Great! It is the only to-do app that I have used consistently over a long period of time. Due to the calendar integration and intuitive prioritisation. Since it gives both a list based overview on top of scheduling to do's in your calendar, you really feel like you have full control over your to do's. It also really helps me think about whether something is necessary in the first place. I have found it by far the best way to integrate my to do list in my day-to-day, and really saves a lot of thinking, planning and worry. #### Cons There are some small bugs, such as a flickering screen when switching between projects. It also does not feel so logical that you constantly have to press 'connect' and 'update schedule'. I love the way it uses priority level, task duration, and time maps to find a time slot for the most important things I have to get done. #### Cons My only real complaint is how slow and laggy it is on both with web and iOS versions. For the price, it seems like it should be much snappier, regardless of how many tasks I have. I'm sure it takes a lot of compute power to run this app, but it's not the greatest value without that speed element. I think I would even be willing to pay a little more if SkedPal got everything running quickly. Without it, the app feels a little amateur, which is sad because the functionality and features are anything but amateur. They are phenomenal. That is the only reason I am willing to put up with the lag, at least for now. No incentive was offered I used to have my calendar and my to do list. I would waste time sorting my to do list to figure out what I needed to do at that moment in time. I then switched to putting to do items in my calendar, only to not complete some of them and then end up playing daily Tetris trying to go grab them from past days and put them into future days, it was horribly inefficient. Skedpal acts as my assistant, aware of what I need to get done when, planning my schedule out multiple weeks and allowing others to see when I am available and then planning around those meetings. This means that the learning curve is high, but once you get the hang of it, it's amazing how well it flows everything together. Outside of work, I am a private pilot and Skedpal feels like a really good air traffic controller that can talk to planes (all my tasks and events) coming from all directions, at different speeds, different altitudes, different priorities, and line them all up "in sequence" so they land on time, in the right order and without delay. Skedpal saves me enough time each day I would be willing to pay well over $100/month for it. #### Cons Skedpal could improve (and I know they are working on it now as they keep users well up to speed on new features through the slack channel) their mobile applications. The natural language processing for sorting tasks in the programs inbox only really work well on the web app which means when I have a few spare minutes dozens of times throughout the day, I would love to be able to sort some tasks but lack the power to do that in the mobile app. Hopefully the new updates address that, at which point, it will be such a powerhouse application! #### Reasons for switching to SkedPal Skedpal has a far superior set of tools and functions that allow you to really make it work for you. As I learned the software I kept wishing to have a certain feature, only to find it in the user manual and then implement it. With calendar/task apps this is critical because we all have our own workflows and if a tool is missing a key function it can make integrating the app into our lives difficult. First, and most importantly, the team (while small) is highly engaged and always willing to entertain and action suggestions. Second, the app in it's current state is great. I've tried a bunch of different AI scheduling tools and Skedpal is by far the most robust. The amount of functionality and flexibility you have at your fingertips to tailor your schedule is far greater with Skedpal than anything else (e.g., Motion, Reclaim, etc.) #### Cons While the outliner structure is great for flexibility of task organization (e.g., turning something that was once just a task into a project - super easy with Skedpal), I do wish there was functionality to view tasks in table format, with easy sorting/filtering. The visualizations of your schedule / tasks are not as good in Skedpal as they are in Motion, for example. #### Reasons for choosing SkedPal More robust scheduling functionality. At the same time, I have a huge amount of random tasks (school, research, work, personal) of various deadlines and priorities to work on It used to be (and still is) a huge struggle, but now I can simply dump all the tasks I need to do into SkedPal, and it will automatically generate a schedule to tell me what I should do. And if I get off schedule, or if new tasks come up, I can simply press "Update Schedule" and I'm immediately back on track again It has helped a lot with the existential dread that there is some task I'm forgetting to do, or some deadline I won't be able to make. As long as I keep SkedPal up to date (and I'm honest with myself when inputting how long a task will take), I can be reasonably sure everything is OK Also, SkedPal has maybe the most fantastic customer support I have ever seen; you can just hop on their Slack server and talk directly with the team I think the price is quite reasonable for what you get, and for the target audience #### Cons That said, I'm not gonna say it's perfect, and it's probably not for everyone There are a lot of options and things to tinker around with, which is great for power users, but probably intimidating for some people. That said, I think it is reasonably accessible for the target audience In terms of bugs / reliability it is reasonably solid, but definitely not flawless. There have been occasional one-off bugs (due to new software updates etc.), but when I report them on Slack the team is very on top of it and work with me to resolve them Under each task there is an "Add notes..." textbox where you can type in notes about the task, and add basic text formatting. Unfortunately, it has some data reliability issues. For example, sometimes your changes don't save (I regularly encounter this one); I asked about it on Slack a while back and they said they knew about it and were actively trying to solve it. Worse, sometimes the contents of the box suddenly vanish entirely (only