Confluence is a project management solution that enables organizations to create, collaborate, organize and review project documents. The system offers both cloud-based and on-premise deployment.

Confluence’s editor feature allows employees to create content such as meeting notes, product requirements and research reports. The solution enables managers to review and share feedback in documents themselves.

Confluence’s knowledge management module provides users with a centralized repository to access and search relevant content according to project requirements. The system lets managers restrict access to confidential data and collaborate within closed groups. Users can publish, organize and access company information in a central location.  

Confluence's task management feature allows managers to delegate, monitor and track changes to tasks assigned to each employee. The task management feature updates managers with status on tasks that are completed, impending, or overdue. The software integrates with JIRA to enable project transparency.

I used Sharepoint at a prior company and much prefer Confluence. The fact that you can easily search and find what you need without having to understand a complex software is incredible. Huge resource for employees.

Pros

Confluence is so easy to use, and it's very intuitive. It's also easy to customize the access levels so managers, department heads, admins, etc. can all do what they need to do. It's nice that you can move historic files and stuff around without having too much hassle, and it's simple for employees to search for what they need.

Cons

I can't think of too many honestly, apart from the system automatically notifies people when you upload something new. Doesn't bother me too much, as I am glad people look at things, but if people ask a lot of questions every time you make one change it gets annoying. You can unselect this but if you forget the system defaults to that.

I think Confluence is a great tool for a small company. The bigger the company gets, the more opinions you get on how things should be organized.

Pros

There is nothing difficult about Confluence. It's easy to add pages and even move pages if you decide they should be somewhere else. It gives notifications when someone changes a page that applies to you. You can search everything to find what you need. It gives a tree setup on the left to keep things organized.

Cons

It's so easy to make pages that we find a lot of duplicates when someone opens something and thinks they are editing but actually makes a new copy of the page. Also, the tree structure is great, but it can be confusing because different people categorize things different than other people. Fortunately the search feature solves that issue, but it can be frustrating if you don't know what to search.

Cons

I didn't like that once a page was created, it was extremely hard to delete. Maybe that's just how our account was set up...

It's an internal wiki that is hosted on our servers and has no limit on the size of files we put on it the limit is our server storage space. The solution is very cost effective and has been helping us organize many things from meeting notes to hardware design and documentation.

Cons

There's not much that I do not like about this solution. We have been extremely satisfied with the solution, pricing and ease of use.

I like that it has an easy enough interface to sort what content you need to place cleanly. The dashboard is a little "old school" for my liking, its plain - but that's exactly what its supposed to be. It's a Wiki - a place where you go for specific content and how-tos.

Cons

I feel more people would use this site more if it looked more appealing. Right now with such a basic dash, people tend to skip putting content on it

Worth the money if you want to become more agile and faster working in the environment. Work on multiple documents together at the same time. Great for conference calls.

Pros

We transitioned over to confluence and jira to help our internal workflow, dropping the need for shared drives, word documents, excel spreadsheets. Confluence drives our results and productivity. We find the tool superb to share content rich media to others, processes and procedures.

Cons

Missing some key macros that could really boost the web applications potential i.e Excel macro, polling tools etc. However we are working with the provider to open up these tools.

Cons

We started using Confluence in Marketing so that we can easily and effectively communicate department wide as well as cross-department. I love the Team Calendar feature and that we can make individuals "watchers" of our page and when we make changes they get notified.

Cons

My ramp up was slow as I didn't quite know how to get started and didn't have training. Not sure if there are training options or not as I'm not the main system administrator.

Great product for internal storage and is extremely easy to use from an admin and user standpoint.

Pros

This is an amazing program, it allows you to basically build your own internal company web pages that includes any relevant information that your team or anyone with access to the pages need. You can upload any document type in a clean and organized manner. I highly recommend this from a user and an administrator standpoint. The ease of use is incredible compared to that of SharePoint and other similar programs.

Cons

One thing that could be seen as negative is that it is limited in its ability to customize pages but they provide you with all of the necessary things needed to create a nice looking, and easy to use/create pages which makes up for it.

Confluence is absolutely one of those tools where you're only going to get out of it what you put into it. We're working now on increasing adoption within our system so that everyone uses all of the great information and resources that we have stored in our Confluence.

Pros

It's pretty easy to use and I find most of the page editing tools very intuitive. I appreciate the ability to restrict pages - this allows you to use the spaces for private brainstorming, collaboration, or general information. Some of the widgets are pretty cool too.

Cons

It's a bit of a challenge to format the tables - the functionality is pretty different than any other system that I've used, and I wish this was more simple because tables are a great way to organize information. The search function is also pretty literal; you need to have exact phrasing to find what you're looking for, which can sometimes be a challenge.

