CareLogic Enterprise by Qualifacts Systems is an integrated suite of electronic health records (EHR), billing, and scheduling applications designed specifically for behavioral healthcare organizations with 20 or more users. The system is web-based and requires no software or hardware to purchase or maintain. It is used by behavioral health and human services organizations whose goals are to improve the quality of patient care, streamline administrative tasks, improve collections, and increase efficiency.

CareLogic is designed primarily for organizations with 20 or more employees. The program is used by a wide variety of organizations within the mental/behavioral health specialty including psychiatry, psychology, therapy, counseling, substance abuse, and others. It also supports outpatient, community, residential, and inpatient settings. CareLogic has been 2011/2012 ONC-ATCB certified for organizations that want to qualify for federal stimulus payments.

CareLogic is available as a standalone EHR system for organizations who do not require billing or scheduling, or it can be used as a complete EHR and practice management suite. It requires low upfront costs and can be implemented very quickly relative to traditional enterprise systems. It is paid for on a monthly basis with automatically deployed upgrades.

The Face Sheet is easy to navigate and reaches most of the major parts of the record without too many clicks and digging.

Cons

There are some minor issues with scrolling over items versus clicking items. I dont always know when i am supposed to scroll over the word to get the next menu or click the word. If you click when you should scroll it takes you out of the record completely and that is frustrating.

We have been live with Carelogic now for a little over 4 years. Once you get an understanding of the system, it is fairly easy to use. The scheduler is a great feature that allows us to track all appointment, per clinician on a daily basis. It allows for us to easily send clean claims out the door. It also has the nice feature of alerts to help remind the staff of appointments not marked kept or documents that need to be signed.

Cons

Carelogic has a lot of downtime or latency issues. They are also not the most up to date software product out there. There is no options to merge a client, which is very time consuming when you have to fix a clients file.

Pros

Configurability to our needs. Integration among all aspects/departments of our agency. Ease of use for the end users. Inclusion of our staff in the design and roll-out / teaching of the product(s) across our agency -- helping to build team atmosphere! Adaptability to changing needs, laws, etc.

Cons

The process is very time-intensive on the front end. However, the end users will not have to worry about the complexities of the inner workings. And at the end of this road, we anticipate the up front labors/time will be completely, completely worth it.

Layout is quite good. Menu driven customization is also quite efficient and effective. Customer responsiveness has improved over the last 3-4 years.

Cons

Accuracy of data is somewhat suspect due to lack of sufficient audit-trail. Financial (commonly referred to as "back office") capabilities are very sub-standard. Rather than being handled as a supplemental add-on, the financial aspects are critical for effective utilization. There has to be more recognition that the healthcare services being conducted and documented are not performed in a vacuum. Financial integration (front-to-back) needs great deal of improvement.

If I could have given this "0" stars I would have. System is crashing constantly. I've lost countless hours of work due to this system. When you call customer service the answer is always "put in a ticket". But nothing gets done about the ticket. I would not recommend this software to my worst enemy.

Second-Worst EHR That I Ever Used

I have worked many "Locum Tenens" jobs in the last 6-7 years, and this Electronic Health Record program was easily qualified to be the 2nd-Worst. CareLogic had incredible, mind-boggling inefficiencies built into it that meant the user (or perhaps staff) would be re-typing much info. about a patient multiple times over many visits. The templates for many of its evaluation types mingled info. for the Past Medical History in with Substance Abuse History, and many other illogical combinations that made it hard to pull the info. you needed re: a specific topic on a patient. It was also hard to move from one document to another or to get to scanned-in documents like EKG's, patient surveys, labs, etc.

Pros

It helps one quickly find what records still need to be signed after transcription, and allows for editing of what the transcriptionist may have mistyped.

Cons

Outrageously time-consuming and counter-productive to use.

Advice to Others

Press for details of how information actually can be entered into EHR, and how much time will it take a doctor or staff to do it.

During the vendor selection process, the sales reps gave the impression the software had a lot more flexibility than it does. The reporting/extracting data has been an issue since we began using the software and continues today. There are limitations in the security since you can block access but not down to a singular item. The configurable forms are a plus however extracting the data from them is nearly impossible. The software has some good points, however in the setup, we were not fully informed of some of the limitations.

Pros

Once you are trained in its use, the flow in the ECR comes with ease. Good tracking and reporting of billing.

Cons

Reporting/Extracting data.

Advice to Others

Do not choose to use configurable forms. Use the modules provided and supplement as necessary.

Reporting for custom reports is very cumbersome. Collection Dashboard tables are not in the reporting warehouse. The cumbersome reports could even be overlooked if when new modules are released so are the tables in order to include in custom reports.

Recommendations

Do it!! Outline how you would like to view and categorize you types of services.

