Hundreds of hours saved in responding to questionnaires and RFPs. RFPIO offers very competitive cost savings over most of the larger RFP software providers. The same functionality at a fraction of the cost of the big guys. Customer support is top notch - all questions or requests for help are addressed within the same day (or within 24 hours at most). Great, direct support from the management team - no call centers, no outsourced product support. You get assistance from people who helped build the product.

#### Pros

RFPIO's answer library is a miracle with great features. The library provides a way to assign different owners and keep individual Q&A pairs updated in real. Access to our stock answers saves our users and SMEs hundreds of hours each quarter and affords them more time to devote to their primary job functions while spending less time on researching technical responses.

#### Cons

RFPIO is great for small to moderate sized teams. For larger organizations who complete 20 or more RFPs per month with multiple RFP teams working at the same time, multiple, parallel instances of RFPIO may be needed to best suit those needs on a grand scale.

Responsive is a great value for the money! The way Subject Matter Experts are involved with keeping the content up to date and the ease of project in and project out really saves days not hours.

Responsive is a wonderful tool for holding all the information we use for various responses to RFP opportunities. All users have access to the latest and greatest information at their fingertips. Making team collaboration and staying on top of projects very easy.

#### Cons

Currently the export funtion is my least love of Reponsive. There is some difficulty when you export the project back to its original form. There are many work arounds but it does add some time to the back end of things.

The system presents challenges from both an organizational and case‑development perspective and appears to be time‑consuming to set up and maintain. It is not as intuitive or efficient as working directly in Word for day‑to‑day use. That said, its primary strength lies in its ability to restrict update access and centrally manage templates, which provides stronger control and governance than our current approach.

From a document management perspective, this system can serve as a centralized repository for our templates with controlled access. It also enables a “build once, use many” approach, allowing us to update shared or redundant sections in one place rather than across multiple templates. While we are still working on standardizing and organizing our templates to fully realize this capability, the long‑term efficiency and governance benefits are significant.

#### Cons

At this time, the system does not appear to be very user‑friendly for our company’s needs. Our requirements may be too complex for its intended use. The time investment required to configure and organize our 20+ templates—each with roughly 10 sections or subsections—is substantial, especially considering this represents only a small portion of the overall system shared by three other groups. Additionally, day‑to‑day use would likely be more time‑consuming for our team than our current process. As a result, we may not be able to rely on the system for daily work and instead would primarily use it for template management, downloading templates into Word and editing from there, which mirrors how our assignments are currently handled.

I've had a good experience with Repsonsive. I brought the tool to my current company after using with my previous employer. The Q/A database makes the product worthwhile to respond to customer IT assessments and customer questionnaires.

The Q/A Library is the tool's best benefit. Having a place to store and easily access company information collected through previous work efforts is valuable and improves efficiency and reliance on internal stakeholders.

#### Cons

Inability to work easily with online portals and challenging formatting. Online portals that do not easily allow for input/export is a manual and time consuming effort that is supported by the Q/A library. Second - customers format their documents differently, and not all are easy to upload in responsive causing duplication of effort.

The content library is the most valuable mechanism. It has profoundly improved our RFP answering process and allows us to submit at least two times as many RFPs.

#### Cons

Ease of use could use improvements. I want more hot key customizability to move around the software with fewer clicks and more using keys instead of mouse. Also more of the features should be able to be right clicked and opened in a new window. Also the ribbon in the commenting area should be slidable so that different tabs are next to each other. For example, I want comments, activity, recommendations next to each other as my most used but it's annoying when they are far apart and require multiple clicks to go back and forth between them.

I like that is very easy to manage my projects and split responsibilities between the people involved. I like that is easy to flag and assign reviwers. Also, I like how easy it is to manage the content library and flag questions.

I would love if it had a "notes" section in each project so everyone could share notes and perceptions about the project. Also, I would love if the review in content library was easier to manage, just as a a project.

Innovative UI that updates frequently with new enhancements. The AI feature is very promising and has acted as a multiplier when it comes to productivity and speed of responding to RFIs and RFPs. I am also witnessing quality improvements with AI-generated responses over the last 6-9 months. The AI features help me be a rock star at work keep it coming!!!

Not flexible enough. Making AI runs seems complicated. Not enough collaborative features. Work on custom options. My manager added some custom fields and seems like we could not do much with them after creation?

I like that it is a one stop shop for all stakeholders in the RFP process where RFP asks, conversations and workflows can all be housed in one spot. It is easy to see what has been answered, what remains to review and easy to assign team members where needed to get the right people on the right questions to keep the workflow moving.

There are sometimes issues with the responses that are automatically pulled in where a question has a auto-response that does not answer the question being asked.

Mainly the project management capabilities of the product. The first step of vetting an RFP always takes time, but with Responsive your hard work is rewarded with automation after you get the ball rolling.

#### Cons

Building the database wasn't as intuitive as I would have liked, though the custom fields being able to be facets alongside tags is a great feature for those who are used to a traditional folder structure.

