TherapyNotes is a cloud-based mental/behavioral health software system that includes electronic health records (EHR), a patient portal, patient scheduling and medical billing. The solution is suitable for practices of all sizes, including those with multiple locations or with providers who need access outside the office.

TherapyNotes provides access to several types of specialty note templates for various types of medical practices such as psychotherapy, psychiatry and behavioral health. Using TherapyNotes, medical professionals can create and customize treatment plans, progress notes, psychological evaluations, termination notes and more.

The solution also includes a billing module, which gives providers the ability to create statements and billing reports. The credit card processing module lets users enter/swipe cards directly into the system and save card information for future transactions. Users can create recurring appointments, set staff work schedules and send appointment reminders to the patients directly from the system.

TherapyNotes is an HIPAA-certified application and complies with PCI standards for data security. All data is stored in a fully encrypted SAS 70 Type II certified data centers.

I loved this product. Session notes took less than 5 minutes and read beautifully. Because of the system, all notes were standard.

Cons

I am a one person office and could not justify the expense due to the income of one person, and, for the most part, no one else was reading notes.

Cons

This is a relatively simple program to use, however has features that can be utilised as your practice grows. Their customer service is excellent. I had a personal call from a member of the sales support team who spoke to me about my experiences with the product which I appreciated.

Cons

The product is only set up for folks in the United States. This is frustrating as the address fields and telephone numbers will not accept an international address. Also, the time zone is an issue when date stamping notes/correspondence. To compensate for this, customer service extended the free trial to one year for me as an international customer which I thought was excellent.

You will need to be careful about how you submit claims as some insurers have multiple organizations and may not work with the primary payer ID.

I cannot recommend this produce. I raved about them three years ago, but now they care more about profit and covering their butts, than any customers!

Pros

Many of the features are easy to use, such as the notes and scheduling. Billing can also be easy if the insurance company accepts payment from TherapyNotes clearinghouse. Best feature by far is the reminder texts to clients!

Cons

The company has grown exponentially, at the customer's expense! They've switched building, added new staff, moved servers and replaced servers, added features, but the quality has suffered and the mistake have been adding up! I get lots of excuses, but no apologies! TherapyNotes servers crash oftens and I've lost notes several times! They have also been hacked and allow access to their internal system putting my records at risk. I could not get access to any client data for 3 days! Totally Unacceptable!! This month they made me accept a new privacy agreement (or not have access to my client data) that indemnified them from any responsibility for any errors or lost data or any hack and illegal use of our client data. I went to log-in on a Monday and the website said, sign our new agreement or you cannot access any of your files, data, schedules...nothing... that's holding my records for random!

I'm thrilled that I changed to TherapyNotes. I would definitely recommend it to any therapist in private practice!

Pros

I love that this software was developed for therapy practices. I was previously using Practice Fusion and had to navigate through information that was not relevant to my practice. It was very annoying! TherapyNotes is very user friendly, it makes my daily practice a breeze and also helps my biller in numerous ways.

Cons

There isn't a way to show processing of co-pays and to show that a client has confirmed/arrived. Other than that, it's amazing.

Overall, I have been very pleased with the product, the functionality of it, the fact that it is user-friendly and the expedient response time when I've reached out to support.

Pros

I like the easy-to-understand interface and design which made it very easy for me to get up and running on setting up records for my new private practice! I enjoy the built-in tools that keep my workflow on task such as the "to do" list and the notifications of pending claims.

Cons

I would appreciate a few more options on reporting and the ability to change some of the aesthetics of the interface.

Overall, I have used Therapy Notes for about two years and continue to remain with this software because I can see continual improvements to the software.

Pros

Provides ease of performing clinical and administrative tasks independently. Clinical documents are well identified and efficient.

Cons

Billing can be slowed in reimbursements. The errors shown can be vague in definition which requires time consuming research to figure out resolution to a problem.

It's great that you can keep credit cards on file through this system!

Pros

I tried out this product as an acupuncturist when a friend who is a therapist recommended it to me for clinical note taking. I found it very easy to use, but the templates are definitely set for therapists and are not adaptable for other practitioners.

Cons

If you are not a therapist, this product probably won't work for you! That may sound obvious given the name of the product, but as an acupuncturist struggling to find an EHR, I was trying out everything. I did like the clean templates of TherapyNotes but ultimately it was too standardized for what I needed.

Cons

Templates may be too simple for what your needs are, depending on the requirements. However, forms are easy to tab through and system saves information temporarily once you've been logged out.

Pros

This system was designed for mental health providers. It's an incredible EHR. The clinical notes are easy to use. The system is predictive. The calendar and billing features are what set it apart from other EHRs.

Cons

I'd like to see TherapyNotes develop more reporting features. I'd also like to see them add e-prescribing. It's a robust system otherwise.

I don’t like having to put in the treatment plans before I can bill for that patient . Makes sense for new patients, but not for patients I’ve been treating for a while. There are certain insurance companies that won’t allow processing claims through Therapy Notes.

