Servant Keeper Software


 

Servant Keeper by Servant PC Resources is a hybrid church management solution that caters to churches and faith-based organizations and helps them to manage their business operations. The solution enables churches to search through their congregation to pinpoint specific skills among their members, track attendance or communicate via email with their constituents.

When entering a new member or family into the solution, common information - last name, address, and phone number - are copied over automatically. The data can be edited to account for differences in family information, when applicable. Customizable data fields provide an additional way for churches to tailor Servant Keeper to meet their unique needs and specifications. If an attendee is just a visitor, they can be automatically excluded from member-only marketing collateral, such as emails and mailings.

Additionally, Servant Keeper offers functionalities for online giving, child check-in for security, online scheduling and accounting.

Services are offered for a one-time fee that includes support via email and online resources.

I understand that whoever is going to respond to this complaint had absolutely nothing to do with initiating this policy. I do feel sorry for them, however, in having to defend such a horrible policy.

Pros

It does what the company says it does. Great tool for churches, as far as its functionality goes. But all the pros are far outweighed by the one glaring, indisputable negative: They require you to PAY for customer service!

Cons

Buying the program isn't enough . . . the company charges a fee for customer service/technical support. UNBELIEVABLE! It's simply outrageous! Whoever authored this policy out to be ashamed! The company officials ought to be ashamed for accepting the idea in the first place. The idea that you have to pay extra to get the company's help in using their product is unconscionable and morally wrong! It's just another way to make more money.

We used this product for about 7 years and if you are starting out it is great and it is very simple to use.

Cons

One thing that I didn't like is they raise the price as you grow. So there are levels, if you have a membership of 1-100 it is one price for the license, 101-200 another price. That is the only limitation I did not like.

Servant Keeper pricing is not based on the number of records or members. Even a church of 10,000 active members can be on Level 1 with just three administrative users.

Everything. Program rarely works correctly, and when it does, it's slow. Updates wipe all old information and everything need a reentered. No help desk available on Sunday mornings. Kids' names are very tiny on nametags. It has causes nothing but endless headaches.

If Servant Keeper is going to offer the Edit Report feature, they should provide support for that feature--which at this time they do not. A person must be knowledgeable of how to do the editing or the church has to find some one.

Pros

I like that Servent Keeper offers different report templates to choose from. SK makes it easy to use the program. As in entering information of a person when one creates a profile. Attendance can be changed if needed and saved for any given day and save that change.

Cons

Ability to have a larger variety of Attendance reports to choose from is lacking. There is no support on on editing a report to suit the individual church needs.

I like its simplicity in relation to the display of members profile. Its usage is also of ease and to talk of its features, it's really great because, in comparing it to other system we've used, this is so far more better than all.

Cons

The process to mark and track members attendance is very tedious. Despite that, it's great but if the implementation of bio-metric can be integrated to make members gets recorded when their hands are being scanned. This could make it more great to use with less effort for administrators.

I like all the options that are available in Servant Keeper. Groups Keeper is vital for our ministry and allows us to keep track of and maintain many different groups and categories. I was mostly self taught on the software and found it fairly easy to navigate having no prior training. I have since taken a proper training class and am excited to utilize all the other features it has.

Cons

With the recent upgrade we did to SK 8, I have had some glitches but I expect those to be found and worked out in due time.

Best Church Software for the price!

We are a small church (about 100 attendees) and recently purchased ServantKeeper as our first church management software. I'm pretty confident that this will also be our LAST church software because we bought the lifetime license and we love the program!
I (the church secretary) have used several different database management systems in past jobs, so I knew I wanted church software with a detailed database, member groups, family connections, and ease of updating/sorting. ServantKeeper is all of those!

Pros

When I add new people to the database, it automatically forms a family unit (with that person as the head), and it is so easy to add spouse/children directly from that family--which means I don't have to type the address/phone/anniversary/membership status multiple times. This is NOT the case with most other software I tested.
Every person can be added to groups or Sunday School classes, have attendance and contributions tracked, and can even have skills or volunteer areas added to their profile. It's very customizable, so this should be helpful for any organization.

Cons

The only downside for us is the formatting of the reports. There are a lot of reports available (i.e. family profile, directory pages, attendance) and they are customizable, but you can't change the formatting (font size, layout, etc.). Obviously, this isn't a huge deal, because the reports are still helpful--that's just the one thing I would change.

