Rubberstamp Software


 

Rubberstamp is a standalone, web-based Procurement system. It aims to help automate the entire procurement process for businesses in many different verticals, from pharmaceuticals to electronics to office supplies. It is compatible on many different platforms, including Windows, Mac, Android and iPhone/iPad. Users can access the system and work from anywhere, taking advantage of real-time updates. 

Reports can be run and exported quickly, and are secure – Rubberstamp relies on the same security infrastructure as most banks do. Team members accessing the system are first prompted to set up budgets, and invite their colleagues to review them. Next, any purchase orders can be submitted. The team managers are then notified and can approve the PO. Lastly, everyone who has collaborated on that budget can review and export any necessary reports. Rubberstamp offers a free 14-day trial, and can be set up in minutes.

The system has a clean interface, is user friendly, flexible, and does everything it promises for a good price. With that said my favorite feature is the IM Message feature between the Purchase Requestor and Approver for every individual PO. This is a HUGE time saver and a feature I have only seen on systems that were much more expenses.

Likes Least

I wish they had 2 or 3 training videos on YouTube and wish the system was a little more flexible in creating individual Approvers for budgets.

Recommendations

Don't be fooled by the small size of the company or it not being a Silicon Valley Company. Rubberstamp offers a "topshelf" product and excellent customer service.

It's incredibly easy to use and saves so much time. No more trekking around with bits of paper looking for signatures, each user has an authority level and requests are all made and approved electronically.

Likes Least

I haven't found a downside yet, the interface is great, simple for the most basic of users but resilient enough for professional use.

Recommendations

Have a look over a few sites that offer more of what you need and ask for a product demo, seeing the products in use made it a very easy decision for me to make.

Getting approvals fast from top management since one can send a reminder to approve a document by re-sending the PO again to the approver.

Pros

It's fast in terms of approval at least one can resend the approval to be done as a reminder, it reduces a lot of paper work in terms of printing documents for approval manually, it's easy to learn and user friendly as well.

Cons

Sometimes the system does not load at all hence delays on submitting documents for approval on time especially if the documents are urgent.

Pros

It's so easy to understand, very user friendly. We explained it to the staff and everyone got to grips with the system very quickly. good way of monitoring spend.

Cons

Importing suppliers- not the easiest thing to understand but your customer service people are really helpful.

Clear and easy to see where my budget is at at any time with just a glance. Setting up a PO is also quick and easy to do.

Cons

The only con I have experienced is the amount of info need to set up suppliers on the system, however not all of this informaiton is actually required, so it's not really a con.

it is simple and easy to use, especially for new users. the clients can clearly read the purchase orders and there is o confusion with what you are asking for

Cons

Sometimes it is hard to work things out on your own. Like what each user access entitles you to. How to do something ie archive. yes you can chat online but when you have asked once you feel silly having to ask again if you cannot find your otes. It would be nice to be able to look at a little manual.

Solved my PO Approval needs without having to go to an enterprise tool like Oracle.

Pros

Functionality: easy to use, well designed, thoughtful workflows, robust functionality without being burdensome. RubberStamp not only understands the ins and outs of POs, but they also have created an information architecture that covers every base. UI/UX: Intuitive, clean design, modern look and one of the best UI designs I've seen. Speed of implementation - I literally spent a week from finding RubberStamp online to issuing our first PO. Set up was a breeze, RubberStamp was willing to help but I preferred to just plow through myself. Nifty import and export features are handy for mass updates or uploads. Support:I work in the software industry and RubberStamp has the best support I've ever seen. Chat is almost always available, reps are knowledgeable and I have yet to not get a resolution on my first contact. They do weekly releases, so if you need an enhancement, they are very responsive and timely on getting them in. I recommended it to our accounting firm to share with their other small biz clients, it was exactly what I needed for my client. In a nutshell, best in class design and exceptionally good customer support. It is the awesome customer support that makes it a no brainer choice.

Cons

Cons with the software are very few. I had a little trouble understanding how the Approval Limits worked, but that was probably my ignorance on the PO process. The RubberStamp rep called me during a chat question and clarified within 5 minutes. The user documentation is light, but because the support is so good - the don't need heavy how to documents or videos. I created my own training videos for my staff, it would have been cool if RubberStamp had a YouTube channel with training videos. Maybe that is to come...

This software makes using our P.O. system much simpler and more efficient.

Pros

Easy to use on a variety of platforms. Extremely user friendly and easy to train employees on the system.

Cons

When using the filters to look at different P.O.s, I will use the Job # filter to see all P.O.s written for that particular Job. After that when I select the Cost Code filter, the drop down menu still shows every Cost Code from every Job.

Tracking spending across multiple budgets at a glance, as well as being able to add notes and documents onto each spend so there's an accurate reflection of changing business needs.

Cons

It would be useful to be able to submit purchase orders proportionally under different budgets, as occasionally large invoices need to be split into multiple areas.

Line items are created in a specific directory.

Cons

I wish that it had a feature to allow a regular user to edit POs when they are not an admin. This seems to come up often. Also the draft feature is OK but seems buggy at times.