The software is more attractive-looking than others of its type. The workflow seems well-designed, and because it is web-based it can grow with technology.

Cons

The insurance enrollment process is absolutely abysmal. The documents that are intended to serve as guides for enrolling with various payers are full of varied fonts, colors, outdated information, links, phone numbers, contradictions, and an intense amount of cognitive demand overall.

Overall, it is well worth the money, I am able to run my part time practice on my own with this software.

Pros

-See all active clients at a glance, and I can customize what to show (last appt, next appt., etc)
-Love the monthly calendar at a glance
-Paperwork reminders are annoying, but keep me honest
-Very easy to use on mobile device, (iphone) which is a big deal when I'm traveling.

Cons

-System can be incredibly slow at times or completely dysfunctional. It happened a few days ago, and when I called customer service, I was told they were updating the system. There was no notice to practitioners of this update, which is ridiculous and unprofessional, which I told them.
-Quality of customer service depends upon who you talk to at the time. Some of them are knowledgeable, others seem like new hires and they know nothing. Better training is needed there for certain.
-I don't like it that I cannot fill in the CMS 1500 form within their software, sometimes it appears at the bottom of the intake note, sometimes not. Very inconsistent.

The function allowing referring parties and potential new clients to view and schedule my calendar is really slick. This is what drew me to this software in the first place.

Pros

I very much appreciate the intuitiveness and ease of use with TherapyNotes. From scheduling to reminders, Therapy Notes helps with the organization of my practice in so many ways. I would highly recommend this software management system, particularly for therapists just starting a practice. It definitely made getting my practice off the ground much easier.

Cons

There really has not been much that I can complain about with TherapyNotes, except for billing. I am finding that the client billing section is not as intuitive as the other parts of this software, and that can be a little frustrating.

Cons

You have to write a treatment plan for every client which is time consuming and not always in line with all treatment modalities. Their software reliability is not 100%.

It's been sensational and made my job so much easier. We're talking from a black and white infomercial struggle to a color view of life with the product difference here.

Pros

This software is intuitive and does a good job of only displaying the information needed for the page that you're viewing or task you're trying to undertake. Easy to use.

Cons

Changing billing if there are errors can be a bit of a struggle and as far as I know, there's no way to order procedure codes in the dropdown for scheduling. These are very minor things of course. Oh but users without clinical access cannot add to their schedules. This would be good for helping clinicians know when the support staff will be in our out.

Here's the kicker: I've never, ever anywhere else in my life experienced such consistently good customer service (friendly, happy, helpful, knowledgable). It's uncanny. Other companies should take notes from TherapyNotes.

Pros

It's the iPhone of EMR software, at flip phone prices. Intuitive. Easy to use. Pleasing to look at. Without glitch. Highly integrated with all practice functions from notes to billing to collections. I'm not easy to please when it comes to organization and administration, and TN always exceeds my expectations.

Cons

I wish there was the capability of setting up regular automatic payments for clients who are on a payment plan for paying down a balance.

Pros

I’m in private practice and do all of my own billing. I have been able to ask questions and get support through every step of the process of billing. The customer service team is kind, knowledgeable and somehow, always quick to reply or at the other end of the phone. I cannot recommend them highly enough!

It made note writing and treatment planning eady. It allowed for all UCD 10 and 9 codes. It allowed the therapist the ability to nor worry about billing and no missed notes

Some things were difficult when needed a change such as changing a modifier that. had to be done one by one. They are working on it...

I love TN because I can do all of my documentation and billing at the end of each visit. I don't need a clerical staff, billing service or an exchange service. I can be a one person business and spend my time on my work with patients. Also, the Technical Help staff if really knowledgeable re: billing, coding, documentation etc. and have been able to get me through even the most gnarly issues.

Pros

It is easy to use, keeps me on track and when my docs are reviewed by the insurance companies they have never made suggestions about how I could improve my documentation or that I am missing something important like timely tx plans, interventions etc.

Cons

Sometimes the spell check dictionary needs to be edited for people adding misspelled words.

Has lower pricing for non-profits
Lowest pricing I've seen per e-claim
Patient portal allows online appointment setting
Patient portal with e-signature of intake forms
Very helpful support
Company is easy to work with

Cons

No bulk import of patient progress notes or billing due to HIPPA restrictions

I have based my entire private practice on this software! It is the complete package so I don't really need anything else to practice which is amazing, especially for the low price.

Pros

Ease of use, support and education, completeness of package (documentation, scheduling, billing, etc.).

Their customer service is second to none. Questions are quickly and easily answered. Staff is extremely friendly and efficient.

Pros

Therapy Nores makes filing insurance claims a breeze. I also like that there is a wide choice of ways you can use it...for as many or as little ways as you like.

Cons

I have no complaints. Therapy Notes does a great job of self monitoring and improving.

A one stop shop....we can do notes and bill in one sweep. Therapy notes has amazing customer service and is super prompt.

I love how easy this program is to use.

That there is not a place under To-Do for us to add our own personal to-do's.
