Amazing Property Manager for Small-to-Medium Companies
The biggest issue my company had was advertising vacancies. We were relying on walk-in tenants, which has not been a good source for 5-10 years. AppFolio is one-click to post to multiple free websites and syncs with Apartments.com if your company goes that route. Ease of use and great training/help files will keep us with them for years to come.
PROSFirst and foremost, the value of the product. You get everything you need for cheaper than most of the other products out there. For my company, we transitioned from Buildium to AppFolio and instantly reaped the rewards. AppFolio provided us with an inexpensive company website, a quick and easy tool to post our vacancies to multiple websites, and great assistance during set-up.
CONSI know some of the more expensive options offer more competitive pricing tools and a little more automation. Also, AppFolio had a few issues (like maintenance personnel not being able to see pictures on work orders using their mobile devices) that took AppFolio a while to start addressing.
Reason for choosing AppFolio Property Manager
Cost vs. benefits. We are a medium size company (750 multifamily/single-family units) and did not need as many bells and whistles.

Cost was a factor, but mostly not having good advertising with Buildium.

Great product and really terrible support
It is a tough call because the product is good. We migrated from Yardi and don't regret it BUT if I knew how weak the support team and the nightmare that we would have (for 7 months we couldn't reconcile bank accounts and the "boarding team" simply vanished) I would most likely have stayed with Yardi.
PROSThe software is definetly the right product. It is intuitive and very easy to use. Having used Yardi for 10+ years this product is simply outstanding. It is definitely not even close to what you can do in Yardi, but for 90% of what most of us do, it is allot easier and quicker then Yardi.
CONSThe company is suffering from a very bad support team. When they sell you the product it almost seems that these guys mastered the art of eSupport and you can solve problems with a click. This couldn't further from the truth. For most of the "how to" problems they are quick to respond and usually send you a quick article on how to. The problem becomes when you have a real problem, like late fees simply not posting the correct amounts at the wrong dates, or bank account balances don't add up...in general bigger problems call for a "we will put our head in the sand and hope it goes away" mentality.

In Yardi every task takes allot of time. Try setting up or changing CAM or dealing with their RentCafe platform is like a root canal. We needed something that didn't require allot of time and staff keep things running

AppFolio does not Value their Customers
Unsatisfactory. Do not recommend AppFolio to anyone.
PROSClient profile is very well thought out, laid out and incorporates all the information in one place that is necessary. Rent tracking and simple reports are great.
CONSAppFolio fails at customer service. You can't get trough on the phone plus AppFolio recently made changes so that you can't get through to the Chat Line. You have to go through a maize before you receive any help.

Best in Class!
We have a much better handle on our cash flow needs, both short- and long-term because of the data we capture using AppFolio. We are able to compare our operations month-over-month, quarter-over-quarter, and year-over-year to provide more accurate budgeting, analyze where we can improve our income stream, and reduce our expenses. In addition, it helps us to keep in closer contact with our residents to ensure their satisfaction and achieve higher retention rates and faster unit turns than ever before.
PROSAppFolio offers an extremely user-friendly operating interface which is easily "teachable" when onboarding new team members. Their common sense, logic-based approach to property management solutions and associated accounting is refreshing in this industry. They LISTEN to their users and don't just look for the easiest solution; they seek out the most EFFICIENT and EFFECTIVE solutions when developing new enhancements to the product. Improvements are developed at a robust pace with meaningful, ongoing upgrades coming out almost daily! I could not be more impressed with AppFolio as a perfect solution for our quickly-expanding company.
CONSHonestly, there is nothing that concerns or upsets me about AppFolio as a solution for our day-to-day property management, leasing, maintenance, or accounting operations. It has allowed the company to grow by double in the number of units under management in only 3 years without having to substantially add to staff, except for the on-site physical maintenance needs of such a fast-growing portfolio of rental townhome units; which is to be expected.

Greater overall product capabilities across all operations including leasing, maintenance, accounting, and financial/cash flow planning & budgeting. Over the nearly three years since implementation, we have also added the enhanced services of AI Leasing Assistant, "Lisa", FolioGuard Smart Ensure, Premium Leads, and Smart Maintenance, as well as taking advantage of the Debt Collections service and the convenience of online payables with AppFolio.

Needed more robust functionality, better data capture, and more efficiency than the old product could provide. In addition, we needed a higher level of service, support, and ongoing improvement to keep up with the demands of a very competitive leasing market.

