Glad we switched to Viewpoint

I think if Viewpoint is set up and managed well it is an excellent tool to support project control. I am glad that we made the decision to swap to Viewpoint.

PROS

Quick uploading, sharing and downloading of drawings. Good control over which users can access what drawings. Multiple workflows possible to manage flow of information. Generally gives great control over documents.

CONS

Would like the workflows to be more adaptable, for example, if you wanted one additional person to review a drawing as a one-off, there is no way to accommodate this within the workflows, they are quite rigid.

Reasons for switching to Viewpoint For Projects

We switched from an EDMS called DOCHOSTING (not available on drop-down menu). Previous software was too simplistic to meet the needs of a large construction project - e.g. no workflows.

VFP used by Airey Miller

I'm an admin level user of other CDEs: BIM 360 and Dalux, and have exposure to Asite. I really like VFP despite its few shortcomings and not-so-attractive user interface. I think this system can be intimidating at first, but personally the more I use it the more I appreciate it.

PROS

Primary and secondary file format, 3D Model Viewer, COBie generator, naming convention deployment (and that it can be enforced). We use public links a lot as well and it is very useful as well as the virtual containers. Customer service is excellent. They respond quickly and are usually very knowledgeable.

CONS

The look and feel of the software is a bit outdated. I like that it's highly customisable (settings), but that's a downfall as well, it can get complicated to control access and security settings. It would be great if VFP would allow using projects and templates. Instead every time we create a new project, we have to re-build the folder structure and the main settings. User guides could be updated.

Reason for choosing Viewpoint For Projects

We used VFP for 3 years before we decided to run comparative research before the renewal. Our internal users were complaining about the VFP learning curve and how it was old fashioned looking. We also wanted to do market research to see if there was anything better/more financially viable out there.

Good platform but needs critical tweaking

Good but uploading process needs to be much more easier to avoid non-productivity.

PROS

Secure process for uploading and storing files. Interface easy to use. Accepted as a form of file sharing by many businesses and individuals good track record.

CONS

Process of uploading files seriously needs rethinking. Adopt a similar approach to Dropbox.

overall Viewpoint for projects is good, it just takes a little time to get used to

PROS

once you have been trained it is relatively easy to use

CONS

there are some strange ways of naming things that are just not the same as in construction, and can be confusing at times, the system can also be slow at times

Viewpoint - Red Rock Power

Having used Viewpoint now for a number of years I feel it is an extremely powerful tool and although not perfect, regular updates and features keeps the product improving.

PROS

The structured approach to permissions and workflows. Permissions and workflows are both extremely robust in both their design and deployment. Virtual containers also allow us to share information without over complication and ensures we are not compromising the integrity of our information governance.

CONS

I think there needs to be more functionality with regards to reminders/due dates etc. Auto push through is available however I feel that the ability to set reminders with notifications, with this feature also being visible in a users my inbox area would be a massive help and would also add an extra dimension when reporting. When using virtual containers, recipients also have access to the documents properties which can on occasion not be required due to any workflow attachments (comment sheets) which would be available to them, a selection to hide properties would be a benefit.

Satisfied Customer

I am a very satisfied user. I have been using Viewpoint for a long time - since it was called 4Projects and it has helped make my job so much easier.

PROS

The quality that I like most about Viewpoint is the ease of use. The design is very intuitive and the layout is simple and uncomplicated. I also like the regular upgrades.

CONS

That it is not as widely used in our region as Aconex, for example.

Essential CDE management

PROS

- Securely controlling folders and subfolders. - Easy linking items to virtual containers. - Simple methods of creating workflows. - creating dashboards and how many days are due for each users to complete their tasks.

CONS

Dashboards are not configurable to the needs and requirements of each project. Working days and calendar days are not differentiated ( this is important to set workflows for team members).

Viewpoint For Projects

PROS

Very handy to navigate all my projects at once with enough storage to upload all the project documents

CONS

Would require at least one person on a project dedicated to keeping it updated and uploading all the paperwork generated. Someone new to the platform may struggle and does require some training and messing around to understand the layout and format.

Viewpoint review

value for money but if you consider my feedback, please add some features like generate Submittal forms, Transmittal forms, to bulk upload allow system to upload excel file where meta data can read the system. Workflow should be easy to understand

It's a cloud application and no limit for upload and download.

