ProcurementExpress.com is a standalone, cloud-based procurement system. It aims to help automate the entire procurement process for businesses in many different verticals, from pharmaceuticals to electronics to office supplies. It is compatible on many different platforms, including Windows, Mac, Android and iPhone/iPad. Users can access the system and work from anywhere, taking advantage of real-time updates. 

Reports can be run and exported quickly, and are secure – ProcurementExpress.com relies on the same security infrastructure as most banks do. Team members accessing the system are first prompted to set up budgets, and invite their colleagues to review them. Next, any purchase orders can be submitted. The team managers are then notified and can approve the PO. Lastly, everyone who has collaborated on that budget can review and export any necessary reports.

The system has a clean interface, is user friendly, flexible, and does everything it promises for a good price. With that said my favorite feature is the IM Message feature between the Purchase Requestor and Approver for every individual PO. This is a HUGE time saver and a feature I have only seen on systems that were much more expenses.

Likes Least

I wish they had 2 or 3 training videos on YouTube and wish the system was a little more flexible in creating individual Approvers for budgets.

Recommendations

Don't be fooled by the small size of the company or it not being a Silicon Valley Company. ProcurementExpress.com offers a "topshelf" product and excellent customer service.

It's incredibly easy to use and saves so much time. No more trekking around with bits of paper looking for signatures, each user has an authority level and requests are all made and approved electronically.

Likes Least

I haven't found a downside yet, the interface is great, simple for the most basic of users but resilient enough for professional use.

Recommendations

Have a look over a few sites that offer more of what you need and ask for a product demo, seeing the products in use made it a very easy decision for me to make.

Excellent internal controls and accountability.

Pros

Clear, concise record-keeping and data is shared with users to provide for accurate shared information system. .

Cons

I would prefer that only those PO's awaiting my approval were on my dashboard, it is too time-consuming to sort through what is awaiting my approval. Also always reverts to Page 1 so I have to click through to where I left off.

The ease of procurement with the required security. The feature of having cost centres is a huge asset when it comes to seeing where you over spent or saved.

Cons

i am not a computer bofin and the setup of the cost coding frustrates me. i need continual assistance. I am embaresed to keep asking for help.

The bills/purchases submitted are separated by each user/employee which makes record keeping easier.

Pros

You can have a number of projects listed and can easily click through different projects, as well as split an invoice on a PO between different jobs and budget categories.

Cons

Archiving, as only the administrator can unarchive an old job if I need it for some reason.
I don't have any other "cons" to report.

Fantastic company reference point for purchases and keeps budgeting in line.
There is no need for filing cabinets full of paper now.

Pros

This software is presented well to the user. It is easy to use and straightforward to navigate through the sections required. It is a fantastic reference point for purchases and is great to compare previous years price on price.

Cons

Sometimes there are glitches where PO's can be rejected and no one internally has rejected them. This causes additional work whereby the PO has to be created again and sent for approval.

Ease of the system to use and the practicality of it. When we were looking for a system to put into place, we were not looking for all of the bells and whistles, we wanted functionality and ease of use and with the Rubberstamp system we got that.

Pros

support and actually listening to me instead of telling me. Also the ease of the system to work through in order to get that Purchase Order out

Cons

Time difference between Rubberstamp and us. Would hope in the future that Rubberstamp would open an office in the US

Makes life so much easier than our old spreadsheet based system. I can now devolve responsibility for purchasing but maintain control.

Pros

We wanted a system that wouldnt be too complex for our small but ambitious business. This ticks all the boxes. Intuitive, well-thought out and thorough, we love it.

The people we deal with are approachable, knowledgeable and very helpful. Faultless

Cons

The system is slightly (and I mean "slightly") more pricey than other we have looked at but it is worth the extra expenditure.

We are a small startup company division. This software let us get moving quickly on our own with a small engineering team and no purchasing dept.

Pros

Just haven't ran into many problems at all, pretty intuitive for sure. It took me one or two orders to get a good understanding of the package. Generally simple to use once accounts are setup, good cut and paste capability too from other packages.

Cons

Could use more feedback on what is going on behind the scenes. This would give more confidence that everything is working. I still seem to be guessing sometimes if the software is completing the process. My job requires me to have confidence the orders complete and off to the vender and vender then get paid.

Tighter control and ease over our company orderng

Pros

Once you have set up all your suppliers/products etc, it is super easy to raise a purchase order which is allocated to a budget. The templates are editable so you can get your company branding on there. It is very easy to use, not over complicated. We needed a simple solution for our on-site employees, and it is working well!

Cons

Could have better integrations with other accounts packages, to press you can export in Xero bur little else. I understand the guys at
ProcurementExpress.com are looking into this as a future development.

The ability to create a PO in minutes with ease and the ability to create, add and remove vendors and associated companies.

Cons

When creating allocations the system does not prompt if the numbers do not ad to 100%. The system does not send an automatic email when a payment is made towards a PO.

This software has helped up stay within our monthly budget.

Pros

It's quick and easy enough to train others on how to use this software. We no longer have to deal lost receipts or PO numbers.

Cons

The least thing I like about the software is that we are limited to the access of users. But I am aware we can add more users for an additional price.

The fact that we don't have to have paper purchase orders is the thing that I like most about ProcurementExpress.com. I also really like that we can upload receipts and attach them to the purchase order.

Cons

While we don't have to print PO's, occasionally we feel the need to do so. When we have printed in the past, the code/budget wasn't showing up so I always had to go into the program to see which budget it belonged to. I have since been told that this option is available to me. So, at this time I don't have anything that I like LEAST about this software!

Thank you for the time saving calculations! Very helpful to have the system auto calculate taxes and quantity into the pricing totals and auto fills for previous item descriptions.

Cons

Search tool could be more broad. Creating a smart search tool that pre-fills possibilities as you type to check for previous PO's.
