasons for switching to Projectworks We had frustrations with this product and didn't feel that would be solved with their buyout. #### Vendor response Thank you Kate for this fantastic review - we’re thrilled to hear that Projectworks has made your transition from WorkflowMax smooth and that the platform has made your forecasting, timesheet management, and invoicing workflows more efficient. It doesn’t solve any problems related to communication and management, but it removes a lot of uncertainty about load and delivery of the project. It allows me to see the condition of the project, the availability of resources, and other issues that may arise. In addition, it keeps project data organized and makes conversations with leaders more productive. #### Cons First of all, the system requires some time to set up, especially if you need to fit in your personal processes.