Pros

Confluence has a lot of technical options that make it good for managing highly complex projects. The integration with Jira is excellent.

Cons

While Confluence has a lot of benefits, the core of the platform is challenging to use. Business teams or light users are likely to find it too complex and simple tasks can easily get lost in the high level of details required to power the platform.

I appreciate the thought that went into the day to day features of project tracking. Our content and progress is so much more visible and easy to update our SMEs and project owners on.

Cons

Getting everyone to buy into the system can be hard when first introducing it to a team. Some people have been set in their ways and don't necessarily want higher visibility on their day to day operations. That is not really the fault of the software though, more an unhappy side effect to change.

Cons

On complex pages with multiple formats, the editor can get confused if you use the undo/redo option making editing the page difficult; this rarely happens and can be overcome by saving the page and starting to edit it again.

I used to journal ever since I was a little girl. Now everything I do is systematically recorded and documentated on my own hosted Confluence server. So that whenever I want to repeat anything I have done: code that I have written, system which I developed, game that I played or idea that I have heard - I can now search and call them up to reimplement elsewhere - all thanks to Confluence which has also excellent permissions and protections.

Pros

We have used this to document projects and write protocols which can be used for reference without scrolling through months of chats to find what you need. It is best used as a static repository of the final work or versions which are fairly stable. For tasks, we use the sister product which can be integrated - JIRA. The main benefit of your Confluence is that all your changes are tracked and versioned using svn.

Cons

Like I hinted previously, that it should used as a repository of protocols and documentation where changes are not very frequent since although it has versioning it gets rather unmanageable when there are hundreds of changes.

My overall business experience is great. Earlier team was sharing project content via emails that is a clumsy way to mamage and store the information, but as more and more people are using confluence it has become a repository and one stop shop to put knowledge at one palce which can be referred as and when needed. This is a great tool and a game changer for how we manage our collaboration within team for the project under Agile way

Pros

The best part about this software is the close integration with JIRA software. This is in real competition with Sharepoint as far as my understanding goes and I am an admin user for multiple scrum teams in my organization. Confluence in its own way is by far the easiest user-friendly software that I introduced in my team that was new to the agile world and now all our collaboration and communication on the process and tech document standpoint happens on Confluence.

The comment section and different macros that can be added for adding content on a page and tree structure for pages created give this tool the edge and flexibility for teams to create the format that best suits to specific scrum team needs

The technical document and usage of code snippet macro are very useful add-ons that have been given for formatting the content.

from the project management standpoint, the product backlog and release planning can be done simply by adding JIRA tickets and their specific status that automatically is being fetched by confluence every time page is opened.

The other most important feature is the ability to create JIRA tickets directly from the confluence page just select the text and then Confluence will give an option to create JIRA ticket and gets linked

The reporting macros for JIRA tickets is a good way to track progress of projects

Cons

At an enterprise level, there are few web designing that is required to be done so that content that is already there can be structured in a much more web design format like links to confluence pages to be embedded in an image. That option is available but to central Admin and not to the page admin that makes confluence little crunched to admin users within a project. But this negative point is a very small piece in comparison to positives with this application.

It's an alright application, and has the skeleton and tools to be amazing but the cons greatly outweigh the pros at this moment.

Pros

Having a company wiki is helpful; it allows us to document and store all specs and company updates. We've used Confluence effectively for that work. It's organized if instrumented properly, and allows us to really manage and find certain documents, work.

Cons

The flip side is, the wiki can quickly become complex and messy. Our's requires significant bandwidth to maintain and the search functionality isn't great. The largest pain point is the organization of Atlassian products. It's difficult to build out quality pages without a lot of work and maintenance. Additionally, the notifications are awful as I get 100s of emails a week on pages I haven't looked at for months.

Confluence is flexible and expandable. For no extra cost, you can have as many spaces, pages and sub-pages as needed. There is a huge suite of add-ons and macros that allow for integration with third-party services and extra functionality. I like that I can organize, reorganize, nest pages and keep everything very tightly structured.

Cons

This is not a great service if you need to print a lot. Google Docs or the like is far better for that. Confluence isn't an online word processor alternative, but more of a new type of collaborative software for entities that do their work wholly in a digital landscape.

We introduced Confluence to our company about 2 years ago. I can say that the service has an excellent set of plug-ins and tools. You can work with Jira Software and other management systems. For some of our employees, the function of viewing and notifying about changes is useful.

Cons

What is missing is one simple, but very necessary function for us: to make notes next to the page, and not to add an entry to it. As far as I know, the developers are planning to do this. So far, we are waiting.