IT support and quick response. Usually when he system is down ( which is more often than I wish ) they quickly let us know and work on fixing the problem.

Cons

1. Spaces with 100 words limit is usually not ebough to describe human behavior or respones.
2. The Carelogic system needs to incorporate the residents room number ( something that we can update) visible in the schedule. That would make a big difference in the time planning our day.
3. Reduce the frequency of system failing.

Pros

I like that it is an EHR and the Support Team is awesome. When I have a question, they get back to me quickly. I like that they are always improving the system.
I also like that we can bring on affiliates to our platforms.

Cons

Sometimes it can be complex. You really need to understand what you are doing when in Carelogic. I would also like to see Carelogic produce something for medical billing.

I know from our clinician standpoint they would like auto save when in documents. Having a pop-up when client's are checked in. I wish you had a working area which you could return to if having to look at something else. I would like to have a little more edit capabilities such as editing our own dates on error dates, I would like a better POE for clients that are already open but admitting into another program. Transfers are very confusing, would like it not to automatically kick out primary staff, having one primary staff by program would be beneficial. Diagnosis page, wish we could identify SUD and MH.

Maximizing revenue

Pros

Ease of changing clinical forms. Ease of searching for clients and staff. Scheduling and finding availability for appointments. IMPACT library and potential.

Cons

The business model that goes from on site implementation to distance based support primarily through tickets and pushing out or new products. While the price point is low for organizations; Qualifacts should truly consider a regional manager or regional support model. THis would be more than holding regional user group meetings. This would involve an RM making calls to clients to discuss their needs and new products and roll outs and then checking in the system to make sure things are optimized.. At least quarterly visits as well for a day. Please consider this. Customer service and true engagement is where its at. We spoke a lot about patient engagement this conference but the Qualifacts model is not one of continued client engagement. I know many think it is as it has awesome components and community spaces but truly having a go to person for the region who checks in and cares is the way to do it. Anyway, we are working hard to translate all of the awesome features to our practice. Well done conference.

Pros

Great clinically captures information needed most for clinicians . The workflows for clinicians is simpler then in other programs I have used.

Cons

Some of the processes seems unnecessary and could be more workflow efficient. Some functionalities could be easier for staff to maneuver through. It could also have more detailed reports for revenue reporting. Need services to be able to be broken down into further details and more options

Report writing, getting outcomes out of the system, no access to create our own views. Canned reports lack information needed, especially many forms do not total. Would like to see a set of basic outcomes needed by most organizations built into Carelogic. The support platform is frustrating and I am glad to see it's being revamped

It is easy to use and works the way our agency works. There has been minimal changes to our workflows and most users find it easy to navigate.

Pros

I can design my own forms. The new treatment plan is fantastic. It is easy to navigate. I also find it valuable that a single episode of care can include multiple programs and integrated documents that better reflect the client's overall care.

Cons

It is a huge disadvantage that the assessment will not copy forward between episodes of care or even different users. Our clients often are admitted and dischagred multiple times in the same year- for example multiple detox stays- and the information is the same. It would be fantastic if the previous assessment populated the current assessment so all the clinician had to do was update it.

Ease of claim processing, batching and submitting claims. Payment posting and reconciling payments are easy. The ability to submit claims electronically and receive them back electronically was a great feature coming from a system that was all manual.

Cons

Carelogic statements are not very helpful. We would like to be able to run the claim engine our selves. After our go live it would have been helpful to have review of how our billing was set up to see if we were utilizing Carelogic in the best way possible and all of its functionality.

I want to learn how to do configurations. It's a little hard because the system Admin we have did not give us all the tools we can use to activity use the program.

It is highly configurable and the company provides great customer service. They provide a variety of options for training staff on the community site through the C3 conference and also admin training sessions held in nashville

Cons

There software bogs down during peak usage times. Our clinicians often are required to wait for documents or are kicked out of their session.

all billing is made easier since there is only one location to find it, when it comes to billing out and posting payments

Cons

denial reason must be manually entered from ERA file. So its a few more steps to get those denials worked on.

l like to ease of use for staff to schedule clients and document in records and billing out for services. There are some nice options for face sheet, medications is pretty easy to use. Entry of client information is easy to do. I

Cons

Carelogic has taken a long time to improve the treatment plan and it should be more configurable and report view is not easy to read. Lab functionality does not pull in client informaiton from Carelogic (Insurance, Diagnosis) and staff have to double enter information every time order a lab. Qualifacts needs to have ability to merge clients as we have many duplicate and there is no way to combine them. we are unable to delete test clients. We also need a password reset function, Reporting is complicated for end users and need easier way for managers to pull reports,

The capability to use the configurable forms and also the capability to make your own configurable forms.

Cons

Reporting need to be more user friendly, not only for administrator but for line staff.
Need the canned Report to be in excel format.
