BigTime - Time & Billing Software


 

BIGTIME is an online time and billing software designed to serve professional service firms like accounting, engineering, government contracting, legal and IT services. The integrated solution offers features like time & expense tracking, WIP management, task & workflow management, invoicing, billing and more.

BIGTIME time tracking feature captures every time spent on projects or out of office activities through mobile timesheet app. Employees can submit expenses through the online portal or directly from their mobile sets and attach scanned receipts as expense proof. Once finalized, the solution automatically generates a digital expense report and submits into the system for approval.

BIGTIME also offers comprehensive project management features to helps managers monitor project status, defines tasks and activities, assign tasks and more. The built-in billing & invoicing tool helps businesses streamline their accounting operations with automated expense calculations, multiple billing rates and receipt management features. Businesses can leverage pre-built reporting templates or create new templates to address their compliance and audit reporting requirements.

Users can also access the solution on their Android and iOS smartphones using BIGTIME mobile apps. The solution can integrate with various accounting and ticketing solutions including QuickBooks, Slack, Zapier and more.

BigTime is a great software for managing time entries!

I like it overall. I think a Chrome extension/Firefox plugin for the timer would be awesome. I currently use Toggl for tracking my time time throughout the day because of that, I then use BT for the actual timesheet.

Pros

I think that the usability of the timesheets is very high, as well as the ability of administrators to go back and adjust entries.

Cons

I think that there are some areas that could be developed a little more, mainly My Company > Project List > Project. I think a standalone section for accessing a project could be helpful, rather than needing to stay on the list. However, I also see a lot of cases where the list is helpful. Maybe a popup window or a separate section that gives the user a larger view of the Project they are working on.

Brea deserves a trophy for all she does!

Pros

It is so easy to use, I learned it in a day. Our "onboarder," is prompt to respond and has the ability to answer each and every question. It's a very personable group. The UI is clean and simple, and you can customize almost anything.

Cons

Can't do some more granular stuff we need, like weekly (rather than monthly) resource allocations, and there are some necessary workarounds, but it still is going to save us so much time.

I've been using BigTime for about 6+ months at the office I'm currently working in. It's been mostly easy to use, and keeps track of our time really well! I particularly like that we can update our budgets on there.

Pros

Updating budgets easily; Being able to track hours for yourself as well as other employees.

Cons

We were having difficulty inputting some of the previous invoices into the system to reflect the true amount. However, customer service ended up figuring it out for us.

We have been using Bigtime for almost two years. It made submitting time sheet and track work progress very easy.

Cons

The mobile version is sometimes confusing. It does not seem to update automatically. I have been signing out and signing back in to get the timesheet update and it would be great to skip this step. The other part I find it a little confused was the projects that have been classified as "completed". There are times I still like to generate report and see our time performance about the past completed project. But so far, the only way seem to be going back to reclassify the "complete" status to generate report.

BigTime combines a wealth of functionality in a very user-friendly and simple to use package. Even if you're not using all of the features, you can repurpose some of them for other requirements. It also doesn't try to incorporate every piece of functionality into one place - focusing instead/first on having a great interface that's easy to use and building on features. BigTime's support is also very available and responsive.

Likes Least

The only thing I wish it had was the ability to cross-tab report data by time period - all of the reporting is very customizable, but flat - if you pull data for a multi-month period, you can't organize the results by month. At least you can get the data and export it easily though.

Recommendations

Engaging in a demo and using the free trial was very helpful. Do the best you can to define your requirements, both current and near-term up front... we picked the "right thing for right now" knowing that it may not have everything we would need for the long-term future because getting up to speed quickly and easily was important to us. The best system for right now is something that you will use.

It allowed a client to be set up multiple times, which confuses the user and the biller.

I have experienced sync issues with QuickBooks. This is a result of my not understanding the proper setup of new matters in QuickBooks and BigTime.

Great handling of phases and progress billing. We run our projects in phases, and use fixed-fee percent complete invoicing.

Also good for tracking costs in order do see how profitable we are per project, and even per staff member.

We couldn't have asked for a better fit :)

"Submit timesheet" link was hard to find. Once we got the help and figured it out, it was pretty easy.

Recommendations

If you're an Architecture firm, definitely have a rep help you set up your account for fixed-fee percent complete invoicing. You won't look back from there.

The program is intuitive and quick to set up. Our employees were able to get up and running after a one hour training session

The support provided is poor. They have a horrible support phone system that they seems like an issue with VOIP. They do not respond to emails promptly. When we found some bugs in the software, they said that they have made a note of it, but they have not fixed them in several weeks. This affects the performance of the program based on the category you give each project.

Recommendations

Keep looking...Bigtime has some big time issues in the software and they don't seem too anxious to fix them.

What we like best about this product is its easy use and great integration with Quickbooks. The timesheet entry is very easy to learn and the reports are very detailed helping us streamline our invoicing. If we ever have a problem customer services is very attentive and responds quickly.

If we had to say anything negative maybe it would be that there are too many bells and whistles. Sometimes this makes it hard to just get to the information you need and what's most important for your business.

Seems to have lots of customization options to fit our needs. Chat support is helpful.
Allows billing to be done and finalized outside of Quickbooks. Able to set up custom templates for invoices for each client. Powerful reporting ability.

Knowledge base is missing information on how to customize software. Hard to find exact document or guide for area of software you need assistance with.

I like BigTime's ability to sort and filter when pulling specific and general reports. This really helps me in the functionality, especially when exporting to Excel. It saves me a step there and makes the process a lot more cohesive!

Cons

Character limits! I don't like that certain tabs in the Project List inhibits the number of characters you can write while describing your project or your PO amount, etc.

Coordinated my billings

Pros

Similar to Quickbooks the software allows you to change what you need changed on the fly. Multiple billing rates, expense tracker and detailed billings look professional.

Cons

Not as intuitive as Quickbooks. Need to take some training to perform simple tasks. Formatting of invoices was cumbersome and confusing. Also not a big fan of monthly billings for use of software.

The software offers a great way to keep track of employee projects and PTO time. The reporting feature is extremely helpful in pulling quick data, such as hours worked in a specific range or remaining hours for a project/PTO. Training employees on the software is quick and clean because the software is comprehensible.

Cons

We've struggled with some intricacies that we've asked if modifications can be made. The response was if an area of the software is changed it affects all clients of BT. One example involves invoicing. It is confusing to us why hours entered by an employee are available to invoice even if the hours have not been approved. We have a few admins, so there are different admins approving hours and invoicing.

The reason that we don't offer multiple timers to run at once is because we want to make sure that billable time is handled appropriately and with integrity.

We would hate to open up the opportunity to accidentally bill client X for client Y's time.

The ease of use. I appreciate the layout and the app is absolutely perfect. I was able to load my entire team into the program without using any of the training material.

Cons

Vocabulary is not entirely intuitive, but the customer service agent responded to my questions almost immediately. While I would prefer a little bit more customization, I have no real complaints.
