## Microsoft To Do Pros and Cons

We analyzed 3,070 verified reviews for Microsoft To Do to find out what actual users really think.

Select to learn more

Simple And Intuitive Interface

Getting started with Microsoft To Do is easy thanks to its clean design and straightforward navigation. Users appreciate the low learning curve, quick setup, and clear structure. The app is user-friendly for beginners and integrates well with other Microsoft tools, making daily planning and task tracking hassle-free.

Customizable List Creation Options

You can quickly create, edit, and organize to-do lists for different needs, whether for work, personal errands, or projects. The app supports multiple lists, folders, and categories, making it easy to prioritize and manage tasks. Cross-platform access and mobile support let you update lists on the go, and features like reminders and subtasks help keep everything on track.

Flexible Task Organization Tools

Microsoft To Do offers a straightforward way to manage tasks, letting you create multiple lists, group projects, and assign due dates. You can break down large projects into smaller steps, add attachments, and track progress. The integration with Outlook and other Microsoft products helps keep everything organized, making it easy to focus on daily priorities and collaborate with others.

Unreliable Notification System

Notifications in Microsoft To Do can be inconsistent, with alerts sometimes delayed, missed, or overwhelming. Users mention issues with reminders not appearing on time, difficulty managing notification settings, and confusion about how notifications work. These problems can lead to missed tasks or excessive alerts that are hard to control.

Integration And Cost Concerns

Users report inconsistent integration with other Microsoft and third-party services, and some features are only available in paid plans. There are frustrations about frequent updates, slow performance, and uncertainty after Microsoft acquired Wunderlist. The app can feel limited outside the Microsoft ecosystem, and the cost for premium features may be high for some users.

Limited Calendar Connectivity

Microsoft To Do lacks robust calendar integration, making it difficult to sync tasks with external calendars like Google or even Microsoft’s own calendar. There is no built-in calendar view for managing due dates, and users find it challenging to link tasks to specific dates or see them alongside other scheduled events.

A clean and reliable task manager for the Microsoft ecosystem

5

Microsoft To Do has matured into a reliable personal task manager, especially within the Microsoft ecosystem. The integration with Outlook Tasks and Teams assignments makes it a natural fit for Microsoft-centric workplaces. For lightweight personal productivity and daily planning, it does the job beautifully — though users needing deeper project management may need a complementary tool.

Ratings Breakdown

4

Ease of use

5

Functionality

Pros:

Microsoft To Do integrates seamlessly with the Microsoft 365 ecosystem, making it ideal for users already using Outlook, Teams, and OneNote. The My Day feature, smart suggestions, and recurring task functionality help keep daily priorities organized. The clean, minimalist design makes it easy to pick up and use immediately.

Cons:

Microsoft To Do lacks some advanced project management features like subtasks beyond one level, time tracking, or Gantt-style views. Collaboration features are fairly limited compared to dedicated team task tools, and there is no built-in calendar view for tasks across lists.

Great tool!

4

My overall experience with Microsoft To Do has been great. It has streamlined what was once a lengthy process and required people to be in the office to physically view the checklist and mark it off. Now, we can collaborate from anywhere! I can check in to see what has been completed, I can assign a task to anyone in the group, I can quickly check off what is done (and still view them, just with strikethrough text), it's simple to undo something if it was checked off by mistake, it's simple to add notes or attachments to each task. Additionally, you can set reminders, due dates, have tasks be recurring. Honestly, it's such a simple thing to add to your computer, but so useful. It has saved our management group a significant amount of time; something I didn't know that I needed but would now miss should it be removed for any reason!

5

Functionality

Pros:

It's great that you can collaborate, assign tasks, keep track of dates, and check off items when they are done! It's an incredibly useful tool. We use to print out monthly lists to refer to, now everyone can make changes, review what still needs to be done, add notes, etc.

Cons:

The think that I like least about Microsoft To Do is that all the tasks show up in my outlook program, even if they are not assigned to me. I understand the logic of it and some people might find this a great asset, but if the task is not assigned to me, I would prefer not to see it there and to only view it in the app.

Reasons for switching to Microsoft To Do

We would print these checklists out, so it would require everyone to be in the office to look at the hard copy, then re-print should any changes be necessary.

Ease of use

Functionality

Pros:

A simple yet effective application for organising and tracking your to do list. I like the integration with Microsoft Outlook where you can flag important emails and they'll be added automatically to the list. Perhaps this is the best feature in this app. I also like the ability to add tasks to Microsoft Clock app. This is very useful for my focus sessions because I can add specific tasks to my day and then find them when I begin my focus session. Might seem simple but the link with focus sessions is great and helps me mentally focus on certain tasks. The ability to assign deadlines for each task is very useful.

Cons:

Not a big deal but it might be useful to make the sync button visible without having to click on the username

Pros:

I most like the ability to create multiple groups, projects, and lists within projects that remain grouped together. For example, under my Pleasures Group, I can maintain a birthday party invite list from last year, and use that list going forward.

Cons:

I tend to hold these groups, projects & tasks as long term lists, but it’s less useful as my day-to-day task list, for some reason….

Reasons for switching to Microsoft To Do

Because Microsoft To do was much more detailed and more flexible.

Functionality

Pros:

The app is fast and I was surprised by how well it works regardless of the device OS. I often use it on my phone and laptop, plus my coworkers can all use it as well. I like using To Do tasks and reminders because I can quickly write it up and send a copy to coworkers. The block style organization feels very efficient to me. My screen is easy to look at and I know what to expect when I open the app. I usually tap "My Day" to see what I have planned for that particular day. I like the ability to add attachments and steps, plus grouping tasks in lists. Ability to choose a custom theme doesn't hurt. Also, it's free! No charges at any time.

Cons:

Natural language input is something that is lacking and noticeably so. There is no paid version with more features to upgrade to if you'd like. What you see is what's available.. As I mentioned before, I like the organization but I wanted to slightly adjust the filter/view and it turns out that is not an option. It would be helpful to isolate items approaching their due date or even past due.

Reasons for choosing Microsoft To Do

Microsoft To Do is free and easy to implement without the need for everyone to learn how to use it. It is simple and straightforward. Asana on the other hand is more complex and wouldn't have been as easy. Thats why I made the decision.

Reasons for switching to Microsoft To Do

It simply was not very easy to use and it was a paid subscription vs the free app here.
