### Most mentioned pros

- Its focus on forms, approvals, and process tracking makes it effective for operational use cases.
- It uses a simple board-style layout (like sticky notes you can move across steps), so it’s easy to see what’s in progress and what’s done.
- The whole “no-code” thing is probably great, since I don’t need to know how to be an actual developer just to build a simple form. As I’m writing this, my coffee is starting to get cold, and the janitor is literally vacuuming underneath my desk right now.

### Most mentioned cons

- I didn’t like the customer support when I needed help it wasn’t easy to access for me but I was able to get around it by looking up support articles.
- I haven’t customized all features due to lack of available tutorials.
- I feel like the member admin page isn't very useful.

We had no trouble learning to use and making effective use of this software because of how straightforward it is. It's true that we can make the whole team operate productively and efficiently thanks to the software, but it's too expensive for everyone to have access to it. This is especially true for team leaders, human resources, and project staff.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

I really appreciate all the different workflow templates it provides; they make it simple to organize any kind of project or task list, and they can be easily modified to fit our needs. It also helps us keep track of all project expenses thanks to its accounting features like purchase order management, accounting, and invoicing.

#### Cons

I think it would be helpful if they integrated more complex metrics like performance and activity duration; for example, the Gantt chart could show how much time has passed since an activity was scheduled.

#### Reasons for switching to Pipefy

It comes with a plethora of editable templates that may be adapted to suit the needs of virtually any enterprise. Important databases including customer, employee, contact, and bottleneck databases can help find activities that are slowing down the process and be eliminated.

We lost physical paper invoices like crazy before so that’s great that we are able to track digitally now. I was really scared about losing a legal document, but now Pipefy tracks them as well.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5

#### Pros

The drag-and-drop builder is alright, I suppose. We can make purchase orders with it without totally messing it up which is kind of amazing.

#### Cons

I hate trying to create a custom report within Pipefy. Their customer service takes like two weeks or something to respond after they finally decide to look into your issue. Sometimes the user permission system just gets screwed up between different departments. The mobile application is essentially useless.

Straightforward, user-friendly, and excellent for group projects — but most importantly, it helps you achieve your sales closing objectives. Customer service is also top-notch, with responses being quick. Those that are assigned a job are held accountable for their actions, and bottlenecks may be easily identified to remedy any issues. This allows clients to be involved in the process; they are able to track the development of their briefs. This, in my opinion, helps with the client's approval process.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

Pipefy is a great tool since it allows you to develop and manage any type of process from the ground up. Pipefy handles everything from procurement to sales to recruitment to project management. To make your life simpler, you have the ability to attach documents, email check lists, and link to other pipes.

#### Cons

Pipefy's support staff is really helpful and patient while guiding you through this process, thus it's difficult to track down right now. They give you the opportunity to fail, which helps you learn how to utilize Pipefy better. This technology might be difficult to grasp and use at first, but it is worth the effort in the long run.

#### Reasons for switching to Pipefy

You may use Pipefy to organize your work and chats by making your own deals, which can be linked to all of your emails. You can forecast and manage your deals using the insight tools and have a better knowledge of your progress.

I'm deleting all of the cards I've generated on Trello and moving them to Pipefy, where I can better organize them. Everything is made easier by the use of custom fields. It is possible to use Pipefy to automate routine tasks, integrate APIs with other services, build MVPs, and more.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

Because it allows me to break down my weekly to-do list into manageable chunks, the Sprint panel is one of my all-time favorite features. Pipefy has been a huge asset in streamlining and streamlining my company's operations. To better understand where the most errors were occurring, what steps might be done, and what procedures needed to be changed, I used this platform.

#### Cons

In my opinion, Pipefy is an excellent tool, although there are a few minor issues I'd like to have addressed. Because the expiration date is established by a date on the calendar, I would want you to have an option to select a time and in working hours, but there isn't one available.

#### Reasons for switching to Pipefy

In terms of functionality, it's tops the charts. I recommend completing the free Pipefy University classes to have a better understanding of how the system operates and how to make better use of tools and automation to make your job simpler.

Any firm that wants to automate its workflow in a way that even its least tech-savvy employees can learn to utilize quickly and easily should look into Pipefy. It's a fantastic system for facilitating easier HR tasks including onboarding and employing new staff, monitoring expenditures, and more.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

Those who use a wide variety of software for their jobs will appreciate how intuitive and easy to learn Pipefy is to use (like me). My processes are readily and effectively automated. It's easy to use and has been invaluable in helping me run my business. This stuff has been fantastic to use.

#### Cons

There must be enhanced channels of client interaction. A brand-new, radically different upgrade appeared suddenly. It completely threw us off schedule. Because of problems with their notifications, we've been looking for an alternative platform.

#### Reasons for switching to Pipefy

Pipefy is a helpful program for handling business operations within a corporation. The best part is that it can be used to any procedure you can think of.