happened about 3 times, after using SkedPal every day for a couple years). I've recently decided to just stop using that section entirely, and add any notes as a subtask (which, actually I now prefer to using the notes section anyway) One critical feature that is missing is a way to make a full local backup of all your data. I asked the team and they said they make their own backups, though Their phone app has been improving over the years but it's still a bit too rough around the edges for me to use outside of simply adding new tasks to my inbox. It sounds like they have a fancy new update ("Compass") coming out soon though, which I am interested in checking out #### Reasons for switching to SkedPal I used to use Google Calendar / Google Tasks for everything. I had all my tasks laid out for each day in the calendar in a big grid. I got by, but rescheduling was a nightmare, and I just had too many tasks to manage manually. I was thinking there had to be some tool that could do this automatically, and sure enough there was SkedPal. Skedpal helps me schedule time blocks so that I can get all B tasks done. It is very smart and flexible, and the online help allows you to do everything that you ever dreamt of using a task manager. It, of course, synchronizes with my meetings. Being able to update my schedule and task list automatically when I inevitably get distracted and don't complete my list is a huge weight off my shoulders and prevents the overwhelm/shame spiral of having to figure it out myself. I tried a heavily advertised alternative and was frustrated that it wasn't really a "user first" experience - I was supposed to completely rely on the algorithm to schedule my day even though I was tied to a timer that would move everything around if I forgot to start it whenever I started a task. SkedPal creates my schedule but I can manually defer, change, or reprioritize things if I need to while still having the benefit of the software organizing it all for me when I need it to. #### Cons It's got a bit of a learning curve compared to similar products. Having a slightly longer trial to get to know the software better would be helpful (I believe it's only 14 days which is justtttttt enough time if you use it regularly). But the tutorial was very helpful in learning how to use it. Even if you are experienced, learning the UI takes time. But if all you wanted was a simple checklist, you could have just used paper! I procrastinate. No way around it. Am horrid about it. I know I shouldn't do it. But I still do it. And once I lose a chunk of time in the day, I can never get the day back because I dread having to look at a todo list and figure out what to do next, what to prioritise and what to discard from my day. That kills my day. But not with Skedpal. Even if I lose a chunk of my morning, I don't freak out and think I have wasted the day. I know Skedpal would have figured out what I should be doing and only look at that next task. That saves my day. Where previously I would lost the day and felt demotivated for the week, now I have a get out of jail card. And hats off to the team. If you are in the middle of something and suddenly 3 different tasks like a meeting or a new project request pop up in your inbox, Skedpal has you covered. It's auto scheduling is the best in class and after a while it becomes second nature to let Skedpal take the heat. You can be sure that it has come up with the best schedule for you. The icing on the cake is the sync with the Exchange account. If you have accepted a meeting in outlook, you don't have to go and reschedule your day unlike in any other todo list software. You literally don't have to do anything other than accept the meeting in outlook. Skedpal will have automatically synced with your work calendar and rescheduled your day before you know it. So when you finish the task you are on and go back to your today screen, you would see you day replanned around that unexpected meeting request you accepted. Skedpal is the best at what it does and works better than standalone todo list software such as Todoist or Things 3 #### Cons The time tracking that was there in beta is now missing. This is a great way of turning a growing list of tasks, into a prioritised schedule to get them done. SkedPal does this by automatically taking each of the tasks in your todo lists and inserting it into the available time in your diary or calendar. SkedPal orders the scheduling of each task based on its priority, due date, estimated time needed to complete the task, etc. SkedPal works with your existing Google, Outlook, iCloud, or Exchange calendar. This is great because as SkedPal schedules your tasks into your calendar, those timeslots show as occupied or busy to your colleagues, ensuring that the time remains ringfenced for the intended purpose of getting that task done. When SkedPal is unable to find sufficient time in your calendar for you to get a task done by its due date, it will flag it for your attention. SkedPal has a number of triage options such as reprioritising the task, deferring the due date, adjusting the time map to extend the available hours in a day or week, etc. The key thing is that task deadlines and reminders do not sneek up and surprise you on the due date. Task allocations in your calendar are not static. As new tasks are added, SkedPal is able to adjust and reprioritise how it uses the available time in your calendar to make sure that urgent and important tasks are always scheduled earlier and with sufficient time to get them done. #### Cons SkedPal is able to import tasks items from your existing todo list or task manager app. But, this is a once-off action. SkedPal is a separate task management tool and you have to use it for all your tasks and projects for it to work. The result is that you may end up managing duplicate lists if you have an existing corporate tool that you use or share with your colleagues. I wish that SkedPal could integrate into Google Tasks, Microsoft To-Do, Apple Reminders, or any of the task management apps already in widespread use. The SkedPal desktop app also seems to have a problem with corporate firewalls... i.e. it does not work. These properties can be assigned directly or inherited from assigned "smart" tags or from parent tasks, meaning new tasks can be quickly auto-assigned all the properties and settings they need to be handled properly. This is also an expensive program for a single person to use.