CONS

easy to share the files with Internal and External parties.

good system, but lacks a lot of features

overall its been a real struggle to convince users to use the system

PROS

available from anywhere, usually reasonably quick, support staff are fast at responding, even if the answer is not always what i would expect

CONS

workflows are clunky at best, non dynamic, live revise is slow, buggy and unreliable, unable to digitally sign documents within adobe, we use a roundabout way to markup docs with signature, but it is not very user friendly

we used an in-house sharepoint solution that did not work well with external customers and clients, VFP gets round that but brings in a lot more problems

Viewpoint an adaptable Document handling System

Viewpoint is not my first document control system coming from a Mechanical manufacturing back ground I used MRP systems but for construction industry this is a good system

PROS

Viewpoint is a good system which you can adaptable to your own company needs and with in a project you can add extra adaptions for a Client need. The adaptions are great given that most client have different requires for document control/issue.

CONS

Viewpoint is good but a bit off putting to new starts until you get them trained and using the system. The system does not have an MRP set-up option and as my company is more of a Hybrid between construction and manufacturing it would be a great option

Viewpoint for Projects Software

The Viewpoint support team are the best I have ever dealt with. They respond quickly and are always able to help (apart from the system issues) and never make you feel silly if you raise a case.

PROS

Viewpoint is generally easy to use and navigate and has a great many useful functions. I've been an administrator for 7 years and even now I find things here and there that make my job so much easier. I like being able to share current information quickly with users and external parties and I appreciate having the email function so that I can get documents uploaded quickly to the correct place.

CONS

There are some issues with things going on in the background and are taking some time to rectify but they generally don't impact our customers too much.

Across our business and all suppliers we enforce to use it there is a general disengagement in using the system because of it's cumbersome structure and lack of intuition as found on other DMS systems

Central source of information, file sharing & collation of information

CONS

User interface and control is cumbersome and lacks intuition, greater influence should be taken from Viewpoint Teams on to VfP in this regard

An invaluable tool for managing design documentation in a common data environment

The initial set up needed some serious thought and some big decisions needed to be made about how we were going to use the product to best benefit the business. As time went by our use of the product has matured. We are now in far more control of design documentation than we were prior to investing in this product.

PROS

The configurability of the product allows any business to design the product to meet the needs of the business rather than trying to fit the business to use the product.

CONS

The interface is very dated at present but changes are on the way to make it look and feel more up to date

Quick and Easy Document Approval

The system allows us to record that documents have been checked and reviewed with a few quick clicks, saving time and administration and making it easier to comply with our internal procedures, as well as efficiently issuing deliverables to our clients

The workflow editor makes it easy to design a workflow that suits our business and specific projects.

CONS

Despite being quick and easy to run reports, sometimes all the fields aren't available to be shown in the report e.g. the "Short Code (Revision):" field can not be added to reports despite requesting this through V4P Support

BIM - Model is now available to view and comment. Mark-ups is a great tool.

CONS

Viewpoint for Project offers several workflow options, but we think this would provide a report on the comments to speed up our work. This tool is not yet available.

Very good all round product

i left a project and was asked to do some document control on it 2 years later because the systems are easy to follow i was able t find, revise and upload again with ease

PROS

ive been using Viewpoint since 2015 and this is the 3rd civils project in a row ive been using it. I feel for document control

CONS

if 1no file fails to load in a revision, it can sometimes mess up the revision and need to all be resubmitted i also find that the search feature can be difficult to navigate large file structures

Arguably one of the best file sharing project softwares - perfect for collaboration

Thoroughly postive

PROS

The ease of sumitting information for approval, the ability to supersede documents. Navigating the folder architecture is very straight forward.

CONS

Notifications. whilst these are actually important it would be useful for third party users to be able to customise the flow of transmittals. Particular when using the platform for multiple projects this can end up bombarding one's inbox.

A good system and easy enough to use but does lack in some areas compared to other vendors

I have used the system with two of my companies and i have to say that the general experience has been good but not great as it lacks in certain areas and we generally have to use other system to get the full experience we require to run our projects. this is the same for both companies

PROS

Ease of use of general features and the customer support is very good.

CONS

No many updates over the years to bring it up to date with other system that are available in today market.