Previously we had all types of said emails and phone calls exchanged because of our campus issues, now everything is preserved in a single location. I’m just glad I dont have to re-enter the same vendor info 10 times a day into 10 different systems.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 5/5

As I’m writing this, my coffee is starting to get cold, and the janitor is literally vacuuming underneath my desk right now. It works fairly well, although I thought it would fail when I tried to link some modules together.

#### Cons

I find the error messages to be absolutely terrible, since they never specify what really went wrong, so you are basically looking at a blank screen. Sometimes the pages hang up or freezes for a long time anticipation as if your internet connection has dropped but Infact the application is simply making it slowly loaded.

Overall, Pipefy offers a reliable and structured solution for managing workflows and enforcing process consistency. It is well suited for organisations looking to improve operational efficiency and standardise tasks. While it requires initial setup effort, it becomes a valuable tool for managing repeatable processes at scale.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

Pipefy provides a structured and process‑driven approach to managing workflows, making it particularly useful for standardising repetitive business processes. The platform allows teams to build and automate workflows without heavy technical input, helping improve efficiency and control. Its focus on forms, approvals, and process tracking makes it effective for operational use cases.

#### Cons

The platform can require time to fully understand and configure, especially when setting up more complex workflows. While it is strong for structured processes, it can feel less flexible for less formal or highly dynamic work. Some advanced capabilities may also depend on additional configuration or licensing.

With Pipefy I could have better response for clients with less people.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

Pipefy has a great UX, is very intuitive and very easy to use. The learning curve is fast, and when you learn to use it, you can automate almost any process. For example, in our design company, we connect various processes of our company such as Sales process, budget proposals, accounts payable, accounts receivable, task management , project management and even the hiring process. We connect to Pipefy with slack to notify when a new project starts or when we start a new project or close a deal.

#### Cons

There are just a few details than pipefy could improve as: - Use math formulas on his forms - Calculate the real time use on a process it only calculates the time on the pipe of a card.

#### Reasons for switching to Pipefy

I use Pipefy for at least four years. I started to use to improve our sales process and at that time I used runrun.it to project management. But I discovered than with Pipefy I could have all the process in one software and connect one process to another. So I could use Pipefy not only to management one process but to manage all the company. Another reason was runrun/it change the price of my plan 10 times even when I was an early adopter.

#### Pros

Pipefy has a lot of tools to help small business that haven`t IT Team. Automations, integration with Zapier and API Access are one of more importants tools of Pipefy, with this three tools you can make pipefy work as your business process work, and with a lot of AUTOMATION! Pipefy templates: Pipefy offers templates to start your process control, probably any process that you will put on pipefy, someone already did. So you can just use an template, and adapt they to your business. Pipefy Apps: Pipefy gives some apps integrations direct in the Pipefy Platform. My preferred is "Sprint App", Sprint App transform the Pipefy Kanban in a Sprint Tool, with management of Sprints, etc.

#### Cons

Some features that i would like to see in Pipefy is: - Time control: could have some "Pipefy Apps" that generate time report of taks, and users. - Export Database: One thing that I would like is be able to export Database data with just one Button. I needed this tool a lot of times, and I had to write an script to do this using the GraphQL Api.

#### Reasons for choosing Pipefy

Integrations, Automations, Sprint App and Templates: this four items was what make me choose Pipefy.

We started using Pipefy a few months ago, after having the same BPM software for almost 5 years and I can tell it was one of the best decisions we have made. Even with the missing points I mentioned, Pipefy brought us more confidence and reliability. We are a Service-Based Business, so having a Software we can trust and is being constantly improved, is essential. I would totally recommend Pipefy!

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

Pipefy is really user-oriented, so it is easy to create and implement pipes. Conditional and Required fields are also really useful and we use them a lot in all our processes. The Dashboards (still in beta) bring a complete view of our current work and I am sure it will be one of the best tools they have!

#### Cons

I miss having more options when creating automations, being able to pull information from connected cards, make calculations, or bulk edits. Another missing point is that not all fields are searchable, making it hard to find a specific card (if you didn't mark all fields as subtitles) when you have hundreds of them in the same pipe.

#### Reasons for choosing Pipefy

Support + Features

#### Reasons for switching to Pipefy

Podio was missing essential tools and wasn't being updated anymore.

Overall the software is good. Its a balanced value for the money. But be prepared to spend a very long time understanding and learning how to get the most of it. And we also had the help for a pipefy staff that was very important.

#### Ratings breakdown

- Ease of use: 3/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 3/5

#### Pros

I really liked the kanban style, the possibilities to bring all my back office routines to only one software. I also like the automations, the forms that can be filled from people outside my organization.

