ProcurementExpress.com is a cloud-based procurement solution that aims to automate the purchase order process. It caters to small and midsize businesses across a wide range of industries including pharmaceuticals and office supplies.

The purchase order process begins with assigning budgets and inviting colleagues to review them. Next step is the submission of purchase requests which once submitted are then automatically sent to the team manager for approval. At last, everyone who has collaborated on that budget can review and export the necessary reports.

The solution also assists the users to view conversation history at each stage, starting from procurement of product to the final payout. Users can customize purchase orders to meet specific business requirements.

The solution is available on annual and monthly subscription basis. Customers can reach out to the support team via phone for any technical queries.

Especially the customer service team is fantastic, they just resolve your invoice queries as soon as possible.

Cons

They have the edit feature but sometimes it becomes a challenge to change the order values. but its good they resolve it on call.

My life at work has become that much easier. Clear and easy to use software that cuts my time nearly in half. Customer service team is great! Fast reliable, and friendly.

Cons

Needs better drop down selection and would help if it didn't allow duplicates of product items if you accidentally add it without know its already there.

The system has a clean interface, is user friendly, flexible, and does everything it promises for a good price. With that said my favorite feature is the IM Message feature between the Purchase Requestor and Approver for every individual PO. This is a HUGE time saver and a feature I have only seen on systems that were much more expenses.

Likes Least

I wish they had 2 or 3 training videos on YouTube and wish the system was a little more flexible in creating individual Approvers for budgets.

Recommendations

Don't be fooled by the small size of the company or it not being a Silicon Valley Company. ProcurementExpress.com offers a "topshelf" product and excellent customer service.

It's incredibly easy to use and saves so much time. No more trekking around with bits of paper looking for signatures, each user has an authority level and requests are all made and approved electronically.

Likes Least

I haven't found a downside yet, the interface is great, simple for the most basic of users but resilient enough for professional use.

Recommendations

Have a look over a few sites that offer more of what you need and ask for a product demo, seeing the products in use made it a very easy decision for me to make.

Streamlines all of the purchases into one place, causing less confusion and paperwork. This makes it easy to see which purchases are where, especially since our offices are spread throughout the city.

Cons

Wish I didn't have to copy and paste so much when I order materials from other internet sources. However, it makes sense why we have to copy and paste - not sure how to fix this nuisance.

ProcurementExpress has allowed us easier tracking of our project spending across numerous asset developments, letting us get ahold of our spending and tracking, while not slowing down our people in the field.

Cons

I think if the software let you subscribe and pay solely off users or other methods, that would be great. We have various different entities whose projects have very different cost categories. Because we don't want field employees having to scroll through too many different cost categories to allocate POs, we end up having to utilize multiple subscriptions that have 50% of the same user base across them.

Pros

I like approval features and control over budget features that it provides for department heads to control they own spending.

Cons

The reporting features are limited and custom ones has to be requested. The team are very helpful and quick with request. The requests are resolved within 24 hours.

Ease of use when filing and submitting POs on a daily basis.

Pros

Automation. Everything is clearly broken up and segmented, I know clearly which parts of the system apply to me which stops it being complicated. I like the email notifications too as it stops me forgetting to send the POs to suppliers.

Cons

You can't search POs by who raised them, or sort them alphabetically (that I can see anyway). This would be a really helpful new feature.

Accessible purchase orders to all our remote sites and mobile employees

Pros

Ease of use, able to make changes to best suit our organisation. We've rolled this out to our remote sites and mobile users and they have all taken to the system with ease.

Cons

Some limiting issues with App, as it does not reflect the same process as the pc users. The single most annoying part missing is not being able to send a confirmation email direct to the supplier from the app

Pros

You are immediately taken into the purchasing process. Easy adding of new users with defining their possibility to make a decision in purchasing.

Cons

Cost is very high. Price per user is something that needs to be reconsidered. I received three E-mails immediately after registration, two of which were support functions offering help.

Easy PO system

Pros

Everything is digital therefore no documents are lost. Ability to archive orders that have been paid/cancelled/rejected is great as they are removed from the dashboard. It is also rather easy to add suppliers.

Cons

Filtering should be more detailed. It would also be nice to filter by payment type. Pending documents should be given a temporary PO number so that it is easier to search for. Exchange rates are a bit off so amount on system versus the actual paid amount differ. It is a bit of a hassle to deal with this.

Most importantly, the software allows me to see instantly how much is left in each budget before approving new expenses. Also, eliminates the need to keep photocopies of receipts and hardcopies documents in a personal file. Reimbursement time for staff is much faster with far fewer errors.

Cons

For the moment, I am just enjoying the fact that this is an improvement over what was. I have not been able to give much thought to what it could be.

Clear, concise record-keeping and data is shared with users to provide for accurate shared information system. .

Cons

I would prefer that only those PO's awaiting my approval were on my dashboard, it is too time-consuming to sort through what is awaiting my approval. Also always reverts to Page 1 so I have to click through to where I left off.

You can have a number of projects listed and can easily click through different projects, as well as split an invoice on a PO between different jobs and budget categories.

Cons

Archiving, as only the administrator can unarchive an old job if I need it for some reason.

Fantastic company reference point for purchases and keeps budgeting in line.
There is no need for filing cabinets full of paper now.

Pros

This software is presented well to the user. It is easy to use and straightforward to navigate through the sections required. It is a fantastic reference point for purchases and is great to compare previous years price on price.

Cons

Sometimes there are glitches where PO's can be rejected and no one internally has rejected them. This causes additional work whereby the PO has to be created again and sent for approval.

Ease of the system to use and the practicality of it. When we were looking for a system to put into place, we were not looking for all of the bells and whistles, we wanted functionality and ease of use and with the Rubberstamp system we got that.
