Power User - 10+ Years

Having used the product long-term I fully intend to stay with it. We periodically look at alternatives and always reach the same conclusion - Toodledo is the best.

PROS

I've used Toodledo for over a decade and am well pleased with it. It is used every day.

CONS

There is room for improvement in the Goals area. This has been documented and submitted. In my experience, the [sensitive content hidden] do an excellent job of listening, prioritizing, and acting.

Great task management app to implement GTD

I have been a Toodledo user since 2009, starting when I was managing my PhD dissertation research along with so many other aspects of my life and work. Almost 15 years later it continues to serve me well as a self-employed content creator, parent, household manager, volunteer, and more.

PROS

It has all the fields needed for my task management purposes, so I can customize it for my needs, and also offers the option of removing fields I don't need to prevent the system from getting clunky. Integrates very well with [sensitive content hidden] Getting Things Done system (though I don't follow it integrally), and also allows for time tracking for those who need that feature. I tried a few other systems and Toodledo manages emails with content and attachments best (forwarding emails I get from others, not just emailing myself tasks) which helps with keeping my inbox down to zero.

CONS

Under previous ownership, I became concerned about whether the app would continue to be maintained. New team has taken over and is very responsive, I trust that they will keep my "second brain" running for a long time.

Reasons for switching to Toodledo

When I became concerned about the previous ownership of Toodledo, I switched to Remember the Milk, which had most of the same features. However the way it handles emailed-in tasks was disappointing. When Toodledo came under new ownership and showed that they were responsive and could be trusted with my action system, I was really glad to come back.

Used to be great but is going downhill!

Not forgetting about tasks, having them repeat once I've done it and most important, being able to plan my day based on the duration assigned to each task. Lately, using it has become frustrating: iPad version hasn't been updated in years and it is very sluggish, having to wait 5-10 seconds between each change to one task. Also, their servers are useless: very often I check something as being done in the morning and I still get an alarm 6-8 hours later! Or, I add a new task with an alarm and, unless I'm on my desktop, the alarm doesn't happen.

PROS

I like all the options for tasks, repeating tasks, due date and time and the fact that I can see how my day is planned on iCal. I also like to have alarms so I don't forget to do something if I'm busy with something else. I also like folders and tags and I use those a lot.

CONS

The one feature I asked a long time ago was the ability for the repeat function to repeat on a certain date, such as 1st of the month or last day. I was told it would be looked at, but it's been over 3 years and nothing has changed.

Reason for choosing Toodledo

Because of all their features, especially folders and tags and the fact that I could use it on my desktop, iPhone and iPad so I was never without my to-do lists.

Reasons for switching to Toodledo

They stopped supporting Macs when OS 9 (classic) disappeared.

Very adaptable to your way of getting stuff done, outdated UIs

PROS

I have been trying out various softwares for task management (I think between 5 and 10) and have been using Toodledo for the longest overall time. One killer criterion for me was the ability to import/export my data - and that is unrivalled amongst all competitor products I have used so far. Using the feature "Saved Searches" I have been able to "mold" Toodledo into my custom workflow - and essentially that is the thing most of us will likely end up having to do with a task management software: Experiment, find your own way of getting things done, then adapt existing software to implement your way. I cannot think of any other task management tool that is as deeply configurable and adaptable to any workflow as Toodledo. In that sense it is like Atlassian Jira (with all the pros and cons).

CONS

Being able to configure everything of course makes it difficult for new users: There is no really "recommended" opinionated setup for beginners. That mostly falls in line with the pretty much outdated UI on the Web app and the mobile apps. But given the new ownership of the company/product, I am confident that a revamp to both the mobile and the webapp UIs are just around the corner.

On of the best todo list I ever known

I used it every day for more than 10 years now, and when I look for an alternative i don't find anything as good as ths one

PROS

It is very easy to use, good reminders, good way to order tasks according to what you need, long notes can be written for each task, integration with notepad. Availability of outlines, lists and habits which I have never used...

CONS

Web access a bit slow, it used to have a good mac app that is no longer available and I would like it to have it. Lists is not practical for example for a supermarket shopping list, doesn´t let you to check for a product you already bought, but you want to keep to add it if you need it again.

Reasons for switching to Toodledo

It wasn't possible to synchronize with outlook any more when I used outlook tasks.