#### Cons

The setup is VERY time consuming. And when you start to link pipes or customize the start forms that are linked to other pipes you can get lost very quickly... One thing thats very bad, is when you have a pipe linked to another and you change the origin form, you lose your automation and have to unlink and link it back again. Its ok when you don't have automated rules, but when you have a huge card with 50 items and conditionals and you have to relink them all back is very bad. Other thing thas annoys me is that you have to refresh the pipes frequently, or it doesn't show for me the changes my staff just made.

#### Reasons for choosing Pipefy

pipefy is more specific for the tasks I wanted to do.

#### Reasons for switching to Pipefy

Monday just wasn't appropriated for the tasks.

We use to have another software to do our sales process, but it didn't fills all our needs; so I decide to search for another software and hopefully we found PIPEFY. With PIPEFY I found a software that can be customizable as I need; with Pipefy, I can manage my sales team to reach our goals, as we are a Inside Sales department, we need a CRM and so with PIPEFY we hopefully filled it. We also use Pipefy to automate some processes and it help us to do the pipeline process to find new customers.

#### Pros

Easy management Intuitive set up Easy to use Clean and beautiful layout

#### Cons

Maybe should have a sum (for the total in money currency we set up) in the top of each step (pipeline' steps)

#### Reasons for choosing Pipefy

As I commented above, Pipefy is more customizable than other softwares I have tried. Also, it has everything I need to manage my team and reach our goals. The new feature Dashboards are also another thing that I liked a lot.

#### Reasons for switching to Pipefy

Pipefy is much more customizable and easy to use than other softwares we have tried. Also, it is a lot easier to manage my team. I need to know how many opportunities they are negotiating with their customers, so Pipefy helps me to manage everything. And the best part: I can customize everything as I need.

#### Pros

In a company environment where you have employees overwhelmed with workload and critical systems that need to be in place, pipefy has allowed us (with much thoughtful construction and automation) to ensure that these systems don't slip and get attention from all parties involved. The automated delivery and rules are great. The phase descriptions are very helpful.

#### Cons

The only thing that might help clients be more successful at utilizing all of the benefits of the platform is if you had the ability to do an in-person consultation with administrators to ensure that their pipes are developed how they need them to be and answer all hanging questions as it starts to be used. It would be helpful if a card were in a phase without being acted on if there could be some exponential alerting. Perhaps this is available, I just never discovered. There is a steep learning curve to thinking like a pipe! ;)

We have been using it for months and we have noticed an evolution in the quality of service to our customers.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

The tool allows the creation of cards. These cards are fully customizable and can put any type of information. We use it to store customer information. We are able to organize the entire operation of our operations knowing if that client's situation has already been resolved or if it is still pending. The tool works well on both desktop and mobile versions. The method used where all collaborators can use and edit at the same time provided more dynamism to our operation.

#### Cons

Cards don't always update for all collaborators in a versatile way, and it is necessary to wait a while for this to happen. The team had a little difficulty adapting to the tool, but after a few weeks of use, everyone agreed that the company's evolution and growth is remarkable.

#### Reasons for choosing Pipefy

We identified that some companies in the same industry were using it and decided to test it.

- Customer support: 5/5
- Functionality: 5/5

#### Pros

It's as easy to as Trello, but able to handle much more complicated scenarios. Between the API and the ability to create Pipefy Apps, there is not much you can't do with this system. Pipefy has become my goto solution for all of my clients when it comes to managing just about anything. Customer support has been great! Features: - The ability to create Pipefy Apps that let you customize card actions, as well as create a custom view, which is a "portal" to an external App that provides great flexibility and power. - Relational database tables that can be tied to cards. - Specify the flow card needs to take through the process, can't start the job until you have ordered materials - Take action when certain fields change. - Create and track sub-processes. - Super solid GraphQL API. - Reporting based on a cards fields.

#### Cons

- The built-in reporting feature doesn't let you report on "connected" database records, so you need to either create a field on the card that syncs itself to record, or create your own reporting view as a Pipefy App. - You can only filter the cards by Label or Assignee, so you end up using labels for things where a dropdown list would have been nice. Which means you can end up with a lot of labels, and may need to"namespace them, I.E. "Location:NorthSide", "JobType:Custom", "LeadSource:Web", etc.

#### Vendor response

Thank you so much for your feedback!

I really like it but it has to incorporate the features that the other tools from this segment has.

#### Ratings breakdown

#### Pros

Pipefy helped me organize our finances and create a tool to manage our Business Development efforts. I needed these services due to the nature of my work.

#### Cons

It can be difficult to gauge the rate of progress when reporting tasks in real time. A long delay is associated with this process, which is necessary to ensure all employees have a clear picture of the current state. There's also an issue with the fact that payments are based on users instead of the software's total cost. This would make it easier for more team members to participate in the system and increase participation due to costs. I also wish they implemented more advanced features such as performance measurements and scheduling. This way, they could easily visualize tasks performed and how much time is left before completion.