Generally, I've been very impressed with the customer service and training we've received from responsive. Overall they seem to be responsive to our needs and willing to dig into bugs thoroughly

I like how seamless most things are, I like the review workflow, I like that many things are customizable for the organization

#### Cons

While most things are seamless, there are still some issues with linking the modules. We often try to find projects in the Recommended search that should be in our archive but these two entities are separate. Also there are spacing issues and formatting issues upon export. Merge tags also seem to add random spaces or make adding text around the merge tag difficult and time consuming. I've tried to float some of these issues to responsive but often they have just let me know that that is a known function of the software.

#### Reasons for switching to Responsive, formerly RFPIO

Ombud was not innovating at all and we could never get any movement on the bugs we experienced. I will admit that sometimes we miss Ombud for exporting and formatting, as Responsive tends to add errors to the final product, but the management tools in Responsive make the switch worth it for us still. We're also hopeful that Responsive will continue to keep our feedback in mind and improve on the product, which was something we were not confident about with Ombud.

There are many options for organizing the Content Library, from tags, to collections, to multiple responses to a question, and more. The project management feature is also useful, especially the option to invite guests to collaborate and not require them to make an account.

#### Cons

There are many minor glitches, which after contacting the support team, usually get fixed in a timely manner, but after a while I don't want to report every little thing and wished that the QA team would catch them before going into production. Also the customer care team is hit and miss, and we faced some communication issues when it came to billing.

a) PowerPoint better integrated in the solution to also compose slide decks presentation for RFI responses, or business development pro active proposal. It however then first need a function that can search per slide into presentations of the repository. b) an ability to moderate the answers of completed RFP in the same sequence as they appear into the RFP... for now all the Q&A of an RFP are mixed, which makes the moderator nervous in changing its focus on a series of related Q&A instead of getting them in the logical order

Overall, our experience with RFPIO has been very favourable as it allows us to store, organize, and reuse information repeatedly and efficiently. Organizing the framework of proposals is also very easy and sections can be reordered, added, and removed with ease. A great time saver is the ability to use templates and even clone a previous project to get started quickly.

#### Pros

What I like most about RFPIO is the ability to store content and knowledge in sections and answer format. Once populated with verified content, it reduces the resources required to compile a standard proposal and the author and reviewer functions streamline team contributions. Custom merge fields, categories, keywords, etc. offer a lot of flexibility over how you organize and retrieve your content.

#### Cons

Although RFPIO is a great resource for storing and organizing content and knowledge, it's limited control over the formatting of the content means that exporting proposals through multiple iterations can be time consuming. Word templates do a decent job of providing a base look and feel but working with things such as line spacing, tables, etc. is finicky and image quality from RFPIO to Word document to PDF can result in poor end quality. Once I have compiled the bulk of the project and exported to Word, I tend to continue with Word and then am forced to go back and update any content changes in RFPIO to reflect the final results. It is not efficient to make changes and re-export each time.

Scalable solution that is our central repository for responses and providing product management allows a small team to response to a lot of customer requests quickly and correctly.

#### Pros

Having a central store for questions that we've been asked in the past and what our answers for those questions are is very important. We get a lot of RFPs/RFIs and Security Questionnaires around our company and solutions and it is a crowdsourced effort across various teams within our company. Giving everyone access to these past responses and the ability to flag what they apply to and when they need to be refreshed is very key for us to response to customer requests quickly and with a high degree of accuracy and completeness.

#### Cons

We've been using the solution for awhile and we have a lot of data inside. Some needs to be reworded or updated to remain relevant. We plan on using the A.I. capabilities to help with this updating.

#### Pros

RFPIO provides the workflow automation and a centralized area for customer facing knowledge as expected. The system really has made managing content and bids much more streamlined.

#### Cons

There are some usability issues (i.e. deleting documents that were previously linked to a Q&A pair, inconstancies with the new and legacy UI functionality, ability to delete comments in the Q&A library, none ideal visibility and filtering for users, etc.). While the system support team is responsive to bug logs, it can take a long time (months) for resolutions or fixes to issues and there is no real proactive communication from our account team.

The functionality looked to be more robust and have all of the necessary functionality for our needs at the time and moving forward.

#### Pros

I do not even know where to begin! RFPIO has changed the way I do proposals forever, and I cannot imagine being without it. It gives me the time to not just meet the RFP requirements, but to actually be able to customize and tailor my responses, something I did not always have the luxury of time to do. It allows me to complete more RFPs than ever before. I cannot even begin to list everything I love about RFPIO, but one thing that stands out is the collaboration aspect and being able to do a first run of answering questions based on what I have in my library, and then being able to assign questions out and follow their activity, It allows me to meet deadlines with a high quality response time and time again. And saves me time!

#### Cons

I am going to say NOTHING, because anytime I have had an issue or a desire for a new function, the RFPIO team is so responsive and has helped me through or even added a new feature. The one thing I wish it had, and I believe is in development, is a way to check when a draft of an answer is complete, but not marked as answered yet.