We have many employees for whom we need to create different tasks, and Confluence is not bad for this. With the help of the service, we distribute tasks to groups for different employees and assign an access level to each of them. The ability to do such structuring is a big plus of the service, because some employees need only enter the system and control the execution of tasks, others - to share information among themselves, and third - to make changes in the work process. All these tasks are perfectly solved using Confluence.

Cons

Mobile application is unstable. It crashes and almost always works slower than the site. This problem is observed in almost all of our employees. If you plan to work mainly with a smartphone, I would not recommend the service.

As I mentioned before, I use it as a company wide manual where all employees have to leaf through it whenever they have a question on a certain procedure and if they have any changes they'd like to make to any old methods then they are encouraged to make the edits to keep the company knowledge up to speed.

Pros

Confluence is great for creating company manuals or documenting company procedures. Think of it as a formal business blog or a wiki where you can keep a record of anything from basic tables outlining company info to company policies which can then be shared with the rest of the employees so that they can in turn, learn and input their own observations and knowledge. It organizes the pages for you and it makes it easy for anyone to search, edit and add new pages to keep the knowledge growing. At my company, we use it as a manual and all new employees have to read through it as part of their training. It allows you to add photos or videos to document special past events or to just simply make the page more interesting. The formatting ribbon looks similar to Microsoft word's so if you have experience with using a Word document then it should be no problem using the different types of formating options and if you have no experience then you'll get the hang of it pretty soon as it's fairly easy to deduce what each button does. I love how it is able to save any edits you make to a page and it doesn't publish it until you are ready so you are able to make new pages and edit old ones at your own pace and once you are done you can click on "publish". It alows you to restrict what other people can and cannot edit, it sends notifications to those who have a user in your account. I would recommend it.

Cons

The interface could use more color or some pizzazz as it looks pretty dull and it reminds me of an electric appliance manual: gray and boring to the point that you feel like throwing it away but then you are too afraid to do so because you may never know when you might need it. But then again, I use it as a company manual so I can't do much there, I'm guessing if you want something prettier then go get a blogging account but Confluence gets straight to the point and it should be taken seriously.

Pros

Confluence is an awesome tool to share documents, files, meeting notes, etc. can be shared in a central location for the entire team. It's easy to store and edits notes, and I like the document tracking functionality so you can easily see what changes have been made. Tagging functionality is great and perfect for commenting or assigning.

Cons

Can be very basic if you're looking for something with a bit more functionality or visual appeal. Notifications can be annoying if you're following a lot of projects or files. It would be great to have a feature where followers are NOT notified (when changes are minor, etc.)

Cons

Proior to the implementation of the tool we had little in the way of us managing knowledge internally. This has massively improved our internal communication and collaboration. The site is used on a daily basis!

Pros

Confluence is extremely useful in allowing us to manage knowledge within our ourganisation.

Our document are version controlled and allow us to keep cascade messaging on a team level within our team spaces.

We also make use of a number of add ons to enhance the experience of our staff. We made good use of the site as an internally manage intranet site.

Cons

The add ons can be very pricey and this can add up.

The emails that are pushed when pages are updated can become a lot but this can be mananged fairly easily.

We use confluence for sharing knowledge and documents, we put up the pages, get it reviewed, add comments and update the pages

Cons

It is difficult to edit pages sometimes, and lets user friendly but we can use it if we know how to edit using the tools

The service has excellent functionality: you can write messages, send graphics, photos, and easily add new team members. All changes made by one participant of the project are immediately visible to all the others. Even if someone from the team cannot work at the computer, he will always be aware of all the changes, since the service has a mobile application.

Cons

Navigation through the pages is strange. The search works inside the page, so to go to the main page, you need to search for it manually. Those team members who have a mobile app, complain about periodic program hangs and other bugs. Otherwise, everything is fine.

It has all of the features you expect from a wiki solution, and it's great for our internal app documentation

Cons

There is really no way around feeling like I need to babysit how this application is used in the organization. There are a lot of configurations, and habits and guidelines just appear from the crowd. Some restrictions here would be nice.

Super versatile; features cover basically every aspect of internal documentation, from access management and control all the way to a powerful editor and integrations. I've seen Confluence used, fully customized, as a large enterprise solution, as well as a small team wiki. Nicely integrated with other Atlassian products, which is certainly a plus.

Cons

Gets expensive quickly. Since Atlassian charges you for user access, per user, for a team of 2 developers who write docs for others to use within the company of, say, 120 users, it is not ideal from the ROI standpoint, even if these 120 users are there to read, not to author anything.