Advice to Others

If you want one database for the life of your church, this is the one! A little more money up-front, but worth it! This product is customizable, easy to use (especially if you are already familiar with database systems), and can easily grow with your church.

Ease of use, and great customer service. Reports of all kinds are quick and simple to create. It's impossible to choose a favorite feature. Publishing member directories is easy-peasy. Annual contribution statements -- which used to be a labor intensive nightmare -- is mostly just a matter of a few clicks now. SK emails the contribution statements, eliminating a lot of time, drudgery, and postage costs. There are some sophisticated options that are very simple to use, such as mail merge. The contribution keeper is straightforward, very clean and simple, minimal clicks make quick work of entering contributions.

Likes Least

I don't care for the music they play on hold when I call the Help Desk. That's really the worst thing I can think of.

Recommendations

Go to live demonstrations of different programs if they are available in your area. It's hard to evaluate a program without seeing how it functions.

Our previous system was cumbersome, so converting to SK7 has been wonderful. The system is easy to navigate and it has a lot of flexibility with customized fields that allow us to adapt it to our needs. There's a solid selection of standard reports for basic reporting, and the ability to create your own reports with relative ease. We just started using the youth ministry features and staff are really appreciating its capability. We use QuickBooks for our accounting software and SK7 integrates nicely for our purposes for tracking revenue.

Likes Least

As I have expressed to the company, I am disappointed that support after the first year is based on the number of licenses you have, and as such, is very expensive for us. As a result, unless there's something drastic, we don't call. As the system administrator, I would be the only one calling for support, and I have recommended that they structure a tiered fee based on actual use. I know we'd get more out of the system if we could ask questions as they occur.

Recommendations

This is a user-friendly software program, but like any database, it's only as good as the data that is entered! Keep things as simple as possible if you have multiple users so your data is consistent.

I like that it integrates with QuickBooks, and that was one of the main reasons for purchasing it (along with ease of use).

I truly believe that SK understands that most churches are in a financial strain, so they keep their prices within reason...which makes perfect sense, as I'm sure they'll get more sales than other church software companies based on customer referrals.

Many of the tools are not YET (I'm claiming it to come soon :) available for Mac.

Recommendations

While the product/demo itself is very impressive with price to match, ALWAYS ALWAYS ALWAYS take customer service into consideration. When we were comparing 2 software systems (SK won overall hands down) the customer service of the other sucked big time. Although SK had the better price, had they been more expensive I would've still selected SK based on the product & customer service alone.

Extremely easy software to use. Easy to navigate around the modules. We purchased the Administrative/Membership/Contributions module. Love the Contribution reports! The Help Desk personnel is easy to deal with, although I only had to call them once. We are in the process of purchasing the Child Check-In module and are expecting it to be just as excellent.

Cannot think of anything I do not like. I had only one issue and the Help Desk sent me a file to download, which solved my problem.

Recommendations

If you have never worked with a church management or contributions software before, I would recommend Servant Keeper for its ease of use and simplicity. It works well with QuickBooks.

Servant Keeper software is exceptionally user friendly. Servant Keeper helps me to get what I need done and be able to extract info quickly with no stress. Statements of contributions are easily generated with a custom note. Confidential counseling notes are safely kept due to the great security for each user. Important areas in congregants lives never slip by ( birthdays, anniversaries, even anniversary of the date of a death of a loved one) since SK makes the process so easy. This frees me up to do other areas of ministry without headaches of admin that I have experienced in the past with other programs prior to using SK.

I have no complaints. At first I hoped they would have bill paying built in but now I find it makes more sense to link with the system of my choice.

Recommendations

Software functionality is good...but no software is great if it's lacking customer service!

Pros

I do like having the ability to create contribution statements of annual giving for our congregation. The process is fairly easy and not time consuming.

Cons

The customer support stinks. Several years ago, the price skyrocketed to support our software version. I understand price increases, but this was ridiculous. What really stunk was that the company didn't let us know that the cost was increasing....they just automatically charged us the new rate without letting us know. When I questioned customer service about it, they were pretty rude, and acted like "how dare I question them." Needless to say, since then we have dropped the customer support completely, and are using the SK software on our own.