Appfolio
I do enjoy it, the customer services has been amazing to work with. We are still getting used to the program, and how to best use it.
PROSI like the ease of use, and the easy access for tenants. I love the dashboard, and unit turn. It would be nice to see some tweeks on the dashboard to make it more personable. Texting feature is by far our favorite.
CONSThe way deposits are processed. We run ours in/out of that account. I don't like that it meshes into the owners account and makes their reports really sloppy and full of info they don't want to be bothered with. I wish the owners reports were easier, P & L version is the ones my owners like, but they are really difficult in appfolio, becuase they are 1-31st of the month only.

This program does it all!
I used quickbooks and Peachtree in the past, and they don't even compare to this one!! This one has freed up so much space on my devices too, because I don't need 5 programs anymore, this ONE does it all, and for much cheaper.
PROSI love that I've been able to stop paying separately for postage machines, for label makers, credit and background checking, and a few others.. This one program has taken the place of 5 programs I've had to use in the past. And it's so much cheaper then paying for 5 others and their monthly fees..
CONSI haven't found any cons about this program. I really can't say enough good things about it. Don't stay on the fence about this one, you'll be so glad you tried it out

Because the other programs only did some tasks, and I ended up needing 5 programs in order to keep everyrhing under control.. this one does it all from this one program, and it's helped a whole lot.

Gold Standard in Property Management Accounting
Bottom line is it just works. Appfolio has done an outstanding job providing every feature you need to manage rental property.
PROSVery little down time with this online software. It's very easy to use and to train employees to use. There may be a feature they don't have, but I can't think of it.
CONSThe customer support has declined dramatically over the last couple of years as they moved to chat based from phone support. What you used to be able to accomplish in minutes now can take an hour. Also the initial sales contact was so bad that if I had not previously worked with Appfolio for years, I would have moved to another product.

The best thing about Appfolio is the constant improvements they make.
CONSSome features that we need are not currently available and this increases the amount of time we spend in gathering what is needed to complete the task/report.

Great Software, needs timely customer care for established customers
Overall, I love the product and when I can get the assistance I need I am very happy. We aren't a huge company but we manage close to 300 doors, so we are respectable. We were the first users in our area and told everyone to switch to them. I still think they are better than any other PM software provider we have used and we have used several. My only complaint is the inability to get timely customer care responses. Honestly, service after the sale is VERY important!
PROSOverall ease of use. Accounting based, online rent payments, and ability to connect all areas of property management together.
CONSWhen we first started with Appfolio they were very quick to respond to our customer service needs. Now, all you get is an email that directs you to watch videos or to online chat. When you have already exhausted those options and you need to speak to ANYONE, it is impossible! I have waited over a month for someone to call me back. By the time they call I have forgotten what I needed, or the details of the transaction I needed help with. They need to hire more customer service reps. When they do call you they are very friendly and knowledgeable, but they usually give you a few minutes and if you need help with someone else while you have them on the phone they tell you to make another request. Then, it's back to the WAIT game.

Data Configuration and Segregation of Data by Association
I think overall it has been a good experience but the on-boarding team should highlight the things we need to do to make it easier down the road when we grow to more that 2 or 3 associations. When doing work for an association we need ways of setting temporary defaults to allow to do billing, payments, reporting etc. without having to enter the association over and over. Even this survey was not set up right. You ask what the industry was and none of them dealt with what we do like Association Management.
PROSIt is easy to use for sure and support and on boarding was great.
CONSThe product is too slanted toward rentals or property management with one association. If you had 60 associations in a portfolio you have all your GL Accounts, Bank Accounts, Vendors all together. This is just good design from a functional stand point making customers name things to know the difference. You should keep things separated by Association. Weak design from a data structure point of view making it fit the small companies but not good for the larger portfolios.

Needed internet based association management product and this looked better at the time. However now I see Appfolio switching to add new features you charge by volume which meant you are going to nickle and dime us to death. I may not have chosen Appfolio had I known you were not going to add new features even if it meant increasing price rather than charging for everything by volume. No one can budget for that and we do not like that direction. We may switch to another product if you keep this up.

Reports & Move-outs
I love it!! I just have a few request to make it perfect :)
PROSThe ease of applications and lease signing! I also like some parts of the reports.
CONSThe Unit Avail. doesn't show the name of the existing resident or the future one, so I have to transfer it to excel and add that for every property every 2 weeks. I'm always concerned about notices being put in correct. I can't print a report to show signed lease renewals by month.

Streamlined Accounting
Appfolio has streamlined Accounts Receivable. The lookup function is great, the ability to text is fantastic. Communicating with tenants is much easier.
PROSFlexibility and ease of use. It allows you to delete transactions and edit them. Great training videos and articles. Enhancements and updates are made regularly.
CONSInability to assign due dates on manual invoices and an easier override of monthly late charges, making the latter process quite laborious. My only other criticism is applying credits in the diagnostics panel. It should populate the fields and then let you edit. Instead you have to enter everything line by line.