Feature rich and lots of extra modules. Complete solution for our small church

Cons

- 90's style interface; clearly a J2EE or equivalent type application. Fixed number of fields; can't change field location on screen, etc.
- Klutzy to learn to use.
- Primitive permission architecture - giving someone ability to add values to one dropdown (e.g. City) is giving them permission to all fields (e.g. Status) - results in HUGE messes and dirty data
- A lot of reports, but you DO need to edit them occasionally. The editor is HUGELY klutzy, and there is no support and no comprehensive documentation for it.

Many competitors - even at first glance - were built for the web using newer technologies. Probably would not buy it again.

Pros

I love the simplicity of the program - it makes sense. I like the variety of reports that are available. It is wonderful to print the end of the year contributions with a blink of the eye!

Cons

When entering contributions I wish I could use the keyboard to move between cash and check instead of having to use the mouse. This is such a small issue when you compare it to the over all wonderfulness of the program!

Customer service was the best during a time of turmoil with a crashed OS they helped locate the data file and get the client up and running fast. I have since installed it on two other clients!

Pros

It was easy to install and configure. The customer service helped allot with questions for when I upgraded the client from XP to Windows 7 and then to Windows 10.

Servant Keeper helps our church stay out of any kind of trouble. All the features are designed to help us keep pertinent records by consent, without trespassing upon anyone's privacy

Pros

It is very comprehensive and targets every aspect of church membership. It allows the church to keep accurate records of all members and their families within the program. Contributions and pledges are easily recorded, and one of the best features of the program is "it will not allow you to gloss over mistakes". This makes accounting, end of month, and yearend statements very easy to print at any time there is a need. Simply stated, it is an outstanding program for any organization that handles contributions.

Cons

The defaults are laid out in "Landscape" or Excel format. This is great for large organizations that collects all the information, and takes much time to format the way I like my reports to print.

Used this service for a massive organization where we were tracking thousands of people and running dozens of different reports on daily. Except that it was near impossible to use. The software was dated beyond what was reasonable and didn't stand up to competitors at all. But we were stuck with it and data migration was going to be a nightmare. So we basically had to have one woman become the guru on reports and she spent hours a day trying to figure out how to run the right reports. Wouldn't ever consider buying it.

Pros

It was a database for tracking and maintaining information on congregants. So basically a database.

Cons

Not user-friendly. Complex to maintain. Pretty much impossible to manage effectively. Running reports is a nightmare.

We went with another solution that provided same tools for less money.

Pros

I like that is an all encompassing solution for church admin.

Cons

I feel like we are paying for features that we will never use. It would be nice to select from a menu of what we actually need and pay for those items.

Modifying the individuals in the database is easy. It's easy to switch between members in a family, not not between two families at once. The mobile app for attendance is good but doesn't stay logged in long enough to be used at a kiosk as parents enter without having parents click through the auto login.

Cons

Males are listed before female children. It would be much more effective (and less sexist) to list all children by age. But sorting them by gender is not anything that helps me in my ministry. When adding spouses of the same gender, it changed the gender and last name of the spouse to hetronormative and "head of household"'s last name! Why would any database actively CHANGE data upon moving it? The interface is clunkier than I had hoped as are the apps.

You can sort the family members by any criteria (age, etc) The other items you are referring to are system preferences that you can change. Servant Keeper is so easy to use. I love it! Functionality for member management and organization is very comprehensive.

Cons

I do use a later version (7) but am considering upgrading to 8. I like the ease of printing all types of reports, and the end of year info for tax purposes.

Cons

A very awkward and dated "Help" section--hopefully solved in version 8. ALso having to re-enter your ID and password to switch between Admin, Contribution and Membership manger during the same session is a bit annoying.

I also want to make sure you know that you do not have to log out and log back in to go to different parts of the program. Just cllck "switch to" on the bottom right of your screen and you can jump to whatever part of the program for which your user ID has security access.

I had no previous experience with data software. SK is very user friendly. The training seminars were helpful. We had several at our church. The personnel have been pleasant to work with. When we have had issues, the help staff has taken the time to correct our problesm.

Cons

I cannot think of issues that I consider cons. No one has a perfect system. I am not the only user. Our bookkeeper may have some issues, but she shares my overall satisfaction.
